ILM for GDPR How does SAP ILM exactly relate to GDPR and other global dataregulations? SAP ILM provides the functionality to make sure personaldata is not stored and processed after its original purpose has ended,there could be a period in which the data still needs to be accessibledue to varied business processes. At the end of this period, and only ifother legal retention periods apply, ILM allows the continuation tostore the data, within this period the data can be blocked so it is onlyaccessible by authorised users, when this period ends the data isdestroyed.

MANAGING GDPR FOR SAPControl and comply your SAP Data

The challenge On Thursday, 14 April 2016, the European Parliament adopted theGeneral Data Protection Regulation (GDPR)

The GDPR came into effect on 25 May 2018 and companies should nowbe accountable for their compliance.

SAP system users should be interested in what needs to be done toapply the EU data privacy laws to their SAP systems, in particular howto handle your SAP data in accordance to the regulations.

The risks of non-compliance with GDPR

Not complying with the GDPR is now leading to signi�cant �nes andcompliance risks. The EU created two tiers of maximum �nes forcompanies violating the GDPR. The higher �ne threshold is fourpercent of an undertaking’s worldwide annual turnover or 20 millioneuros, whichever is higher. The lower threshold �ne is two percent ofan undertaking’s worldwide annual turnover or 10 million euros,whichever is higher.

What is considered privacy relevant information?

There are many elements of personal information, examples are name,gender, age, date of birth, marital status, citizenship, languagesspoken, veteran status, disabled status, IP address (some jurisdictions),business and personal addresses, phone numbers, email addresses,internal identi�cation numbers, credit card and bank accountnumbers, government issued identi�cation numbers (social security,drivers license numbers, etc.) and identity veri�cation information, etc.

It is important to remember business data elements can beconsidered personal information as well.

“Personal data” is de�ned as “any information relating to anidenti�ed or identi�able natural person”

SAP ILM for DataProtection & Privacy

The SAP® Information Lifecycle Management(SAP ILM) componentprovides a broad range of advanced capabilities, including blockingand deletion, residence and retention management, consolidation oflegacy data, and more –some of which are relevant to regulatorydemands.

In recognition that blocking and deletion of personal data has becomekey requirements of many regulations, SAP has included relevantcapabilities from SAP ILM as part of the standard SAP NetWeaver®technology platform. Together with other capabilities already availablein the standard platform, this helps customers running SAP BusinessSuite software and SAP S/4HANA® achieve their Data Protection andPrivacy objectives.

There are three important features in standard SAP NetWeaver canhelp customers with Data Protection and Privacy initiatives

1. Information retrieval framework (IRF) can be used to search for andretrieve all personal data of a speci�ed data subject. The search resultsare displayed in a comprehensive and structured list containing notonly the personal data but the purpose for which the data wascollected and processed.

2. Read access logging (RAL) can be used to monitor and log accessto personal data. The information provided may include, for example,which business users accessed what personal data and when.

3. Blocking and deleting personal data is ful�lled in a structured andintegrated manner based on speci�c rules. Previously available only aspart of the licensed SAP ILM component, it is now included in SAPNetWeaver to complement IRF and RAL. The blocking and deletion ofdata is necessary because data privacy and protection regulationsoften require that personal information be deleted at the end of itsbusiness purpose or if an individual has requested erasure (right to beforgotten). However, this data may need to be retained longerdepending on other laws. SAP ILM allows you to block that data from




regular business use while it remains accessible to authorized users forstatutory reporting purposes.

GDPR Data AnalyserTool

There are many database tables within a SAP system and identifyingwhich ones could potentially harbour GDPR relevant data is a time-consuming challenge. Furthermore, mapping the tables back to thebusiness processes and workstreams (which must be considered whensubsequently acting to manage the GDPR data) adds even morecomplexity.

Proceed have developed the GDPR Data Analyser Tool which willanalyse the database tables looking for where GDPR data relevant datamay reside and mapping it back both to its functional source andpotential ILM object.

The GDPR Data Analysis Tool comprises of two parts, the �rst is run asa background job which analyses all the database tables, if it �nds datathat could be potentially GDPR relevant and the database table hasdata within it, the table is entered into the GDPR report. The secondpart enables you to view the GDPR data report and export it to Excelfor further analysis.
