1 Sign In 1. URL :- http://10.251.80.241/pows 2. Click on “Sign In” button to login as a back-end User.

If you are a new user please contact an admin officer to create an account. User will receive an email from the system with a temporary password.

New user can login after user types the following details:

1. Email 2. Current/Temporary Password 3. New Password 4. Confirm Password 5. Click on Reset button

Reset Password:

1. If the user wants to reset the password, they can click on “Reset Password” button and reset it

2. If the user forgets his/her password, the admin can reset the password and send a temporary password to the user.

2 View Submissions PUB user can view submissions by clicking on the list shown on the left panel.

1. User can filter Submissions by Responsibility – based on who the submission is currently assigned to

2. User can filter Submissions by Department. 3. Can Select and Search one or more Catchments. 4. User can filter Submissions by entering a search text. 5. By selecting page size, user can choose number of records to be displayed in each page.

6. All the submissions are listed with “Details” button. Click on the “Details” button to see the submission details.

7. By clicking on the icon, Submission summary pops up.

2.1 View Submission Details When user clicks on “Details” button, Submission details are displayed.

1. KPI (Weeks and Days) is displayed in the top right corner of every submission details

page. Its color indicates the following:

Green- at-least a week

Yellow- Less than a week

Orange- Expiring in 24 hours

Red- Expired

2. Click on “Reply” button to send reply messages to QP/PE/Contractor. Refer 2.2 Send

Reply Message

3. Clicking on “Back” button will redirect user to the submissions page.

4. Click on “Assign to Me” button to Re-assign Submission.

5. Attachments added during submissions are displayed.

6. Selected activities are displayed in Activity details table.

2.2 Send Reply Message A project can have any number of submissions. After a submission is received, reply messages can be

sent by any department involved in the submission, except for auto approved submissions.

Users can fill the following form to reply.

In the Reply page the fields - Group, Email id (To) & Subject fields are automatically

populated.

1. Group assigned to the Submission is displayed here.

2. Applicant email id is auto uploaded in this field.

3. User can enter CC email id which reply email send recipient as a reference.

4. Subject field also auto uploaded with Project Reference & Submission No.

5. User can select Submission Status from the list. Ref 2.3 Status of the

Submissions

6. User can define Delivery method for direct approval or within Department.

7. By click on “Choose Letter Template” User can select default template.

After submission of a project, user can send replies by choosing any of the

available templates. Templates are depending on the Status which user select.

Drafted Letter Template is including all the details about Submission and Status

of the Project.

8. Selected Letter Template is shown in the Message area. User can modify Letter

Templates.

9. Documents or files which are needed to be sent with the reply can be attached

by clicking “Add Files” button.

3 Reports

3.1 View Monthly Reports User will be able to see Reports.

1. Reports can be filtered by choosing the Department and Date Range.

2. Date Range shows "This Month" date by default.

Choose one among the following date range to filter:

Last 30 days

This Month

Last Month

This Year

Last Year

Custom Range

Following are the details shown when click on “Apply Filter” button;

Submissions Received

Processing

Expired

Approved

Withdrawn

Closed

3. Select the appropriate Department for display report with the department & group details.

4. Choose the Status and date range mentioned as above.

5. Enter a search term and “Filter”. Submissions can be filtered using submission reference no,

Department, Group and Status

1. KPI Reports can be filtered by choosing the Department.

2. Enter a search term. Submissions can be filtered using submission Reference and Project

Reference.

3. Click on “Submission Reference” Link to display Submission Details.

4. Submission Details can be displayed by clicking “Details” button.
