Request for Proposals for Gardening Services

Summary The Lincolnwood Public Library District is seeking proposals from qualified firms to provide gardening services for the library. The contractor will provide early spring to late fall maintenance of all planting beds on the library property. Lawn care is provided by in-house maintenance staff (mowing, fertilizing, etc.) and is not included in the scope of work. The selected contractor will work with the Head of Operations to plan and budget for future projects to maintain attractiveness while following village code and board direction. The library will begin a building renovation in early April 2016 which will include some landscaping to be added to the scope of work during the 2016 contract.

Property Information

Current planting beds (A plat of survey is attached to this RFP.) o Hedging along the south, west, and north perimeter of the parking lot o Planting bed at parking lot entrance o Center island of asphalt parking lot (newly installed sculpture) o Monument sign with planting bed on west side of property (at corner of Lincoln and

Keystone) o Planting bed at sidewalk between asphalt and permeable paver parking lots o Northwest and northeast planting beds in permeable paver lot o Center island and south planting beds in permeable paver lot

Planting beds to be changed/added in building renovation o Ivy wall to be added near front entrance o Planting beds along west side (front) of building wrapping around circular room o Raised beds along south side of building under overhang o Ivy wall and planting bed along east side of building o Trees to be planted along north property line

Irrigation system throughout the entire property is maintained by Naturescape Design Inc.

Scope of Work and Requirements Maintain plants including but not limited to regular weeding, pruning, fertilizing, and cleanup.

Plan and propose individual projects to refresh the plant beds on the property. Low-maintenance, native plants are strongly preferred.

Building Renovation: The chosen contractor will be responsible for maintaining the planting beds as they are added and changed as briefly outlined in the property information above. A landscaping plan and renderings are attached to this RFP.

Center Parking Lot Island: the library recently installed a sculpture in the center of the asphalt parking lot. In addition to regular maintenance, the contractor will need to complete a planting project in this area surrounding the sculpture.

All equipment and supplies necessary to complete the work are to be provided by the contractor.

Proposals Requirements Submissions that do not include each of the seven requirements listed below will not be considered.

1. References from at least 3 current or past clients of similar size, preferably commercial facilities 2. A description of experience 3. An overview of the company 4. A proposed schedule of regular maintenance 5. An outline of pricing with a sample contract 6. A statement confirming a valid Contractor’s License with the Village of Lincolnwood 7. Separate quote for the planting of the center island in the asphalt parking lot
