What is Powerpoint 2002?

MS Powerpoint is a presentation graphic program that enables you to prepare slide shows and present them with style and impact.

In Addition, you can use PowerPoint to:

• Print handouts for the audience that include slide miniatures and lines for note taking.• Create notes for yourself to aid in your presentation delivery.• Create an interactive presentation that runs automatically or

create a presentation containing slides timed to coincide with your talk.

• Jazz up your presentation using animation, graphics, and other multimedia components.

Terms to Remember

Preformatted slide layouts that contain specific object placeholders.

Slide Layouts

Predefined areas outlined on slides that are designed to hold slide text, bulleted lists, graphs, tables, charts, and so forth.

Placeholders

Professionally developed slide designs that you can apply to your presentations to give a consistent look at all slides in a presentation.

Templates

Layouts that contain the text, bullets, alignment, header/footer text. And background format for all slides in a presentation.

Masters

Basic presentation units. Presentations consist of numerous slides. Each slide is equivalent to a page of a document, a worksheet in a workbook, or a database record.

Launch Powerpoint 2002

• Never used PowerPoint? Try AutoContent Wizard.

• The Design Template option provides you with the same choices of formats listed by the AutoContent Wizard.

• Comfortable with PowerPoint or already know the structure and content of your presentation? Choose Blank Presentation from the list of options.

For this tutorial, let's begin by:

• Clicking on the From AutoContent Wizard (under New) and follow the instructions in the Wizard.

• Select General Generic On-screen presentation Finish.

Start Presentation

• Click just after the word “Click to add title" to select that Text Object.

• Edit General to state the Presentation Title: “My Life … Will I Be Successful?”

• Click just after the words "This is the subtitle."

• Edit "This is the subtitle" to read Your Name.

Activity 2:

Note: If your Office Assistant is turned on, a light bulb may be displayed at any time. Click on the light bulb to view suggested fixes.

Save the Presentation

• On the File menu, click Save.

Save a Copy of the File:

• On the File menu,

click Save As. • In the File name box,

enter a new name for the file. • Click Save.

Activity 3:

Note: • If you're saving the file for the first time, you'll be asked to give it a name. • To save the copy in a different folder, click a different drive in the Save in drop-

down list or a different folder in the folder list, or both. • To save the copy in a new folder, click Create New Folder.

Add Title Slide Information

• On the Menu bar, select View Header and Footer.

• Check Date and time and Update Automatically (or not).

• Check Slide number. • Check Footer and type Your

Company Name• Check Don't show on title slide. • Click the Apply to All button.

Activity 4:

Note: A current date for your last modification can tell everyone that your information is recent and up-to-date or assembled in haste. An old date can say that you have been prepared for some time, or your information is dated.

Use the Screen Layout

Some important terms:

• Outline pane - contains the text of all the slides in an Outline format

• Slide pane - displays one slide at a time in the order they appear in the presentation

• Notes pane - contains

notes for the speaker

Edit a Text Object

Would you like to include your job title with your name?

• Click at the end of your name and press Enter.

Type your job title and click away.

Modify Text

• Click on the text to select that Text Object.

• Highlight the text you want to change.

• Click on the drop-down next to the font size number and select a different size.

• Click on the drop-down next to style and select a different font style.

Move or Resize a Text Object

Click and drag the border of your

selected Text Object to reposition

text. To resize the Text Object,

click and drag the handles on the

border.

Note: Name should be smaller than title unless you are famous and all

information should be readable from anywhere in the room.

Move to Next Slide

• To the left of the slide is an outline of the entire presentation. You can edit the text directly from this outline if you prefer. Clicking on any topic on the left will take you directly to that slide.

• Go to Slide 2, the Introduction.

Use Bullets

• Click on the Introduction title and change it to “Who Am I?”

• Stop, Look & Listen!

Take a moment to think and Edit the two bullets to state your Vision & Mission in life.

Note: Each bulleted point should be a springboard for you to share more information. Keep your points short.

Use Bullets

• Click on Topics of Discussion slide in the Outline view.

• Enter the title, “Life Principles…." • Click on the first bullet and list topics to be

covered. Pressing Enter after a topic places a bullet in front of each item you add to the slide. Edit this list to fit your presentation.

Use a Numbered List

• On the “Life Principles …” slide, you may replace the bullets with numbers by selecting all of the bulleted text and clicking on the Numbering button on the toolbar.

• Another way to change bullet style is to highlight the bullets, right-click on them and select Bullets and Numbering. Click on the style of your choice and click on OK.

Note: Avoid the default bullet style and add interest to your slides with little arrow and checkmarks!

Change Font Color

• Select a Text Object and highlight a word.

• Right-click on the word and select Font.

• You may change the color here to emphasize a word or phrase.

Note: Avoid the flat look of a slide Title. Choose Bold and Shadow from this dialog box. Looks better to me!

Add Graphics

• Go to Topic One in the outline. Title this page according to the topics you generated on the previous slide: “Be Yourself!”. Just glance back up in the Outline view.

• Add statements that will describe yourself. • Select Insert Picture Clip Art and look for

an appropriate picture. Click on a picture and then click the Insert Picture button.

• The graphic will appear in the middle of the slide. Click on the graphic and point at a corner to get a double-slanted arrow. Click and drag the corner to resize it. Click on the picture and drag it to where you want it.

Note: You may also Insert Picture From a file, such as a jpeg picture from the digital camera or Autoshapes, Organizational Chart, WordArt, or Word Table, to name a few.

Add Music and Sound

Display the slide to which you want to add

music:

• Click on the “Be Yourself!” slide.• Click on Insert | Movies and Sounds. • Choose Sound from Gallery, locate the folder

that contains the sound and then double-click the sound you want, or Sound from File and locate a file you have previously saved on your computer.

• A sound icon appears on the slide and if you want the sound to play automatically when you go to the slide, click Yes. If you want the sound to play only when you click on the sound icon during a slide show, click No.

Add video

Display the slide to which you want to add video:

• Click on “Life Principles …” slide.

• Click on Insert Movies and Sounds.

• Choose Movie from Gallery or Movie from File and locate the file. • Click Yes to play the movie automatically or No if you want to mandate

clicking on the icon to play the sound.

View the Presentation

PowerPoint has views that can be used to display slides. Click on one of

the buttons in the lower-left corner of the

PowerPoint window.

Activity 17:

Note: This view can help you perform a visual assessment of your progress as well as help refresh your memory about how you have organized your graphics throughout your presentation.

[Normal | Slide Sorter View | Slide Show]

• Normal view - displays a presentation in a tri-pane window. • Slide Sorter view - displays miniature slides that allow the order of slides in a

presentation to be modified. Slide transitions and animations can be added in this view.

• Slide Show view - displays the current slide in full-screen size as it appears during a presentation.

• Click on the Slide Sorter view.

Add Slide Transitions

In Slide Sorter view select

the desired slide or slides

and then select the

transition from the Slide

Note: All slides in a presentation usually have the same transition and this can be selected quickly by first executing the Select All command.

Add Animation

In Slide Sorter view select the

desired slide or slides and

then select the animation from

the Preset Animation

collapsible list on the Toolbar.

Note: Too much variety here means things are flying in from every direction and can be very distracting.

View the Presentation

• Click on the beginning slide in the Outline view and then click on Slide view in the buttons in the lower left.

• Click to advance the slides. Press the Esc key to stop your slide show and return to Normal view.

Change Color Schemes

• Click Format Slide Design and select Color Schemes from the design view on the right. Or, click Design from the Toolbar.

• Click first color scheme in the second row.

• Click Apply to All.

Activity 21:

Note: Use a background color that matches the lighting in the room where you plan to present, i.e., dark blue for a darkened room and a lighter for a lighted room.

Change the Design

• Click on Format Slide Design. Or, click the Design from the Toolbar.

• In the Slide Design toolbar on the right, select the design style you would like to use. Or, Click Browse to Select other Design template.

• Click on the dropdown arrow, and select Apply to All Slides.

• Save your presentation.

Apply Changes to All Slides

• In the Menu bar select View Master Slide Master.

• Make changes here according to your preference and they will appear on all slides. Apply the Powerpoint features you’ve learned

from the previous activities.

• Click Close.

Make Enhancements

• Click on Topic Two in the Outline. Title this page according to the topics you listed on the “Life Principles …” slide. Just glance up in the outline view.

• Add the description for each topic (or just copy the description that will be given to you)

• Remove the Bullet and resize the object to modify it.

• Enhance this slide based on what you’ve learned from the previous activities.

Create AutoShapes

• Click on Drawing Toolbar AutoShapes Basic Shapes

• Click on the yellow point to make a rounded-side rectangle.

• Add the description of the object by clicking the Textbox icon on the Drawing Toolbar.

• Click the AutoShape to move it to the left-side of the slide. Double-click to open the Format AutoShape Dialog box.

• Modify it by changing the Fill and Line color. You may also add a Shadow effect to make it more attractive.

Use the Copy & Paste Commands

• If you're copying text between presentations, open both presentations, and on the Window menu, click Arrange All.

• On the slide, select the table or shape you want to copy, right-click, and then click Copy.

• Display the slide you want to paste to, and on the slide, click where you want to paste; right-click, and then click Paste.

• Make six (6) copies of this button and edit the name of the button accdg. to the list of topics you’ve made in the “Life Principles…” slide.

Use the Edit Menu Commands

• For the other topics, click on the Responsibility Slide from the Outline view & click anywhere on the slide. Go to Edit menu Select All Edit Menu Copy

• Go to Topic Three in the Outline View and click anywhere on the slide. Click Edit menu Select All and press Delete to clear the slide.

• Then right-click Paste.

• Modify the slides accdg. to the order of topics listed on the “Life Principles …” slide. Change the title to “Active Listening” for this slide and copy the message from the illustration picture

Use the Edit Menu Commands

• Click on the “Active Listening“ Slide from the Outline view & click anywhere on the slide. Go to Edit menu Select All Edit Menu Copy

• Go to “Real Life” in the Outline View and click anywhere on the slide. Click Edit menu Select All and press Delete to clear the slide.

• Then right-click Paste.

• Change the title to “Mistakes” for this slide and copy the message from the illustration picture

• Click on the “Mistakes“ Slide from the

Outline view & click anywhere on the slide. Go to Edit menu Select All Edit Menu Copy

• Go to “What This Means” in the Outline View and click anywhere on the slide. Click Edit menu Select All and press Delete to clear the slide.

• Then right-click Paste.

• Change the title to “Questions” for this slide and copy the message from the illustration picture

• Click on the “Questions“ Slide from the

Outline view & click anywhere on the slide. Go to Edit menu Select All Edit Menu Copy

• Go to “Next Steps” in the Outline View and click anywhere on the slide. Click Edit menu Select All and press Delete to clear the slide.

• Then right-click Paste.

• Change the title to “Attitude” for this slide and copy the message from the illustration picture

Add Hyperlinks

• Wow! You’re now almost done & ready to add links with your buttons!

• But first, enhance your buttons by changing the format. Only change the button of your active slide. E.g. If you’re in the “Responsibility” slide, click the Responsibility button and change the format.

• Right-click on the Responsibility button Format AutoShape Fill Color Light Blue. Change the Font Color to white to emphasize description.

• The same steps apply to other buttons in your active slide.

Add Hyperlinks

• To add Hyperlinks just click on the “Responsibility” slide from the Outline view and select “Be Yourself!” button.

• Right-click on the button Hyperlink Place in This Document and Select from the Slide Titles where you want your link to be. Click Ok.

• The same steps apply to other buttons to create the link in respective slides.

Add / Delete Slide

• Click on Slides Sorter View.

• Click on the “Attitude” slide and from the Menu bar select Insert New Slide.

• Change the title to “What Successful Learners Do…” and copy the listed points from the illustration picture

Use Tables

Activity 30:

• Insert another slide.

• For self-assessment, decide what percentage you’re going to give for each topics listed in “Life Principles…” slide.

• On the Standard toolbar click Insert Table.

• Point to select the number of rows and columns you want and then click.

• Change the Title to “Self-Assessment” and add the topics on the 1st column and the percentage on the 2nd column.

• Enhance the table by changing the format & appearance.

Use Charts

Activity 31:

• Insert a Pie Chart on the “Assessment” slide.

• On the Insert menu, click Chart. Right-click Chart Type and follow the wizard.

• On the Table toolbar, select By Column to change chart setting to column.

• Replace the data, click a cell on the datasheet, and then type the information from the Table you inserted.

• To return to the slide, click outside the chart.

• Modify the Chart by changing the format.

Provide Print Handouts

• Select File Print. • In the Print what box, click

Handouts. • In Slides per page, type 4. • Click Horizontal or Vertical

to specify the order you want the slides printed.

• You may choose Landscape or Portrait under Notes, Handouts and Outline.

• Click OK.

Emphasize Text

• Select Slide Show View Show.

• Right-click on a slide and select Pointer Options Pen.

• Click and drag to encircle words you want to highlight.

• Right-click on the slide and select Pointer Options Arrow to return to the mouse pointer.
