The Education Authority for N. Ireland, provides a best value route to market for the supply of multi-functional print devices, higher volume print-room equipment and managed print services. These products and services are available to you via what’s called a category or purchasing framework. Each one has a reference number. In this case ICT-20-001.

The framework has been designed collaboratively by procurement professionals for the use of all members of the education sector. It’s designed to offer best value, save time and reduce the cost and risk of buying these products and services. Xerox was awarded “Approved supplier” status* for the contract duration, now extended to 31st August 2024.

Accessing the Education Authority ICT-20-001 framework for the supply of a range of photocopiers and multi-function printers brings a number of benefits to you:

Best value – due to the aggregation of spend and leverage across education and wider public sector’s buying power, this agreement delivers better value for money and improved savings. This is a key reason why the pricing you see is extremely competitive and far lower than can be sourced via other purchasing routes including sourcing locally.

No middleman – one of the key framework objectives is to minimise the cost of the equipment and maximise savings to all schools and colleges. We sell the products direct to you. This means there is no middle man. No reseller or dealer profit margins just best value and the lowest price possible. Your rental and service support contract is direct with Xerox under the terms of ICT-20-001.

Less resource – it also minimises the duplication of effort and time taken within the procurement process. This means, once you have made your decision, you can now “Direct Award” to Xerox quoting Reference ICT-20-001. This removes the need for you to conduct a lengthy supplier evaluation each time you have a requirement, saving both the time and cost associated with procurement exercises. The EA Procurement professionals have done this for you as part of the overall tender submission evaluation. All customers using ICT-20-001 are backed up and supported by strict terms and conditions.

Supporting you – the framework is jointly managed and monitored by EA Procurement Service. They will provide guidance and support to all customers using the framework. In addition, your views and requirements are taken into account when reviewing and developing future contracting arrangements.

Brand new – all devices supplied by Xerox on the framework are brand new digital machines that are manufactured to the highest standards, complying with ISO 9001 standards. Products are current and not a discounted legacy range.

Environmental standards – Xerox were an early adopter of ISO 14001, an international standard for environmental management. All of our major manufacturing sites were certified to ISO 14001 in 1997, within one year of the development of the standard. We continue to invest in research and development enabling us to offer products that reduce waste by 90% and energy consumption by over 40%.

Please note that maintenance for the proposed Xerox devices is provided by way of a full service & maintenance agreement charged by a click cost per copy/print charge (invoiced quarterly in arrears) which is inclusive of:

• All parts

• Engineer call out

• Time & labour

• All consumables (excluding paper)

C O N T R A C T S ?

• Machine availability – what’s the contracted average machine availability the supplier is contracting to deliver? Xerox delivers a minimum 97%.

• 1st time fix rate – it’s one thing to say an engineer will be there in an hour but if they haven’t got the right parts the device is not going to get fixed first time, meaning more down-time, less availability and your work not getting produced. Xerox delivers a minimum 95%.

• Engineer response time – the clock starts when you make the first call to our Welcome Centre, not when the engineer confirms receipt of the call or diagnoses the problem. Xerox delivers an average 4-hour response time.

• Escalation process – is there one in place and if so, how does it work? Who do you contact and how? Xerox has a Query Management System that manages all customer issues from start to end within agreed timeframes. Queries can be flagged by e-mail, telephone and via the web.
