The Need

International Justice Mission is seeking a qualified and energetic professional to provide senior

level administrative support to the Director of Operations, South Asia, and general administrative

support in a variety of capacities, specifically devoted to the Field Operations Department. The

successful candidate will be an independent thinker with superior problem-solving skills, a strong

attention to detail, and the ability to manage multiple competing priorities, projects, and tasks.

This position is based at IJM Headquarters in the Washington, DC area and reports to the Director

of Operations, South Asia.

Responsibilities

Assistant to the Director of Operations, South Asia

Serve as a gatekeeper for the Director of Operations by managing all incoming calls, mail,emails, and time requests, and prepare appropriate responses or follow-up tasks;

Comprehensively manage the Director of Operations calendar and maintain systems to

track the Director of Operations priorities and tasks to ensure appropriate prioritization and

follow-up;

Ensure the Director of Operations is prepared for meetings and events;

Perform tasks as delegated by the Director of Operations;

Draft and/or edit correspondence including memoranda, organizational reporting, e-mails,

and other documents on behalf of the Director of Operations and Program Manager to

ensure excellence in all communication from the South Asia region;

Process monthly travel and expense reports; and

Provide assistance to the Director of Operations on budget monitoring and compliance.

Support South Asia Field Offices

Manage the intake and appropriate processing of case referrals and general phone and

email inquiries received at headquarters related to South Asia and ensure appropriatefollow-up, managing IJMs response;

Track South Asia program deadlines and ensure appropriate and timely follow-up and

completion of stated priorities;

Gather resources needed by South Asia Field Offices and coordinate efficient and timely

delivery;

Develop and maintain the South Asia region's electronic filing and tracking systems;

Generate and provide monthly budget to actual reports to the Field Offices; and

Initiate monthly wire transfers to South Asia Field Offices.

Liaison and Gatekeeper for the South Asia Region

Serve as the liaison and primary point of contact between South Asia field offices and both

internal and external constituents;

Assist the Field Operations department in providing information for and/or presenting

quarterly briefings on South Asia Field Offices to headquarters staff;

Liaise with the Education and Donor Relations Departments to connect churches, students,and prayer partners, and other external constituents with the work of IJMs South Asia Field

Offices;

Assist in the compilation, tracking, and management of department statistics and case

information in order to provide data to internal and external parties upon request;

Support the overall organization and systemization of the Field Operations Department;

and

Assign projects and manage the workload of Field Operations interns and fellows working

in IJMs headquarters office.

Travel and Event Management

Manage advance work and provide logistical support for the Director of Operations and

Program Managers travel to South Asia and all speaking engagements, liaising with IJM

meeting logistics, briefing and materials preparation, and cash advances; and

Coordinate and provide logistical support for field office staff on international travel and

headquarters-initiated events.

Project Management

Manage the planning and execution of events initiated by the Field Operations Department,

as assigned, such as staff retreats, Presidents trips, major donor and church v ision trips,

Team Week, and other activities; and

Perform other duties as assigned.

Required Skills and Experience

At least two years of experience providing top-level administrative support in a fast-paced,

professional environment;

Bachelors degree;

Exceptional ability in written and oral communications;

High level of proficiency with Microsoft Office 2000;

Superior administrative capacity to manage a large number of projects and tasks

simultaneously and to complete them with minimal oversight;

Demonstrated ability to develop effective working relationships; and

Strong relationship and interpersonal skills.

Mature orthodox Christian faith, as defined by the Apostles Creed;

Meticulous attention to detail;

Works well under stress;

Self-starter with strong initiative;

Disciplined with priorities; and

Adept at creative problem solving.
