Slide Layout and Design

Step 1: When you open PowerPoint click on

the ‘new slide’ icon to view the drop down

list. You can then choose the layout you like

by clicking on the image. You can also click

on the ‘duplicate selected slides’ which is

very useful if you have a completed slide

you wish to duplicate.

Step 2: You can also add notes to your slide

in the section shown here. These will not be

displayed to your audience but when you

print out your PowerPoint you can select the

‘notes option’ so you can view them

yourself.

Step 3: Type your chosen text into the boxes and ensure you save your PowerPoint regularly. As

you add slides to your PowerPoint they will be displayed in numerical order down the left hand

side of the screen. If at any time you want to change the slide order, click on the slide in the pane

and holding down the left mouse button drag it up or down the list and then ‘drop’ the slide into

its new position.

Step 4: To add a design theme to your slideshow click on the ‘design tab’ and

then the drop down arrow to view all the options. Click on the design you like to

apply to all slides.

Step 5: Once you have chosen a design, if you click on the ‘colours’

icon you can change the colour of the theme.

Step 6: You can also change the

page orientation by clicking on the

icon in the ‘design’ tab

Step 7: In the bottom right hand corner of the screen there are numerous icons you can

select to choose your viewing options. There is also a zoom function so you can zoom in

and out of the screen.

1: Normal view – Shows all the slides down the left hand side and the ‘current slide’ in large

view.

2: Slide Sorter – Allows you to view all the slides in a smaller scale so you can easily

change slide order

3: Reading View – Enlarges slide size and has arrows for you to navigate backwards and

forwards through the slide show

4: Slide Show – This is the format in which you show your audience the presentation.

Using the Yeovil College PowerPoint template

Embedding a Hyperlink

To access the college PowerPoint presentation template you need to go to:

Staff Portal – Departments – Customer Services, Marketing and communications – Marketing

& communications – Templates – Yeovil College.

Below are the 2 examples you can use – make sure you save your own version and

don’t edit the marketing master copy.

Step 8: Click into the box where you would like the hyperlink to be

displayed. Next, open the ‘Insert’ tab and click the ‘Hyperlink’ button.

Step 9: The dialogue box

will then open. Using the

options down the left hand

side you can link the

hyperlink to either a

webpage, a particular slide

within the presentation, in a

new document or to an

email address.

Step 10: To add a website enter the web address in the ‘Address box’ and write

in the ‘Text to display’ what wording you would like to be displayed in your

PowerPoint. You can also click on ‘Screen tip’ where you can type in hints or

tips which will be displayed when the cursor hovers over you hyperlink.

Slide in ‘Slideshow view’. Click

on the words ‘BBC News’ to go

straight to the web page.

Step 11: To use the hyperlink to navigate to another slide within the PowerPoint click on

the ‘Place in this document’ and then select the slide you want to link to the current slide.

Type in the text you wish to display and click OK. The hyperlink will then be displayed in

the format as the web address hyperlink.

Consolidation Task

Step 1: Open a new PowerPoint

Step 2: Choose slide layout ‘Section Header’

Step 3: In the design tab choose the theme ‘Concourse’

Step 4: Change the colour of the theme to ‘Opulent’

Step 5: In the top box write ‘My New PowerPoint’

Step 6: In the bottom box write ‘Section 1’

Step 7: In the notes field add comment ‘Must give out my hand out’

Step 8: Open a new slide – ‘Title Slide’ layout

Step 9: Add a hyperlink to the slide in the ‘Click to add title’ box

- Screen tip: Click here to view the website

Step 10: Delete the ‘subtitle’ text box
