General InformationEarlybird Registration Deadline: November 16, 2018

Cocktail Reception Sponsor Make sure your company gets noticed! Become a sponsor at our cocktail reception / casino night on Monday, December 3. Your company name will be displayed on monitors in the exhibit area, and each employee attending the conference will be given a “Sponsor” ribbon. Sponsors will also be recognized in our newsletter.

Awards Banquet SponsorThis event, on Tuesday, December 4, includes numerous awards, speeches and recognitions, along with brunch. Your company will be recognized during the banquet and in our newsletter. Registration for this banquet is separate from sponsorship.

*If attendee becomes an OCA member within 30 days of this conference, the difference between the member and non- member registration cost will be refunded.

Table tops are recommended due to dimension limitations. Display space will be assigned on a first-come first-served basis. OCA will assign exhibitors to the best alternate space in the event their first three choices are already reserved, and will make reasonable shifts in location for the benefit of the exhibitor or the betterment of the exhibition. OCA reserves the right to decline or prohibit any exhibit or part of an exhibit, exhibitor or proposed exhibit which, in OCA’s opinion, is not suitable to and in keeping with the character of the exhibition. No subletting or assignment of space will be permitted.

Early bird reservation deadline is November 16, 2018, and must include full payment. There will be no refunds after this date.

Exhibit hours will be: Monday, December 3, from 10:00 a.m. until 6:30 p.m. Buffet lunch will be served in the Easton Foyer. Great networking opportunities before and during the reception and casino event. Associate member-sponsored reception and casino night will be held in the exhibition area starting at approximately 4:15 and ending at 6:30 p.m.

Exhibits must be arranged to be completely within the allotted space. Exhibits must conform to space size, and of such a character or arrangement not to obstruct the view or interfere with adjacent exhibitors. Table top displays are recommended. Tables are provided.

Display space will be available for setup at 8:00 a.m., Monday, December 3 and must be in complete order by 9:30 a.m. Exhibitors agree that they will not dismantle their exhibit until after 6:30 p.m. Due to the 100th year anniversary gala starting at 6:30, exhibitors, if attending via a prior RSVP, may leave their booth supplies and equipment along a wall until after the conclusion of the anniversary gala. The tables, chairs and drapery will be removed during the gala.

Once space is reserved, you will receive a form detailing internet and electric availability and costs. Exhibitors requesting electricity should complete the form and send directly to the Hilton.

Once space is reserved, you will receive a form detailing shipping instructions and costs. Exhibitors sending items prior to the exhibit should complete the form and send it directly to the Hilton.

The use of microphones, recordings, movies, slides or other audio-visual equipment is permissible; however, the sound volume of any such device must not exceed that of normal conversation voice level or be objectionable to neighboring exhibitors.

OCA will not be responsible for any loss, damage, injury or theft that may occur to exhibitor, exhibitor’s employees or public property from any cause whatsoever, prior, during, or subsequent to the period covered by the exhibit contract. The exhibitor upon signing of the contract expressly releases OCA and the Hilton from and agrees to indemnify, define and hold harmless same against any and all claims for loss, damage, expense or injury. Exhibitors must protect their equipment and goods so that no injury or damage will result to the public or the exhibit area and will be liable for any such damage.
