New Release Update Related Dependencies

This section informs all Practice Velocity® (PV) Application Users and various information technology staff members within an organization with important information regarding system and/or software dependencies required as part of a PV product release update. Such information will include, but is not limited to, the required pre-release installation and/or update of third party system software – such as Microsoft operating system upgrades, Microsoft service packs, MS.NET platform related software, browser upgrades, etc. In many instances, such upgrades and/or dependencies are critical to a successful release update and must be addressed prior to performing an update.

At the time of this PV product release update, there are no known client-side system and/or software related dependencies required by users of this PV application. However, users should be cautioned that individual personal computers, workstations and PC-based tablets that interact with PV WEB Based Application Services can and do support various versions of third party software that may hinder the proper functioning of the PV application services and in some cases may impact client-side services. Please contact Practice Velocity Customer Support (866/995.9863 or [email protected]) or your local IT personnel if you are experiencing problems due to a PV Release Update.

NOTE: It is highly recommended that all PV Application Users and company information technology staff members with a need to know review the New Release Update Related Dependencies section of this document.

1. Browser Compatibility for Internet Explorer 11 (IE11) PVM functions in Internet Explorer 11 (IE11) as it functions in Internet Explorer (IE9). PVM operating in Internet Explorer 11 (IE11) may display minor differences from PVM operating in Internet Explorer 9 (IE9).

2. Preferred Pharmacy The Preferred Pharmacy feature enables a user with the ability to specify a patient’s preferred pharmacy location for ePrescribe medications. Clinical staff who use VelociDoc® can view the patient’s preferred pharmacy location while charting a patient. By default, the Preferred Pharmacy feature is a required field. If you do not wish this field to be required on patient registration, please contact the Practice Velocity Software Support Team to change this feature from being a required field.The Logbook page > [ patient name ] > Patient Information page > Additional Information section displays the Preferred Pharmacy drop down menu (see Figure 2-1).

The Logbook page > [patient name] > Log Detail page > Visit Data section also displays the Preferred Pharmacy drop down menu. The user must make a pharmacy selection from the Preferred Pharmacy drop down menu or click the Update Pharmacy button to conduct a pharmacy search (see Figure 2-2).

Click the Update Pharmacy button to conduct a pharmacy search if the Preferred Pharmacy drop down menu is empty or if the pharmacy the patient prefers is not listed in the drop down menu. The Pharmacy Search dialog box displays and contains two primary sections, Pharmacy Search and Location Pharmacy List (see Figure 2-3).

The Location Pharmacy List displays a clinic’s pharmacy list. The clinic’s location pharmacy list can be edited by an authorized user in the ePrescribe window of VelociDoc® by opening the Admin drop down menu.The user can select a pharmacy location from the Location Pharmacy List section or can conduct a search of all available pharmacy locations.The Location Pharmacy List dialog box (see Figure 2-3) contains the following information:

• Pharmacy Name.• Pharmacy Address and map hyper-link that displays the pharmacy location on a map.• Pharmacy Phone and Fax Number.• Electronic prescription (eRx) and 24 Hour pharmacy icons.• Information button that displays the Pharmacy Search Legend.

A user can click the map hyper-link and a new tab opens displays the location of the pharmacy on a map. A user operating PVM in Internet Explorer 9 (IE9) can go to the User Tools > Compatibility View Settings in IE9 and confirm that Include updated website lists from Microsoft, Display intranet sites in Compatibility View, and Display all websites in Compatibility View are deselected to ensure the map displays the location of the pharmacy in the new tab. The www.practicevelocity.com website should not be added to the Compatibility View.

The Patient’s Previous Pharmacies icon displays in the Location Pharmacy list, in the far left column, along the Pharmacy Name column (see Figure 2-4). Additional pharmacy icons display in the eRx and 24 Hr columns of the Location Pharmacy List section.

Click the Information button to display the Pharmacy Search Legend which contains the pharmacy icon definitions (see Figure 2-4).

The Pharmacy Search Legend defines the pharmacy icons that display in the eRx and 24 Hr columns of the Location Pharmacy List section (see Figure 2-5). If the patient’s preferred pharmacy is not in the Location Pharmacy List, a search can be performed. Enter the pharmacy’s zip code in the Zip Code field and click the Search button to generate a list of pharmacies in that zip code. The user must enter at least five digits into the Zip Code field in order to conduct a pharmacy search (see Figure 2-6).

Alternatively, the user can enter the following information to conduct a pharmacy search:• Pharmacy Name• Pharmacy Address• Pharmacy City• Pharmacy State• Pharmacy Phone Number

Additionally, the Pharmacy Name, Address, City, and State fields require at least two letters entered to conduct the pharmacy search. A search using the Phone Number field requires at least three digits entered.Practice Velocity recommends the user refrain from entering pharmacy information into all of the available search fields. To obtain the best pharmacy search results, only enter information into two search fields. For example, enter the pharmacy name and city into the appropriate fields, and then click the Search button (see Figure 2-7).

When the user clicks the Search button, the name of the Location Pharmacy List section in the Pharmacy Search dialog box changes to Pharmacy List and a list of pharmacy locations display. Click the Pharmacy Name listed in the Pharmacy List section and the pharmacy is added to the patient’s account and saved as the patient’s preferred pharmacy for ePrescribe medications (see Figure 2-8).

Once the user clicks the Pharmacy Name, the Preferred Pharmacy drop down menu displays the Pharmacy Name and the Pharmacy Confirmed check box is selected (see Figure 2-9).

Once a user successfully confirms the patient’s preferred pharmacy, the location saves for future use and stores to the patient’s account in PVM. The user can see the confirmed pharmacy location or locations from prior visits by clicking the Preferred Pharmacy drop down menu on the Log Detail page (see Figure 2-10).

The user can confirm the pharmacy location remains preferred by the patient and select the location from the Preferred Pharmacy drop down menu for any future visits. The pharmacy location selection triggers the preferred pharmacy confirmation and the Pharmacy Confirmed check box is selected (see Figure 2-11).

Click the Pharmacy Not Found button located in the Pharmacy Search dialog box if the user is unable to confirm the patient’s preferred pharmacy (see Figure 2-8). The Logbook page > [ patient name ] > Patient Information page > Visit Data section appears and the Preferred Pharmacy drop down menu displays Not Found and the Pharmacy Confirmed check box is selected (see Figure 2-12).

3. Patient’s Preference for In-Clinic Medication Dispensing Specification of a patient’s preference for in-clinic medication dispensing is now available in PVM. The In-Clinic Medication Dispensing Requested question displays on the Logbook page > [select patient] > Patient Information page > Additional Information section (see Figure 3-1).

Additionally, the preference question also displays on the Logbook page > [select patient] > Log Detail page > Visit Data section in PVM (see Figure 3-2).

The In-Clinic Dispensing Requested question can be set as a required field. Please contact the Practice Velocity Software Support Team to make the in-clinic medication dispensing question as a required field.

4. Only the Last Four Digits of a Patient’s SSN Display in PVM As part of Practice Velocity’s ongoing effort to minimize the exposure of sensitive patient health information, only the last four digits of a patient’s social security number display (see Figure 4-1).

A user who requires access to a patient’s full social security number to complete a job specific task, such as patient billing, can view the full number by clicking the Toggle button located to the right of the patient’s social security number field (see Figure 4-2).

Each time the user clicks the Toggle button to display a patient’s full social security number, an audit record is created. To obtain an audit record of users who accessed patients’ full social security numbers, please contact the Practice Velocity Software Support Team. The Toggle button is located on the following pages:

• Log Detail • Patient Information • Patient Summary • Patient Billing • Patient AR Detail • Patient AR History • Provider Information

5. Display Preference of a Patient’s SSN on EPS Statements A user either setting up a new company or editing an existing company can specify the company’s printing preference of a patient’s social security number on EPS statements. By default, for newly entered companies, the Print SSN on EPS statements option is Only Last 4 digits. Companies that have already been set up in PVM will remain with the previously selected option, either display patient’s full social security number or do not display patient’s social security number (see Figure 5-1).The user can access this company preference setting in the Admin1 drop down menu > Corp. Protocol > [search company / add new company] > Company Information > Billing Information section.

The following three print options are available:• Yes - print the patient’s full social security number on EPS statements.• No - do not print the patient’s social security number on EPS statements.• Only Last 4 digits - print only the last four digits of the patient’s social security number on EPS statements.

6. Password Reset Questions Available in PVM Ten new password reset questions have been added to the System drop down menu > User List > [select user] > User Information page > Password Settings section (see Figure 6-1). A user can select one question out of the total available password reset questions.

The addition of new password reset questions helps reduce the possibility of a password reset question answer being socially engineered. The ten new password reset questions can be set to display in the Secret Question drop down menu in a specific order. Additionally, the user can specify which password reset questions display in the Secret Question drop down menu. Please contact the Practice Velocity Software Support Team to specify which password reset questions display in the Secret Question drop down menu.

7. Resend Claim with Altered ICD Code Type Billing users can easily determine which ICD code type was previously sent to a payor while resending a claim. The Logbook page > [select patient] > Summary Information page > Receivables page displays the ICD code type last sent to the payor (see Figure 7-1). To resend an invoice, the user clicks the Resend button. For example, the user may choose to resend a claim if the invoice was denied because an ICD-9 code was billed to the payor but the payor required an ICD-10 code (see Figure 7-1).

A confirmation pop-up window displays and the user clicks the OK button (see Figure 7-2).

The Charge Entry page displays the ICD code type being resent to the payor, in red text with a red asterisk. Click the Save & Exit button to resend the invoice (see Figure 7-3).

8. Changing Payment to Zero Dollars is Prevented on Log Detail Page The Logbook page > Log Detail page prevents a user from changing the payment amount to zero when refunding a patient an already logged payment. The prevention of changing a payment to zero dollars reduces fraudulent activity. Additionally, the prevention also allows the user to delete the visit from the Log Detail page. A warning pop-up window displays if the user attempts to change the payment amount to zero manually (see Figure 8-1) and instructs the user to complete the appropriate payment removal method by clicking the Delete button next to the payment line (see Figure 8-2).

A confirmation pop-up window prompts the user to confirm removal of the transaction. Click the OK button to confirm the transaction removal (see Figure 8-3).

A history of this deletion is recorded. Clicking the Deletion History icon displays a payment deletion record (see Figure 8-4).

The user can delete the visit, if appropriate, from the Log Detail page after the payment has been deleted.

9. Reports in PVM Support ICD-10 For reports that display ICD codes, both ICD-9 codes and ICD-10 codes display, based on the code type that was used.
