1. Introduction The Patient Merge function (accessible through the Register Patient module within PulsePro) allows users to combine two patient records into a single patient record. Whenever two patient records are merged, all components of one patient record (i.e., medications, allergies, immunizations, financial, documents, etc.) are combined into a single patient record. The Patient Merge function utilizes a queue list workflow. All patients selected for merge are placed in a merge queue. Via scheduled tasks, the merge queue is processed and patient files are merged accordingly. In addition to the Merge Patient function, a Patient Merge List plug-in is available for configuration within the User Dashboard. Designed to serve as a review resource for users, the Patient Merge List plug-in displays all queued and merged patients.

2. Overview 2.1 Dashboard Configuration – Patient Merge List Perform the following to configure a Patient Merge List panel within the User Dashboard:

1. Within the Clinical Dashboard, click My Dashboard under the Administration menu 2. From the Dashboard Configuration window, click the Add Dashboard Page icon

3. On the Dashboard Page Dialog window, enter Patient Merge List within the Title field and click Save.

4. Within the Patient Merge List page, click the Add Panel icon. 5. The Dashboard Panel Dialog window appears 6. Under the Patient Merge List section of the window, select Patient Controls Patient Merge List. 7. With Patient Merge List selected, choose and enter the name of the panel (as it will display within the

User Dashboard) within the Title field. 8. Currently, there are no configurable settings available for the Patient Merge List module. Users can

simply add the Patient Merge List panel to the User Dashboard through the Dashboard Configuration.

9. Click Save

10. Within the Dashboard Configuration, click Save. 11. The Patient Merge List module is now configured and available within the User Dashboard.

2.2 Initialization

The Patient Merge function is accessible through the Merge Patient option under the Other Options window within the Register Patient module. When clicked, the Merge Patient option displays the Queue Patient Merge window.

2.3 Queue Patient Merge window Accessible through the Register Patient module, the Queue Patient Merge window allows users to queue select patient records for merge via scheduled task processing. The Queue Patient Merge window populates the patient identified through the Register Patient module as the From Patient automatically. The To Patient is identified after clicking the desired request action (excluding the New Family function) within the Queue Patient Merge window. Once the To Patient is identified through the Queue Patient Merge window, the requested action is finalized and moved to the queue list for overnight processing. Users can queue patient records for merge into a different existing patient record, a new family account, or an existing family account though the Queue Patient Merge window.

Icon /Menu/Field Description

To Patient section: Displays the To patient record for the merge request. The To Patient section populates after clicking the appropriate request action (i.e., Merge and New Family Member) and selecting the desired To patient record.

Merge icon: Queues the request to combine the From Patient into the To Patient. NOTE: The To Patient demographics are retained as is when merged. NOTE: All financial and clinical information, including documents, will be moved when performing the Merge action.

New Family icon: Queues the request to move the From Patient from their current account into a newly created account (i.e., family.) NOTE: All demographic, financial, and clinical information, including documents, will be moved when performing the New Family action.

New Family Member icon: Queues the request to move the From Patient from their current account into an existing account (i.e., family.) NOTE: All demographic, financial, and clinical information, including documents, will be moved.

Exit icon: Closes the Queue Patient Merge window

2.4 Patient Merge List panel Configurable for use within the User Dashboard, the Patient Merge List panel displays all queued and merged patients. Any patient queued for merge through PulsePro is listed under the Patient Merge List panel with a status of Q: Queued. If needed, users can remove any Q: Queued status item from the

merge queue by selecting the item from the result list of the Patient Merge List plug-in and clicking Remove From Queue. All queued patients successfully processed through the scheduled task display under the Patient Merge List panel with a status of M: Merge. Any queued patients unsuccessfully processed through the scheduled task display a status of F:Failed under the Patient Merge List panel. If needed, users can requeue an F:Failed status item for the merge queue by selecting the item from the result list of the Patient Merge List panel and clicking Requeue.

Icon /Menu/Field Description

Requeue icon: Available for I: In Progress or F: Fail status items only, allows the user to requeue a selected item for merge through scheduled task processing.

Remove from Queue icon: Enables the user to remove a selected item the merge queue and Patient Merge List panel. NOTE: The Remove from Queue icon is disabled for M: Merged status items.

Status field: Enables the user to filter the result list within the Patient Merge List panel by one of the following options:

• [BLANK] – Displays all status items • M: Merged – Displays merged items • Q: Queued – Displays queued merge

items • I: In Progress – Displays incomplete

merged items • F: Failed – Displays failed merged items

Date field: Enables the user to filter results within the Patient Merge List panel by specific date range.

By field: Enables the user to filter results within the Patient Merge List panel by the user ID of the staff member requesting the merge action.

To Patient Info panel: Displays detailed data for the To patient associated with a selected item.

Status column: Displays the queue status for the listed queue item.

From Patient column: Displays the From patient associated with the listed queue item. For Q: Queued status items only, users can double-click on any patient under the From Patient column to display the corresponding From patient data within the Register Patient module.

To Patient column: Displays the To patient associated with the listed queue item. For Q: Queued status items only, users can double-click on any patient under the To Patient column to display the corresponding To patient data within the Register Patient module.

Time column: Displays the date the merge action was requested for the listed queue item.

By column: Displays the user ID of the staff member requesting the merge action for the listed queue item.

Note column: Displays processing data related to the merge action performed for the listed queue item.

3. Workflow

3.1 Accessing the Queue Patient Merge window Perform the following to access the Queue Patient Merge window:

1. Within the Register Patient module, identify the desired From patient in the fields provided and

click Search. 2. The specified patient’s

information displays within the Register Patient module

3. Click the Other toolbar icon

4. The Other Options window displays

5. Click Merge Patient

6. The Queue Patient Merge window displays.

7. The patient specified within the Register Patient module displays under the From Patient section of the Queue Patient Merge window.

3.2 Utilzing the Merge function Perform the following to utilize the Merge function:

1. Within the Queue Patient Merge window,

click Merge to merge the patient displayed under the From Patient section to a different patient file.

2. The Patient Lookup window displays

3. Enter information for the desired To Patient within the fields

provided and click Filter.

4. Locate and select the desired patient from the displayed results

and click Select. 5. A confirmation window

displays. NOTE: Any data discrepancies between the From Patient and To Patient (e.g., different social security numbers) display within the confirmation window.

6. Click Yes to confirm the merge action -Or- Click No to cancel the merge action

7. After clicking Yes, a pop-up window confirming the merge actions displays.

8. The patient selected under the Patient Lookup window displays under the To Patient section of the Queue Patient Merge window

9. Click OK within the pop-up window

10. The Queue Patient Merge window closes

11. The merge action requested through the Queue Patient Merge window is added to the merge queue for scheduled task processing. In addition, the requested merge action is available for review through the Patient Merge List panel within the User Dashboard.

12. If needed, users can cancel the requested merge action by selecting the item under the result list section of the Patient Merge List panel and

clicking Remove From Queue.

2. A confirmation window displays

3. Click Yes to confirm the merge action -Or- Click No to cancel the merge action

4. After clicking Yes, a pop-up window confirming the merge actions displays

5. Click OK 6. The Queue Patient
