Dear Parents and Students PLC and Leeuwin Ocean Adventure are excited to offer a unique and rewarding experience to sail within the World Heritage’s Ningaloo Marine Park and Muiron Islands Marine Management area from Sunday 3 July 2022 – Saturday 9 July 2022. Students will discover personal challenges and achieve goals they never knew they could. It is a week at sea without screens, phones and social media. It’s the perfect opportunity for students to witness the vastness of nature and get to know their peers on Australia’s largest sail training ship, and form long lasting memories. Students are spilt into four watches (teams) and are responsible for all aspects of the ship’s operations, from hauling lines, climbing the rigging, steering the vessel and furling sails aloft. Students will develop their teamwork and communication skills, as well as build resilience and confidence. No experience is necessary to participate in a Leeuwin Ocean Adventure as all tuition and training is provided by the qualified and experienced crew of the Leeuwin. A standard level of fitness is required. Participating in a Leeuwin voyage programme has many future benefits. Their five-day voyage programmes are recognised and endorsed by School Curriculum and Standards Authority (SCSA), The Duke of Edinburgh’s International Award, and Curtin University. Students may use the voyage to achieve the following:

• WACE and WASSA recognition (may earn up to 3 WACE units sailing with Leeuwin) • Duke of Edinburgh’s International Award for Bronze or Silver Adventurous Journey

(Practice and Qualifying) or the Gold Residential Project. • Contribute towards SCSA Endorsed Programmes, Work Place Learning (ADWPL),

Community Service (ADSC) and other Certificate courses after the voyage • Curtin University Learning Futures Network where students’ participation in

Achievement Centred Experiences for Students (ACES) Events enable them to compete for scholarships or use as evidence for Alternative Pathway Portfolio requirements.

The viability of the Leeuwin Ocean Adventure is dependent on attaining the minimum number of 30 students. The maximum number of students is 37. PLC anticipates the cost of the Leeuwin Ocean Adventure to range from $2,700 - $3,000 per student. The cost of the Leeuwin Ocean Adventure programme includes:

• Exclusivity of the Leeuwin Sailing ship • 15 Leeuwin Staff and Crew • All meals on board cooked by the Chef • All safety gear and wet weather gear (safety harness, wet weather pants, jacket and

fluoro vest) • Return flights from Perth - Learmonth (Exmouth) • Private coach transfers to and from Learmonth Airport to the Leeuwin Sailing Ship • Extra two nights’ accommodation on the Sailing ship (start and end of the programme)

with additional meals provided on the Ship. • School Travel Insurance

Please note: At the time of sailing, students must be 14 years and older. Unfortunately, Leeuwin Ocean Adventure do not have the capacity or medical expertise to accommodate students who are insulin dependent diabetic or have Addison’s disease / Hypoadrenalism / MCADD / Hypopituitarism unless a Doctor is aboard. This will need to be discussed with the Leeuwin. Students are to supply their own clothing, sleeping bags, and toiletries. Itinerary Day 1: Meet at Perth Domestic Airport Arrive in Learmonth, Exmouth. Bus transfer from Airport to Leeuwin Dinner and overnight accommodation on Leeuwin Days 2 – 6 5 days Sailing Adventure through Ningaloo Day 6 Anchor, Dinner and overnight accommodation Leeuwin Day 7 Breakfast on Leeuwin

Students who are accepted for the PLC Quest Leeuwin Ocean Adventure must travel on the same flights as the rest of the group. Alternative flights due to family or other commitments cannot be accommodated on this programme. This is to ensure the overall cohesion of the group and to meet staff duty of care for all travelling students. Parents who are interested in their child to participate in the PLC Quest Leeuwin Ocean Adventure programme are to return the PLC Quest Leeuwin Ocean Adventure Payment Slip to PLC Accounts [email protected] or View Street Reception by Friday19 November 2021. Payment Slips received after Friday 19 November 2021 will register your child’s on a waitlist. Places on the PLC Quest Leeuwin Ocean Adventure are limited to 37 PLC students. The first deposit of $1,500 ($1,000 non-refundable) will be deducted Thursday 25 November, with the final payment of $1,500 to be re-confirmed and paid by Friday 7 May 2022. If at a later date your child is unable to attend, the initial deposit will be forfeited as a cancellation fee plus any additional costs as outlined in the PLC Quest Programmes and Tour Terms and Conditions. Applications to participate may not be accepted unless all School fees are up to date as outlined in the School’s Business Conditions under the section, “Schedule of Fees”. Acceptance of students on the PLC Quest Leeuwin Ocean Adventure programme is based on the discretion of the Head of Senior School and the Principal. Students are expected to uphold high standard of personal character, which include being open minded, caring, principled, and responsible risk takers in the lead up to and throughout the entire programme. Travel insurance is a compulsory inclusion in the programme cost and the group is covered under the School’s Annual Travel Policy through AON. It is important we advise, the loss of deposits and cancellation and curtailment related to or connected with COVID-19 is no longer covered under insurance. PLC Quest programmes will follow the advice from the Health Department of Western Australia regarding COVID-19 requirements.

Parents are also asked to complete the PLC Acknowledgment of Risk / Consent to Participate / Consent to Receive First Aid Form and Acknowledgment of Medical Information form and if required, add any further information to their child’s online medical details, which may be relevant to the Quest programme (e.g. fear of flying, sleeping patterns etc.). If your child has any specific dietary requirement this should be indicated on the online medical details. Please return the PLC Acknowledgment of Risk / Consent to Participate / Consent to Receive First Aid Form and Acknowledgment of Medical Information Form, together with the payment slip and deposit to the PLC Accounts Department. Student Statement of Responsibility General I understand that by participating in a Presbyterian Ladies’ College Tour or Quest Programme I must not violate the laws and regulations of the state or region I am visiting. I recognise that in many instances the cultural sensitivities of the region I am visiting may be different from my own and that it is my duty to be aware of these differences and to respect them. I also agree to adhere to the guidelines and rules of the tour programme as outlined by the staff member in charge. Throughout the Quest Programme I understand that Presbyterian Ladies’ College school rules regarding appropriate standards of behaviour apply including:

• Drinking of alcoholic beverages and smoking is prohibited • Curfews or time limits must be strictly observed

Safety To minimise risk to myself and the group I agree to:

• Wear a seat belt whenever one is provided when travelling by public or private vehicle

• Exercise particular caution when crossing roads • Never leave the group or travel alone • Always seek permission from a tour leader when leaving accommodation or

programme venue. Please note: Mobile phones are not permitted on the PLC Quest Leeuwin Ocean Adventure Programme. Students will be asked to hand over their mobile phones at the start of the programme and these will be returned upon completion. Group Cohesion I respect that the tour leader’s decisions are made for the safety and educational benefit of the group as a whole and that occasionally personal wants or desires will have to be yielded. I agree to:

• In large crowds and public spaces, be aware of where the group is, take particular care of valuables, and watch out for others in the group

• Refrain from engaging in behaviour that will cause another participant in the group to feel marginalised or uncomfortable

• Demonstrate respect for myself and my school and do my best to uphold the reputation of Presbyterian Ladies’ College.

Language and Culture I understand that an aim of this Tour or Quest Programme is to learn about other cultures and will try my utmost at all times to:

• Engage positively with the local people • Remain open-minded and suspend judgement about cultural practices which may be

confronting or very different to my own • Make the most of all opportunities and endeavour to remain positive during any

difficult situations that may arise. Publication of Digital Material While it is expected and encouraged for students to take photos and videos of their experiences, students must use any digital material that they produce responsibly. As a participant on the Tour or Quest Programme I agree to:

• Refrain from publishing material online that may cause disrepute to myself, the Quest programme, the hosting programmes or Presbyterian Ladies’ College

• Always seek verbal permission from other participants of the group before posting material online that includes identifiable material of them.

Acceptance Student: I understand and accept the above rules and conditions. I also understand that failure to comply with any of them, or failure to follow leader’s instructions, may result in me being sent home early, at my parents’ expense. Parents: I/We have read and discussed the above rules and conditions with my/our child. I acknowledge that through participation in a programme as organised by PLC, that in addition to the risks commonly accepted at School or home, certain risks or dangers may be encountered that could include (amongst others):

• Physical exertion to which my child may not be accustomed. • Extremes of weather and temperature including sudden and unexpected

change. • The possibility of accident or illness remote from normal medical

services. • Evacuation difficulties if my child is injured or unwell.

Acknowledgement of Medical Information

It is the responsibility of the parent/guardian to update the medical history of their child on the PLC Seqta for Parent online Medical Information check for each Quest Programme. Parents are required to check and update their child’s medical information, at the submission of this document, and again 30 days prior to departure. Below are the instructions to complete the on-line Medical Check:

1. Go to https://home.plc.wa.edu.au/ 2. Search for ‘Medical Information Check’ button and click 3. Log in with your user ID and password. 4. If you are happy that all of the details are correct, please tick 'Yes and then

'Submit'. If there are details that are incorrect or missing, please tick 'No' and then write the corrections in the text box provided before pressing 'Submit'.

5. If you requested changes please go back after one week, as the Health Centre update all the records to check that your updates have been made. If they have, please tick 'Yes' and 'Submit'. Please Note: Not all information submitted will be visible as only limited fields are displayed in the On-Line form.

Please note: • Consent to ‘Emergency Medical Treatment’ encompasses anesthetic, blood

transfusion, ambulance and operation; therefore, individual consent is not required despite visibility of your child’s record.

• Consent to Over the Counter Medications (OTC) – includes paracetamol, ibuprofen, ventolin, decongestant and antihistamines and therefore, individual consent is not required despite visibility on your child’s record.

• For instance, where you do not consent to treatment in these categories please note this in the box at the bottom of your child’s medical information.

• If your child has any specific dietary requirements, these should be indicated on the online medical form.

• If you have any trouble with Seqta for Parents, please contact the Tech Centre on 9424 6469.

Participants with a known allergen must provide an updated Action Plan and supply at least a minimum of two adrenalin auto-injectors (Epipens) and anti-histamine medication whilst on Quest Programme. Participants with prescribed asthma must provide an updated Action Plan and supply an asthma preventer or reliever and spacer whilst on Quest Programme. If illness or injury to the student necessitates urgent hospital or medical treatment, including but not limited to injections, blood transfusions and the like, where the parent or guardian is not contactable after making reasonable efforts, the parents/guardians must authorise the School to give authority for such treatment without the School or its employees or agents incurring any legal liability. The parents/guardians indemnify the School, its employees and agents in respect of all costs and expenses arising directly or indirectly out of such treatment. If you have any further details that may assist us in taking care of your child during this tour add them below (e.g. fear of flying, travel/motion sickness, sleeping patterns, dietary requirements etc). PLC Quest Programmes and Tours Terms and Conditions Pricing It is College policy that tours are self-funding, that is to cover all costs, including administration, pertaining to a specific tour. All prices are in Australian dollars (except where noted) for ex Australia travel only. The price of a tour may change at any time up to 30 days before departure to cover variations in cost that arise due to peak demand periods, changes in surcharges, fees or taxes or currency fluctuations. This applies even after money has been paid for all or part of the quoted price of the tour. PLC will notify the parent/guardian of any charges that arise for reasons beyond the School’s control. Flights Flights are subject to change, however for advance planning, group flights are regularly updated. The airfare prices are dependent on the following factors: • Each airline carrier has a minimum group size of passengers travelling on the same flight.

If the group size falls below the specified number, the group will no longer be eligible for group fares. The fares will be requoted using the cheapest published airfares/conditions.

• All group fares are quoted on a per person basis. • All group fares and ticket taxes are subject to change with / without notice. • All group tickets to be used in conjunction with group travel only. • Frequent Flyer points cannot be facilitated when travelling as part of a group reservation

or be used in lieu of payment for flights. • Name changes are not permitted after ticketing. Any changes / withdrawals will incur a

cost. • Any baggage in excess of this will be charged at the applicable excess baggage rate to

the individual passenger. Cancellation and No Shows • Should cancellation occur, the whole fare would be forfeited, including fees dependent on

the airlines’ terms and conditions. • No-show will be considered a cancellation and the whole fare will be forfeited.

Variations in Flight Arrangements To participate on a School Tour, students and staff must travel on the nominated scheduled flight. This is to ensure the overall cohesion of the tour group and to meet the School’s risk assessment requirements for all travelling participants. Alternative flights due to family or other commitments cannot be facilitated. Travel Insurance and International SOS membership It is a condition of participation that all participants are covered under the School Annual Travel Insurance Group Policy. The insurance covers luggage loss or theft, unforeseen illness and conditional cancellation fees amongst other things as detailed in their Product Disclosure Statement.

Students may not be covered by insurance for a pre-existing illness or condition (including mental illness). For details of coverage, exclusions and disclosures required for pre-existing illnesses and conditions, please contact the PLC Tour Co-ordinator. For domestic travel, insurance policies do not cover medical related expenses. Provided you have a Medicare card, your child will be treated as a public patient if you are admitted to hospital. For overseas travel, all participants will have compulsory membership to International SOS in addition to the Travel Insurance. Medical Details and Urgent Medical Attention It is the responsibility of the parent/guardian to update the medical history of their child on the PLC Seqta for Parent online Medical Information Check for each programme. Parents/guardians must complete and return the “Acknowledgment of Risk, Consent to Participate and Consent to Receive First Aid” and “Acknowledgement Updated Medical Information” documents for their child to participate on a Tour. Health and Immigration The parent / guardian is responsible to ensure their child’s visa, passport, immigration, quarantine, customs, health, prescription medication and other requirements of the countries visited or transited are up to date. For overseas travel a valid passport (with at least six months validity from the return date of travel) is required. For domestic travel students will need to carry photo identification (e.g. Smart rider card). PLC is not responsible for the failure to ensure that a student complies with these requirements. A timeline of documentation (visa, passports, immunisation etc) will be distributed to students and must be returned by the specified due date. Department of Foreign Affair and Trading (DFAT) All tours are subject to the Australian Government travel recommendations at the given time of organising the tour and regularly monitored throughout. The website www.smartraveller.gov.au, also provides valuable information regarding International travel.

Working with Children Check (WWCC) or National Police Clearance A Working with Children Check and or National Police Clearance is a compulsory requirement for all parents/guardians who are accompanying their child on a tour where there is direct parent participation. Application forms for WWCC can be obtained from authorised Australia Post outlets and National Police Clearance can be applied online. For overseas travel a National Police Clearance is a mandatory requirement. http://www.police.wa.gov.au/OurServices/Policecheckscertificates/NationalPoliceCertificates/tabid/1339/Default.aspx Failure to produce a copy of a WWCC or National Police Clearance within the specified time frame may result in cancellation of a place on the tour and may incur surcharges and/or fees. Student Participation on Tours Acceptance of students on a tour is at the discretion of the Head of Senior School and the Principal. Applications to participate on a School tour is dependent on School fees being up to date as outlined in the School’s Business Conditions under the section, “Schedule of Fees”. Parents and Students must read and comply to the Student Statement of Responsibility document to participate on a tour. It is expected that student’s behaviour be exemplary throughout the tour. All students must be accepting of one another and always show mutual respect and consideration for others. Normal school rules apply on any tour. A serious breach of the School’s rules may result in the student being withdrawn from the tour and immediate return to Perth, as an unaccompanied minor, at the cost of the parents. PLC Right to Cancel or Modify Tour PLC regularly monitors each Tour prior to departure. PLC reserves the right to postpone, modify or cancel any Tour for risk management and/ or operational reasons. If a tour is cancelled PLC will refund the portion of the tour cost not already advanced to suppliers. PLC will also endeavour to recover from its suppliers a refund of money paid in respect of any tour cancelled through travel insurance.

Payment for Tours Full payment for the tour is required by the payment deadline specified in individual package conditions. There are two payment options – • One off payment in full when submitting forms • Two or Three instalments depending on tour There are two payment methods – • Cheque made payable to PLC Tours • Complete Credit Card Authorisation form and returned with forms Payments are made at PLC Accounts Department.

Where the bank returns a cheque unpaid or rejects a credit card transaction, a handling fee will be charged plus any bank charges or other out of pocket expenses. Please ensure that payments can be processed on the due dates. Force Majeure (& Covid-19) Force Majeure means an event beyond a Party’s reasonable control which, by exercise of reasonable diligence and precautions, could not have been prevented or reasonably foreseen by that Party, including but not limited to: an act of god, war or threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, epidemic, pandemics, industrial or nuclear disaster, severe weather conditions, earthquakes, fire and strikes, PLC will not be liable for any delay, change or cancellation of tours. PLC normally makes significant payments to its suppliers in advance of the scheduled departure date. If a tour is cancelled due to force majeure, PLC will refund the portion of the tour cost not already advanced to suppliers. PLC will also endeavour to recover from its suppliers a refund of money paid in respect of any tour cancelled due to Force Majeure or Covid-19. Otherwise, PLC will not be liable to refund money paid in respect of a cancelled tour.

Withdrawal or Cancellation by Parent / Student • Substantial cancellation/amendment fees apply after payments are made due to non-

refundable or non-negotiable commitments for the various tour components. • If cancellation is necessary, a partial refund is possible subject to a

replacement participant confirming. However, administration fees may still be charged, and the amount of refund is dependent upon timing and suppliers’ cancellation policies.

• Cancellation due to unforeseen circumstances may be claimed through travel insurance, subject to the policy terms and conditions. It should be noted that disinclination to travel is generally not insurable.

• If any such changes result in the tour costing more or otherwise being significantly different, parent / guardian may withdraw their child from the tour and PLC would refund any monies already paid, less the deposit, plus any charges levied by the suppliers.

• The withdrawal of a student from PLC prior to the commencement of a School tour will result in the student being ineligible to participate in the Tour. The amount of any refunds will be dependent on the timing of the notice of withdrawal and subject to deductions for any non-negotiable commitments or non-refundable portions of the tour.

Completion of the Payment Form requesting participation on the tour is taken as acceptance of these conditions.
