What applications are there for using HHPC’s?
•An easier way to record inspection results
•Inspection sheets that are standardised
•A recording system that automatically writes letters
•Continuity between officers inspection styles (i.e. what non-compliances they look for)
How do you use HHPC’s?
The HHPC is used as a “data entry tool”. They operate via touch screen technology.
They replace the need for diaries, notebooks, inspection books, tape recorder and expensive notebook computers.
Full copies of legislation can also be stored and displayed on them!

They can be used for;

•Recording conversations (using the in-built recorder)

Environmental Health Inspections - Example
The electronic recording of Environmental Health inspections is achieved by using the HHPC’s and specific software.
The main 2 components of this recording system are;
1. Handheld Software (allows recording of
Inspection results); &
2. Environmental Health Premises Database (using Microsoft Access)

Handheld Software Environmental Health Premises Database
The Handheld Software is used to store the inspection information on the HHPC.
The data is then exported to the Environmental Health Premises Database where it is easily viewed. Inspection sheets and letters can then be printed from the database.
This reduces time, duplication and stress!

Select 1,2,3 to “score” the item inspected
If 2 or 3 is selected - then the “common” non-compliances
are shown
If you are not sure what the words mean then simply click
on the title and this screen appears

As the “common non-compliances” are listed, the uniformity of inspections is very high - as the officers
are looking at/for the same non-compliances!
Once the inspection is completed - the HHPC is brought back to the office and the data is downloaded onto your desktop computer. The data is then exported into the Environmental Health Premises Database.
Then simply open the Environmental Health Premises Database.

Here you can search (via the ID number, Premises/File Number,
Premises Name, Date of Inspection and Officer) for specific inspections

That then shows you a “Food Premise Inspection Sheet” which can be viewed, printed or e-mailed

The full power of the system is shown however when a letter is printed to the Proprietor of the premise. This is done by clicking on the
“Inspection Letters Menu” button, which takes you to this screen.
Choose the type of premise that was inspected ie “Food Inspection Letters”.

Next choose which standard letter you want to send and then enter which premise it is that you want to send the letter to.

This then starts up Microsoft Word with which you select the premise that you want the letter to be written for...

And presto! The standard letter is written
showing the data that was entered into the HHPC

The occupiers name, the name of the premise, postal address and name of the
inspecting officer is automatically included into the letter!

Caravan Parks
Offensive Trades
Pesticide Operators
Pet Meat Processors
Public Buildings Skin Penetration
Soils
Stables
Public Pools
Any existing sheet you have can be reproduced into this format!!
