Offers are invited from reputed firms /agencies having experience and expertise in making light & Sound and other arrangements in Classical Musical Festival. Offers should be submitted in two bids – “Pre-qualification Bid” with required documents and “Price Bid” in the prescribed format. The offers should reach the office of the Managing Director, Odisha Tourism Development Corporation Ltd., Lewis Road, Bhubaneswar -14 by 11 A.M of 19.11.2012. “Pre-qualification Bids” will be opened first on the same day at 3.30P.M. followed by opening of price Bids of those who will fulfill the Pre- qualification bids. The covers should be sealed and super-scribed in Bold letters “Pre-qualification Bid”/“Price Bid” of stage and Light and Sound Arrangement for Rajarani Music Festival. The Authority deserve the right to reject any or all offers without assigning any reason thereof and is not under any obligation to accept the lower offer. Tender call Notice for Stage Light & Sound and other arrangements for Rajarani Music Festival – 2013 & 2014

Ltd. is going to organize Rajarani Music Festival at Rajarani Temple premises. Bhubaneswar from 18th to

20th Jan.2013 &14. Offers are invited from reputed firms /agencies having experience and expertise in

making light & Sound and other arrangements in Classical Musical Festival. Offers should be submitted

in two bids – “Pre-qualification Bid” with required documents and “Price Bid” in the prescribed format.

Light assistants for installing the above said lights and necessary technical checkups, as per the requirement of the light designer.

The stage light will be controlled by the appointed lght designer during the Rajarani Music Festival The stage light arrangement should be handed over to the festival authority by 5 P.M on 17.01.13

All light assistants and the generator operators must be present at the programme venue with the light designer during setting up the lights, stage rehersals and performances.

The cultural programme will run on Generator. The stage rehearsals any run on generator if

required.

k) Cabling and wiring With panel board LS N.B : The prices quoted for stage light and sound shall include programme from 18.01.13 to 20.01.13 and the price quoted for general ambience and other ancillary arrangements includes from 16.01.2013 to 20.01.2012. 1. All rates are quoted for the full period exclusive of taxes but inclusive of transportation. 2. The successful bidder shall arrange for electricity supply, clearance from Electrical Inspector and

CESU, if necessary. 3. Taxes as applicable will paid separately. 4. The authortity reserves the right to increase the scope of work as per the side requirement. In

which case, payment shall be made only on the actual work done on unit rate basis. 5. The stage Light section will be controlled by our appointed light Designer during the Rajarani

Music Festival. 6. The Stage Sound arrangements will be monitored by our appointed sound Designer during the

Rajarani Music Festival. 07. The executor shall produce list of equipments and work done each day at the end of the

programme and get it signed from the concern J.E. (Civil), J.E. (electrical) and Officer – in- charge of the festival.

08. Terms of Payment:- 50% of work order value will be released after the completion of the work and handing over the site and the balance payment will be released within 15 days from the completion of the event.

09. Time line for execution of the work:-

Mobilization of the material at the site before 10.00A.M. of 14.01.2013. Completion of fixation and Installation of the equipments etc before 11.00A.M. of

15.01.2013. Handing over of the site after completion of all works before 10.00A.M. of 16.01.2013. Trial run and testing on 16.01.2013, 05.00P.M.

10. Penalty Clause:-

Remedies available to OTDC/ penalty in case the agency failed to attain the time line

1. Mobilization of the material at the site before 10.00A.M. of 14.01.2013

OTDC can execute partly/ fully the work through other agency/ firm and deduct the cost from the amount due to the agency including forfeiting the EMD and the cancelation of work order.

2. Completion of fixation and Installation of the equipments etc before 11.00A.M. of 15.01.2013.

OTDC can execute partly/ fully the work through other agency/ firm and deduct the cost from the amount due to the agency including forfeiting the EMD including right to cancel the work order.

3. Handing over of the site after completion of all work before 10.00A.M. of 16.01.2013.

Penalty equals to 25% of the work order value to be deducted, in case agency failed to deliver the site before 10.00A.M of 16.01.2013. In that case, OTDC can execute the work through other agency and the cost to be deducted from the dues of the agency. In addition for each hour of delay beyond 10.00A.M. of 16.01.2013, Rs.5000/- shall be charged as penalty.
