INVENTORY AND SCHEDULE OF CONDITION
INVENTORY NOTES
The inventory provides a description, state and condition of the fixtures and fittings of the property together with a schedule of the
condition of the décor, flooring, windows, bathrooms and kitchen together with a description and schedule of condition of the gardens and
garage where applicable. Gas and electrical appliances as listed have not been checked or tested by the Inventory Clerk, and the details
within the inventory indicate the type and condition of the appliance at the commencement of the tenancy and in no way guarantees their
safety or function.
Whilst every care has been taken to ensure the accuracy of the inventory, it is the Tenant’s responsibility to confirm its accuracy and make
amendments where necessary. This will avoid any misunderstandings at the Check Out stage.
TERMS AND CONDITIONS
This inventory has been prepared by QWERTY inventories. The following is intended as an information guide to help both the Landlord and
the Tenant. Unless otherwise stated it is accepted that a listed item is in good condition and free from any obvious defects or damage,
however, it is the responsibility of the Tenant or their representative to agree the accuracy of the entire report. Any discrepancies
regarding the accuracy of the report should be brought to the attention of QWERTY inventories within seven days of receipt of report e-
mail otherwise it is accepted the report is accurate.
The Inventory Clerk is neither an expert in fabrics, woods, antiques, etc nor a qualified surveyor. The inventory in no way constitutes a
valuation or statement of authenticity. The inventory should not be used as an accurate description of each and every piece of furniture
and equipment. No attempt will be made to identify items by its original manufacturer or the period in which it was produced, the
inventory clerk will only describe an item as it is seen and will not state if it is antique, designer, modern etc. If items are brand new and are
to be stated as being brand new QWERTY inventories must be informed prior to the compilation of the inventory and check-in.
The Inventory Clerk cannot undertake to move furniture or to make searches in inaccessible locations such as lofts, cellars, locked rooms
and high level cupboards or to unpack items. We reserve the right not to handle or move any items deemed unsuitable for further
inspection. QWERTY inventories will not undertake to lift mattresses and inspect the undersides of them and therefore cannot take
responsibility for any damage missed.
It is not normal practice to include in detail any numbers and titles of books, plants, paintings or pictures, consumable items, paints and
other items other than garden tools and equipment found in garages and sheds.
All parties should be aware that the inventory is no guarantee of, or report, on the adequacy of, or safety of any equipment or contents. It
is merely a record that such exist in the property as at the date of the inventory was compiled and the superficial condition of same.
The Fire and Safety Regulations regarding furnishings, gas, electrical and similar services are ultimately the responsibility of the Instructing
Principal. Where the inventory notes “FFR label seen” this should not be interpreted to mean that the item complies with the “Furniture
and Furnishings (Fire) (Safety) (Amendments) 1993”. It is a record that the item has a label as described or similar to that detailed in the
“Guide” published by the Department of Trade and Industry March 1996 (or subsequent date), attached at the time of the inventory was
compiled. It is not a statement that the item can be considered to comply with the Regulations.
The Inventory Clerk is not an electrician or gas engineer and is therefore not qualified to test or report on the safety or working condition
of any appliance other than general visual condition. Electrical appliances, boilers, gas fires, water supply, alarms and radiators are not
tested. We will state that such an item exists at the property and its current condition.
Smoke alarms and carbon monoxide detectors, if easily accessible, will be tested by the clerk, this will be for power supply only and
recorded on the inventory as ‘sound emitted’ or ‘power light seen’, this should not be interpreted to mean that these items are fully
working and that the property complies with the 2015 regulations. QWERTY Inventories will take no responsibility for damage or mal-
function during the testing of such alarms.
It is the responsibility of the landlord/managing agent to ensure that the smoke detectors and carbon monoxide alarms comply with the
2015 regulations.
It is the responsibility of the Agent/Landlord to ensure that the property and all contents and furnishings are safe, suitable for the intended
purpose and comply with all relevant legislation (including Health and Safety). QWERTY inventories do not undertake any of these
responsibilities when commenting upon any such area.
Inspections and photographs included in the report may be hindered in instances of poor light or where cleaning levels are below standard.
QWERTY inventories take no responsibility for any errors or omissions in such circumstances.
The attending Inventory Clerk will make every possible endeavour to record all utility meter readings at Check In and
Check Out, however, it is not always possible to locate or access the correct meters (especially in communal blocks). It remains the
responsibility of the Agent/Landlord to furnish the Inventory Clerk with the correct access keys where required (for example communal
meter cupboards), exact location and serial numbers of meters that are not clearly marked with the house/flat number and the existence
and location of water meters where applicable. QWERTY inventories cannot be held accountable for any discrepancies. Should meters not
be located or accessible then no readings will be taken and we cannot be held responsible for this.
NOTES FOR THE GUIDANCE OF TENANTS
The Check Out report is based upon the state and condition of the property and its contents at the time
of the Check Out compared with that at the start of the tenancy, as detailed in the inventory.
All personal effects must have been removed from the property before the Check Out commences.
Failure to do this may result in an abortive visit and a charge may be made prior to another
appointment.
It is important that the property is restored and its contents returned in their original condition, taking
into consideration fair wear and tear. The cleanliness is not considered as fair wear and tear. Failure to
do so may result with your landlord or letting agent making a charge against your deposit for arranging
restoration work and replacement items.
All items detailed within the inventory must be returned to their original position. Failure to do this may
result in items being listed as “not seen” and a replacement charge being made. A charge may also be
made for returning furniture to its original position.
Decorations
It is accepted that there will be some wear and tear to decor, but tenants should aim to present the
property to the same standard as at Check In. Normal wear and tear is defined as the result of day-to-
day living. Excessive marks, furniture rubs, pencil and crayon marks are probably going to require some
renovation and tenants will be charged for these works. We strongly advise that tenants get written
permission from the agent/landlord before putting up shelves or pictures or installing satellite/cable
services, as charges will result from holes, nails or screws in walls and/or tears to wallpaper.
Cleaning
Tenants will be expected to return the property in the same standard of cleanliness as at Check In. Some
tenancy agreements will require professional cleaning to be carried out, especially if one was conducted
at commencement of the tenancy. Tenants should note that most Managing Agents/Landlords may
employ a contract cleaner if the standard of your cleaning is not satisfactory and there will be at
additional cost.
Flooring
The tenancy agreement may require that carpets are steam-cleaned at the end of the tenancy especially
where pets have been present. If carpets are badly marked or damaged tenants may be charged some
or all of the cost of replacement.
Kitchen surfaces and sinks
Kitchen surfaces will be examined for scrapes, cup marks, scorch and burn marks. If present, tenants will
usually be charged for repair or replacement.
Beds
These will be examined and therefore should not be made up. When appropriate and accessible
mattresses, bases, pillows and duvets will be examined for stains and damage.
Linen
If there is any linen on an inventory then you should make sure that it has been laundered and placed
neatly in the appropriate room. Additional cleaning charges will be incurred if this has not done.
NOTES FOR THE GUIDANCE OF TENANTS CONTINUED
Crockery, china and utensils
When there are crockery, utensils or china listed on the inventory, we will check for cleanliness, chips,
burn marks, loose handles etc. If damage is not agreed as being due to fair wear and tear tenants may
be charged.
Polished Furniture
Polished furniture will be examined for scratches, ring marks, burns, soiling and damage to joints.
Typically, repair costs and polishing costs are high, so tenants are advised to protect vulnerable furniture
from the outset of their tenancy with place mats, coasters, table cloths etc.
Soft Furnishings
Tenants should ensure that these are in the same condition as they were at Check In. Tenants will
usually be charged for any staining, soiling, excessive discolouration or cigarette burns.
Gardens
If a gardener has not been employed by the landlord, tenants will be expected to keep the garden tidy.
This will include cutting of grass, weeding of beds and maintaining the garden according to the season. If
the garden is not to the same standard as at Check In, it is very likely that the Managing Agents will
employ a gardener, the cost of which will be charged to tenants.
Apart from general cleaning, listed below are the most common areas missed and may incur additional
charges to the Tenant:
• All paintwork, skirting boards, dado rails, and architraves
• Ceramic tiles in kitchens and bathrooms along with grouting
• Edges of floors, and edges of all carpets
• Crumbs and dust from drawers and kitchen units
• All kitchen appliances including oven door, oven shelving, soap dispenser to washing machine,
filters of tumble dryer, dishwasher, microwave oven, and extractor hood
• Defrost and clean fridge/freezer
• Ceiling and wall light fittings, light switches, lamp shades, make sure all bulbs are working
• Clean between secondary glazed panels
For the Check Out appointment it is most important that:
• All cleaning has been completed prior to this time.
• All personal items have been removed.
• The property is ready to be handed over and the Tenant ready to vacate.
• If you are not ready to leave, it may not be possible to carry out the Check Out. In this case a
return visit will be necessary, and a charge will be added to the Check Out report.
• The Inventory Clerk acts as an independent and reasonable body and will avoid unnecessary
criticism or derogatory comments when compiling or checking the Inventory.
• At the termination of the tenancy the inventory will be checked and any obvious or significant
discrepancies will be reported to the Managing Agent/Instructing Principal. This report will
indicate whether, in our opinion, the tenant is liable for the deterioration or whether it is
considered fair wear and tear. Normal fair wear and tear will be assessed on the length of the
tenancy and type of occupancy.
CONDENSATION GUIDANCE
Damp or Condensation?
Winter time and the cold weather can result in signs of condensation inside your property. This is quite
common, even in a new property. The first signs are usually the appearance of black mould spots and a
musty smell in the coldest parts of your property – usually in the bedrooms and bathrooms. If your
property has been free from these signs in the warm summer months, then it is unlikely to be a damp
problem created by defects in the property – condensation is the most likely cause.
What is Condensation?
Condensation is a process where moisture/steam in the air inside your property is condensing-out into
water droplets on cold surfaces. This is most noticeable on hard surfaces like glass or tiles, where pools
of water may appear on window sills. With soft surfaces like wallpaper, carpets, bedding and clothes you
will not notice the water, but it will be absorbed into these items making them cold and damp and over
time resulting in mould.
What causes Condensation?
There are three main causes of condensation in a property:
• Rooms are too cold and inadequately heated, creating lots of cold surfaces.
• The production of too much steam from cooking, washing, showering, clothes drying etc – all result in
moisture laden warm air which will rise to the highest and usually the coldest part of the property
where condensation takes place.
• Inadequate ventilation of the steam produced at source, which keeps it all sealed within the
property.
• Modern properties with double glazing and draft proofing are effectively hermetically sealed boxes,
with little or no venting of excess moisture where it is produced, for example a bathroom shower or a
cooker.
How can I prevent Condensation and Mould?
You can do a lot to prevent condensation in your home.
• Maintain a minimum temperature in all your rooms especially bedrooms and bathrooms –
temperatures should not be allowed to fall below about 18c. If you are out all day leave some heating
on to keep the house warm – it costs less to maintain the temperature than to warm-up from cold
and it’s much more comfortable.
• Minimise the amount of steam you produce when cooking and washing and always vent this to the
outside, for example by opening a window or using the cooker extractor fan. Always confine steam to
the room it is produced in by keeping internal doors closed.
• Avoid drying wet clothes on radiators and try to keep them out by leaving them in a porch, utility or
garage. Make sure clothes dryers have an external vent.
• Measures such as these will cure most problems with condensation and mould. However, if the
property has become very cold and damp over a long period it may take some time to dry everything
out thoroughly with good heating so that surfaces are no longer cold and damp.
