• Statement of Work (SOW): Generally used with new clients where all of the organization’s departmental services are showcased in a high-level fashion.

• Project Definition (PDD): Generally used with existing clients where a SOW already exists in the high level.

• Scope Change Document: When project is started, any changes made to the project are recorded using this document.

• Action Plans: Microsoft Project or any PM-related software acts as the action plan for all projects.

• Lessons Learned: After each project is launched, a Lessons Learned meeting is held to document all the “went right”, and all the “went wrong.”

We use the example of the Trivial Pursuit game piece to give a visual on the dissemination of information that occurs during the management of the project.



If the project represents the pie piece, then each of the operational areas represent a piece of the pie. Each one will have its own requirements and its own set of unique questions that need to beanswered. By gathering the information for the project, it allows all areas to have the specifications needed to create the potential for it to become a “winner”.



What type of questions will be asked to gather requirements? Here are some examples:

The WHO•Who are we billing? •Who is the contact? •Who is this being shipped to? •Who should we consult with for expertise?

The WHERE• Where are we shipping? • Where are we going to do the most work?• Where is the material coming from?




The WHEN • When is the client expecting to have complete?• When is the event?• When can we bill?




The WHY• Why did the client call us for this?• Why do we need to care about this project?• Why is this project important?



Each of these questions is each an example of the types of questions that will be asked and more importantly, will be answered during a work start meeting and in the planning phase of the project. The answers will allow the team to make decisions, plan, and execute The HOW.

Doing so will help us to make:• Informed decisions• Prioritize• Resolve issues when they arise.
