A growing business for Vodafone, Enterprise a very challenging and exciting team to be part of. Responsablilities: Programme Plan Management - Drafting and updates of programme-level plans. These are documented in Clarity • Working with programme managers (GTProgM) and GE product delivery team (GEProdD) to define new project entries, gate dates, and initial budget distributions following naming conventions. • Ensure that all key project information, such as milestones, RAID, Change Requests, etc. remain coordinated between the two teams. • Updating project information as needed, including budget forecasts, gate dates, naming conventions, etc. Ensure that if baselined gate dates change past G2, that there are accompanying documentation such as Change Requests. • Identifying discrepancies in plan information compared with other project plan profiles in Clarity, and correcting information as needed, in conjunction with other stakeholders. • Verify projects coming to gate and work with the GTProjMs to ensure that needed documentation are provided on time, stored correctly, and that links to these documents are included correctly in Clarity.

    Responsablilities:

    Programme Plan Management - Drafting and updates of programme-level plans. These are

    Ensure that all key project information, such as milestones, RAID, Change Requests, etc. remain

    Verify projects coming to gate and work with the GTProjMs to ensure that needed documentation are

    provided on time, stored correctly, and that links to these documents are included correctly in Clarity.

    Ensure that approval gate meetings are booked in time, and that these bookings are in turn verified by the

    gate boards.

    Working with the EP&S PMO to resolve any changes needed.

    Budget Management all budget management tasks accomplished using Clarity and EVO unless

    otherwise exempted.

    Ensure that the budgets are entered and accounted for over the period of the project, per the

    requirements of the plan.

    Ensure guidelines are observed where possible

    Ensure that any changes or re-distributions or transfers to budget above tolerances are documented

    and where needed, a CR should be generated.

    Post POs as required into EVO through the shopping cart process.

    Track all RFQs and Shopping cart requests so that it is possible to understand where in the process

    every purchase request is at.

    Ensure that any POs which are delivered are receipted on EVO as per GTProjM confirmation or move

    any outstanding commits from previous months to future debit dates aligned with future months

    forecasts.

    Map POs to Clarity projects periodically, per the operational cycles.

    Ensure that available budgets, commits and actuals on EVO match the approved budgets provided by

    the GTProgA, commits and actuals on Clarity.

    Identify discrepancies in mapping, PO postings, budget forecast, etc. and report these to the GTProgA

    Report issues in the tools and process that occur to the GTProgA.

    Change Management Collating change requests, updating status, ensuring follow-up, and reporting

    RAID management

    Obtain initial change requests, updates and results from GTProjMs and GTProgMs, and ensure that

    these are updated correctly into Clarity.

    Confirm that CRs are needed and validated with GTProjMs when gate date changes, budget or scope

    are changed.

    Ensure that CR dispositions are documented following all Portfolio Board meetings where the CRs are

    reviewed, approved or denied, together with any attached conditions.

    Ensure that the CRs are updated periodically, and that due dates for next actions occur.

    Validate the quality of the inputs and updates where possible, such as validity of date sequences,

    syntactic and semantic errors, etc.

    Report Generation and Distribution

    Ensure that GTProjMs and GTProgMs provide inputs for reporting as necessary and on time

    validity of date sequences, syntactic and semantic errors, etc. Utilise the provided quality checklists as

    part of this review.

    Ensure that the information provided in these inputs agree with the status / dispositions in Clarity, and

    correct any discrepancies following verification.

    Follow processes and procedures used for generating reports, and distribute reports as appropriate, per

    the mail lists. Ensure that the documents are correctly filed per procedures into the SharePoint

    repositories for these reports.

    Risks and Issues Management ensuring that risks and issues are documented and updated into

    Clarity per the required standards

    Ensure that risks and issues reported through the weekly status reports meet quality standards. These

    will be documented and provided as a checklist to the GTProgS.

    Ensure that these are updated per the next action dates, and that feedback received from escalation

    points are captured and updated against the risk or issue

    Ensure that when these are turned into a change request, that the change request and Issue or risk

    contain links to each other (Risk / issue points to CR and vice versa in their notes)

    Validate that all necessary information needed for issues documentation are provided including Root

    causes.

    Standards Compliance - ensuring compliance with planning standards and programme management

    standards

    Ensure that GTProjMs, GTProgMs and any inputs provided by other stakeholders adhere to the quality

    and timeliness required, and that Clarity entries meet the set standards. Escalate to the appropriate

    channels as required (PMO teams).

    Resource Management - Resource allocation and tracking against projects

    Work with project managers to ensure that the resources are clearly identified and updated. Staff and

    work packages used should be clearly identified, and assigned to pre-defined task roles such as Service

    Design VCNO and Enterprise IT.

    Tracking of these resources using the defined formats and tools.

    Reconcile resources reported by project managers with Service design, VCNO, Enterprise IT, and other

    internal resource groups.

    Identify issues in resource allocation and escalate to the Project managers and programme assurance

    Tools And Document Management maintaining the programme shared working environment and filing

    structure, version control of key documentation in SharePoint.

    Ensure that information about the projects being managed have the appropriate documents included in

    the libraries.

    Work as a team with other GTProgS to ensure that project libraries converge towards a single standard,

    and assist in documenting that standard.

    Ensure that document quality adhere to the same quality standards as other documentation, and verify

    where possible their quality (Syntactic and semantic errors).

    Requirements:

    Prior experience in programmes and projects support.

    Strong planning and organizational skills.

    Budgeting and resource allocation experience.

    Working knowledge of Clarity (User role) not manadatory; Microsoft SharePoint, Excel and

    PowerPoint.

    Excellent written and verbal communication skills.

    Strong interpersonal skills in areas such as teamwork, facilitation and negotiation.
