Community Transport Administrator and Operational Assistant
Responsible to: Community Transport Manager
Based at Shotts Healthy Living Centre
Hours of Duty: 35 hours per week
Salary: £17500.00
JOB PURPOSE
To support the Community Transport Programme in the day to day running of the programme support the Community transport Manager with Office duties and as an Operational Assistant.
MAIN DUTIES
Operational● Lead the day to day administration for Community Transport● Deal with incoming calls and bookings for Community Transport● Deal with bookings for our volunteer drivers Medical Appointments programme● Liaise with the Community Transport Volunteer Drivers● Support the Community Transport Manager in community transport legislations
and operational procedures.● Ensure that there is compliance with GBT procedures, rules, relevant regulations
and policies in the role as a Community Transport Provider● Input data information to the GBT Data Base (have MS Access and MS Excel
experience● Ensure that standards are maintained and developed in line with GBT Work Plan,
and Customer expectation.● Meet the aims, objectives, and targets of GBT Delivery Plan in so far as it relates
to the office● Office responsibilities
● Drivers
Liaise with drivers and assist with drivers’ allocations of bookings and ensure that the are covered correctly.
Keep driver records and files up to date Assist in the processing of driver leave requests/ensuring all leave is shown in the
online diary.
Vehicles
To check vehicles on a regular basis to ensure that the are being cleaned to a high standard and report back to the Community Transport Manager.
Liaise with provider of bus maintenance contract and ensure that buses are booked in for services at the correct time and MOT’s and TAX are dealt with.
PERSON SPECIFICATION
Essential
1. Excellent communication skills, together with a caring and helpful attitude that reflects the overall culture of a charitable community transport operation.
2. An understanding of the needs of users with mobility, sensory, emotional and/or behavioural difficulties.
3. An understanding and awareness of the importance of confidentiality and discretion when dealing with users.
4. Have good computer skills and experience using Microsoft Office software Packages.
5. An Understanding of office administration systems and the ability to work accurately to these systems in a pressurised environment.
6. Ability to manage own workload on a daily basis.7. Experience in dealing with the general public8. Experience of data inputting9. An understanding of the services provided by community
transport.10. Experience of Community Transport Legislation.11. Experience of Community Transport Operational
Procedures.12. Clean D, D1 or D1 (101) Driving Licence.13. Ability to Work flexibly.
Desirable
1. Midas/PATS trainer2. Basic Mechanical knowledge3. Excellent geographical knowledge of Central Scotland Road Network and
route planning ability.4. Willing to undergo driving assessment and training.
