1.0 CREATE%A%NEW%GROUP%

To!create!a!new!Group,!select!the!“Groups”!tab!at!the!top!of!the!screen.!

!

Once!on!the!Manage%Groups!page,!click!on!the!green!“+!New!Group”!button!–!located!on!the!upper!right!of!

the!screen.!

!

You!will!then!be!directed!to!the!Create%New%Group!screen.!

!

The$new$Group$you$created$will$be$reflected$on$the$Manage&Groups&screen.$

Enter!the!name%of%the%Group!you!wish!to!

create,!and!whether!you!would!like!this!

Group!to!have!an%expiry%date,!then!click!on!

“Create”.!

2.0 UPLOAD%YOUR%DRAWINGS%

To!add!drawings!to!your!bucket!firstly!click!on!the!“Groups”!tab.!In!the!Management%Groups!screen,!click!on!

the!“Upload!Drawings”!button!–!located!to!the!left!of!the!“New!Group”!button.!

!

You!are!now!on!the!Choose%Upload%Destination!screen.!

Step$1:$Select!the!Bucket!or!Project!you!wish!to!

upload!your!drawings!to.!

Step$2:$Then!select!the!Workflow!(status)!of!the!

drawing.!

The!Upload%Drawings!screen!now!appears.!

2.1%Browse%Files%Upload%

By!clicking!the!“Add!Files…”!button,!you!will!open!a!window!that!will!allow!you!to!see!all!the!files!on!your!

computer,!and!choose!the!ones!you!want!to!upload!to!RedEye!by!individually!selecting!them.!

Once!you!have!selected!the!files,!your!upload!should!start!automatically.!

2.2%Drag%&%Drop%Upload%

If!you!have!your!drawings!on!your!Desktop!or!in!an!easy!to!access!folder,!simply!drag!those!files!on!the!

screen!space!and!drop!them!on!the!grey!dashed!box!titled:%Drag%&%Drop%Drawings%Here.%

Once!you!have!dropped!those!files,!your!upload!should!start!automatically.!

!

You!may!upload!as!many!drawings!as!you!want.!

If!the!incorrect!Upload%Destination!or!Workflow!was!chosen,!simply!select!the!“Change!Destination”!button!

on!the!rightahand!side!of!the!screen!to!update!those!details.!

You!may!also!cancel!the!import!at!any!time!by!clicking!the!“Cancel!All”!button.!

Once$your$drawings$have$been$uploaded$to$RedEye$they$are$instantly$searchable$in$the$system,$to$find$out$

more$about$“Searching$for$Your$Drawings”$see$section$4.0.$

3.0 ADD%DRAWINGS%TO%A%GROUP%

Groups!are!used!to!group!drawings!together!and!share!them!with!different!users.!Adding%a%drawing%to%a%

Group%does%not%duplicate%the%drawing;%it%only%links%the%drawing%to%that%Group.%

There!are!a!couple!of!ways!you!can!add!a!drawing!to!a!Group.!

3.1%Drawing%Details%Page%

To!get!to!the!Drawing%Details%page!go!to!Drawings%>%Drawing%Number!of!the!drawing!you!wish!to!add!to!a!

group.!

$

Once!in!the!Drawing%Details!page,!choose!the!“Edit”!drop!down!menu!next!to!the!work!“Groups”!and!select!

the!“+!Add!to!Group”!option.!

!

!


A!pop!up!window!will!appear!allowing!you!to!select%the%group!you!wish!to!add!the!drawing!to.!Once!you!

made!the!selection,!click!confirm.!!

Please$note:$you$cannot$create$a$new$group$here;$only$add$to$the$drawing$to$existing$groups.$If$you$wish$to$

create$a$new$group,$follow$the$steps$on$item$1.0.$

Your!drawing!will!be!automatically!added!to!the!group!you’ve!chosen!on!the!previous!step.!You!can!see!the!

new!group!added!to!the!“Groups”!list!on!the!Drawing%Details!page.!

You!can!also!use!this!edit!function!to!remove!the!drawing!from!a!specific!group.!

3.2%Bulk%Action%

To!add!multiple!drawings!to!a!Group!you!can!use!the!Bulk%Actions%button!located!on!the!Drawings!page.!

Tick%the%box%next%to%the%drawing%you%with%to%add%>%Bulk%Actions%>%+%Add%to%Group%

!

A!pop!up!window!will!appear!allowing!you!to!select%the%group!you!wish!to!add!the!drawings!to.!Once!you!

made!the!selection,!click!confirm.!!

You!can!also!remove!drawings!from!a!group!in!the!same!way,!selecting!the!“Bulk!Actions”!button!and!

choosing!the!“a!Remove!Group”!option.!

4.0 SEARCH%&%VIEW%DRAWINGS%

Now!that!you!have!uploaded!your!drawings!and!added!them!to!a!Group!you!can!now!easily!view!and!search!

for!your!drawings!on!RedEye.!

On!the!Drawings!page,!use!the!Bucket/Group!drop!down!menu!to!select!the!drawings!you!want!to!view.!

You!can!select!it!either!from!a!bucket!(all!drawings)!or!from!a!specific!Group.%!

4.1%Different%Drawing%Listings%

Table%View!–!This!is!the!default!view!of!drawings!once!you!start!using!RedEye.!Drawings!are!displayed!with!

the!basic!search!options,!and!it!includes!a!visual!preview!of!your!drawing.!

!

List%View!–!This!option!gives!you!a!more!detailed!metadata!view!of!your!drawings,!which!includes!sheet$

number,$vendor$number,$project$number$and$sales$order.!It!does!not!include!a!preview!of!your!drawing.!

Grid%View%–!This!gives!you!a!more!visual!display!of!your!drawings,!which!includes!drawing$preview,$drawing$

number$and$description.!

4.2%Find%a%Drawing%

To!find!a!specific!drawing,!type!the!drawing!code!or!title!in!the!Search%Box!and!your!results!will!be!

automatically!refined.!

!

For!a!more!refined!search,!expand!the!Advanced%Search!box!by!clicking!on!“+!Advanced!Search”.!Once!

selected,!you!should!be!able!to!see!more!fields!to!refine!your!search!by.!These!include:!

• Disciplines!–!select!the!specific!discipline!your!drawing!relates!to,!choose!from:!electrical,!mechanical,!civil,!structural!or!regulatory.!

• Statuses!–!select!the!stage!of!your!drawing.!• Match!–!choose!the!match!options!for!your!search:!fuzzy$search,$keyword$and$exact$match.!• Metadata%Fields!–!all!your!preadetermined!metadata!options!will!appear!on!this!drop!down!menu.!

To$add$or$remove$metadata$see$topic$5.0.!• Page%Length!–!choose!how!many!drawings!you!wish!to!see!per!page.!• Thumbnails!–!if!you!don’t!want!to!see!a!thumbnail,!unatick!the!“Thumbnail”!box.!

4.3%Print%&%View%Stash%

To!print!one!or!multiple!drawings!from!this!screen!simply!select!the!Check%Boxes!to!the!right!hand!side!of!

each!drawings!or!alternatively!use!Drag%Select!to!choose!multiple!drawings.!

Once!selected!click!on!the!“Bulk!Actions”!button!and!choose!Print%Drawings.%

To!view!all!the!drawings!you!have!selected!in!one!screen!you!can!click!the!“View!Stash”!button.!

This!feature!is!useful!if!you!have!selected!multiple!drawings!that!appear!on!different!pages!of!the!search!

screen.!

You!can!remove!drawings!from!the!stash!by!clicking!the!trashcan!icon!or!empty%stash!button!for!bulk!action.!!

5.0 MANAGE%YOUR%BUCKET%

Your!Bucket!is!the!collection!of!all!your!drawings.!You!can!manage!your!bucket!through!Groups%>%Manage%

At!the!Bucket%Management!page,!you!can!perform!several!tasks!necessary!to!manage!your!bucket.!Tasks!

under!Bucket!Management!include:!

Overview!

This!tab!just!gives!you!a!general!overview!of!your!bucket!including!the!number!of!

drawings,!number!of!groups!and!users!and!reported!drawings.!

Approvals! This!is!where!you!will!see!the!“Additional!Group!Administrator!Requests”!

Bucket%Users! This!page!shows!the!Outstanding!Invitations,!the!Bucket!User!list!and!the!Project!User!

list.!To$invite$new$Bucket$Users$see$topic$5.1.!

User%Groups! To!create!groups!of!people!that!can!approve!drawings!based!on!the!discipline!type!of!

This!lists!the!invited!that!have!been!sent!to!users!that!have!not!yet!been!accepted.!It!

To!invite!Bucket%Users!simply!click!Invite%Bucket%Users.!A!popup!widow!should!appear.!! !

To!create!specific!groups!of!people!that!can!approve!drawings,!select!“Create!User!Group”!

Choose!the!role!of!the!user!form!the!drop!

down!box.!Then!enter!the!email!address!of!

the!user!in!the!email!field.!Click!Invite%

Users!to!confirm.!

The$name$of$the$invited$user$will$then$

appear$on$the$Bucket$User$List$with$the$

corresponding$role.$

Choose!the!role!of!the!user!from!the!

dropdown!box.!Then!enter!the!email!

5.3%Custom%Messages%

This!is!where!the!messages!and!announcements!that!appear!o!the!dashboard!are!placed!or!enabled.!

Items!on!the!Custom!Messages!are:!

• Bucket%Announcement!–!if!enabled,!will!appear!on!the!Latest!Activity!page!for!all!users.!• Email%Legal%Message%–!if!enabled,!all!invitation!emails!for!the!bucket!and!projects!within!the!bucket!

will!contain!the!legal!message!set!by!you.!• Manual%Redpen%Submit%Message%–!if!enabled,!a!warning!message!will!appear!above!the!manual!

redpen!submit!button.!• Custom%Print%Watermark%–!if!enabled,!it!will!replace!the!standard!“uncontrolled”!watermark!text!

with!a!custom!text!set!by!you.!

6.0 MARKUP%DRAWINGS%ONLINE%

The!On`Screen%Markup%Tool!is!designed!to!allow!RedEye!users!to!markup!drawing!directly!in!RedEye!using!

their!desktop.!

To!start!using!the!Markup!Tool!go!to!the!Drawing%Details!page!under!Drawings!>!Drawing!Number!and!click!

on!the!On`Screen%Markup%Tool!button.!

This!will!take!you!to!the!RedEye%Markup%Tool.%

On!this!screen!you!will!see!the!different!tools!you!can!use!for!markup!and!the!drop!down!Actions%Tab.!

6.1%Markup%Tools%

!

Undo!–!You!can!undo!up!to!your!last!20!drawings!actions!by!clicking!this!button.!

!

Normal%Pen!–!Using!this!tool!you!can!draw!free!hand!line!using!the!mouse,!or!if!using!a!tablet!

device!your!finger!or!stylus.!

!

Smart%Pen!–!The!smart!pen!create!automatic!version!of!the!shapes!you!are!creating,!for!example,!

if!you!want!to!circle!a!part!of!the!drawing,!using!the!smart!pen!will!allow!you!to!create!a!perfect!

radius!circle.!

!

Highlighter!–!This!tool!can!be!used!to!highlight!part!of!a!drawing!by!using!the!mouse,!or!if!using!a!

tablet!device!your!finger!or!your!stylus.!

!

Cloud%Pen!–!Select!this!tool!to!draw!a!cloud!around!part!of!a!drawing.!Once!activated!click!and!

drag!clockwise!in!a!circle!to!create!a!cloud.!

Text%Pen!–!To!add!text!to!a!drawing!click!this!icon,!then!the!location!you!wish!to!add!the!text!to.!A!

dialog!box!will!popup!where!you!can!enter!the!text!you!would!like!to!add!to!your!drawing.!

Select%Tool%–%This!tool!allows!you!to!select!any!part!of!the!drawing!or!markup!and!move!it!around!

as!necessary.!

Submit%as%Redpen.!

Save%Markup!simply!saves!the!changes!you’ve!made!and!allows!you!to!come!back!

later!to!keep!editing!the!drawing.!Please!note!that!only!you!can!see!those!changes.!

When!you!Submit%as%Redpen,!your!drawing!moves!along!the!next!step!of!the!

workflow,!for!approval!or!revision.!

7.0%SUBMIT%A%REDPEN%MARKUP%

There!are!a!two!ways!to!upload!hardcopy!redpens!into!RedEye.!

7.1%Email%Submission%

Marked!up!drawings!can!be!submitted!from!your!scanner!or!photocopier!via!an!assigned!email!address!

directly!into!RedEye.!

To!find!this!email!address!click!on!the!“Groups”!tab!and!locate!the!RedPen%Email!address!written!under!the!

Bucket!Name.!To!submit!a!redpen,!simply!email!your!drawing!changes!to!this!email!address!and!your!

markup!will!be!automatically!added!to!the!Drawing!Revision!History.!

7.2%Manual%Submission%

You!can!also!upload!markups!directly!from!your!computer.!!

On!the!Drawing%Details!page,!click!the!“Upload!New!Markup”!button.!

Locate!your!markup!file,!set!a!version!title!

and!click!Submit%Version.%This!markup!has!

now!been!attached!to!the!corresponding!

drawing!and!puts!it!in!your!Group’s!drafting!

queue.!

8.0%DRAFTING%YOUR%DRAWING%

8.1%Set%Up%a%Drafter%

Now!that!you!have!added!some!drawings!and!submitted!a!redpen,!a!drafter!can!draft!your!drawing.!You!

need!to!invite!a!drafter!to!the!Group!under!a!“Drafter!User”!role.!!

To%invite%a%drafter%simply%go%to%the%“Groups”%tab%>%Name%of%Group%>%Group%Users%

In!the!Group!Users!page,!click!the!green!“Invite”!button!on!the!upper!right!side!of!the!screen.!

!

Click!Invite%users.%

On!the!Invite%Users%to%Group!popup!window,!

choose!the!role!“Drafter!User”!from!the!

dropdown!menu!and!enter!the!Drafter’s!email!

address.!You$may$choose$to$invite$more$than$one$

drafter$by$adding$multiple$email$addressed$in$the$

space$provided.$

!


Once!completed,!an!email!invite!is!sent!to!the!user.!The!user!must!click!on!the!link!provided!in!the!email!to!

confirm!the!invitation.!!

Once!the!Drafter!clicks!on!the!link,!they!will!be!taken!to!a!“Group!Invitation!Accepted”!screen!confirming%

they%have%accepted%the%request.%

If!the!user!has!not!yet!registered!with!RedEye,!they!get!a!different!email!asking!them!to!register!before!

being!able!to!access!your!drawings.!Once!registered,!they!see!the!same!confirmation!screen!as!above.!

8.2%Drafting%

Once!a!drafter!has!been!invited!to!a!Group,!they!will!now!have!access!to!its!drafting!queue.!View!the!

drafting!queue!by!clicking!the!Drafting!tab.!

Under!Waiting%for%Drafting!is!the!drafting!queue!that!displays!all!of!the!markups!waiting!to!be!drafted.!

!

In!the!Drafting!tab,!click!on!the!drawing!number!of!the!drawing!you!wish!to!draft.!This!takes!you!to!the!

Drawing%Details!page!where!you!can!select!the!drawing!for!checkout!by!clicking!the!Checkout%for%Drafting!

button!on!the!right!hand!side!of!the!screen.!!

Alternatively,!back!in!the!Waiting%for%Drafting%page,!select!the!checkbox!to!the!right!of!the!drawing!and!click!

on!the!Checkout%Selected!button!at!the!top!of!the!page.!

!!

Those!drawings!with!an!“i”!symbol,!means!that!they!are!already!

checkout!and!appear!in!the!queue!as!a!FIY.!

!


Once!you!have!Checked%the%Drawing%for%Drafting,!click!the!Download%CAD!and!Download%Markup!buttons!

to!download!the!drawing!file!and!markup,!respectively.!

!

Please!note!that!the!status!of!the!Version%History!will!reflect!the!“Check!Out!for!Drafting”.!!

!

Once!checked!out,!the!drafter!can!then!draft!the!drawing!using!AutoCAD!or!whatever!program!chosen!to!

edit!the!CAD!file.!When!complete,!you!can!easily!check!the!new!drawing!file!back!in.!

To!check!the!drawing!back!in!click!the!My%Drafts!tab,!which!displays!all!drafts!you!have!checked!out.!

Click!the!Drawing!Number!for!the!drawing!you!wish!to!check!back!in.!On!the!Drawing%Details%page,!click!

Check`in%Drawing.%

Locate!the!drafted!drawing!file!on!your!computer,!and!click!Check`in,!to!confirm.!

!

Back!in!the!Drawing%Details!page,!the!status!in!the!Version%History!will!reflect!the!draft!checked!in.!

8.3%Review%&%Approve%Drafts%

Once!a!drawing!has!been!drafted,!go!to!the!Approvals!tab!on!the!main!menu.!

On!the!Waiting%for%Approval%page,!click!the!“Approvals”!tab.!You!will!see!a!list!of!drawings!for!draft!

approval.!!

!

To!review!a!drafted!drawing!and!approve!it,!click!the!“Drawing!Number”!in!the!Waiting%Approval!list.!The!

Approval%Tool!should!open!automatically.!

!


!

Here!you!can!compare!the!drafted!drawing!to!the!original!using!two!different!tools:!Overlay!or!Split.!Overlay%

view!allows!you!to!view!both!drawings!in!one,!where!you!can!fade!in/out!the!changes!made.!On!Split%view!

you!can!see!both!drawings!side!by!side.!Choose!your!preferred!method!on!the!top!right!corner.!

Here!you!can!either!Decline%Changes!or!Approve%Changes!by!selecting!the!appropriate!button!at!the!top.!

Approved!drafts!become!the!most!upatoadate!version!of!that!drawing.!Declined!drafts!go!back!in!the!

“Awaiting!Drafting”!queue!for!further!revision!(it!also!notifies!the!drafter!that!more!changes!are!needed).!

9.0%REPORTING%

There!are!eight!standard!reports!available!that!are!executed!instantly!for!analysis!at!the!Bucket!and!Group!

Level.

To!generate!a!new!Report!go!to!Groups%>%Manage%Bucket%>%Reports.!

Once!in!the!Reports!tab,!select!from!the!eight!different!options,!which!report!you!would!like!to!generate.!

Click!View%Report,!and!your!data!will!be!automatically!generated.!

You!can!Download%PDF%of!any!report!generated!by!RedEye.!
