What is time management?

Without time management we:

• Can lack focus• Can lack drive• Procrastinate• Feel anxious• Feel overworked• Overwhelming feeling of there not being enough hours in

the day• Miss goals and deadlines

Why is time management important?• We live and work in an age of technology, everything is

now ‘urgent’ and we can be contacted at all times of the day by a variety of forms.

• We are ‘busy’ all of the time, often head down staring at our computers or phones and trying to juggle the numerous emails in our inbox and the constant calls.

• ‘There aren’t enough hours in the day’ is a saying used widely in businesses and at home as we try to juggle our lives.

Often, the key to effective time management consists of a number of factors:• Understanding the desired outcome• The time allocated to the task• The resources available to complete the task• Clear focus• Removing distractions

When we don’t have all of these factors in place we can become distracted, lose our focus and we fail to manage our time effectively.

PurposeWhen you are clear on your purpose it is easier to allocate time to achieving these goals.

StrategyWhen you are clear on your purpose, the strategy to meet this purpose can become much more clear.

What are your timeframes?How much time do you need to allocate to the tasks/actions that will allow you to achieve your purpose?

Diary management will now become much more easy. You may find that colour coding helps define time.

AccountabilityWhen you are clear on your purpose and your strategy, you will be able to see much more clearly what you are accountable for and who you are accountable to.

How much time do you need to allocate to each of these groups of people to allow you to meet your purpose?

Accountability – Delegation vs EmpowermentWhen you have identified who and what you are accountable to and for, you can start to look at the tasks and actions that need to be carried out by you and those that you can delegate to others.

Consider the tasks for you to do and the tasks that you can delegate to others.

Then review the next piece of information on delegation vs empowerment and see how you could implement this in your workplace.

Tools and ResourcesWhen you know your purpose, are clear on your strategy and know who and what you are accountable for, it’s time to explore the resources you have available to you to allow you to keep on track.

Consider who and what you have available to keep you on track. This may include knowledge, experience, people, money, time etc.

MindsetWhen you are clear on your purpose on your purpose, your strategy, your accountability, and your tools and resources, you can consider what barriers if any you are creating for yourself.

Do you procrastinate?Do you put things off until the last minute?Do you find yourself scouring the internet or wasting time on social media or making endless cups of coffee when you know to be focusing?Where else do you get in your own way?

Consider where your mindset is causing you problems and what you can do to counteract these.

EnergyYou are now clear on your purpose, you have your strategy, you understand areas of accountability, you know the tools and resources that you have available to help you succeed and you have considered mindset. Next to tackle is energy.

Consider your energy angels (givers) and your energy vampires (drainers).

These can be tasks, people, meetings, activities, drinks etc. Where are you spending most of your time.On average you need a ratio of 3:1 angels vs vampires.

Say NOYou know your purpose your strategy, your accountability, your tools and resources, your mindset and your energy. Now for the most challenging part, what can you say no to?

Often when we are looking at time management, we can the perfect schedule and the most beautifully colour coded diary in the world, but if we can’t say no to something that doesn’t allow us to meet our purpose or fit in with our strategy, even the best thought out plans can go out of the window.

There will of course always be something that comes up at the last minute that needs to be done. Say yes if it falls within your remit but be realistic about when you will be able to complete it by.

Consider now, when over the last month you could/should have said no to something.

Putting it into practiceNow you are clear on your purpose, your strategy, your accountability, your tools and resources, your mindset, your energy and what you can say no to, how do you actually put this into practice?

Allocate a maximum of 90 minutes to any task or activity (we lose energy and focus after this point)Schedule time in your diary for your priorities, accountabilities and responsibilitiesAllow time for ‘interruptions’Use the start of the day for the difficult/onerous tasks so they are out of the wayAsk yourself – will this help me achieve my purpose? Is this a priority right now? If the answer to either of these is no, don’t focus on them nowUse no more than headings to prioritise your day and colour code them in your diaryDelegate or empower as much as you can to keep you on track
