1.1 Arrangement of the venue, introduction, assess of expectations,

contributions and fears.

After the practical arrangement of the venue, we officially start our Kick Off meeting. We proceed

with a quick round, sharing with the rest of the group our name, our organization, our role in the

organization and other personal information.

After this we pass through the programme of the meeting and we assess the expectations,

contributions and fears of the participants about:

• The meeting itself

• The programme and its sessions in particular

• The partnership

• The seminars

• The online work

• The follow up

2.1 Team building

The team building session was runned by Paulo Gaspar, a member of the Dínamo’s pool of

trainers. After a name game and an energizer we experienced the Spider Web. After this, Paulo

share with us his experience in Dínamo as well as a short presentation of the work of Dínamo in

the fields of Youth Participation and Non Formal Education. The session outline, created by Paulo

with the feedback of Matia, is available asking it by email to Matia ([email protected]).

2.2 Activity plan and Distribution of task review

After the sharing of Paulo and the presentation of Dínamo we feel the need to know more about

the team of partners so we organized this session as a round of short presentation of our

organizations. The results were:

Dínamo:

Student will be part of the project => they will evaluate the “change” of their teachers.

SKILLS: Technical aspects of the website [the demain is already bought for 7 years!], cases-stories

of cooperation at local level [private schools for young people who want to become nurses]

Note: in the past they did not achieve the results – in terms of quality – they hope to reach them

with this project

AMSED:

Youth NGO that work at local and European level, particularly involved with young people with

fewer opportunities

TARGET GROUP: young people with fewer opportunities

SKILLS: Active citizenship

ACITMMM:

NGO with 5 years

20 volunteers that work in TIC, Portuguese, English, Arabic languages courses, food distribution,

school support for children

TARGET GROUP: focus on migrants, but open to everyone

SKILLS: Volunteering, immigrants’ background, how to work in a community

With this sharing moment we sum up our “bank” of TARGET GROUP, which we work with, and

SKILLS we have in our partnership. The results were:

TARGET GROUP: young people, politicians, civil servants, decision makers, teachers, migrants,

youth leaders and youth workers, educators and trainers

SKILLS: Financial management, project management, website technical management,

presentation of case-stories of cooperation, activie citizenship, volunteering, migrants, community

work, intercultural education, non-violent communication, evaluation methods, intercultural

education, facilitation and training in NFE, communication, creation of multimedia contents.

The group of participants prepared also a draft of the mobility in France, which was planned to be hosted by LDE, but, considering the recent drop

out of this partner these results is not reported in this document.

This work of the timeline bring up some doubts about the entire Partnership, such us the principle of Non Formal Education, the aim and goals of

the partnership itself, the multiply effect of the mobilities, the roles of the partners and the contribution of the learners. The discussion about these

questions was very useful for all the group, even if it mess up a bit our programme. For practical reasons and to make this report more readable we

will follow our index (page 3) and we will present here the results and the decision we took in each topic. More information about the discussion

itself can be asked to the email.

2.4 Solving the timeline

Considering the questions we found above we try to find a fil-rouge among our mobilities. The aim

of this activity was understand the local goals of each meeting, meaning the ones that will create a

local impact, but also understand the international goals of the mobilities, which make sense for the

participants and also for the entire partnership.

To do this we try to understand which results we want from each mobility and from the partnership

itself. We try to find a link between the mobilities respecting the partners’ needs. We define that the

web platform can be the right space to share and gather all the materials.

Unfortunately in this Kick Off meeting we reach to do that just for the 2º mobility in Sicily, with the

contributions of the group with a special help of the Comune di Santa Elisabetta e Bee.com. With

the other mobilities’ goals the aim of the activity was not reached, by the way the results are:

Local Goals International Goals

Create a working group on active participation(To do that they need trainers coming from abroad to do ice-breakers and team-building activities);

Present the grundtvig project SCOOL (Meeting with the media and the local representatives);

Workshop on history of participation in europe + legality issue (Massimo with the help of the nfe facilitators will do a presentation on participation)

Bring knowledge from the workshop to the partners;

Notes from Bee.Com: Our suggestion is that during the meeting in Sicily we will tackle the topics of Democracy and Youth Participation with one or more NFE workshops ruled by Dìnamo or Amsed. If the topic of Participatory Budget is needed we can organize a meeting on this topic in Tuscany since here, from 2007, we have a special regional Law (69/2007) that has been created to finance the participatory processes on different levels.

3.3 Task division

Once more time, considering the needs of our group, we decide, before step forward, to define

better the task of each partner in different “field” of the Partership. The discussion was a long

discussion and the results are:

COMMUNICATIONThe coordination of the internal communication is in charge of SE and Dinamo.The coordination of the external communication is in charge of Bee.com.Translation will be in charge of LMV.

We will send the description texts for the SCOLL book to Massimo and he will realize the brochures to be presented in the first meeting in Santa Elisabetta. It will be a SE expense.Everyone will be engaged with the communication in his own country.

European Level: everyone will be in charge of this task, Dinamo, as coordinator, need to do an extra effort since it's the coordinator of the project.

WEBSuper-administrator: LMVVimeo channel: Bee.comEditors: All of usE-Learning platform coordinator: LMVMobilities’ Report: The one for the platform is in charge of the host organisation. The report has to be sent to the partners maximum 7 days after the end of the meeting and it has to be uploaded on the platform maximum after 15 days after the end of the meeting.

On the web-site there will be a menu with all the mobilities: for each mobility there will be 1 general report in english + pictures + video (if needed).

Dinamo will do the first template for the report and they will send it to the partners for feedbacks and then this template will be used forever and ever.

The Communication-Board will be composed by:• one person from Bee.com (Serena)• one person from LMV (Feldi)• one person from Comune di Santa Elisabetta (Massimo)• one person from Dìnamo (Matia).

The first task of the communication board (in charge of Serena) will be to set a list of Tools in order – later on – to create a layout for the Tools to be “stored” on the E-Platform. The lists will be discussed by the board and then proposed to the staff in the Google-Group. This process will be useful also to divide the visibility contents (such as pictures or video of the activity) from the Tools to be used by the learners. (For example some kind of video will be stored in the session “video” of the web-site but not in the tools section since they cannot be used as tool.

The web-site has many function: it will be the diary of the project and also the box for the products and it can be also

EVALUATIONMobilities evaluation:Interkultura will be available for advise, but every host organization will be in charge for the evaluation. If Leila is personally present she can organize a session of evaluation: if she or Ivan are not present they can support the staff of the host organization through feedback on the preparation step.

Bee.com will be responsible for the final camera-diary video that can be used as an evaluation tool.

3.4 Financial aspect

To better defie the common financial aspect of the partnership we try to define which all the kind of

expenses that we will have during the project. The results are:

Mobilities expensesEach partner pays its expenses in each mobility and receives its personal invoices. The hosting

organization can support the partners asking for the invoices to the hotels, restaurants and other

companies.

4.1 Finding the path

As we saw, the try to define a timeline for the project bring us several doubts and question to be

solved. TO do so, with the help of Leila and Tarek in the last day, we try to find again the path.

After an energizer and a small teambuilding activity we define which were the main doubts that

were needed to be discussed and solved. This exercise was very useful for the group of

participants in the meeting to step forward, but it was a process, so the results can make less

sense in this report that what they make during the meeting. By the way they were:

4.2 Setting up evaluation

Looking at the previous exercise we decide to move on. With the help of Ivan we set up a general

online survey on Googleform to be used as one tool of evaluation in each mobility. Ivan plan to

discuss and write the questions during this session but, considering the lack of time, we just

brainstorming and feedback the work he already did and then he complete the form after the Kick

Off Meeting. The final form is divided in several parts, such as:

There are mandatory and optional questions divided in quantitative and qualitative ones. According

to the previous answers of the participants he/she will be directed to the next questions. The

survey will take around 30’ to be filled. In the beginning there are the rights of the participants and

the contact of Ivan for technical problems, questions or suggestions.

This is the general form, designed already for the Kick Off evaluation, then, with the help of the

partners, Ivan will design one form for each mobility based on this one and focused on the goals

and activities of the mobility. In each mobility we will define if we want give to the participants the

survey online with a deadline, once they can back home, or in paper, to be filled on the spot. Ivan

suggested to be online to have better and more realistic results. The survey can be translated in

other language if needed.

The results will be used for the evaluation of each mobility, for Mid-Term report, for an on-going

evaluation among the partners and for the final evaluation.

This is a very important tool for evaluation, but it will be not the only one. In each mobility we will

have also other kind of evaluation on the spot and once back home such us “creative evaluation”,

video evaluation and testimonial from the participants.

4.3 Website and e-learning platform

With the help of Paul and Gabi we quickly analyze the website and its e-learning platform of the

project. The demains, partnershipscooll.eu and elearning.partnershipscooll.eu, are already bought,

but not active yet. We agree that the superadministrator of the website and of the e-learning

platform will be LMV and that all the partners can be editors.

For the website we agree that it will have several parts, such as:

1º part: Information about the LLL Programme and the Grundtvig Action, the S.Coo.L.L. Partneship

and all the partners and the mobilities (programmes, reports, fotos, videos – uploaded also on a

Vimeo channel)

2º part: Bank of tools. The communication group will define a list of tools and topics for them to set

up this part of the website

3º part: E-learning platform. Each partner will be the “teacher” of each “course” and we can upload

documents, send message to the learners and interact with them.

Due to time obstacle we did not close this decision making process about the website in the Kick

Off meeting and we will work on it also before the 2º mobility in Sicily (January 2013).

Conclusion

This report was filled by Dínamo – Associação de Dinamização Sócio-Cultural (Portugal) and

feedbacked by all the partners involved in the Grundtvig Learning Partnership “S.Coo.L.L.” (2012-

1-PT1-GRU06-12037). Its aim is to report, in a readable way, what happen in the working moments

of the Kick Off meeting in Portugal. We choose, as team of partners to do this, in order to keep the

transparency of the project and to keep the track of our work.
