Preparation: From Day 1 we hit the ground running.
The Innovation team utilized every available second we had, knowing there was a lot of work to do and
not a lot of time to accomplish our lofty goals. We all came prepared to the first meeting (that was
allotted to us during class hours) with interactive ideas for our presenters. Roles were quickly
established and all lived up to the challenge! As a team it was important to look like a team, a uniform
was designed with everyone’s input and later printed. This made it easy for our presenters to identify
the Innovation Team quickly if they had any additional questions that were not addressed prior to the
conference.
When we all departed from the meeting, we had our roles and duties and begun working diligently.
We were in constant contact with each other, making sure EVERYONE approved decisions as a team,
before they were sent out to the presenters. By the time we returned for our second meeting, our
group had been introduced to the presenters with a welcome letter, phone calls, and email
correspondence so we had an idea of what interactive activity the presenters wanted to include.
Through conversations and brainstorming with the presenters, some added interactive components to
their presentations, as well as allowed our team the opportunity to brainstorm appropriate activities,
and make those ideas reality. The face-to-face team meeting was used to complete the nearpod,
speak to presenters on the phone to explain expectations, to brainstorm additional activities, create a
schedule of events, organize team expectations, and discuss upcoming needs.
The team was in constant contact through phone, text, and emails. Everyone’s ideas were discussed in
a respectful manner, considered and modified if necessary. No one ever felt that his or her ideas and
efforts were not validated and appreciated. The third face-to-face meeting was equally effective.
Plans were solidified and activities were completed. They were sent to the point person who then sent
the activities out to the presenters for the final approval and adjustments.
Once the activities were completed we talked about back up plans in case something did not work,
what other teams needed to be involved and what last minute things needed to be completed. Final
emails went out to the presenters letting them know we were prepared for them. A welcome letter to
the participants was composed letting them know what their electronic responsibilities would be and
given to the Welcome Team to include in the first day folders.
8
Support of team members:
From the very first meeting, we worked well as a team. Our roles were based on our strengths and
interests, and we worked collaboratively to reach a common goal. Although we all felt that we had
great skills, by collaboratively working, we knew we could do greater things! There was parity in our
group; everyone had valuable knowledge and information to improve our team. Everyone’s thoughts,
ideas and contribution to the group were equally valued. Because each of us valued each individual’s
expertise, we were able to openly pool our resources. Each detail was thought out and carefully
executed, and available resources were used. Interactive teacher resource CDs were provided to the
Welcome Team to include with the first day folders, personalized water bottles, and presenter thank
you cards were available for presenters, tape and Treasure Hunt tags were made,
computer/technology skills were shared, T-shirts were designed and an affordable place was used to
print them.
Support for other teams:
Because our responsibilities tied in closely with other team’s responsibilities, we were in constant and
close contact with necessary teams. Our team worked closely with the Tech Team and assisted in set
up and implementation of the necessary technological needs of the presenters and participants. The
Welcome Team was given CDs and Welcome Letters to be distributed on the first day. The Innovation
Team greeted and welcomed the presenters and participants. We also welcomed the presenters with
personalized waters and Thanks-you cards. Our team assisted the Evaluation Team distribute and
collect test papers as well as answer participant’s questions throughout the three day conference.
The Innovation Team assisted in providing Ms. Cash with the power points in order to print them in
time for the presentations. When assistance was needed to copy and assemble Day 2 packets, we
were available to assist.
Support for presenters:
Our number one goal was to have our presenters feel supported. We wanted to add to their
presentations, not to their stress. A Welcome Letter was sent out letting them know how our team
could help enhance their participants learning experiences. Over 50 emails were sent in a week’s time
answering questions, coordinate ideas and share information. Team spoke with the presenters on the
phone if this mode of communication was preferred. Last minute changes were made whenever
necessary. In fact, one idea was rejected by the presenter prior to the conference, giving the team
only the late night to complete the new activity. The previous activity was changed into a great
welcome video with music, which invited participants to find their seats and gather their thoughts
before the start of the conference. The new, desired activity was developed and implemented during
9
the presentation. All presenters were welcomed by the Innovations Team with a smile, and
personalized bottles of water. Our Team shirts made it easy for the presenters to locate us and know
we were there to support them whenever necessary, giving them peace of mind!
Evaluation:
Our team did a phenomenal job working together. We were truly a collaborative team, with excellent
interpersonal communication skills. We used excellent listening, responding and feedback skills. Each
member of the team was given equal opportunity to share ideas based on their diverse area of
expertise, as others listened and gave feedback. Feedback was given in a respectful manner so that
everyone felt his or her ideas were valued. Every member of the team contributed and shared
responsibilities. There was a great interdependence in the group; we all relied on each other to do
their job to the best of their ability. Because each team member had a job that was specific to his or
her unique skills, it was enjoyable to work as hard as we could toward that common goal and shared
vision.

Interactive Possibilities
Dear Mr. Myers,
We would like to personally welcome you to the ESE Institute on June 9-11, 2015. It’s an exciting time for many educators as we continue to grow and adapt to the special needs of our students. The world of ESE is an exciting area in which to work, and we’ll continue to meet and bring inspired people together in events like this, to ensure teachers remain up to date with policies, procedures, language and techniques.
I’d like to give you an idea of what you can expect from the Innovation Team and what we hope to achieve over the next few days. Our team is dedicated to keeping your participants engaged throughout your hour and forty-five minute presentation. You have worked hard to incorporate important information to share with our teachers, now let our team help you make the biggest impact on your audience with engaging activities that leave the participants wanting more!
We’re transforming the way we operate to continuously improve our ability to get your information out to the learner. Take a moment to browse the attached list and choose from the interactive activities we will assist you to customize for your presentation.
Before I close, I’d like to thank you for attending our conference and bringing your expertise to our gathering. Throughout this conference, I ask you to keep our learners engaged, keep us proactive and help us shape the future of our students. My personal respect and thanks goes out to you.
If you have any questions or concerns about including active participation during your lecture, please don’t hesitate to contact Dana DeLorenzo at [email protected] or for faster response, call (954) 682-1097.
Suggestions:
Get participants up and moving/Ice breakers:
Games: Information Scavenger Hunts, Bingo
Scrapbook Selection –Group participants and give each group a big pile of printed photos (best if laminated – maybe different shapes/sizes?) Ask them to choose one as a group that epitomizes their reaction/definition of the topic being discussed, and explain why.
Line Dance – Students line up according to their level of agreement on a controversial subject: strong agreement on one side, strong disagreement on the other.
13
Activities to group participants:
Question and Answer Cards – Make index cards for every participant; half with questions about class content; half with the right answers. Shuffle the cards and have participants find their appropriate partner by comparing questions and answers on their own cards.
Picture Partners- Gather print images related to the topic, write discussion questions on the back or terms and cut in half. Distribute the halves to participants and have them find their matching image to determine their partner and discussion topic.
Open discussions:
Group Swapping-have participants write ideas on flip charts, and then participants move to the next group, jotting their ideas on the next paper
TED Talks- a short, powerful (usually under 18 minutes) talk that includes Technology, Entertainment and Design to cover your topic, followed by open discussion with the audience.
Pecha Kucha-is a presentation style in which 20 slides are shown for 20 seconds each (6 minutes and 40 seconds in total), keeping presentations concise and fast-paced, followed by open discussion.
Reviewing new knowledge:
Jeopardy – Play jeopardy like the TV show with your participants. Pictionary – For important concepts and especially terms, have participants play Pictionary: one draws
images only, the rest must guess the term.
Padlet- Send participants home with a personalized interactive bulletin board that posts reviews and sources corresponding to your presentation
KaHoot-collection of questions that are asked in real-time, to an unlimited number of “players”, creating a social, fun and game-like learning environment.
*Don’t see what you are looking for? Call us. We’ll help you create that presentation they won’t stop talking about!
Thank you for your time and attention,
Sincerely,
The Innovation Team

Ms. Hardcastle and Ms. Justice, The Kahoot summary and the quiz will be two separate activities. The KaHoot will be a summary at the end of the presentation and can be used as a preparation to the test. The presentation looks great! We will work to embed the polls in the PowerPoint for your presentation. We will get back to you when it is done. Thank you

Hi, Melissa! The participants will need to have access to the guest WIFI (they don't have user name or passwords to connect to the server--THIS IS VERY IMPORTANT!). The presenters will need a clicker for their PowerPoint presentations. We need to make sure the projector is working properly. We have a special request, if possible, can we get a wireless keyboard? Let us know if all this stuff is doable.
Thanks from the Innovation Team! ☺

Subject: Summer Institute needs from Team 3
Hi, girls! Our Innovation Team will need that when you create the welcome e-mail you include a note for the participants to bring electronic devices, preferably iPads or tablets for the Wednesday session. The participants also need to download the nearpod app that will be used in the second session on Wednesday. This is very important, please. If they don't download the app, they will not be able to participate. Below is what the app looks like. Feel free to send a picture to the participants so they are ready ahead of time. . Thanks so much for your help. Looking forward to working together.
