1 Introduction to theVPS

1.1 Introduction to theVPSThe Panasonic Voice Processing System(VPS) is a powerful tool that will help youmanage your voice communications andthereby increase your productivity. As asubscriber (the owner of a VPS mailbox),you can:• Send a message to one or more people

inside or outside your office.• Transfer messages to other subscribers

and add your own comments.• Access your mailbox and listen to your

messages, even when out of the office.• Have the VPS call, beep, or e-mail you

when someone leaves you a message.• Be notified by the message waiting lamp

on your extension when new messageshave been recorded in your mailbox.

• Screen your calls.• Create a set of options and functions

exclusive to your mailbox (PersonalCustom Service) that can be selected byyour callers.

• And more…

Before You Begin

In order to use the VPS as a subscriber, youneed to know the following information. TheVPS System Manager can help you if youdo not know this information.• The extension number of the VPS that

you should dial in order to access theVPS.

• Your mailbox number and extensionnumber (In many cases these are thesame number, but it is possible they arenot).

• Your mailbox password (if set).

• The System Manager’s telephonenumber. The System Manager is theperson you should refer to when youhave any problems with the VPS.

Once you know this information, you areready to use the VPS.

Using the VPS

There are two ways to use the VPS; you canbe either a subscriber, or a caller.A subscriber is a VPS user who has his orher own mailbox. Subscribers can play backtheir own messages, leave messages forother subscribers, record a message that isthen sent to multiple parties (includingoutside parties), record greeting messages,etc. In order to use the VPS as a subscriber,you must first "log in" to your mailbox. Thisusually involves dialing your mailboxnumber and entering your password. Onceyou have logged in, you can use"Subscriber Services"; Subscriber Servicesare all the features and functions you canaccess or perform as a subscriber.A caller can generally be thought of as anoutside party. Callers can leave messagesfor VPS subscribers or use the VPS to beconnected to specific extensions, but theydo not log in to the VPS before using thesefeatures, and the number of features theycan use is limited.

Prompts

One essential characteristic of the VPS is itsuse of "prompts". Prompts are recordedvoice guidance messages that help you setand use VPS features. Prompts also helpcallers when the VPS is handing their calls.Depending on how your VPS isprogrammed, subscribers and callers canselect the language they prefer for VPSprompts.Prompt example:Main Menu of Subscriber Services"To receive the message, press [1].""To deliver a message, press [2]."

VM Menu

Certain PBXs (telephone systems) andtelephones are compatible with "VMMenu"; this feature displays VPS promptson the display of your telephone, promptingyou visually instead of audibly. To select aVPS operation displayed on the display,press the soft button next to the desiredprompt. Use the Navigator Key to scroll upor down to view additional prompts whenavailable (When the Navigator Key is notused to scroll up or down through options, itcan be used to adjust volume.).This feature is not available with certainPBXs and may be disabled by the SystemAdministrator or System Manager for yourmailbox.VM Menu example:Main Menu of Subscriber Services

Note• Operations shown in this manual are

for when operating the VPS byfollowing audible prompts.

• Operations necessary to operate theVPS using VM Menu will vary slightlyfrom these instructions.

• If too many subscribers are usingVM Menu at the same time, VMMenu messages will not be

displayed and prompts will be heardinstead.

• This feature is only available withPanasonic KX-TDE and KX-TDAseries PBXs using DPT Integration.For more information, consult yourSystem Administrator. For moreinformation on VM Menu, see8.3 Using VM Menu.

Logging in to Your Mailbox for theFirst Time

The first time you log in to your mailbox,there are certain mailbox settings youshould perform before using any otherSubscriber Services. These settings identifyyou as the owner of your mailbox, and aredescribed in "2 Logging in to andConfiguring Your Mailbox".• Password• Subscriber’s Name• No Answer GreetingYour VPS may be programmed to initiate a"Subscriber Tutorial" the first time you log into your mailbox. If the Subscriber Tutorial isenabled, VPS prompts will guide youthrough the mailbox configuration process.

2.1 Logging in to YourMailboxIn order to access Subscriber Services (toplay messages, change mailbox settings,etc.), you must first log in to your mailbox.There are 2 ways to log in to your mailbox:

Automatic Log-in:When logging in to your mailbox from yourown extension, you do not need to enter anyspecial commands or your mailbox number.This feature is not available with certainPBXs and may be disabled by the SystemAdministrator for your mailbox.

Manual Log-in:You need to enter the Voice Mail ServiceCommand [#6] followed by [ ] and yourmailbox number. Manual Log-in isnecessary when logging in to your mailboxusing someone else’s extension, whenAutomatic Log-in is not available with yourPBX, or when Automatic Log-in is notenabled for your mailbox.

You will know that you have logged insuccessfully because the VPS willannounce either the Main Menu ofSubscriber Services or the number of newmessages you have, or the VM Menu will bedisplayed.

Automatic Log-in

1. Go off-hook.2. Enter the extension number of the VPS.3. Enter your password, then # .

• You can skip this step if your mailboxhas no password.

Manual Log-in

1. Go off-hook.2. Enter the extension number of the VPS.3. # 6

4. and your mailbox number.5. Enter your password, then # .

• You can skip this step if your mailboxhas no password.

Note• When following audible prompts

only: if Autoplay New Messages isenabled for your mailbox, newmessages will be played backautomatically each time you log in toyour mailbox. New messages will beplayed back one after the otherautomatically (i.e., you do not needto press a button to play the nextmessage). For more information,consult your System Administrator.

• If Message Waiting Lamp is enabledfor your mailbox, the message lampon your telephone will light when youreceive a new message. You can login to your mailbox and play back anew message automatically simplyby going off-hook and pressing themessage button on your telephone.The VPS will play back the first newmessage only. To play back othermessages, press the appropriatebutton.

• The VPS will announce the numberof total messages, the number ofnew messages, or the length of newmessages depending on the Classof Service (COS) settings of yourmailbox.

• If the Subscriber Tutorial is enabledfor your mailbox, VPS prompts willguide you through the mailboxconfiguration process the first timeyou log in to your mailbox (see2.2 Subscriber Tutorial (EasyMailbox Configuration)).

2.2 Subscriber Tutorial(Easy MailboxConfiguration)Your VPS may be programmed to presenta "Subscriber Tutorial" to you the first timeyou log in to your mailbox. If the SubscriberTutorial is enabled, VPS prompts will guideyou through the mailbox configurationprocess. Simply by following the prompts,you can configure the following items. Youcan configure these items later manually ifnecessary, as explained later in this section.This feature may be disabled by the SystemAdministrator or System Manager for yourmailbox.Password: If your mailbox has a password,you must enter it using the dial keys (0–9)whenever you log in to your mailbox. Yourpassword can contain up to 16 digits.Subscriber’s Name: This is a recording ofyour name. Other subscribers will hear yourname when they listen to messages you leftfor them. It may also be heard by callerswhen they use the Dialing by Name feature.No Answer Greeting: Callers directed toyour mailbox when you do not answer theircall will hear your No Answer greetingmessage. A common example might be,"This is (name). I can’t take your call rightnow…". After the greeting is played, a tonewill sound, and the caller can leave amessage.Other greeting messages can be recordedmanually later. For details, see2.3 Changing or Deleting Your PersonalGreeting Messages.

Note• You may be asked to enter your

password after logging in to yourmailbox. If you do not know thispassword, ask your SystemAdministrator.

Starting the Subscriber Tutorial

1. Log in to your mailbox.• See 2.1 Logging in to Your Mailbox

if necessary.2. Confirm that the Subscriber Tutorial has

begun.• The VPS will announce, "Welcome

to the Voice Processing System.This is the Subscriber Tutorialservice.".

• If the tutorial does not begin, it maybe disabled for your mailbox. Formore information, consult yourSystem Administrator.

3. Go to "Setting Your Password for theFirst Time" or "Changing YourPassword" as necessary.

Setting Your Password for the FirstTime

1. Set your password when prompted byentering the desired password thenpressing # .• To prevent unauthorized access, we

strongly recommend selecting along and random password. Pleaseavoid using obvious numbercombinations for the password.

• It is necessary to set a passwordequal to or longer than the specifiednumber of digits by default. For moreinformation, consult your SystemAdministrator.

2. 2 to accept.3. Go to "Recording the Owner’s Name

(Your Subscriber Name)".

Changing Your Password

1. 1 to change your password.2. Set your new password by entering the

desired password then pressing # .• To prevent unauthorized access, we

strongly recommend selecting along and random password. Please

• If your password is shorter than theminimum password length assignedto the VPS, the VPS will announce"Incorrect entry", and you will needto select a longer password. Formore information, consult yourSystem Administrator.

Recording the Owner’s Name (YourSubscriber Name)

1. State your name after the tone.2. 1 to end recording.3. 2 to accept.4. Go to "Recording Your Greeting

Messages".

Recording Your Greeting Messages

The VPS will prompt you to record your NoAnswer greeting message. If you do notrecord a greeting message, a prerecordedgreeting message will be used.Other greeting messages can be recordedmanually later. For details, see2.3 Changing or Deleting Your PersonalGreeting Messages.1. Record your greeting message, after the

tone.2. 1 to end recording.3. Follow the prompts as necessary.

• 1 to review.• 2 to accept.• 3 to record the message again.• 4 to add.• to delete and exit.

Confirming Your Settings

2.3 Changing or DeletingYour Personal GreetingMessagesAfter callers reach your mailbox, they willhear your personal greeting message. Youcan record 4 kinds of Personal Greetings;the appropriate greeting will be played forcallers. If you delete or do not record agreeting message, a prerecorded greetingmessage will be used.• No Answer Greeting:

Heard by callers when you do notanswer their calls. A common examplemight be, "This is (name). I can’t takeyour call right now…".

• Busy Signal Greeting:Heard by callers when you are onanother call. A common example mightbe, "This is (name). I’m on another callright now…".

• After Hours Greeting:Heard by callers when the VPS is innight mode. A common example mightbe, "This is (name). I’ve gone home forthe day…".

• Temporary Greeting:A special greeting that, if recorded, isheard by callers instead of the othergreetings. A common example might be,"This is (name). I’m out of the office thisweek…".

Follow the steps below to record or deleteyour Personal Greeting Messages.1. Log in to your mailbox.

• See 2.1 Logging in to Your Mailboxif necessary.

3. Select the desired greeting.1 No Answer Greeting.2 Busy Signal Greeting.3 After Hours Greeting.4 Caller ID Greeting (may not be

available; see 5.10 Personal Greetingsfor Caller ID).5 Temporary Greeting.

• The greeting will be deleted; goon-hook to finish.

5. Record your greeting message, after thetone.• We recommend stating your name in

your greeting messages, so thatcallers will know they have reachedthe correct mailbox.

• The maximum length of eachgreeting message is 1 minute bydefault.

6. 1 to end recording.7. Follow the prompts as necessary, or go

to step 8.• 1 to review.• 3 to rerecord the greeting

message (repeat the steps above asnecessary).

• 4 to add to the greeting messageyou just recorded.

• to delete the greeting messageand exit.

Note• A Temporary Personal Greeting is

played instead of all your othergreetings until it is deleted. Eachtime you log in to your mailbox, theVPS will ask you if you want to turnoff (delete) your TemporaryPersonal Greeting.

• Make sure you go on-hook only afteryou have accepted your new

2.4 Changing YourPasswordYou can password protect your mailbox toprevent unauthorized access to yourmailbox. If your mailbox has a password,you must enter it using the dial keys (0–9)whenever you log in to your mailbox. Yourpassword can contain up to 16 digits.You can change your password at any time.When choosing a password, avoid usingobvious number combinations. If you forgetyour password, have your SystemAdministrator or System Manager clearyour password. You may then set a newone.1. Log in to your mailbox.

2.5 Changing or DeletingYour Subscriber NameYou can record your name in the VPS. TheVPS can then announce your name forcallers to let them know that they havereached the correct mailbox. If a caller doesnot know your mailbox number, the callercan try to reach you by entering the first fewletters of your first or last name (Dialing byName feature). After entering the first fewletters of your name, the VPS will announcethe names of VPS subscribers whosenames share those same letters, and thecaller can select your name.1. Log in to your mailbox.

2.6 Common ServiceCommands andNavigation CommandsCommands for Changing the CurrentVPS Service

After going off-hook and dialing anextension number of the VPS, you can entera service command to access certain VPSfeatures quickly. While VPS guidance isbeing provided, you can also use servicecommands to, for example, switch to adifferent VPS service mode. Some of themore commonly used commands are listedbelow. For a complete list, see 8.2 ServiceAccess Commands.

# 2 Activates Custom Service. Youwill be guided to enter a CustomService number (1–100).

# 6 Activates Voice Mail Service.You can record a message foranother subscriber by enteringhis or her mailbox number whenguided. You can also log in toyour mailbox by entering thiscommand followed by [ ] andyour mailbox number.

# 8 Activates Automated AttendantService. You can call anextension by dialing the desiredextension number when guided.If the called party does notanswer, the VPS can offer youother options, such as leaving amessage, calling the operator,etc. Note that these options areavailable only when calling theextension via AutomatedAttendant Service, i.e. after youhave entered this servicecommand.

When Using Voice Prompts

The following commands can be used tohelp you navigate through VPS menus.

Takes you back to the previousmenu.

0 Repeats the current menu.

# 7 Takes you back to the MainMenu.

When Using VM Menu

# # Switches you to the Main Menu(top menu) of the prompts.

Commands for Recording Messages

After going off-hook and dialing anextension number of the VPS, you can enterthe following commands to recordmessages.

# 9 1 Accesses No AnswerGreeting. You can record aNo Answer Greeting byentering this command.

# 9 2 Accesses Owner's Name.You can record an Owner'sName by entering thiscommand.

3 Message Playbackand Related Features

3.1 Playing MessagesCallers and other subscribers can leavemessages for you, and you can play themback later after you have logged in to yourmailbox.Messages in your mailbox are divided into3 types:• New Messages:

Messages in your mailbox which youhave not played back yet.

• Old Messages:Messages in your mailbox which youhave played back but have not yetdeleted.

• The VPS will automatically deleteboth new and old messages after aspecified number of days havepassed. Your System Administratoror System Manager controls howmany days messages are retainedfor. Each time you play a new or oldmessage, the message retentioncounter resets.

• When messages are deleted, theywill be retained until the end of theday. Deleted messages can berecovered before then by pressing[3] during or after playback.

• A Bookmark allows you to set a pointin a message that you can jump toquickly during playback (see5.20 Bookmarks). You can set oneBookmark for each message in yourmailbox. If you set a secondBookmark in the same message, theprevious one is deleted.

• During playback, you can adjustplayback volume and speed bypressing [8] and [9] respectively.Press the desired key repeatedly toadjust the volume and speed asnecessary. If volume or speed are atthe highest setting, pressing thedialing key will select the lowestsetting, as shown below.

3.2 Replying to MessagesYou can reply to messages left in yourmailbox by either calling back the caller orby leaving a message in the caller’smailbox.Calling back is possible when the personwho left you the message is anothersubscriber. Calling back outside callers ispossible if their Caller ID information isreceived by the PBX and VPS, however,this feature is not available with certainPBXs and may be disabled by the SystemAdministrator or System Manager for yourmailbox.Replying by leaving a message in thecaller’s mailbox is possible only if the calleris another subscriber (i.e., the person musthave his or her own mailbox). Whenreplying by leaving a message in thecaller’s mailbox, you can set any of thefollowing:• Urgent Status:

The message will be heard before othermessages by the recipient.

• Private Status:The recipient will not be able to forwardthe message, ensuring privacy.

• Auto Receipt:You will receive notification (receiptmessage) once the recipient has playedback the message.

Finally, you can send your replyimmediately or set a message delivery time.However, please note that you cannot replyto receipt messages.

Calling Back the Message Sender

3.4 Remote AccessYou can call the VPS while outside and login to your mailbox in order to listen to yourmessages. There are 2 ways to log in toyour mailbox remotely:• Automatic Log-in:

When logging in to your mailboxremotely from a preprogrammed outsidetelephone number (assigned as a CallerID number), you do not need to enterany special commands or your mailboxnumber. The VPS can recognize thetelephone number you are calling fromand therefore determine you are thecaller (see 5.17 Assigning YourTelephone Numbers for RemoteAutomatic Log-in and Toll Saver). Thisfeature is not available with certainPBXs and may be disabled by theSystem Administrator for your mailbox.

• Manual Log-in:You need to enter the Voice Mail ServiceCommand [#6] followed by [ ] and yourmailbox number. Manual Log-in isnecessary when logging in to yourmailbox when Automatic Log-in is notavailable with your PBX, when yourmailbox is not programmed forAutomatic Log-in, or when you arecalling from a telephone number notprogrammed for Automatic Log-in.

4.1 Sending Messages—OverviewYou can record messages and send themto other subscribers, to PBX extensionusers who do not have VPS mailboxes, andeven to outside parties. Messages can besent using one of the following features:• Message Delivery:

4.3 External MessageDeliveryYou can send messages to outside partiesand to PBX extension users who do nothave their own VPS mailboxes. After yourecord your message, the VPS will dial theappropriate telephone numbers and/orextension numbers, and once the party onthe other end answers the call, the VPS canplay back your recorded message. You canspecify message recipients by:• Extension number• Outside telephone number• External Message Delivery List number

(see 5.7 External Message DeliveryLists)

Unlike recipients who have their own VPSmailboxes, you have no way of knowingwho may answer the call when the VPSsends an External Delivery Message. Toprotect the privacy of your messages, youmay assign a password that must beentered by the other party before yourmessage is played back.You can set Auto Receipt so that you willreceive notification once the recipient hasplayed back your message. You can alsosend your message immediately or set amessage delivery time. Finally, recipients ofan External Delivery Message can reply toyour message, and can even set urgent andprivate message status.

5 Other Features

5.1 Call TransferWhen a call reaches your extension via theAutomated Attendant service, normally yourextension will ring and you can answer thecall. If you use the Call Transfer feature,however, the VPS can handle the call in anumber of ways. The status you set for CallTransfer determines what happens to thecall. You can set one of the following:Call Blocking: The call will be handled bythe Incomplete Call Handling feature (see5.2 Incomplete Call Handling), which allowsyou to have your calls ring at anotherextension, transferred to your mailbox,transferred to the operator, etc. The call willnot ring at your extension. The call will behandled according to the settings you havemade for Incomplete Call Handling for NoAnswer.Call Screening: The VPS will prompt thecaller to record his or her name. If you areavailable to answer calls, the VPS will ringyour extension and play back the name ofthe caller. You can then answer the call ifyou choose. If you do not or cannot answerthe call, the call will be handled according tothe settings you have made for IncompleteCall Handling for No Answer.Intercom Paging: The VPS will page youusing the Intercom Paging feature of thePBX. The call will not ring at your extension.Your name will be announced to alert you tothe call. This feature is available with certainPBXs only. If you do not or cannot answerthe call, the call will be handled according tothe settings you have made for IncompleteCall Handling for No Answer.Beeper Access: The VPS will prompt thecaller to enter his or her telephone number,then will send the caller’s telephone numberto your beeper so you can return the call.• To use this feature, Notification

5.2 Incomplete CallHandlingWhen a call is directed to your extension viathe Automated Attendant service,Incomplete Call Handling will handle thecalls if:• You do not answer the call (These calls

5.13 Recording YourConversationsIf you have a Panasonic telephone that iscompatible with these features, you canrecord your telephone conversations.These features are not available withcertain PBXs.There are 3 features that allow you to recordyour conversations:Two-way Record (TWR): By pressing thebutton on your telephone that is assigned asthe TWR button, you can record the currentconversation into your own mailbox. Theconversation is saved as either an old ornew message (default: old). If you would liketo change this setting, consult your SystemAdministrator.Two-way Transfer (TWT): By pressing thebutton on your telephone that is assigned asthe TWT button and then entering asubscriber’s extension number, you canrecord the current conversation into thatsubscriber’s mailbox. The conversation issaved as a new message.One-touch Two-way Transfer(One-touch TWT): By pressing a button onyour telephone previously assigned as aOne-touch TWT button, you can record thecurrent conversation into a specificsubscriber’s mailbox. The conversation issaved as a new message.Because you assign the extension numberwhen you create the button on yourtelephone, you do not need to enter theextension number when using this feature.

Note• Many states have imposed

regulations on the manner in whichtwo-way telephone conversationsmay be recorded, so you shouldinform the other party that theconversation is being recorded.Consult your local telephonecompany for further information.

Be sure that Live Call Screening onthe connected proprietary telephone hasbeen activated. This feature is useful whenyou are using a cordless telephone. A tonesounds to alert the subscriber that amessage is being recorded. To intercept thecall, flash the hook.
