Time management
and
The Pareto Principle
Pareto Principle
Pareto Principle
The Pareto Principle also known as
The 80/20 Principle, says that:
A minority of causes, inputs or effort
Usually lead to
A majority of results, outputs or
rewards
Few examples In Business:
20% of the products account for 80% of sales value
or company profit.
In society:
20% of criminals account for 80% of the value of all
crimes.
At home:
20% of carpets get 80% of the wear. 20% of your
clothes will be worn for a good 80%.
Your car:
Out of 80% of the energy generated by the engine
only 20% gets to the wheels.
How this principle applies to
Time Management?
Unfortunately too many people are applying the
principle ….. the other way round
By investing 80% of our time we are getting only
20% of the final results!
How this principle applies to
Time Management?
By working in a smarter way we may get 80% of the
results with ONLY 20% of our time.
How to achieve the 20 – 80? First of all
Concentrate yourself on the results and NOT
on being busy!!
Beat the procrastinator that is in us!
We normally lose 80% of our time because we postpone
actions and decision
If we are able to recognize to ourselves that we are
postponing we have already the solution in our hand!
Find out the why and you’ll get the HOW
People postpone action while waiting for the right mood
or the right time, for fear of failing, fear of getting a NO,
poor organizational skills and so on.
Few tips on Beating Postponement
Make an honest priority list of “To be done things”
Identify which are the things that you are
postponing and FIND OUT WHY YOU POSTPONE!
Waiting for the right mood What happen if I don’t do it?
Low decision making skills Discuss the decision with a
friend, ask for help and check!
Perfectionism
“I want to know everything!”
doesn’t work! Stop thinking:
“what if..?” and start moving!
Feeling lazy about it Reward yourself
Find out how do you really spend
your time!
Till when you don’t do this exercise you will never
understand how much time you are wasting in
collateral and useless activity
For few days fill an activity diary by writing everything
you are doing and for how long
After few days you can start understanding all the low
value activities that are “robbing” your time, find out
which are the high energy / low energy moment for you
and then, start planning
Find out how do you really spend
your time!
For few days fill an activity diary by writing everything
you are doing and for how long
Skip jobs and tasks for which you’re not responsible
FEW USEFUL TIPS
Schedule the most challenging tasks for your highly energetic moments
Minimize as much as you can the bad habit that all of us have of “switching task”
Through this activity log you will be
auditing / monitoring how you are using your time
and will find out a more efficient way to use it!
Once you have identified all your “time robbers”
You can start your 80/20 time planning
HOW TO PLAN
Prepare a “To do list” by listing all the tasks you have to accomplish
HOW TO PLAN List all the tasks that are facing you trying to minimize as much as you can each task till when it will not take
you longer than two hours to complete it.
Once the list is completed allocate for each task a priority A to F where
A = very important
F = unimportant
Sales type roles
Keep the list as short as you can and aim to complete it
every day. Every day make a new one!
HOW TO USE THE PLANNING
Operational type roles
Keep a basic list jointed to other under-lists per subject
or team and follow them
In general keys point of this instrument are:
1) It will help to remember all the necessary tasks
2) It will allow you to tackle the most important job
first avoiding time wasting
3) Avoid stress coming from a large quantity of
unimportant tasks
NEXT STEP…..??
Preparing the “Action plan”
NEXT STEP…..??
An “Action plan” is a simple list of actions that you have
to carry on to achieve each subject of your “To do” list.
Each task of your “To do” list is a micro-goal that will
bring you nearer to your short/medium/long term target.
Each day you have to walk at least one step further in
the right direction
We can show you the way
We can give you a proper training
We can give you all the right tools
We cannot make you moving
THE ONLY ONE WHO CAN HELP IN THIS IS
