The GuestCentrix P M S module is a ful ly featured and f lexible property management

User Interface

GuestCentrixP M S offers a uniform and

friendly user- interface, enhanced by

the careful use of colour and

graphics. The interface has been

designed for both mouse and

keyboard operation, providing you

with convenient and eff icient ways to

retr ieve important data. The famil iar

MS Windows look and feel means

that hotel employees can learn the

system quickly, reducing the time and

money necessary to train your staff

Al lotments

GuestCentrixP M S enables you to easi ly

take rooms out of the free sale pool

by means of an al lotment if, for

example, an air crew arrives. You can

create a different room profi le for

each day of the week, and also as

many date ranges (and al lotments) as

required. GuestCentrixP M S wi l l auto

release rooms back into free sale

pool, and offers peace of mind with

over-booking control options.

Accounts Receivable

GuestCentrixP M S has a ful l Open Item

Debtors system integrated with the

Front Off ice. This al lows you to

closely control credit status, whilst

providing Reservations and the Front

Desk with an easy interface to those

Companies (or Travel Agents,

Wholesalers) that have charge back

al lowed. Accurate Statements and

report ing al low you to keep your

debtors days to a minimum

Room Blocking Chart

The room blocking chart is a

graphical representation of the

booking status of the property over a

two week period. Colours clear ly

indicate the reservation status, and

"Fly By" mouse -over hints and "Dri l l

Down" information retrieval are

avai lable. Another handy feature of

the chart is that Reservations do not

have to be al located a room number

prior to check in.

Calendar

This four monthly Calendar

demonstrates the power of the

GuestCentrixP M S enquiry programs.

The next four months status is

shown, with different colours

denoting different occupancy levels.

"Fly By" hints provide more

information, and you can dri l l down in

to the Reservations for a specif ic day

by simply double-cl icking on the cel l.

Confirmations

GuestCentrixP M S can write

confirmations at the press of a

button. You set up the format, then

print them with Microsoft Word, or

send them d irectly via Email or Fax.

The format can be complex, as the

example shows, including Reservation

information, text, and graphics. In

addit ion, GuestCentr ixP M S tracks the

correspondence sent to a Guest, and

you can easi ly cal l i t up at the press

of another button.

Cashier Functions

The Cashier menu in GuestCentrixP M S

al lows you to rapidly and accurately

post charges, check out guests, and

print fol ios at the front desk. There

are four ledgers per fol io, and

charges can be automatical ly directed

to them according to a profi le. I f

preferred, they can be manually

moved by a "drag and drop" process.

Fol io formats are user def ined, and

there are unl imited transaction codes

avai lable, with easy lookups by fol io

name.

Company Information

GuestCentrixP M S allows you to store

the detai ls of any number of

companies, travel agents, and

wholesalers in the system. Default

reservation settings and contracted

rates can be stored against each

company in the database. In addit ion,

the system records default

commission rates for travel agents

and wholesalers.

Enquiry Programs

There are a number of enquiry

programs avai lable within

GuestCentrixP M S which have been

designed to provide you with any

information you require from the

database. For example, the

screenshot below displays a room

availabil ity summary. Most enquiry

programs feature "dri l l down"

functionality, where more information

can be obtained about a cel l by

double cl icking it.

Graphs

The judicious uses of graphs within

GuestCentrixP M S provides you with

quick views of the status of various

parts of your operation. These graphs

can be viewed on screen and can

also be printed. Room forecasts and

guest counts are avai lable here at the

click of the mouse.

Group Reservations

This specialised reserva tion module

al lows the Group to hold a profi le of

rooms ahead of the Member l ist being

avai lable. Members can arr ive and

depart on different days to the Group.

Members can be entered and

changed individually, or processed in

bulk to speed up data entry.

Accommodation can be bi l led to

individual members, the group, or a

mixture of both. There are also bulk

check in and check out options

avai lable.

Guest History

GuestCentrixP M S can automatical ly

create a history profi le for each of

your guests. The profi le records the

guests name and address, any

special requirements and any

company, travel agent, and

wholesaler associations. The screen

also shows you any past and future

reservations for the guest, and

includes a "blackl ist" faci l i ty

Guest Messages

GuestCentrixP M S al lows you to store

mult iple messages for each guest

fol io. These messages can be quickly

retr ieved and printed or previewed on

screen when required, and you can

define the format and appearance of

your messages. A f lashing indicator

clearly shows the presence of

message in other relevant programs.

The message audit trai l feature al lows

you to retrieve old messages on

demand.

House Keeping

GuestCentrixP M S makes it simple to

record a room as being cleaned, and

it's possible to change room status

through PABX interface. Rooms have

a maid status of clean or dirty, and

any changes are taken in to account

on check in or in the event of a guest

switching rooms. The housekeeper

can assign rooms to individual

attendants for cleaning, and then

print an appropriate room status

report for each of the attendants.

Individual Reservations

GuestCentrixP M S offers a powerful but

straightforward reservation system for

individual guests.. The system also

lets you associate a reservation with

a company, travel agent, and/or

wholesaler. Each reservation supports

one or more guests and displays a

ful l guest history, bi l l ing instructions

and information on any special

requests. Confirmation letters can be

automatical ly generated and sent via

fax or email, or pr inted out for

mail ing.

Interfaces

GuestCentrixP M S has a growing

number of interfaces to devices such

as PABX's, Point of Sale, Door

Locking systems, Pay TV systems,

and more. The system also has

interfaces to such devices as Self

Check In Kiosks and Hand held

wireless PDA's

Permanent Fol ios

Permanent Folios are accounts held

in the front off ice for f inancial control

purposes. Fol ios are avai lable to the

cashiering program, and to the

interfaces, although we provide

options for you to control this i f you

wish to restrict user access. You can

apply a val idity period to the fol ios

you create to further increase your

control. Having four avai lable ledgers

per fol io provides even more

flexibility.

Rates and Packages

GuestCentrixP M S al lows you to c reate

an unl imited number of rates and

packages for your hotel. You can post

charges to a nominated transaction

code under a nominated name, and

the system offers weekly and monthly

posting options. You are able to

create mult iple val idity periods, and

specify rates by room type during

each period. Each rate can have

multiple package components.

Reports

GuestCentrixP M S has a growing

number of reports, al l of which can

be printed or viewed on the screen.

Some reports provide a "Dri l l Down"

faci l i ty in the report, where a report

l ine in preview mode is cl icked to

show the detai ls that make up the

value on that l ine. Reports can be

saved to disk, or Faxed, or Emailed.

Web Reservations

We can integrate your web site to the GuestCentr ixP M S system, enabling your

customers to book a room from the internet. Your hotel database is updated with the details of the reservation instantly, and confirmation of the booking is sent by emai l to both you and your guest.

Because the webpage interacts directly with the GuestCentr ixPMS database, the cl ient sees only your currently avai lable rooms and packages. If you change a room rate, the

web site displays the correct prices without the need to update it. We can offer the option of secure Credit Card processing, or payment and confirmation by telephone or emai l i f that is preferable.

The system uses standardised web technologies l ike XML, SOAP and ASP to del iver you a system that is simple to implement, easy to maintain, rel iable and easy to use. We can customise your exist ing web site to use the feature, or design a site for you from scratch.

Trust Accounting

Trust Accounting is a companion produ ct, or module, of GuestCentr ixPMS . It's designed

for Hotels that have some or al l of their rooms individually owned. The software accurately tracks room uti l isation in arrears and advance, al l accommodation revenues and deposits, and ensures a fair distr i bution of bookings between units.

Trust Accounting is ful ly featured and straightforward to use. It includes faci l i t ies such as standing monthly charges, FF&E accounts and supports mult iple hotel rooms per strata unit. Comprehensive owners statements accu rately detai l the current months activity, overal l account status, and the status of the strata units FF&E account.

A provisional ledger detai ls el igible revenue from PMS, prior to transfer to the Trust Ledger. You can apply automatic expenses against each nights stay, such as for Housekeeping, and /or apply charges at month end to each Room. Owners statements and a schedule of owners payments are readi ly avai lable, with ful l audit trai ls.
