Setting up the system Premier-cloud ‘A’ requires a business grade broadband connection, a SIP trunk and a Local Area Network to connect your company telephones.

Premier-cloud ‘A’ has an easy “plug and play” set up: initialising your

telephone system is a simple matter of plugging in your telephones.

Altos manages all the system features and is responsible for the maintenance of the hosted platform. Businesses (or their telephony agents) are responsible for their broadband connection*, and their Local Area Network.

The number of SIP trunk channels required will depend on the total number of concurrent calls your telephone system is expected to handle. We provide real time monitoring to allow you to optimise the number of channels purchased.

Premier-cloud ‘A’ operates with a range of leading IP handsets and conference phones, including Cisco, Panasonic, Polycom and Yealink, which are supplied pre-provisioned. The platform also operates well with Bria Soft Phone.

Phone Buddy

Phone Buddy is a free app for your Windows PCs and laptops that puts the power of the premier-cloud phone system at your fingertips.

Additional ways to communicate

• By Text message and Alerts – with popups when they arrive.

• Via the Presence feature which shows colleagues if you are currently on-line or off-line.

You can use the dashboard to update your presence, add contacts to your address books, add speed dial numbers, and make, answer, transfer, hold and hang up calls.

It even lets you divert your phone to another number or voicemail when you’re on the run.

PhoneBuddy comes with Skype for Business integration as standard, allowing you to synchronise your status across the two applications.

PhoneBuddy is available as standard for all subscription holders and works with Microsoft Vista SP2 and later.

Phonebuddy even integrates with your Skype for Business, allowing you to synchronise your status across the two applications.

Gold Subscription Features Auto Attendant, Call Recording and Call Queuing features are all included in the Premier Gold subscription.

Auto Attendant

Auto Attendant allows callers to be automatically transferred to an extension without the intervention of an operator or receptionist. You can create a library of recorded greetings and / instructions, and up to 125 individual menus and sub-menus which can be applied to Gold subscription telephones.

Greetings can be recorded separately and uploaded to premier-cloud ‘A’; they can be recorded from a network telephone, or through premier-cloud ‘A’s state of the art text-to-speech module, which generates a female Scottish voice.

The Auto Attendant Menu Wizard guides new users through the process of creating new menu templates.

Call Recording

Call Recording allows companies to record external and/or internal calls on all or specific company phones that have a Gold subscription.

For each phone number, you may choose to record all calls or a specified percentage of calls, and whether you want to record just external or both internal and external calls. A search facility allows the Administrator to retrieve any calls that need to be reviewed or downloaded.

Call recordings are stored securely online for six months. After this period, they are automatically deleted, although auditable records of all call recordings are kept online indefinitely. premier-cloud ‘A’ includes a facility to ensure that downloaded call recordings have not be altered or tampered with in any way since they were initially downloaded. Even if a call recording has been deleted from online storage, its online record includes its checksum value.

The bulk download and bulk delete facilities help administrators to minimise any unnecessary call storage costs.

Call Queues

Call Queues hold incoming calls if there are no free operators to direct the calls to. With premier-cloud ‘A’ you can create up to 50 call queues and choose music to play to a waiting caller:

• Define the maximum number of calls for a queue and what to do with new calls after this number is reached (e.g. busy tone)

• Set how long callers wait in a queue and what happens after that time (e.g. divert to Voicemail)

• Choose or create your own introductory message and set how many times this and progress messages are repeated while the call is in the queue.

The System Administrator can monitor the calls waiting in a chosen queue. They can also move important calls up the queue; move calls down the queue, and “expire” calls from the queue – i.e. forward them direct to Voicemail.

The automatic reporting module generates two Call Queue reports, which can be viewed, downloaded and / or printed. The Call Queues Ratios report shows the percentage ratio of queued to non-queued calls and call time. The Call Queue Volume report shows the queue length and wait times across a specified day or week.

Video Calling

Premier-cloud ‘A’ works perfectly with the new generation of video phones from Panasonic, Polycom and Yealink. The Premier Gold subscription allows you to see, as well as hear, your telephone conversations with other video phone users on the Premier-cloud ‘A’ network and make the most of these high-end handsets.

Supported devices include the Panasonic HDV430, the Polycom VVX500 and VVX600, and the Yealink TG49G, VC110 and VC120 conferencing units.

Extras PhoneBuddy Enhanced

The Enhanced PhoneBuddy Subscription allows you to add additional features to the standard PhoneBuddy. These allow users to monitor

colleagues’ presence-based status, showing whether they are on a call, ringing or have Do Not Disturb set.

Dialler for Outlook

Premier-cloud ‘A’ also has a downloadable tool to integrate with Outlook so you can make calls etc. from your Outlook address book.

With Premier-cloud it’s easy to add advanced features for just a small additional monthly cost.

Wallboards

Wallboards are an optional extra that work with Premier-cloud‘s Call Group function. Wallboards display real-time call statistic reports, including:

• Calls overview – the number of incoming calls, answered calls, outgoing calls, lost calls and average duration both as a group total and by team member.

• Inbound calls – the number of incoming calls, answered calls, lost calls, queued calls and ring duration both as a group total and by team member.

• Outbound calls – the number of outbound calls, average duration and maximum duration both as a group total and by team member.

• Queued calls – the average queue time, maximum queue time, queue limit breaches, timeouts and the number queuing now both as a group total and by team member.

The reports can be displayed on a wall-mounted Plasma or LCD screen, allowing the call group members to monitor and respond to real-time performance issues.

The Wallboards option is available at an additional monthly charge. The customer is responsible for the provision and maintenance of any screens or other hardware required to display the reports.

Fax Subscription

premier-cloud automatically converts incoming faxes to email as a standard feature, but Fax Subscription is ideal for companies who also want to send faxes and prefer a dedicated number for their fax machine. The Fax Subscription also automatically converts incoming faxes to pdf files and sends them to a specified email address, making faxes easy to file and archive as digital records and saving on the costs of fax machine consumables.

Conference Calling

The Conference Bridge Subscription allows you to make the most of Cisco, Polycom and Yealink’s audio conference end points. The Conference Bridge Subscription gives you a dedicated number for your conference calls and is ideal for small to medium-sized groups. Supported devices include the Polycom Duo, IP5000, IP6000 and IP7000, the Yealink CP860, and the Cisco 7832.

Branding

Different elements of the Premier-cloud ‘A’ system can be branded for your employees with your company name or logo. These include your network phones that have display screens, and your user and administrator control panel areas of the web portal.

There is no additional charge for this.

Failover Premier-cloud ‘A’ is a particularly reliable VOIP platform. Premier-cloud ‘A’ also depends on the reliability of your broadband connection and infrastructure.

In the event that your broadband fails, Premier-cloud ‘A’ provides a Failover function. This allows you to specify an alternative non-network (i.e. external or mobile) telephone number to which your calls will be diverted. The feature can then be activated in the User Control panel on the web portal if an unaffected computer is available, or by calling a specific telephone number from a landline or mobile phone. For security purposes, your telephone number and PIN number will be needed if you attempt to activate Failover by phone.

Charging and costs With Premier-cloud ‘A’ there are no hidden extra costs. This means there are no subscription set-up or termination charges; no system set-up or ‘training’ fees and no minimum volume contract.

Charging is by Direct Debit on a monthly basis. Additional monthly costs include a small charge

per text for voicemail alerts by SMS, and any Call Recording storage costs or Wallboard costs if these features are active.

One off costs relate purely to telephone hardware if this is required.

Packages do not include the provision or costs of SIP trunks, call minutes or VAT.

Fair Use Policy

Fair Use

The fair use policy for our telephone service is:

• 2500 minutes to UK local and national geographic numbers (unless otherwise stated)

• 1500 minutes to UK mobiles (unless otherwise stated)

• inclusive calls are limited to 60 minutes per call

• local and national geographic numbers are numbers beginning 01 and 02 and 03 only and do not include non-geographic numbers (08xx including 0845 and 0870) premium rate numbers (09xx), internet access numbers or calls to the Channel Islands (with max. 15% of local/national calls to 03)

• local and national geographic numbers do not include international calls

• if your tariff includes minutes to international numbers, certain selected destinations (which may vary from time to time) may be excluded dependent on the exact call price plan we agree with you

• if your tariff includes minutes to UK mobiles, this refers to calls to Hutchison 3G, O2, EE (T-Mobile and Orange) and Vodafone ONLY. Please note this does not include calls to Opal, Three, Lyca, Lebara or Virgin mobiles OR any mobile virtual network operator not based on the UK GSM cellular networks.

Excess Use

If you exceed the limits included in our fair use policy:

• we will charge you your standard tariff rate which you can find on our website at www.soscommunications.co.uk/minutes-price-list

• where a fixed line call exceeds 60 minutes, the excess call time over 60 minutes will be charged at your standard tariff rate

• where a mobile call to an XLN fixed line or another XLN mobile exceeds 30 minutes, the entire call will be deducted from your package allowance and/or charged at your standard tariff rate dependant on your tariff allowance remaining

• we reserve the right to: ?switch you to a more appropriate tariff or call price plan at any time;

• suspend the your services; or

• to terminate our agreement with you with immediate effect

We may revise our Fair Use Policy at any time by posting the updated version of the policy to our website, www.soscommunications.co.uk/fair-use. You are expected to check this policy from time to time to take notice of any changes we make, as they are legally binding on you.

SOS Communications is delighted to have expanded their Premier-cloud ‘A’ service offer Union Street Technologies’ web-based aBILLity billing platform.

aBILLity platform provides you with a portal from where you can:

• combine billing for your service costs along with line and minutes charges,

• monitor call usage in real-time,

• customise call tariffs and customer special offers,

• track your revenue growth,

• manage your customer billing online from wherever you are.

Union Street’s aBILLity billing platform has been developed over many years to provide a total solution for managing billing for end-user customers, revenue analysis and fraud prevention. It is a tried and trusted solution, used by over 450 communication providers operating in the UK.

aBILLity’s web client has been tailored by Union Street for SOS resellers to provide a streamlined, uncluttered user experience whilst still providing easy access to much of the most commonly used functionality the platform has to offer on any device with a web browser.

The speed and flexibility of the aBILLity platform saves you valuable time,

leading to faster bill runs for improved cash flow!

Setup is simple

From your own individually branded aBILLity platform you can create customer accounts with bespoke service charge options, line rentals and call charges.

Multiple Custom Accounts

For each of your customers you can create individual accounts to provide multiple services from multiple carriers, for example Voice, Data, Mobile and IP.

A powerful data processing engine allows you to import, fault verify and rate CDRs at a rate of over 20,000,000 per hour using standard hardware, which is much faster than most of its rivals.

The aBILLity platform gives you the power to be innovative with your sales

proposition helping you to gain a competitive edge.

Tariff Management

For each customer you have the flexibility to create bespoke packages and price plans to suit their individual requirements. Alternatively, you can create your own pricing bundles as standard offer packages to simplify your administration.

Each customer’s package can include multiple tariffs for voice, data, mobile and service charges. It is also possible to apply discount structures or inclusive usage plans.

You can incorporate one-off or recurring service charges, thus giving the customer one consolidated bill for all services.

Customer Management

A customer (contact) management function stores customer information in the system including names and addresses, invoicing information and reporting profiles.

The flexible data allows users to export and repurpose their account information.

The ability to export data eliminates both the time wasted re-entering data to an accounts package and the errors that can occur with manual data entry.

Usage Management

A large range of different reports are available as standard and a flexible reporting tool to produce custom reports for calls and services. Having information about traffic usage and call stats helps customers manage their business costs.

Standard reports include:

• Breakdown by call classification or destination

• Breakdown by day, time, site

• Longest duration

• Most expensive

• Most frequently dialled

• Service charges

You can also get exception reporting based on pre-defined criteria. The eAlerts feature will generate an email to the customer if a defined criterion is met. For example, all calls costing more that £3.50 made to numbers starting ‘07’ made at weekends.

The end-user reports are highly valued by customers helping to ensure customer retention.

Revenue Assurance

From your web access you can monitor your buy rates against any agreed tariffs and automatically flag up specific over-charged calls. New charges are easily identified and added, ensuring that all revenue is billed.

Full management reporting is available within the package, providing you with a complete understanding of your revenues and margin.

Service charges can be added to customers’ accounts as products are provisioned, saving time, reducing errors and ensuring prompt billing of services to improve your cash flow.

A powerful ‘What If’ rate modelling tool allows you to create new tariffs

and see what effect they have on margin and profitability.

Invoice Processing

Proforma invoices are produced so you can review and check for any inconsistencies (or input errors) compared to the previous months billing. If any changes need to be made, the proforma invoices can be easily recalculated.

When the billing run is approved, the system will assign invoice numbers and create the actual invoices. The invoices are despatched in accordance with the preferred method of delivery which can be set on a customer by customer basis.

The bill run process has been designed to be fast and also accurate, reducing errors to maximise your revenue yield.
