Parent Drop-offs - Parents should drop children off by parking in the main car park and walking over to the main foyer doors. The main car park is free for the first 30 mins. Parents should not park on the double yellow lines, as this will throw traffic into chaos. Coach Drop Off – the Map below shows where coaches should drop off pupils. Coaches should go into the turning circle and drop off at the front of the SSE Pavilion. A marshal will be positioned here and will point the coach to the coach park (also on the Map). This is adjacent to the water’s edge and beside the M3 flyover. Coaches should have the name of the school on the front window on an A3 SHEET to allow teachers to find the buses easily on egress.

CHOIRS ARRIVING BY COACH SHOULD ENTRE THROUGH THE PAVILLION

1. SCHOOLS LEAVING BY COACH All schools leaving on coaches will leave first to free up space for parents / guardians to pick-up their children. All pupils being picked up by parents should remain in their designated seat.

2. PUPIL PICK UP FOR PARENTS / GUARDIANS IN THE AUDIENCE • Audience members are requested to remain seated if they are picking up in the

Arena or leave if they have no-one to pick up. • Approx. 10mins after the show ends parents / guardians will be invited to pick their

children up at their relevant Door. (See detailed MAP and TABLE below)

3. PUPIL PICK UP FOR PARENTS / GUARDIANS NOT ATTENDING THE SHOW • Parents / Guardians are asked to park in the main car park to keep main roads free

from unnecessary congestion. • Parents / Guardians should make their way to the main entrance where they will be

held until pupils leaving on coaches have left the Arena. • Approx. 10mins after the show ends parents / guardians will be invited to pick their

children up at their relevant Door. (See detailed MAP and TABLE below) It is asked that everyone remains calm and patient once the show ends.

If in doubt about where to pick your child up please speak to a Steward or member of Staff who will be happy to assist you.

• RECOMMENDED TEACHER/CHAPERONE : PUPIL RATIO is 1 : 15. There must be a minimum ratio of

1 Teacher to 15 Children with a minimum of 2 teachers per school. At least 1 Teacher will be required to remain with the Children at all times.

• We recommend that LEADERS allocate 15 children to each teacher so that each teacher knows exactly the 15 children they are responsible for.

• Choirs will be asked to go directly to their performance positions on arrival at the Arena. • Choirs should be in their performance positions 2 hours before the performance begins. • Choirs who anticipate lengthy travel times will need to factor in comfort breaks and allow

extra time. • The pre-concert rehearsal must start at the appointed time. Any choir arriving late will be

allowed to join the rehearsal during breaks between songs. • Choirs have a 1 hour rehearsal and 40 minute break before going on stage for the concert.

Choirs should be in their performance positions 20 mins before the concert begins. • Children should bring a snack and drink in a small plastic or paper bag, so that it can be easily

disposed of (no rucksacks, school bags, hold-alls etc). Teachers and chaperones should bring bin bags to clear away rubbish.

• Please ensure that all belongings e.g. coats are stored under the seats and out of sight during performance.

• Please ensure that all belongings are kept clear of aisles, exits and fire-fighting equipment. • Teachers sit with their group during the rehearal and concert, and supervise them at all times.

Teachers should sit at the end of the seat rows.

Concert etiquette • Teachers should switch off mobile phones before the concert starts. Be sure to switch them

back on at the end. • Children should not have mobile phones/tablets or electronic devices of any kind. • No recording of the rehearsals or performance is permitted. • Once the concert begins, the choirs remain in performance positions at all times. No one is

permitted to leave the stage/risers before concert ends. Please ensure that your children do not go in and out to the bathroom during rehearsal or concert. Choirs may not leave performance positions at the interval except where it is necessary.

• All Teachers/SNA/Chaperones in attendance should join in the singing and dance moves. • Teachers should ensure that all rubbish is collected in bin liners • Switch on mobile phones when the concert has ended.

CHOIR UNIFORM

• Choir members must wear a plain white t-shirt/shirt/blouse (no logos) and dark bottoms (uniform bottoms are fine – skirt and tights or trousers)

• On the day of the concert, choirs should arrive dressed in their choir uniform, as there are no changing facilities.

TEACHERS

• Teachers should dress in semi-formal / cocktail black

NB Toilet: Choirs are asked not to leave their positions once the concert begins so please ensure they use the toilet during the break before the concert. Children should not be allowed to the toliet facilities unaccompanied. A teacher should accompany them.

KNOW YOUR DOOR: Schools will be seated according to Blocks & Doors rather than specific seats. The Map and plan below show the designated allocation for all schools taking part in the Peace Proms on Sunday 26th February 2017. Please make sure you entre through the allocated door. You will then be shown to your seats by stewards. If parents are collecting children from the Arena, please ensure that they know the allocated door.
