Hello fellow alumni,
I wish this message finds you in happiness and prosperity. Being an alumni of my own
institute, I know how much an Alma-mater is important to an alumnus even after
graduating. During your stay you must have developed a bond with the institute and
especially with the hostel which will last forever. Many alumni come to the institute and
visit their beloved hostels every year to relive those memorable days back again after many
years. They feel happy after watching their hostels changed for better and developed in
terms of infrastructure and function. During the visits of alumni, Students always like to
interact with them and love to listen to the stories about the hostel.
Alumni have not only contributed to the development of hostel by critical funding
whenever needed, but also with their time, guidance and in whatever way possible. We
couldn't have achieved so much without your help. In the past, alumni have funded hostel
for creating new facilities to make students' lives more comfortable and enjoyable.
Under my guidance, with the help of student representatives, hostel council has always put
efforts towards making Saraswathi Hostel a safe, secure and homely place for students to
live and study. Focusing on improving infrastructure and facilities in the hostel, we would
like to further improve the standard of living in the hostel. We have also focused on
improving the overall personality of students by arranging different social events and
activities, encouraging them to pursue their interests and hobbies.
Being an alumni from Saraswathi hostel, you would certainly be interested in contributing
to its betterment. I invite you to read this proposal and contribute. I also invite you to visit
the hostel, talk to the students and relive the old days.

Summary of Proposal
Saraswathi hostel was designed with the intentions of serving as a second home and it has done so
duly without a doubt. Its main avenue adorned with beautiful trees is a whole different view in the
rainy season. True, monkeys are not the best species to share the hostel with, but it would be very
difficult to imagine it without them, for they have carved their own niche in its ecosystem.
The residents of Saras have always been proud of its colourful and successful history. Our hostel as a
team has set so many records in both academic and extracurricular activities. Of course this has only
been possible because of its fellow residents, but at the same time, the hostel has played a very
important role in changing many people's lives. We are continuously inspired and thrilled to be part
of such an amazing society.
Saras has provided its residents with a lot of support in literary and social events, sports, technical
events and general facilities. A huge Quadrangle, Volleyball ground, badminton court, basketball
courts and table tennis facilities are available in the hostel for all sports enthusiastic junta to make
the best use of. We also have a hostel mini-library with good collection of both academic and non-
academic books. The hostel has a music room with variety of musical instruments too. Tech savvy
people are a common sight in the tech-room, where they spend time experimenting with new ideas.
Besides all the things mentioned above, the hostel has spacious rooms, clean water, water
dispensers, washing machines and water heaters etc. which are essential for day to day functionality.
Every year a large fraction of the hostel expenditure goes into repair, renewal and purchasing of the
necessary requirements. But due to the constrained amount of money received to the hostel, many
of the facilities have not been upgraded at all or have been postponed for a long time. The current
Hostel Council has spent a major portion of the budget on cleaning, repairs and maintenance of the
general facilities. Majority of the money in the sports budget was used for purchasing sports
equipment like footballs, cricket bats etc.
Considering the expenses planned through the term, several projects had to be cancelled due to the
lack of funds to continue. These projects mainly include replacing the worn out/outdated inventory,
development of a hostel garden to improve aesthetics, setting up a hostel heritage room and several
other similar propositions.
Alumni funding would provide the required monetary help to ensure the financing of these ventures.
Section 1: Detailed Overview of Proposed Projects
I. Hostel gathering/Heritage room
Presently, the Saras common room is divided into two separate compartments. The first one
half is used for practice for events that require a dedicated space for practice, the second
compartment is separated from the first one by a glass partition and is used as a music room,
to practice music and store instruments.
Under the project mentioned above the first compartment of the common room will be
changed to a gathering cum heritage room. The gathering room can be utilized for recreational
purposes; it is expected to improve the communication and interaction between residents a
lot. We intend to put up items of heritage in this room and we will exhibit them on hostel
nights. Among the items that will be displayed are hostel jerseys from previous years, hostel
RG book, alumni book, photo albums, trophies etc.
We are confident that this would ensure that more people would be made aware of the rich
heritage of the hostel and not just its residents. Alumni who come to visit the hostel can also
reflect on the contributions of their predecessors and successors, some of which they may not
be aware of. For bringing about such a change, some improvements would have to be made
to the existing room including new furniture, sofa sets and glass cabinets for the trophies. As
a token of thanks from hostel, we are also planning to have a “Donors’ Board” in the heritage
room which is a display of gratitude to those who have helped make the hostel a better place.
II. Sports/Fitness/Entertainment facilities
Gym Facility
There are many similarities between our hostels and those of world class institutions
around the world. However, one of the few things that is absent in our hostels is a basic
gym facility for students to train and exercise at. A few hostels have taken an initiative
towards building such a facility. We too intend to see to the establishment of a good
gym facility for students to use.
We intend to acquire the necessary equipment needed to perform common exercises
(push-ups, pull-ups etc.) with ease. This would include very basic training equipment
including weights, bar, benches and the like.
Entertainment
At the hostel level there is an absence of a hangout room for people to spend their free
time at. We want to create such an entertainment zone where people can go enjoy and
relieve stress. Foosball has proved itself to be the favourite casual game for many and we
would want to have a table in this room.
We are looking for a funding of Rs. 25,000 for foosball table along with the complementary
options of a carrom table or other similar games.
Lighting and Ground Improvements
What is the soul of hostel? It is without a doubt the hostel quadrangle. After a long day of
classes, many enjoy spending countless hours in heated play here. It has been several years
since its surface has been relayed and the loose dirt on the surface makes gripping difficult.
We are looking to get the quadrangle and volleyball court relayed by the end of the
coming semester. Along with this, we intend to get some good quality LED floodlights and
fix the existing ones that light it. Floodlights are really important because students like to
play in the evening after the day full of classes and lighting is the main problem associated
with playing late.
The basketball court also needs some fixing up, the net is tattered and the ground
markings have faded away after years of play.
III. Hostel tech-room
Hostel tech-room is maintained by the hostel technical secretary and is the regular
hangout spot for tech savvy people. Students participate in various Tech-Soc events and a
lot of group work and enthusiasm has gone into every attempt, whether successful or not.
Every year the tech room requires funds for maintaining and repair of equipment, and
renewals. Apart from that we intend to buy a desktop computer with better processing
capabilities so that people can use it whenever they work on computationally heavy
projects.
IV. Hostel music room
In the lit-soc sphere, Saras has a vivid history of stunning performances. The consistent first place
finish from 2009 to 2013 in lit-soc saw for the first time the awarding of the shield as homage to
all the blood, sweat and tears put into seeing the hostel succeed year after year. Saras has always
been a filled with talent in all aspects of music and performance arts.
In light of the same, we would like to revamp the music room by soundproofing it so that people
can practice without the worry of disturbing others at any time of the day. Additionally, we intend
to install an air-conditioning system to add an element of exclusivity and comfort to the room.
Also, the existing instruments are not in great shape and an additional expenditure would be set
aside for the repair of existing and purchase of new instruments.
V. Hostel TV room
On the night of any sporting event, irrespective of which, the hostel TV room is flocked by
enthusiastic junta who come to witness the live action in the midst of their hostel mates.
Whether day or night time, there are always people in the room, arguing over who the
best player is.
The 50 inch LCD TV that we have currently is certainly one of the things in the hostel that
most would brag about in the company of friends from other hostels. The TV is in great
shape, however a few things we need to upgrade are the sound system and carpet.
It is a weekly occurrence to see the room full of folks cheering their throats out for their
favourite teams, but due to the absence of a speaker system, the people sitting in the back
half experience audio issues and face difficulty in being able to listen to the commentary
(in the case of sporting events). This necessitates the upgrade of the sound system in the
TV room.
Regarding the carpeting, funding for the existing carpeting that had been donated by
alumni a few years ago. Considering the extensive usage of the room, it has gotten dirty
and is in requirement of replacement which we also intend to do.
VI. Hostel printing facility
The facility leverages cloud printing technology developed at Centre for Innovation, IIT
Madras. With this facility, students need not step out of hostel to get printouts. Also, it
makes printing accessible round the clock and supports printing from mobile devices
too. This makes printing easy and less time consuming for students.
Your donation will be used to purchase a multi-function printer along with 5 year annual
maintenance contract, couple of single board computers & routers and miscellaneous
accessories such as table, staplers etc.
VII. Garden and infrastructure
The gardens, that have been set up in the new wing and beside the volleyball court are a sight for
sore eyes as one enters into the hostel. However it is need of proper upkeep with the employment
of a dedicated gardener. Clear improvements would be seen with its replantation and regular
maintenance. The garden’s functionality can also be improved with the help of a few benches set
up on either side.
Plants line the boundary of the new wing garden however there are barren patches towards the
center. Setting up a lawn to cover these areas would greatly improve the aesthetic aspect of this
garden that decorates the entry point into the hostel.
VIII. General facilities
This list includes the most pressing needs for the hostel which would see regular usage on a daily
basis. The Hostel Council wishes to fulfill these needs on an urgent basis as the unavailability of
items on this list has impacted hostel residents more significantly.
● Washing Machines- All the old washing machines and currently non-functional washing machines are to be replaced with new washing machines. Keeping in mind the frequent use, heavy duty automatic washing machines are planned to be installed.
● Water Dispensers- We plan to replace all the old water dispensers in hostel by new
dispensers within the upcoming year.
● New books for hostel library- We have small sized hostel library consisting of books of many genres. We have been upgrading the library to make it most useful for people every year by adding new books into our collection. With the help of alumni funding we can put a strong step towards creating a good hostel library.

Section 4: Conclusion
All the information regarding the proposed activities for funding are mentioned above in detail. If any
further clarification is required regarding any of the propositions and their feasibility, it is recommended
to contact the Alumni Affairs Secretary (contact details shared below).
We strongly encourage the alumni of our hostel to come forward and donate, however small an amount it
may be. With your help we can make Saras a better society to reside in. We also welcome donations as a
group/ batch.
Mother Teresa had once said - “It’s not how much we give it is how much love we put into giving”. We are
are extremely indebted to all donors regardless of the amount of donation, we respect your love towards
the hostel. But just to honor the more generous donations, we have introduced two schemes for donors’
appreciation.
Scheme for donors’ appreciation:
I. Diamond Donors
This title is given to an alumnus or a group of alumni donating an amount of Rs. 5 Lakhs or more.
A board will contain the names of all donors in this category and it will be kept in the newly proposed hostel
heritage room under the title Diamond donors. A group of alumni donating more than 5 Lakhs also gets
the group name up on the Diamond Donor’s Board.
II. Golden Donors
This title is given to an alumnus or group of alumni donating Rs. 1 Lakh or more to the hostel. A
board will contain the names of all donors in this category and it will be kept in the newly proposed hostel
heritage room under the title Golden Donors. A group of alumni donating more than Rs. 1 Lakhs would also
get their group name up on the Golden Donors’ Board.
● Donors’ recognition
1. As a gratitude from hostel, all the donors’ names will be put up in the hostel website.
2. We also display the names the Diamond and Golden donors on the Donors’ Recognition Board put
up in the heritage room.
3. All the donors will names will be displayed in the yearly newsletter of Saraswathi hostel.
● Supervision and Execution
All the proposed purchases and installations will be done under the supervision of the Warden, Saraswathi
hostel.
The Hostel Council will undertake the execution of the proposed plans after approval by the Warden.
Hostel residents will be taken into confidence while executing the plans.
● Reporting of progress and Feedback
We take responsibility to use the donated funds to be used with utmost sincerity and only to improve
hostel facilities. Timely information about the utilization of funds by the Hostel Council can be conveyed to
the donors in following ways:
I. Office of International & Alumni Relations will be informed about the progress of the work and
donors will receive notifications regarding the same regularly.
II. The donors can also personally contact the Alumni Affairs Secretary via email or phone to know
the details.
Information about completion of big projects in the hostel can also be received from the hostel website.
