QUICK REFERENCE: POSTING A JOB ON THE UW WEBSITE The objective is to create a consistent and clean look across all University of Washington job postings. This includes establishing a compelling message, maintaining branding consistency and clarity, and increasing the ease and simplicity of the positing process. Ten Easy Steps 1. Before you begin, double-check to make sure that you have selected the appropriate categories for the requisition, to ensure that candidates can easily search for the opening. Always capitalize the title, appointing department name, and select union shop if position is contract covered. Open the posting template document in UW Hires. The template is located in the Web Posting Statements section on the My Desktop Page (See Fig. 1). The template and guidelines are also on the I:drive at I:\groups\hr\is-project\UWHires\training\Posting guidelines. The template is designed to be a skeleton which is simply copied and pasted (or use “save as” function) into a new Word document each time you want to create a new UW posting (See Fig. 2). (The last step will be to cut and paste the completed posting into the “UW Web Announcement” field coupled with the appropriate introductory paragraph.) 2. For the first paragraph in the posting select the pre-written introduction for the corresponding hiring unit which does not require any modifications. 3. Format a single space between each of the sections and left justify the document; html programming is not required for this. However, for other formatting, such as bolding or bullets, html is required. 4. The department name, position title and primary job function(s) should be included in the second paragraph. 5. Insert the core competencies in the third paragraph. Do not hesitate to use the sentence structure provided in the template. Below please find questions which can be used to ascertain core competencies. 6. In the fourth paragraph insert a customized sentence about the department or school in which the position is located; this is an opportunity to feature unique aspects of the work environment. The second and third sentences of this section should read exactly as shown in the template; they highlight our benefits and provide a link to the benefits web page. A link to both the classified and professional staff benefits is written into the template. Delete the link that does not apply to your position. 7. Please list all minimum, additional, and desired requirements in the designated fields, in order to comply with state law. Requirements for classified positions will automatically appear in the “required” and “desired” fields, and may need to be customized or modified depending on the position. 8. Please note, the EEO statement is programmed to automatically appear at the bottom of each posting. 9. Once posting is written, go to the Web View page of the requisition you are working on in UW Hires. Click on “Edit Web Profile” and paste the entire posting in the “UW Web Announcement” field (See Fig. 3), remembering to include the appropriate introduction at the very top. Use the “Required” and “Desired” fields for the requirements information (See Fig. 4 ). Keep auto-filled requirements that the system inserts for classified positions. Use the fields under the Posting Information and Basic Information tabs in standard manner; however, “Notes” field should now be used for very brief statements (e.g. “Part Time position, Three positions available). 10. Fill in the Conditions of Employment field (See Fig. 5). Insert relevant shift, physical requirements, or other conditions of employment here. Page 1 of 7
