Once we receive this information, a poster and flyer will be prepared and sent to you. You will need to use these to promote your congress.

YLTW PresentationThere is a slideshow / pdf presentation available for promoting to participants. Poster and Flyer

Presentations and Other Promotional Material

Local Council; Local or District Chamber of Commerce; Local Businesses; Community Groups; Environmental Organisations; Youth Resources - youth centres, groups and other youth networks and groups.

Secure a Venue

When selecting a venue keep the following in mind: Accessibility? Fans? Large enough for up to 50 participants? Chairs & tables? Room to spread out for small group sessions? Broadband internet con-nection, whiteboards, smart boards, overhead projector.

Support and sponsorship can be donated in many ways. Could be a financial contribution towards the cost of training local facilitators; free hire of the venue; contributing free refreshments; assistance with publicising the congress; contributing towards advertising and promotional costs.

In the Facilitators Docs section of the website there is a link for an email template and a telephone script that you may find useful to use or as a point of reference.

Hint: Through our experience we have found it useful to follow this process when contacting schools etc:• Start with an initial email and a poster. This email should link back to the YLTW webpage and presentation

slideshow - this will allows recipients to investigate further. • Follow up with a phone call. You will discover that most people say they have not seen the email. This is a

good opportunity to say you will send again and elaborate that there is a presentation slideshow and web-page for them to have a look at in their own time.

• Then you proceed with your phone calls and call backs to each school / group / club as you see fit.

MATERIALS TO ORGANISE BEFORE THE CONGRESS

Under the FACILITATORS section there is a document available called Workshop Kit. This is a useful list of all the materials you need to collate BEFORE the congress.

Finding and Managing Participants - who should you target?

Participants should be between the ages 12 and 25 yrs (a year or two above or below are fine)

Online Registration Process:Direct participants to the Events page where they select their local congress and complete the Online Registration Process. All the information they require is contained in this area and any updates will be communicated via email. Here

Finding Participants

If you need any other assistance or have any questions we can help you with please contact aYLTW Co-Ordinator at OzGREEN on 02 6655 2180 or email : [email protected]

Participants can be from : Universities, High Schools, Primary Schools , school environmental groups, youth groups, community groups, sustainability organisations, science based subjects. Consider your network of friends and groups you are involved with. Contact the teachers / Heads of Departments for assistance.

Volunteers can be useful also. Volunteering can involve as much or as little time as the person/s are willing to give. One person may be happy to help with phoning around, some with putting up posters and hand-ing out flyers, others able to ask around for financial support or bake cookies for the Community Forum. See what you have available and tap into their talents and abilities

Permission and Media Release Forms :Due to legal requirements these forms MUST be completed and submitted BEFORE the start of the Congress. Our preferred method is to receive them via email or post BEFORE the Congress dates but we have found that this is a very time-consuming task chasing participants for their forms in advance. So the official line is that you need to make sure that each participant has provided a signed (by parent or guarantor if under 18) copy of this Form on the first day of the Congress, otherwise they will not be able to attend.
