OLGC School’s COVID-19 September 2020 Restart Safety Plan outlines the policies, guidelines and procedures the
school has put in place to reduce the risk of COVID-19 transmission to provide the best/widest protection to all staff and
students within the school community. This document was created referencing the following documents: Covid19 K-12
Guidance, Provincial Covid-19 Health and Safety Guidelines in a K-12 setting, K-12 Education Restart Plan, Work Safe
B.C. Guidelines for Education K-12, Go Forward Checklist, and BC Centre for Disease Control guidance. This safety
plan was created in consultation with the CISVA office, administrators, teachers, educational assistants, parents via the
PEC, and the pastor at OLGC.
KEY ACTIONS AND MEASURES In accordance with the Ministry of Education’s K-12 Restart Plan, beginning on September 10
th, 2020, Our Lady of
Good Counsel School will resume full time K-7 in-class instruction. The 2020/21 school year will begin in Stage 2 of the K-12 Restart Plan with the goal of maximizing in-class instruction for all students within the revised public health and Work Safe BC guidelines. This is possible because the latest research, guidance from the Provincial Health Officer, and evidence that children are at a lower risk of developing and transmitting COVID-19. Having students in the classroom helps to minimize learning gaps and provide the academic, social and emotional supports essential for learning. OLGC School has plans in place to be able to shift quickly between stages if and when required. This plan is posted at the school and also on the OLGC School website, and it has been communicated to parents and staff. It will be updated as new information becomes available.
The Ministry of Education Five Stage Framework for K-12 (see below) includes comprehensive COVID-19 health and safety measures and aligns with B.C.’s Restart Plan. Based on new public health guidance for K-12 schools from the Provincial Health Officer, the Five Stages have been updated to outline expectations for B.C. elementary, middle and secondary schools for the 2020/21 school year. This includes organizing students into cohorts (Learning Groups) to help limit contact and potential exposure.
In the previous stages (5 to 3) parents were encouraged keep students at home and work on-line in consultation with their
child’s classroom teacher at OLGC School. Parents are now asked to bring their child(ren) to school for 100% full
time in-class instruction while following required health and safety measures. OLGC School already had health and
safety measures in place in June 2020 for those that chose to send their children voluntarily for in-class instruction. We
continue to build on these measures for this September 2020 as directed.
SAFETY MEASURES
In September all schools in B.C., including OLGC School, will begin the new school year with the goal to maximize in-class learning for all students. To support the return to school, a comprehensive suite of COVID-19 safety measures are being implemented in B.C. schools to help protect students and staff:
Physical Building
Signage to reinforce self-screening, hand hygiene, distancing and one-way use of hallways, adjustments to
entrance and exit practices, adjustments to the use of playgrounds and school grounds, signage in bathrooms
and availability of hand sanitizer will be are clearly posted within the school building.
Separate washrooms for Learning Groups. K/1 students will use the bathrooms in the K/1 portable, lower
washrooms are designated for primary students only and upper washrooms are designated for intermediate
students only in the main school building. As posted, washrooms are limited to use by 1 person at a time.
Teachers will provide students using the washroom with a sticky sign to put outside the door to indicate the
washroom is in use. Students must line up as only 1 student is permitted in the washroom at a time.
Classroom and office windows and doors should stay open to allow for increased air flow and ventilation as the
climate and safety allows.
Recordkeeping
Classroom Teachers
Prepare and submit to the office a list of students within their Learning Group along with a classroom
seating chart. This will be shared with public health should contact tracing need to occur.
Office Staff
Keep a list of the date, time, names and contact information for all visitors who enter the school.
Keep a list of students who travel outside Canada during the 2020/21 school year.
Monitor school attendance to track student and/or staff absence and compare against usual absenteeism
patterns at the school.
Access to School Site
Visitors, including parents, will be limited or even prohibited to enter the school. Parents are not
permitted to come to the school during the day to drop off lunches, supplies, etc.
If parents/caregivers need to contact OLGC staff they will be directed to do so by phone or email. In-
person visits should be for essential purposes and arranged in advance by appointment.
Visitors must be aware of, and follow safety protocols, be limited in their access to necessary spaces
only, and will be asked to confirm they have completed the requirements of a daily health check before
entering the school building.
Parent supervision and parent work party hours will be permitted with use of physical distancing and
masks and at all possible outside only. Parents will know the OLGC School Safety Plan and perform
crosswalk duty and student flow at drop off and pick up. Currently we will not require lunchtime
supervision assistance from parents as staff in each cohort will perform this duty for the time being.
Arrival Time and Procedure (expanded on later in this document)
K/1 staff will enter the K/1 portable and communicate with the office when they have arrived, have self-
checked and are healthy. All other staff will enter the building via the main front doors of the school and
sign at the office that they have self-checked and are healthy and will sign their daily health form.
Student drop-off and pick-up times will be in Grade Level Learning Groups, which will be staggered via
alphabetical family names to avoid the gathering of large crowds. Students are to arrive beginning at 8:30 a.m.
(See schedule on page 15). If students arrive earlier than their scheduled time they are to remain in the in their
parents/guardians car. The playground is closed before and after school as we do not want students and parents
congregating in groups. Pick-up will begin at 2:30 p.m.
All parents are to use the parking lots on the OLGC property to drop off their child and walk their
child to the South Gate Entrance check point (DBYC side) for screening and entry. Please practice
physical distancing while awaiting entry by lining up along the south fence. It is important that students
arrive no later than 9:00 a.m. so that full instructional time and Morning Prayer via the intercom can begin.
Morning Mass attendees and OLGC Preschool users will be using the parking lot as well and have separate
entrances.
Be patient, calm and kind during drop off and watch for moving pedestrians and cars.
On day one students will be assisted by one of their learning group cohort members from our OLGC Staff
to enter the building and proceed to their regular grade classroom – K, 1, 2, 3, 4, 5, 6, and 7 via their
designated entry and exit door. Students in K and 1 use their respective entrance doors, Grades 2 and 3
use the school’s main entrance doors, Grades 4 and 5 use the upstairs backfield entrance and Grades 6
and 7 will enter the upstairs entrance beside their respective classrooms.
Following Day One training students will make their way to their classroom once checked in and
screened. Staff will be on hand to direct those who need assistance.
Students will wash/sanitize upon entry to the school property prior to classroom entry.
Dismissal Time and Procedure
Students will be dismissed via alphabetical family groupings starting at 2:30 (see schedule on p.15).
Students in K and 1 will use their respective exit doors, Grades 2 and 3 use the school’s main exit doors,
Grades 4 and 5 exit via the upstairs backfield exit and Grades 6 and 7 will exit via the upstairs exit beside
their respective classrooms. Once outside students will line up in their Grade level cohorts and will stay
physically distanced from others. A staff member will oversee this process. Students that end the day with
PE will need to be picked up outside the DBYC entrance/exit.
Parents are to arrive punctually to pick up their children after school.

As we develop our extracurricular programs protocols around them will be shared by staff in charge of
each activity/sport with participating students and parents.
Recess and Lunch (staggered and set areas of play)
Learning Groups will have slightly staggered Recess and lunch breaks and will rotate through the vast outside areas at
OLGC School (See Schedule p.16). Students will be reminded to physical distance and stay within their learning cohort
play area. Students will wash/sanitize their hands before and after they play outside. If able to, students will wear
masks. For indoor recess and lunch, students will stay in their classrooms while remaining at their desks.

LEARNING GROUPS / DENSITY TARGETS To get the most students back in full-time in-class instruction in September, the Provincial Health Officer has established Learning Groups to reduce the number of close, in-person interactions. This will reduce the number of people
each student or staff member comes into contact with, thereby reducing the risk of transmission and ensuring quicker
contact tracing by health authorities.
Within a Learning Group, minimized physical contact is required, but physical distancing does not need to be maintained
at all times. Outside of Learning Groups, physical distancing of 2 meters will remain the expectation for students, and for
all staff. What is a Learning Group?
A Learning Group is a group of students and staff who remain together throughout the school quarter,
semester or year, and who primarily interact with each other.
Examples include a single class, multiple classes that occasionally meet for additional learning activities.
Extracurricular activities will likely involve students interacting outside of their Learning Groups and will
require appropriate physical distancing in those circumstances.
Learning Groups are recommended by the Provincial Health Officer as an effective way to limit the number of
interactions between people in schools and subsequently reduce potential exposures to COVID-19.
We are currently in Stage 2 of the K-12 Restart plan and density targets are no longer in place and have been replaced
with Learning Cohort Groupings as mentioned above and at all possible not to exceed a cohort size of 60 in elementary
aged school children. While we are permitted to have groupings of up to 60, but we have chosen to organize cohorts
into our regular classrooms of approximately 30 students , the classroom teacher and supporting educational assistants as
required as student’s primary learning environment. This includes all activities including outside recess and lunch breaks.
Elementary schools will continue on a linear schedule with all students attending every day and in person.
At OLGC School our regular grade groupings of classes in Kindergarten to Grade 7 will be used as the Learning Cohort
Group as they fall within the elementary school classification. This is generally around 30 students in most of our classes
with one or more adults. Minimal modifications will be made to our school structures and timetables. Generally then,
your child’s grade level classmates and teacher and supporting educational assistants will be their cohort; K, 1, 2, 3, 4, 5,
6, and 7. These eight learning groups will be divided into eight different play areas for outside recess and
rotate through play areas over the course of the week.
According to the health and safety guidelines two classes from different learning groups can be in the same learning
space at the same time if a two meter distance can be maintained between people of different learning groups. This can
be easily done outside in our 5.3 acre property for outside recess breaks and lunchtime breaks as well as possibly some
entrance and exits to the school building. During indoor recess students will remain in their regular classrooms, however
this will be rare and students should be prepared for all weather conditions as they will be going outside more often than
not.
If for some reason cohorts come into contact with another cohort groups physical distancing measures of 2 meters
distance will be in effect and masks may be worn. This will be the case at the start and end of the day line-up procedures,
movement in common areas like hallways, movement of groups to and from PE, Music, and Library, and possibly from
time to time during recess and lunch breaks. Staff interacting between the groups will wear a face mask and or face mask
and face shield as directed to do so.
Physical and Health Education / Outdoor Programs
Encourage outdoor programs as much as possible.
Teachers should plan physical activities that limit the use of shared equipment; and
Minimize physical contact inside learning groups (under Stage 2); or
Support physical distancing outside of learning groups.
Shared equipment should be cleaned and disinfected as per the guidelines in the Cleaning and Disinfecting
section of this document, and students should be encouraged to practice proper hand hygiene before and after
participating in physical activity and equipment use.
Refer to Physical and Health Education (PHE) Canada guidelines: include more individual pursuits than
traditional team activities such as dance, alternative environment and land-based activities, exercises without
equipment, fitness, mindfulness, gymnastics, and target games.
Explore local parks and green spaces to promote outdoor learning and activity.
Focus on activities that do not use equipment.
If equipment must be used:
Avoid sharing equipment by numbering and assigning each student their own supplies.
Assemble individualized PE kits that can be assigned to students.
Have students create their own PE kits to use at home or school and set aside budget for additional kits
to be purchased.
Anticipate equipment hygiene compromises and keep extra equipment on hand so that instructional
time is not lost to re-cleaning equipment.
Disinfect teaching aids (e.g., clipboards, white boards, pens, plastic bins for transporting materials etc.).
Encourage students to come to school in clothing that is appropriate for PE and the weather conditions
to eliminate the use of change rooms.
When transitioning to/from outside remind students to use designated areas for changing into jackets
and winter clothing if moving outdoors, such as in designated desk area or a marked side of the hallway
or classroom.
Music Program
Students will receive their regular Music instruction within their classroom learning group. Instruction will occur so long
as PPE – mask or mask and face shield and portable physical barrier is used.
All classes, programs and activities (e.g. Band, Choir) can continue to occur accordingly:
Under Stage 2:
Physical contact is minimized for those within the same learning group;
Physical distance (2m) can be maintained for staff and for middle and secondary school students when
interacting outside of their learning groups;
Physical distance (2m) can be maintained for elementary students when interacting outside of their learning
groups when indoors.
Under Stages 3 to 4:
Physical distance (2m) can be maintained for staff, middle and secondary school students at all times.
No in-person inter-school competitions/events should occur. This will be re-evaluated throughout the school
year. Where possible, schools should seek virtual alternatives to continue to support these events in a
different format.
Shared equipment should be cleaned and disinfected as per Cleaning and Disinfecting Guidelines and
students should be encouraged to practice proper hand hygiene before and after participating in music
classes and music equipment use.
Library Use
Instruction will occur so long as PPE – mask or mask and face shield and portable physical barrier is used.
Tables and chairs must be wiped down prior to and post use. The Librarian will communicate her expectations and
procedures once school starts. Mobile Library via Library cart will likely be used for check out of Library books as
needed.
Computer Lab Use
The computer lab may be used by classroom Learning Cohort Groups with supervision from staff in their cohort. The
computer teacher on staff and classroom teachers will need to use PPE – mask or mask and face shield if and when
teaching in the computer lab. Computer stations and all surfaces must be wiped down before and after use by staff
overseeing instruction if used.
Considerations:
Occupancy limits are posted in certain areas (e.g. staffroom, LRC, Teacher Resource Room, Sensory Room,
etc.,)
Learning Groups will go outside when possible for lessons and/or play-exercise times.
Encourage fixed seating arrangements over flexible seating arrangements where relevant students seats should
be facing in the same direction whenever possible.
Playground to be divided to accommodate Learning Groups. These areas will rotate daily (not between recess
and lunch of that day) to allow for students to be able to play in a variety of areas.
SUPPORTING STUDENTS WITH DISABILITIES / DIVERSE ABILITIES
Expectations for School Districts and Schools
School districts and independent schools are expected to implement health and safety measures that promote inclusion of
students with disabilities/diverse abilities. School districts and independent schools must ensure that supports and
services typically provided to students with disabilities/diverse abilities or medical complexity continue across all stages.
This should include ongoing discussion on needs assessments to better understand the supports that students and families
may require.
Students with disabilities/diverse abilities who are not able to physically distance are not to be excluded from a learning
group. Prevention and exposure control measures should be implemented to support students to access learning within a
learning group (e.g. assigned seating, prompts, visual support, education using video modeling, social stories, etc.)
School districts and independent schools must ensure that learning groups are established in a manner that allows for the
implementation of students’ IEP goals, respects the principles of equity and inclusion and does not result in segregated
learning environments. Most students with disabilities/diverse abilities or medical complexity are not considered at
greater risk of experiencing severe illness from COVID-19. For guidelines specific to children with immune suppression
(e.g. students who have had a recent organ transplant, who are receiving chemotherapy, those with an illness impacting
their immune system), please refer to Students with Immune Suppression in the Employee/Student Attendance section.
A CISVA Immunocomprimised Children in School High Risk Assessment And self- isolation form will need to be
filled out prior to approval of school accommodations. This is for very rare cases in the school.
Guidelines for Staff Working with Students with Disabilities / Diverse Abilities
Where Physical Contact may be Required
Supporting students with disabilities / diverse abilities may require staff providing support services to be in close
physical proximity or in physical contact with a student.
When staff members are in close physical proximity with a student within their learning group, personal PPE, such as
masks and gloves, is not required beyond that used as part of the personal care routine normally encountered in their
regular course of work (e.g., gloves for toileting).
Non-medical masks are required in situations where a person cannot maintain physical distance and is in close
proximity to a person outside of their learning group. As such, staff is required to wear a non-medical mask, a face
covering or a face shield (in which case a non-medical mask should be worn in addition to the face shield) when
outside of their learning groups, and when physical distancing cannot be maintained.
Schools will have non-medical masks and face shields available for staff. Wearing a non-medical mask, a face
covering, or a face shield (in which case a non-medical mask should be worn in addition to the face shield) in schools
outside of the circumstances outlined above is a personal choice and will be respected.
Considerations:
The number of adults (teachers/EAs) interacting with groups of students throughout the day will be minimized.
Students will stay in assigned cohorts to receive beneficial supports or services (e.g. Learning Resource, OT,
PT, DHH Teacher). Within these supports or services, it is expected that cohorts and physical distance are
maintained as much as is practical to do so while still ensuring the support, program or service continues. If
adults may need to move across cohorts physical distancing, PPE and portable physical barriers will be used.
Increased transition time between itinerant classes will allow for the teacher to clean all surfaces/equipment.
Please allow for possible shorter classes due to cleaning.
PROGRESSION OF THE RESTART PLAN
STEP 1: ASSESS RISK AT THE WORKPLACE
The virus that causes COVID-19 spreads in several ways, including through droplets when a person coughs or sneezes,
and from touching a contaminated surface before touching the face. Higher risk situations require adequate protocols to
address the risk.
Schools are at a reduced risk of developing and transmitting Covid-19 as the risk in school aged children continues to be
low as indicated by our Provincial Health Officer’s statement; “…based on the current epidemiology of COVID-19 in
B.C., and the fact that children are at a much lower risk of developing and transmitting COVID-19, K-12 schools in B.C.
can have all elementary students receive in-class instruction within the school environment, while supporting the health
and safety of children and staff.”
The risk of person-to-person transmission is increased the closer you come to other people, the amount of time you spend
near them, and the number of people you come near. Physical distancing measures help mitigate this risk as do learning
cohort groups.
The risk of surface transmission is increased when many people contact the same surface, and when those contacts
happen in short intervals of time. Effective cleaning and hygiene practices help mitigate this risk.
Considerations:
All schools will adhere to the standards, guidelines and direction from the Provincial Health Officer (PHO) and
WorkSafe BC.
In collaboration with education partners, the Ministry has developed additional health and safety requirements for
all schools to ensure consistency across the K-12 system.
These additions will enhance, not duplicate, PHO and WorkSafe BC requirements.
Psychological safety measures and trauma-informed practice will be valued and implemented alongside physical
health and safety measures.
Effective communication with all community partners, parents, caregivers, students, associations and employees
is an essential aspect of successfully implementing these guidelines.
The places people congregate are places of entrance and exit to the school, classrooms, auditorium, DBYC gym,
library, hallways, bathrooms, playgrounds, staff room and office including the photocopier areas, and the
parking lot.
Staff can come in contact with teachers, students, staff and parents.
Staff can come in contact with school supplies, whiteboard markers, textbooks, electronic devices, door handles,
desks and chairs, washrooms, light switches, handrails on stairs, elevator/lift buttons and photocopiers.
Considerations during Normal Operation Prior to COVID-19:
OLGC usually has 240 students plus 44 staff and support workers. Parent volunteers also assist with various
activities inside the school including library helpers, hot lunch parents, school maintenance and supervision.
Students and staff congregate and are in close quarters in classrooms, in other learning areas (auditorium,
DBYC gym, library, music room), in hallways, in the staffroom and other smaller areas such as the school’s
administration offices
Surfaces that are touched often include doorknobs/handles, desks, lockers, washroom doors, toilets, taps, water
fountains, light switches, office equipment (photocopier, phones), teacher/student computers, classroom
materials including books and supplies, library books, gym equipment, staff room implements etc.
Staff, students and other adults sometimes attend school when they are sick or have symptoms of colds,
influenza, etc.
The school is used on Tuesdays and Thursday evenings for PREP classes and on Saturdays by the Polish
School. If and when these groups resume operation they will follow all health and safety guidelines and
measures listed in this safety plan.
The school also runs a Pre-School of approximately 40 students and 2 staff as well as a Before and After School
Program of 30 students and 3 staff. These programs run under different rules and procedures. These groups will
also adhere to the school’s safety plan and cohort groupings as they are able. Physical distancing measures of 2
meters will be in effect when cohorts from the ones set by the school interact – notably during before and after
school care. Our large school auditorium licensed for this purpose will allow adequate spacing of those
registered for the program.
STEP 2: IMPLEMENT MEASURES TO REDUCE RISK
1.) PUBLIC HEALTH MEASURES
a. Mass gatherings
i. Mass gatherings of over 50 remain prohibited. As such we still cannot conduct full school Masses or
assemblies.
ii. However, due to learning groups there can be gatherings of more than 50 students and
staff in a school as they are intermittent and are actively engaged in physical distancing
to the greatest extent possible.
iii. Large assemblies of staff and students should not be held.
With the introduction of cohort groupings of 60 students, school groups may meet together and can exceed 50 people if
necessary. However, this will be kept to a minimum and only used as needed for a variety of instructional reasons. For
the most part students will remain in their regular classroom groupings –K to 7.
b. Case findings, contact tracing and outbreak management
i. Policy on reporting staff and student absenteeism to public health
In addition to the steps below, please inform the administration.
Administration will call public health.
ii. Should a COVID-19 positive person be identified by public health staff, significant efforts are
undertaken to determine if they are part of a cluster of cases or part of a local outbreak.
We will follow the direction of public health if a person in our community is
identified as having Covid-19.
iii. If staff get sick
If staff get sick they must go home.
Once a classroom teacher is sick, an EA within the cohort could supervise the
class. Alternatively, another teacher in the building or a Teacher on Call can
take over once appropriate PPE has been put on.
c. Self-Isolation and Quarantine
i. Students and staff who have symptoms of Covid-19 are encouraged to self-isolate, be assessed by a
healthcare provider and possibly tested for Covid-19. Isolation room for the time being will be the
Auditorium entrance prayer area so as to not infect reception area where our current first aid room
is located.
Parents must self-assess their child daily and if they are sick should not attend school. If a student shows up sick,
or displays the signs and symptoms of Covid-19 they will be isolated and sent home immediately. Please see the
daily screening form on our OLGC School website.
Confirmed Case of COVID-19 in a Learning Group or at School
If a student or staff member develops symptoms at school, protocols are in place.
If a student or staff member develops symptoms at school, they may be given a non-medical mask and will be
separated from their classmates or colleagues
The individual’s parent or guardian will be contacted to discuss next steps
Custodial staff will clean and disinfect the areas the person used
Schools will immediately inform public health of a potential case
Public health will then:
o Reach out and identify any potential cases
o Get in touch with close contacts
o Recommend 14-day isolation if necessary
o Provide follow-up recommendations if necessary
Schools will provide learning support to students required to self-isolate
Together, schools and public health officials will determine if suspending in-class learning is necessary
You will be notified if your child has been in contact with a COVID-positive person. If that happens, your child is
required to self-isolate.
At the School Level
The office will call the parent to arrive as soon as possible when notified their child is ill. Parents will need to
have a plan in place.
The office will contact 811 or the local public health unit to notify them of a potential case and seek further
input.
The office will record illness in First Aid records in the event this information is later needed.
Staff member is to put on mask and immediately separate the sick child from others and put him/her into a
supervised area until the parent/guardian arrives. Apply physical distancing, respiratory etiquette, and hand
hygiene principles while waiting for pick up. Avoid touching student’s body fluids (mucous/saliva). Wash
hands thoroughly.
Staff member to clean/disinfect area where child was re-located.
At the Public Health Level
If a staff or student in a school is confirmed by public health as positive for COVID-19, public health will
work with school administration to determine what actions should be taken, including if any staff or students
who have been in contact with that person need to self-isolate, and if other staff and students’ families should
be notified.
Schools should NOT provide notification to staff or students’ families if a staff member or student becomes
ill at home or at school, including if they display symptoms of COVID-19, unless directed to by public
health.
At the Home Level
Children with common cold, influenza or COVID-19 like symptoms must stay home, be assessed by their
health care provider and tested for COVID-19.
Self-isolation is also advised for those who are considered a close contact of a confirmed case and are
waiting to see if they develop COVID-19 illness
If concerned, parents can be advised to contact 8-1-1, or the local public health unit to seek further input.
They can also be advised to contact a family physician or nurse practitioner to be assessed for COVID-19
and other infectious respiratory diseases.
2.) ENVIRONMENTAL MEASURES
Environmental Measures Cleaning and Disinfection Regular cleaning and disinfection are essential to preventing the
transmission of COVID-19 from contaminated objects and surfaces. Schools should be cleaned and disinfected in
accordance with the BCCDC’s Cleaning and Disinfectants for Public Settings document.
a. Cleaning and disinfecting
i. Workers who are cleaning will have adequate training and materials.
Administrators will post cleaning posters in upstairs and downstairs
janitorial rooms.
Cleaning staff will be provided with substances to BOTH clean and disinfect. Green
Morning Mist spray and a cloth will be used to this end.
Administration will review the difference with the cleaning staff to ensure surfaces
are disinfected.
Cleaning staff will be provided with gloves.
Cleaning staff will be instructed to wash their hands after cleaning.
Office window at front reception will be cleaned daily as well as counter at upstairs office.
Any portable barrier installed must be wiped down regularly.
ii. General cleaning and disinfecting once a day.
Master Care staff will do a major cleaning at the end of each day.
Master Care staff will clean bathrooms, and high touch areas during the lunchtime break.
iii. Frequently touched surfaces are cleaned twice a day (doorknobs, light switches, toilet handles,
cabinet handles, tables, desks, chairs, keyboards, communication devices and toys).
OLGC Staff/Classroom teachers and EA’s will perform this cleaning regularly
during the day and Master Care staff will clean high touch surfaces at lunch
break and in the evening.
iv. Clean any surface that is visibly dirty.
OLGC Staff/Classroom teachers are responsible for disinfecting visibly dirty
surfaces in their classrooms such as desks, tables and sinks, keyboards during the
course of the day.
v. Use commercial-grade cleaning products and follow the label.
Classroom teachers will be provided with cleaning products for their classrooms.
Teachers wear large re-usable gloves and spray disinfectant into a cloth and
apply to areas needing attention.
All cleaning products must be kept out of reach of their students.
vi. Limit items not easily cleaned.
Classroom teachers will remove fabric-covered items, soft items, stuffed animals,
cardboard puzzles, or any item that cannot be easily cleaned.
vii. Master Care will empty garbage once a day.
viii. Wear disposable gloves when cleaning blood or body fluids (e.g., runny nose, vomit, stool, urine).
Wash hands before wearing and after removing gloves.
ix. Clean high touch surfaces before and after each use.
Staff will use disinfectant to clean the photocopy touch screen before and after
each use.
x. Remove shared items where cross-contamination is possible (e.g., shared school supplies,
coffee and water fountain/stations.).
To decrease high touch surfaces,
a. Keep doors to classrooms, library, auditorium, office and staff room,
bathroom doors open – select stalls will only be used as only 1 person
may use the washroom at one time.
b. Use personal cell phone instead of classroom phone.
(In the event a school phone is used wipe down after use.)
c. Students who bring personal electronic devices from home if a school assigned
device is not available must keep it in their own possession.
xi. No parent will deliver food to school. Students are to bring their own lunch to school daily.
No Subway, McDonalds etc…
Staff will ask students to keep their backpacks with lunches beside their desks or in
their assigned locker/cubbie.
Staff will disinfect the desk before and after a student eat their lunch.
xii. Clean and disinfect the mattresses in the First Aid room prior to use and after they are used or
soiled. Use single use only pillowcases and blankets and dispose of them immediately after single
use. Where pillowcases and blankets are not single use, launder between each student. We have a
stackable washing machine and dryer in Kindergarten/ Grade 1 portable.
The bed in the sick room should not have any fabric on it. Clean the plastic
cover after the use of each student.
xiii. Remove unnecessary tools and equipment to simplify the cleaning process — e.g., coffee
makers and shared utensils and plates.
Administration will add signs to coffee maker and cupboards in both the staff room
and kitchen that shared food preparation or eating utensils and plates will NOT be
used.
The fridge and freezer are to have limited use and should not be used so as to reduce the
clearing in these areas.
Remove fabric chairs in staff room and cover or remove fabric couch.
STAFF should prepare snacks and meals in a personal cooler brought from home and
consider using a thermos for drinks – coffee and tea as needed. As well staff should bring
in their own cutlery for self use. Pack-in / pack-out protocol.
Staff will have staggered breaks and recess and lunch. Staff must adhere to posted
occupancy in the staffroom. The auditorium will be used as an alternative break space but
staff are encouraged to stay in their classroom cohort space to reduce physical
interactions with each other.
Other Considerations:
Providing paper hand towels rather than hand dryers; currently they have been disabled.
Wearing disposable gloves when cleaning blood or body fluids (e.g. runny nose, vomit, stool, urine).
Washing hands before wearing and after removing gloves.
Drinking fountain is disabled.
Items that are not easily cleaned (e.g. fabric or soft items) are to be limited. Classroom carpets have been
removed.
The Maintenance Man will ensure that hand washing supplies are available at all times (i.e. soap, paper
towels and minimum 60% alcohol-based hand sanitizer.) Also, cleaning products; Green Mist spray, Lysol
wipes etc… will be provided for cleaning desks, photocopiers and other common devices.
3.) ADMINISTRATIVE MEASURES
a. Restricting access
In accordance with the Ministry of Education’s K-12 Restart Plan, OLGC School will be resuming 100% full in-
class instruction in September. Access to the building will occur in a gradual and controlled manner while
ensuring health and safety measures are in effect. The school will be organized in to group learning cohorts. As
such our regular grade groupings of classes in Kindergarten to Grade 7 at OLGC School will be used as they fall
within the elementary school classification. This is generally around 30 students in most of our classes with one
or more adults. Minimal modifications will be made to our school structures and timetables. There will be some
change to daily entry and exit to the school and to recess and lunch break procedures. In terms of learning
spaces, areas used in the school, recess and lunch breaks we have broken down students in Grade level cohorts
for outside play as well.
We are permitted to have groupings of up to 60 but we plan to keep class groups of around 30 students and 2
adults as learning groups in all activities including outside recess and lunch breaks.
o Kindergarten, Grade 1, Grade 2, Grade 3, Grade 4, Grade 5, Grade 6 and Grade 7.
According to the health and safety guidelines two classes from different learning groups can be in the same
learning space at the same time if a two meter distance can be maintained between people of different learning
groups. This can be easily done outside in our 5.3 acre property for outside recess breaks and lunchtime breaks
as well as possibly some entrance and exit to the school building. During indoor recess students will remain in
their regular classrooms but as stated earler will be going outside more often in all weather conditions.
Lowering the number of in-person, close interactions continues to be a key component of B.C.’s strategy to
prevent the spread of COVID-19. A cohort is a group of students and staff who remain together throughout a
school term. The use of cohorts in schools allows for a significant reduction in the number of individual
interactions, while allowing most students to receive in-person learning in a close-to-normal school
environment.
When and if learning cohort groups interact they will remain in these groupings. If for some reason cohorts
come into contact with another cohort groups physical distancing measures on 2 meters distance will be in
effect. This will be the case at the start and end of the day line-up procedures, movement of groups to and from
PE, Music, and Library, and possibly from time to time during recess and lunch breaks
All workers and students who have symptoms of COVID-19 or have travelled outside Canada in the last 14 days
must stay home and self-isolate in accordance with guidance from the BC Centre for Disease Control. Self-
isolation is also advised for those who are considered a close contact of a confirmed case.
Parents and caregivers must assess their children daily before sending them to school. The OLGC School Daily
Health checklist on our schools website should be used. This form will be filled out for a child’s first day of
attendance in September and be seen as training for parents on how to assess their child daily. At the schools
entry points a verbal daily health check will occur at drop-off and parents will be asked to confirm their child
does not have symptoms of common cold, influenza, COVID-19, or other respiratory disease.
Parents and caregivers must assess their child daily for symptoms of common cold, influenza, COVID-19, or
other infectious respiratory disease before sending them to school. If a student develops symptoms while at
home, parents or caregivers must keep their child at home until they have been assessed by a health care
provider to exclude COVID-19 or other infectious diseases, and their symptoms have resolved.
If a student develops symptoms associated with COVID-19 infection while in care students will be sent home.
Physical distancing, respiratory etiquette, and hand hygiene principles will come into effect while waiting for
pick up. 811 or the local public health unit will be called to notify them of a potential case.
elevated staff and student absenteeism due to influenza-like illness will be reported to public health unit as in
past practice.
Access to the building will be restricted. Only staff, students and supervisors are permitted, unless it is an
urgent matter or of benefit to student learning and well being. Parents/guardians will remain outside when they
drop off their children. Parents are also not permitted to come in during the school day to drop off
lunches/supplies, etc. Parents are encouraged to call the school’s office at
604-581-3154 to answer questions as needed. If access is granted, visitors/parents will confirm they have
completed requirements for daily health check and name, date, time and contact information will be recorded.
Visitors/parents will follow physical distancing rules of 2 meters, follow floor markings, line up as required and
stay behind physical barriers in place.
b. Physical distancing and minimizing physical contact
i. Staff and students are to stay within in their cohort but when not possible strive to maintain a distance
of 2 meters or more from others, if not then wear appropriate PPE –mask, face shields, gloves etc…
ii. Staff and students should minimize physical contact with other. Cohort and classroom size will dictate
occupancy for instructional spaces.
Otherwise occupancy limits for rooms in the school are posted.

iii. Avoid close greetings (e.g., hugs, handshakes). Regularly remind students about keeping their “hands to
yourself”.
iv. Spread people out into different areas:
Different classroom and learning environment configurations to allow distance
between students and adults (e.g., different desk and table formations will occur).
Likely rows will be used so as to separate those in the cohort as much as possible.
Students should remain in set arrangements when possible for the term.
v. Students and staff are to stay in their cohort together throughout the day, week, term, year.
Students will only meet with other students in their class/daily grouping of their regular K-
7 classroom during recess and lunchtime breaks..
vi. Strive to minimize the number of different teacher(s) and educational assistant(s) that interact with
groups of students throughout the day (i.e. minimize the amount of mixing between students and
different staff in the setting). Where this is not possible, in the case of specialist teachers and learning
support PPE will be used by specialist and learning support. The school has face shields and re-useable
masks for every staff member. Masks are provided for students as well.
vii. Stagger drop-off and pick-up times.
On September 10th
and 11th
, we will provide “live training” sessions to train parents and
students on school entry and exit procedures. This will be in conjunction with a short back
to school video showing the process. Once this is completed we will move forward on
welcoming students daily from staggered family entry and exit times stated below via
flexible physically distanced means like those implemented by retail stores around the
lower mainland. See procedures listed below.
DROP-OFF Routine
Fire Lane drop off is not available at this time.
If families arrive early, please wait in your car until your families pick up and drop
off time.
1 parent must accompany their child(ren) to the 1 entrance to the school property via
South Gate entrance by the cross walk (DBYC side by the cross walk) and line up
along the fence on the south side following physical distance measures. Students will
be screened verbally by an OLGC Staff member - most likely Mr. Wright and/or Mr.
Egitto, Mrs.Garzitto and Mrs. Cowan. Staff that do the screening will wear a mask.
The screening area will have posters about staying home if you are sick.
Once admitted, students will use the outdoor hand sanitizing stations and enter their
cohort group classroom via established entrances: Students in the Grade K and 1 will
enter and exit the K/1 POD via their respective doors. Grade 2 and Grade 3 will enter
and exit the main school building doors, the Grades 4 and Grade 5 will enter and exit
via the back stairs and Grade 6 and Grade 7 students will enter and exit via the side
staircase entrance next to their classrooms under supervision of OLGC Staff members.
Students should stay to the right at all times and stay physically distanced from each
other and other cohorts while going directly to their classrooms.
Parents are asked to return to their cars right away instead of socializing
during pick up and drop off.
Please be calm, patient and kind during this process.
PICK-UP Routine
Students will be dismissed by alphabetical family groups from their learning cohorts and
will exit via the same entrances they arrived at the start of the day avoiding contact with
other learning cohorts. OLGC Staff will be situated in key areas for movement of
students and maintain physical distancing between learning group cohorts. Students will
line up in grade specific lines awaiting pick up in the front of the school and as such
should be prepared for all weather conditions.
Parents must be on time for pick up. Students will stand in Learning Groups in the
front blacktop area awaiting pick up while staying 2 meters apart from other learning
groups. No playground use or after school play time is permitted at this time. Pick up
will occur at all Gate Entrance/ Exit areas but parents are asked to stay behind the
school’s fenced area. Fire Lane pick up is not available. Please park and collect
students.
Parents are asked to stay in their cars until their child(ren) come out of school and
are not to congregate or socialize.
Once you have collected your children please vacate the parking lot so as to allow the
next group of parents to park and pick up their children. Be very aware of moving
vehicles and students in the parking lot areas.
Please be calm, patient and kind during this process.
viii. Before and After School Care will wait in their classrooms at the end of the day once most other
students have left and will be collected by Before and After School Care staff who will wear
PPE as required. Students will then process to the daycare or auditorium under direct
supervision of Before and After School staff. Once in the area they will be supervised students
will sit in already established cohort groups that are physically distanced from each other in our
large and licensed Auditorium.
ix. Drop off and Pick-up Schedules
Teachers plan for a staggered start and end time each day with open-ended
activities or videos available in the class and or homework completion time, etc…

play areas. As such we will be dividing sections of this large area to spread out the cohort
groups during breaks. Cohorts will be dismissed at intervals to allow separation of
movement of groups to daily designated play areas.

Each cohort will be supervised by an Educational Assistant already assigned to the cohort
group at recess and lunch breaks in the area designated.
Teacher supervisors will be stationed at a focal point at the front of the school to oversee
supervision and student safety. Teacher supervisors will physically distance from others
and wear a face shield while on supervision.
Staff cohort members of teachers/educational assistants may spell each other off as
needed; washroom breaks, IEP meetings, and personal needs, etc…
Our PE, Music, Library, and LRC Team will continue with their teaching schedule
as is but must wear PPE –mask or face shield while working through the cohort
groups as recommended by the Ministry of Education.
c. Take students outside more often. Consider teaching classes outside when practicable.
Organize learning activities outside, including snack time, place- based learning and unstructured time.
Take activities that involve movement, including those for physical health and education, outside.
Encourage appropriate hand hygiene practices before, during, after outdoor play.
For younger students, adapt group activities to minimize physical contact and reduce shared items.
For adolescent students, minimize group activities and avoid activities that require physical contact.
Big Toy playground will be open once students sanitize hands.
Balls may be used once students sanitize hands and equipment is sanitized.

d. Manage the flow of people in common areas, including hallways.
Enter the school through via specified cohort entrances of the school after receiving hand sanitizer at the
outdoor hand sanitizer station and go directly to the class via assigned entrances. Staff must wear a mask
while in common areas – hallways. Students will also be encouraged to do so as well.
For recess and lunch, teachers must lead students.

Staff lead students to leave the school at the end of the day using the above mentioned routine. Our Grade
2/3 students and 4/5 students should stay to physically distance while exiting their respective exits via
alternating dismissal and are encouraged to wear a mask in the hallway while staying to the right. This
creates a one way flow of traffic.
When returning from recess, come in through assigned entrances after hand sanitizing.
Students and staff should as best as possible walk on the right side of the hallway.
When using the center stairs during class time, stay to the right at all times.
e. Parents and caregivers and other non-staff adults entering the school should be minimized as much
as practical to do so. They should also be reminded to practice diligent hand hygiene and maintain
physical distance when they are in the school.
f. Parents and caregivers should remain outside of the school to drop off their children.
Parents will not be permitted to drop off lunches/supplies for their children during the day.
If a meeting is required, use a phone call or a video conferencing tool like Zoom or Google Meet.
Parents will NOT be permitted to volunteer in the school building during school hours. Outside parent
supervision of the crosswalk and flow of student entry and Work party attendance will be possible following
health and safety protocols. Physical distancing and use of a mask will be required.
All deliveries will leave the packages outside the front doors under the covered area at the front of
the school.
Attempts will be made to schedule service workers and contractors outside the regular hours of the school
day. Seismic workers will need to fill out screening forms and adhear to all routines in place at school.
For those who do enter OLGC School, a list of visitors will be collected and questions asked ensuring they
are not sick or experiencing COVID symptoms.
g. Assemblies and other school-wide events should be held virtually to avoid a large number of people gathered in one
space. Events can occur with a cohort but this will be avoided for the time being.
h. Students are not permitted to share food.
Bring all food and water from home in a school bag/backpack. All water fountains will be out of use. All
garbage from lunches will be packed up in the student's lunch kits and returned home.
Teachers can plan food preparation educational activities.
Students will need to be able to open their own wrapper food and containers holding their food.
i. Students are not permitted to share school materials.
Students must sit in their assigned seat and use their assigned desk.
Students must not share pencils, pens, electronic devices or school equipment, etc.
Younger students are encouraged to have a bin of toys, literacy, numeracy and building materials that are
only used by one individual. Toys that encourage group play should be put away.
Children are encouraged to bring toys and learning materials from home that are kept in their backpack.
The backpack is kept by their desk and/or in their locker.
j. Students coming to school are to:
Wear their OLGC Uniform with OLGC PE Strip underneath on PE days as change rooms will not be accessible
for the foreseeable future. Uniforms should be washed daily or switched out daily with clean garments.
Bring appropriate outwear for the weather.
Bring all their materials for the day including: school supplies, outdoor play equipment (ball, skipping rope,
etc.), and, if instructed by teacher, their personal device (laptop, iPad).
Students may need to bring in their own devices to school if all available assigned devices are in use. OLGC
School devices will be used first and will be wiped down before and after use.
Personal, labeled hand sanitizer (optional).
Personal, labeled face mask (optional). The School will provide each student a mask but any further masks
should be purchased by parents as needed.
k. Encourage physical distancing among staff.
There are markers on the floor for people wanting to talk to the office staff either in or at the entrance of
each office. The school’s receptionist, Mrs. Cowan, will keep the glass window closed while talking to
staff/and few visitors to the building who are on the other side of the glass. Her office door must remain
closed.
A pop-up shield is installed.
There will be no access to the upstairs secretary’s office, and the washroom in her office may not be used.
People wanting to talk to Mrs. Jones will need to speak from the counter, under the metal blind, which is
approximately 15 feet away. A pop up shield is installed.
Those who wish to speak with the Principal or Bookkeeper face-to-face must do so from behind the green
line reading STOP! STAY BACK! Social Distancing is in effect at their door entrance. As well, a baby gate
may be installed to prevent free access to these offices. A pop up shield is installed.
Staff is encouraged to have virtual meetings (phone or video conference) rather than face-to-face
meetings when possible.
Staff is encouraged to have breaks in their own classrooms or outside rather than in the staff room.
For staff who choose to have breaks in the staff room, only 4 can be accommodated. Cloth seats have been
stacked and cannot be used. Only foldable plastic chairs will be available and all areas will need to be
wiped down before and after use. Staff may use the Auditorium for breaks as well saying physically
distanced from each other and if used must wipe down after use.
Staff is not to leave the facility during lunch or breaks at this time.
Only one person may be in the office at the photocopier at a time. If you are waiting for the photocopier,
please wait outside the hall while social distancing from each other.
Only one person may use the student or staff bathrooms in the pod/school at a time as the size does not
permit social distancing.
l. Strive to minimize the number of different teacher(s) and educational assistant(s) that interact with
groups of students throughout the day.
To minimize the number of contacts students have, they will continue to learn primarily in their own
classroom or a designated area outside. Specialist teachers will continue to deliver their programs with
use of a mask and/or face shield.
Learning support teachers, EA’s providing academic supports will continue to deliver their programs with
use of a face mask and/or face shield. A pop-up shield will be used.
○ If a student is receiving in-class instruction and requires program delivery from any
of the above service providers, a desk outside the class will be provided. The teacher
needs to disinfect the surface of the desk and chair before and after student use.
EA’s that provide face-to-face services that require an increased intensity of supports will limit their
contact with other students.
m. Student Transportation on Busses
i. Encourage private vehicle use to decrease the density of people
There will be NO field trips scheduled at this time so as such bussing is not needed. As the
first term progresses we will consider the following:
Clean and disinfect the high touch areas of the bus at the start of your shift and after drop
offs. Buses used for transporting students should be cleaned and disinfected according the
guidance provided in the BC CDC’s Cleaning and Disinfectants for Public
Settings document. Additional guidance is available from Transport Canada.
Encouraging private vehicle use where possible to decrease transportation density.
Have students sit in their own seat whenever possible, students from the same household
can share seats if space is limited.
Bus drivers should clean their hands often, including before and after completing trips.
They are encouraged to regularly use alcohol-based hand sanitizer with at least 60%
alcohol during trips, as well as wear a non-medical mask or face covering when they
cannot physically distance or stay behind a physical barrier in the course of their duties.
Students should clean their hands before they leave home to take the bus, when they leave
school prior to taking the bus, and when they get home.
Where possible, students should sit next to the window.
Consider the order students typically load and unload to support buses being loaded from
back to front and unloaded from front to back.
Middle and secondary students should wear non-medical masks or face coverings. These
should be put on before loading and taken off after unloading.
Schools/school districts should keep up-to-date passenger lists to share with public health
should contact tracing need to occur.
n. Staff Transportation – staff should travel alone via private vehicle. For those who use public transportation or
car pool, a mask must be used and hand sanitizer/washing of hands must occur upon arrival.
o. Food Services
• Schools can continue to include food preparation as part of learning and provide food services,
including for sale and meal programs. OLGC does not provide a meal program and as such this does
not apply. For the time being we will continue to keep the Hot Lunch program closed.
• If food is prepared as part of learning and is consumed by the student(s) who prepared it, no additional
measures beyond those articulated in this document and normal food safety measures and requirements
need to be implemented (e.g., Foodsafe trained staff, a food safety plan, etc.).
• If food is prepared within or outside a school for consumption by people other than those that prepared
it (including for sale), it is expected that the WorkSafeBC Restaurants, cafes, pubs, and nightclubs:
Protocols for returning to operation are implemented as appropriate and as relevant to the school
setting, in addition to normally implemented food safety measures and requirements (e.g., Foodsafe
trained staff, a food safety plan, etc.).
Schools should not allow homemade food items to be made available to other students at this time (e.g.,
birthday treats, bake sale items).
The June 19, 2020 Order of the Provincial health Officer Food Service Establishments and Liquor
Services does not apply to schools. Food Safety Legislation and the Guidelines for Food and Beverage
Sales in B.C. Schools continue to apply as relevant.
Schools should continue to emphasize that food and beverages should not be shared.
To Restate or Summarize Maintaining Physical Distancing Regulating Physical Distancing During the School
Day.
Students and staff will avoid gathering/congregating in groups in hallways or other common areas. If
and when this occurs staff and students are to wear a mask.
Classrooms will be reconfigured to maximize space between desks/tables. Rows will be the preferred
arrangement in classrooms at this time. Assigned seating will be in place.
Staff will, as much as possible, try to maintain of distance of 2 metres from one another and from
students. When this is not possible PPE – mask and a portable physical barrier will be used.
Students will be trained and reminded daily on how to practice physical distancing at school.
Public Health guidelines for the K-12 school setting recognize that physical distancing can be
challenging –especially for younger students. There will be a focus on physical distancing and reduced
physical contact in those situations where physical distancing (2 m) is not practical. Students are to
keep their hands to themselves. No hug/handshakes/high fives, etc.
Students will stay in their organized cohorts and stay together throughout the day.
The number of different adults (teachers/EAs) interacting with groups of students throughout the day
will be minimized, but when they do a mask and/or face shield will be used.
Teachers will incorporate more activities that encourage more space between students and staff. For
younger students, teachers will adapt group and individual activities to minimize physical contact and
reduce shared items. For older students, teachers will minimize group activities and avoid activities
that require physical contact.
Classes will go outside when possible for lessons and/or play-exercise times.
staggered recess/snack, lunch and transition times and set play areas will be assigned in order to
provide a greater amount of space for everyone.
Traffic flow will be marked in hallways and stairways.
Washroom areas will be monitored and supervised. Maximum capacity in the washroom is 1. Traffic
flow to and from the washroom will be controlled. Students will be given a bathroom pass/sticky to be
placed on the bathroom door to indicate it is in use. Any other students should line up and physically
distance while waiting.
Occupancy limits are posted in certain areas (e.g. staffroom, LRC, Teacher Resource Room, Sensory
Room, etc.)
Whole school Masses and Assemblies will not be held to avoid a large number of people gathered in
one space. Class Masses will occur in the school’s auditorium and be broadcasted via Zoom to all
other classrooms. Communion will occur at the end of Mass via learning group procession.
Where physically distancing measures cannot be maintained, barriers are to be used.
Students and Staff will wear masks in common areas and as personal preference. It is highly
encouraged that all wear a mask through the school day.
Students are free/permitted to wear their own clean mask if they feel the need to do so.
Students are free/permitted to bring their own personal hand sanitizer provided it has 60% alcohol
content.
4.) PERSONAL MEASURES
a. Stay home when sick.
No one who is sick or showing symptoms is to come to school. Self-Screen.
i. All students and staff who have symptoms of COVID-19 OR have travelled outside Canada in
the last 14 days OR were identified as a close contact of a confirmed case or outbreak must stay
home and self- isolate, including children of essential service workers who are ill.
ii. Parents and caregivers must assess their child daily for symptoms of common cold,
influenza, COVID-19, or other infectious respiratory disease before sending them to
school.
A student may not receive in-person instruction if another person in their home has
symptoms of common cold, influenza,
COVID-19, or other infectious respiratory disease as they remain asymptomatic. Stay
home if symptoms are present in your household.
iii. Staff must assess themselves daily for symptoms of common cold, influenza, or COVID-19 prior to
entering the school using the OLGC Self Screening form. This will be collected daily. A monthly
calendar checklist will be created and staff will place the form in their day book and check it off
daily. School Administrators must ensure school staff are aware of their responsibility to assess
themselves daily for symptoms of common cold, influenza, COVID-19 or other infectious
respiratory diseases prior to entering the school.
Staff will be asked to complete a Google form/paper copy each day checking off if they
have any symptoms of Covid-19 BEFORE they enter the building preferably when they
are still at home. This paper will be kept in staff members’ day book.
If staff have symptoms of Covid-19, they must inform administration and NOT come to
work.
iv. School Administrators must:
• Clearly communicate with parents and caregivers their responsibility to assess their
child(ren) daily before sending them to school.
○ A self-assessment checklist is on the school website, communicate
via email and the Wednesday newsletter and create a poster at the
hand sanitizing station BEFORE students enter the school area via
the South Gate Entrance.
○ To help families learn the process, staff will conduct a daily check on
day 1 for respiratory illness at drop-off by asking parents and
caregivers to confirm the child does not have symptoms of common
cold, influenza, COVID-19, or other respiratory diseases. Symptoms
include fever, chills, cough, shortness of breath, sore throat and
painful swallowing, stuffy or runny nose, loss of sense of smell,
headache, muscle aches, fatigue, and loss of appetite, (even mild).
Once the routine is established the poster communication will be
sufficient.
• Establish procedures for students and staff who become sick while at school to
be sent home as soon as possible.
• Staff and students who are ill are not be permitted to attend school.
• There is no role for screening students or staff for symptoms, checking
temperatures, or COVID-19 testing. Such activities are reserved for health
care professionals. Although 2 infrared no touch temperature monitor have
been purchased.
• If unsure, use the BC Covid-19 Assessment Tool or call 8-1-1.
b. Handwashing
i. Wash hands with plain soap and water for at least 20 seconds. Antibacterial soap is not
needed for COVID-19.
ii. If sinks are not available e.g., students and staff are outdoors), use alcohol-based hand rub
containing at least 60% alcohol. We have many stations located in key areas around the
school and via individual hand pumps – we are able to refill these pumps if we run out of
the liquid in these pump bottles. However, use of soap and water at a sink is the preferred
method of handwashing.
iii. If hands are visibly soiled, alcohol-based hand rub may not be effective at eliminating respiratory
viruses. Soap and water are preferred when hands are visibly dirty.
iv. Incorporate additional hand hygiene opportunities into the daily schedule.
1. Staff will post handwashing posters by the sink and administration will post
posters in all bathrooms and above staff room and kitchen sinks.
v. Handwashing schedule for staff and students (at minimum):
• At home prior to leaving for school
• When they arrive at school and before they go home
• After returning from outside movement breaks
• When transitioning to and from different environments (ie. from class to
gym or outdoor-indoor transitions)
• Before and after eating and drinking
• After using the toilet
• After sneezing or coughing into hands or using a tissue
• When hands are visibly dirty
• Before and after going on and returning from breaks (recess, lunch)
• Before and after putting on gloves
• After handling garbage
• Before and after giving medication to a student
• After cleaning tasks
• Make sure students and staff know the recommended washing hand protocol posted
at every sink/towel dispenser in the building.
• Have students’ physical distance when waiting to wash hands. Place markers on
the floor so that the students know where to stand while they are waiting for
their turn to wash their hands. Allow for free flow of access to classroom or
open area sinks when able.
Workers should assist younger students with hand hygiene as needed.
If a sink is not available use alcohol based hand sanitizer. Antiseptic agents are
to be used as a last line of defense only.
Food should not be shared by students.
Wash or scrub all fruits and vegetables with cold, running, potable tap water
before consuming.
Place all parent provided food items in a designated, delineated and freshly
sanitized tabletop/countertop area labelled “Incoming Food” upon arrival. At
this time we are not allowing parent provided items for general consumption at
OLGC School. Student snacks and food must remain in their backpack until
eating time is permitted by cohort group staff-classroom teacher.
Encourage students and staff to not touch their faces.
There is no need to limit the distribution or sharing of books or paper based
educational resources to students. Laminated paper-based products should be
cleaned and disinfected daily if they are touched by multiple people.
c. Respiratory Etiquette
i. Students and staff should:
• Cough or sneeze into their elbow sleeve or a tissue.
• Throw away used tissues and immediately perform hand hygiene.
• Refrain from touching their eyes, nose or mouth with unwashed hands.
• Refrain from sharing any food, drinks, unwashed utensils, cigarettes,
or vaping devices.
ii. Wearing cloth or homemade mask, particularly children, is permitted and is now required for use
in common areas. The school will provide a mask for each student and staff member but if parents
feel more are needed they may purchase on their own. Wearing a mask is a personal choice. It is
important to treat people wearing masks with respect.
iii. Parents and staff can teach and reinforce these practices amongst students.
1. Staff are encouraged to teach and reinforce both hand washing and
respiratory etiquette regularly throughout the day
iv. Teachers will post posters in all classrooms. Administrators will post in public areas.
To Summarize Health and Sickness:
No one who is sick or showing symptoms is to come to school.
Students and staff should stay home until they have been assessed by a health care provider to exclude COVID-
19 or other infectious diseases AND their symptoms have resolved.
Staff or students who are unsure of if they should self-isolate should be directed to use the BC COVID-19 Self-
Assessment Tool.
If concerned, they can be advised to contact 8-1-1, or the local public health unit to seek further input. They can
also be advised to contact a family physician or nurse practitioner to be assessed for COVID-19 and other
infectious respiratory diseases.
Daily Health Assessments:
Staff members must assess themselves daily for symptoms of common cold, influenza, or COVID-19 prior to
entering the school. Staff members are to sign-in at the office each day and complete a form provided by
CISVA to indicate they are healthy and have not been exposed to COVID-19. Staff members who start feeling
ill while at work are to return home and monitor their symptoms. They are to let the school Principal know how
they will get home.
Parents have the responsibility to assess their children daily before sending them to school. Parents are
to ensure their child is free from symptoms of common cold, influenza, COVID-19, or other infectious
respiratory disease before they are to come to school. Parents are to sign a statement to this effect on day
one of the term and understand how to do so going forward.
If a student develops symptoms while at home, parents/guardians MUST keep their child at home until have
been assessed by a health care provider to exclude COVID-19 or other infectious diseases, and their
symptoms have resolved.
5.) PERSONAL PROTECTIVE EQUIPMENT
a. PPE. Personal Protective Equipment.
i. Masks are required for use in common areas and are provided by the school. Beyond the mask
provided by the school parents and staff may purchase them as needed. Masks are to be used in
conjunction with physical distancing measures when able.
• Managing students with complex behaviours, on a delegated care plan or
experiencing a health emergency may require staff to be in close physical
proximity with the student. Staff working with these students should use a mask.
There are cloth re-usable masks available for all staff, some medical grade masks
with Mr. Wight, and a Face Shield available for all staff (1 per staff member).
Likewise feel free to use your own mask, but for those that do use proper donning
and doffing of masks and gloves must be practiced.
TRAUMA INFORMED PRACTICE (5 Steps for Re-Entry to School during a Pandemic)
1. Safety and building preparedness before students and teachers return
a. Create a safety plan with modifications to school setting, structures, procedures
b. Communicate safety plan and changes
2. Scheduling teacher, faculty and staff only days
a. Give time to review safety precautions and address questions or concerns
b. Give time for staff to express the ways Covid-19 has changed teaching
c. Give time for staff to set up and change school spaces and set up new routines
3. Parent/Caregiver consultation
a. Communicate that no one has the answers to the impact of the pandemic, but that we can
get through this together
b. Acknowledge the need for collaboration and storytelling about the pandemic
c. Validate loss, grief and trauma that families may have experienced. Increased
understanding that students will only be as healthy as the adults that surround them
4. Students return
a. Engage in social emotional learning and psychological first aid in addition to measures
to ensure student’s physical safety
b. Acknowledge emotional impact of pandemic
5. Restore all school activities, school wide policies, programs and community partnerships,
and work on modifications to increase attendance and enhance learning.
STEP 3: DEVELOP POLICIES
1. Self-Isolation
○ Administration will post information about staying home when sick, when asked to self-isolate
or when returning from travel on the school website, in front of the school and office, and in
the Wednesday newsletter.
2. First Aid Attendants
○ First Aid Attendants are asked to read and review this document with
administration. OFAA protocols
3. Reducing Visitors to the School
○ Parents are asked to meet via phone calls or video conferencing.
○ Administration will post signs for delivery crews to place goods outside the front office under
the covered area.
○ Office staff will contact any person who has not checked in by the required time.
4. Violence Program in Place
○ Any students who demonstrate aggressive behaviour, who have a functional behaviour
assessment, a Behaviour Plan or a Safety Plan is signed by all employees who may have
contact with the potentially aggressive student.
5. Employees Onset with Symptoms at Work
○ Please refer to the info graphic.
STEP 4: COMMUNICATION STRATEGIES AND TRAINING
Everyone in the school community (staff, students and parents) will know the policies around staying home
when they are sick. This information will be communicated in writing.
All staff will be trained and informed as to how to keep themselves safe while at school. Formal staff training
and information sessions were originally held May 25th
, 2020 for EA’s at 10:00 am and for Teachers and Office
staff at 1:00 p.m. and included:
i. the risks of exposure to COVID-19
ii. how to report an exposure to or symptoms of COVID-19
iii. safe procedures and instructions regarding proper hand washing, cough/sneezing etiquette, etc.
The September restart plan and formal training will be held over three days; September 2nd
, September 8th
and
September 9th
.
Staff will be informed of changes made to work policies, practices, and procedures due to the COVID-19
pandemic. During the daily check-in, updates will be provided when available.
The health and safety measures in place prior to the pandemic are still in place.
The administration will keep records of training meetings. Covid-19 related meetings are documented and
minutes available in the staff room and the Principal’s office.
A bulletin board will be created and dedicated to sharing information with staff about policies and practices for
COVID-19.
Signage will be posted around the school including occupancy limits and effective hand washing practices.
Signage will also be posted at the main entrance indicating who is restricted from entering the school including
anyone with symptoms.
As stated above, September Restart meeting/training sessions will be held September 2nd
, 3rd
, 8th
and 9th
for all
staff and these points will be reviewed as part of the training:
Remind staff that all health and safety measures in place prior to the pandemic are still in place.
Attempt to mitigate staff confusion and concerns by communicating essential health and safety information to
them in writing before they return to the workplace. If possible, give staff an appropriate amount of time to
review this material, and to respond with questions.
Upon first return to the workplace, hold a health and safety meeting to review workplace practices relating to
COVID-19 and other health and safety matters. Additional communication may be required as new information
is made available that may affect work practices.
Daily check-in meeting with staff to provide them with new information and review any concerns.
Ensure that parents and caregivers understand your policy that students must stay home if they are sick.
Minimize the number of non-essential people coming into the school such as parents and caregivers and
contractors.
Keep parents and caregivers informed about what you are doing in your educational setting regarding taking
extra precautions.
Ensure that staff know how to raise safety concerns. This may be through your joint health and safety
committee.
Establishing a central location where new information is posted relating to COVID-19 in the workplace.
Staff Meetings are the usual method of communication with staff. Electronic means will be used in most cases but
when we do meet in person we will:
Ensure social distancing and wear mandatory masks.
Instruct teachers in the latest facts and basic information about COVID-19, including its symptoms,
complications, how it is transmitted and how to prevent transmission.
As stated above:
1. Train staff on workplace policies and procedures
○ Off-site training occurs before staff return to school. (provided by a barrage of emails and policies
etc… OLGC September Restart plan.)
○ Review of safety plan after the first week back to see if any changes need to occur.
○ Sub teams will field questions and concerns about the safety plan and bring concerns and
questions to leadership team.
○ Once leadership team made decision about any changes or addressed any concerns, the
principal will communicate in the Monday Staff Memo
2. All workers receive information about staying home when sick
○ All staff are required to fill out Screening from via paper copy or Google form to assess for
symptoms of Covid-19 BEFORE they enter the school building.
3. Occupancy Posters
○ Administration to post occupancy posters at the entrance of all rooms in the school.
4. Hand Washing Posters
○ As stated above, teachers post hand washing posters in classrooms and the Administration
post at all other sinks.
5. Post signs to restrict entrance of people to the building if showing symptoms
○ Symptoms poster
6. Administration will monitor safety measures in the school.
7. Daily communication with staff
○ Administration will send staff emails regarding updates to policies, procedures,
ministry documents or developments regarding Covid-19
8. Keep records of training and first aid reports
○ Administration will record the training sessions at the bottom of the safety plan.
○ The first aid representative keeps all first aid reports in a file.
9. Maintain records of inspections.
STEP 5: MONITOR THE WORKPLACE AND UPDATE PLANS
As new information is provided, some of these protocols and guidelines may change.
Steps will be taken to update policies and procedures and involve the staff in this process.
All staff are asked to raise any safety concerns with the Principal.
1. Plan to monitor risks
a. Health and safety committee will review safety plan regularly and update as needed.
• The leadership team works in conjunction with the health and safety committee at
the school.
• Communication flows from staff to Administration Team and Principal.
• Administration communicates updates in Monday Memo/Staff Meeting.
b. Staff will bring up questions or concerns as needed to leadership team/Principal.
2. Staff will be continually trained on:
• The risk of exposure to COVID-19 and the signs and symptoms of the disease.
• Safe work procedures or instruction to be followed, including hand washing and cough/sneeze
etiquette.
• How to report an exposure to or symptoms of COVID-19.
• Changes you’ve made to work policies, practices, and procedures due to the COVID-19 pandemic and
keep records of that training.
• Document COVID-19 related meetings and post minutes at a central location.
3. Keep records of instruction and training provided to workers regarding COVID-19, as well as reports of
exposure and first aid records.
STEP 6: SAFETY RESPONSIBILITIES BY ROLE
Employer (school district)
Select, implement, and document risk assessments and appropriate site-specific control measures.
Ensure that all resources (information, authorization administrative changes, technology, training, human
resources) and materials (personal protective equipment, equipment, cleaning and disinfecting products and
systems) required to implement and maintain plan are reasonably made available as practical when required.
Ensure that supervisors and workers are informed about the content of safety policies.
Conduct a periodic review the effectiveness of the plan. This includes a review of the available control
technologies to ensure that these are selected and used when practical.
Maintain records of training and inspections.
Re-examine all tasks in the workplace, especially those that require the direct care of students, and ensure that
safe work procedures are updated with COVID-19 practices.
Where possible, have staff perform only essential tasks to maintain the student’s education and well-being.
Tasks that are non-essential should be put on hold until directed otherwise by the provincial health officer.
Supervisors (principals and vice-principals)
Ensure that workers are knowledgeable regarding the controls required to minimize their risk of exposure to
COVID-19.
Direct work in a manner that eliminates or minimizes the risk to workers.
Post or relay educational and informational material in an accessible area for workers to review.
Workers (teachers, education assistants, support staff and outside contractors)
Know the controls required to minimize their risk of exposure to COVID-19.
Participate in COVID-19 related training and instruction.
Follow established work procedures and instructions as directed by the employer or supervisor.
Report any unsafe conditions or acts to the supervisor.
Know how and when to report exposure incidents.
Service operations managers (operations forepersons) – Maintenance Man
Maintaining an inventory of PPE for custodians, cleaning and disinfectant products, and well-maintained
equipment used for cleaning and disinfecting.
Providing adequate instruction to custodians on the hazards associated with cleaning work areas and on the safe
work procedures specified in this exposure control plan.
Directing the work in a manner that ensures the risk to custodians is minimized and adequately controlled.
Revising the work schedule to ensure priority intensive cleaning of impacted work area surfaces and touch
points.
STEP 7: ASSESS AND ADDRESS RISKS FROM RESUMING OPERATOINS
New employees will be trained.
1. Training new staff or staff in new roles
○ New staff will be asked to review the safety plan independently.
○ Administration will review safety procedures with new staff.
○ Administration will field questions and concerns with new staff.
2. All cleaning is reviewed above in this document.
Additional Information specific to OLGC
• At the start, no extracurricular activities will take place until specific sport /club protocols are set and
participants can be organized into learning groups, i.e. Grades 4, 5, 6, and 7 intramural style. This restriction
will be reviewed as more information becomes available. If this can be done, then the Learning Groups will
rotate through the activity in order to provide an opportunity for as many students as possible to participate if
they choose to.
• Buddy Classes will be postponed until January 2021. (This will be reviewed in January 2021.)
• Mass will be celebrated via a weekly class Mass in the school’s auditorium once routines are in place.
Grade 7’s will lead the first Mass which will be shared via zoom link to each classroom. Communion will be
distributed to each learning group at the end of Mass.
• Whole School Student Assemblies will be transmitted via video to the classrooms; likely Zoom, as needed – For
example –Living Rosary led by Grade 2.
• All class field trips will be cancelled until further notice.
• PE equipment and Musical instruments will be sanitized before use.
• Meet the Teacher – this will take place virtually this year, likely via Zoom. In order to minimize contact and for
the safety of all, parents will not be in the school for this event. Packages will be sent home with each child prior
to the evening.
