Caravan Park Overflow (gravel carpark area only)
• This facility is only to be used as an overflow facility for the Richmond Lakeview Caravan Park. • Camping only allowed if approval has been obtained from Richmond Lakeview Caravan Park
Management with appropriate fees paid. • Campers must camp at site shown on attached map. • All rubbish is to be cleaned up and placed in appropriate rubbish bins. • No motor vehicles allowed on grassed areas. • No dogs allowed unless kept on chain – all dog excretion are to be cleaned up and removed.
Approved Camping Events
• Camping for Annual Events when camping is allowed 48 hours prior to and after the event. • No midweek rodeos or camp drafts will be allowed unless there is are exceptional circumstances.
Written permission must be first obtained from the CEO. • All rubbish is to be cleaned up and placed in appropriate rubbish bins. • No motor vehicles allowed on grassed areas. • No dogs allowed unless kept on chain – all dog excretion are to be cleaned up and removed.
Conditions of Hire
• Approval of hire of all council public area facilities must be obtained from the CEO prior to the event. • Use of the canteen/kitchen at the racecourse – must be left in clean and tidy condition and all
rubbish removed. No food is to be left in the refrigerator or on the premises. A cleaning fee will apply at cost of the canteen is not left in a clean and tidy condition.
• The Jockeys Room and Members Bar are the responsibility of the Race Club and approval to use these facilities must be obtained from the Race Club prior to any function.
• No motor vehicles allowed on grassed areas • No dogs allowed unless kept on chain – all dog excretions are to be cleaned up and removed. • No glass i.e. stubbies, bottles etc. permitted on the premises • All rubbish is to be placed in the receptacles supplied and will be removed by council. Three wheelie
bins are provided for food scraps. The facility is to be cleaned to the satisfaction of the Chief Executive Officer or delegated officer.

Hire Conditions
(a) All events and equipment hire must be booked at the Shire Office using this Venue & Equipment Hire Form. (b) A liquor license may be required if you intend to serve alcohol. You should check with the local police for further
information and ask them for an application form. Council may need to sign your application. (c) If using the bar area and cold room in the Hall please do not remove any stock that is stored by other clubs or
organisations. (d) Please ensure that you and your guests take care and respect Council's property. (e) All areas and equipment must be left in a clean and tidy condition and all rubbish removed. (f) All rubbish is to be placed in the wheelie bins and put out for collection on the kerb. (g) Floors must be swept and mopped and all benches wiped down. (h) Tables and chairs are to be stacked and returned to the storage area. (i) The facility is to be cleaned to the satisfaction of the Chief Executive Officer (or nominee), to ensure full refund of bond. (j) Council Administration Staff will arrange an inspection of the venue and equipment prior to your function and after your
function to ensure that all is in order. (k) Failure to comply with any of the conditions or damage to any of Council’s property will result in forfeiture of part or full
bond amount.

The above mentioned organisation agrees to reimburse the Council at the rate of $0.85 per km + full tank of fuel. A bond of $260.00 is payable in all instances of hire, buses must be clean and tidy when returned or bond will be forfeited. Below are standard rates for hire from Richmond and return.

All care and consideration will be exercised in the use of the vehicle and the organisation exonerates Richmond Shire Council from any legal responsibility in relation to all aspects pertaining to the use of the bus whilst under our jurisdiction. It is understood that the following conditions apply to cancellations; wet weather or other extenuating circumstances – 100% refund or cancellations which do not apply to the fore mentioned – 50% refund. My organisation makes itself responsible for any damage to seats, upholstery and fixtures within the bus and any damage occasioned by vandalism and is prepared to have such damage reinstated to Council’s satisfaction. (a) Hire to be at the rate of $0.85 per kilometre for the large bus, fuel consumed ie. taken from the depot with a full tank and returned to depot with a full tank of fuel.
(b) Bus is available on weekends and statutory holidays only with the express approval of the Chief Executive Officer. (c) Bus may be available for long distance hiring within the time limits framed as above, however, in the event of any
accident or breakdown any expenses involved in returning the bus to Richmond Shire Council’s Depot shall be borne by the hirer.
(d) Bus is to be refuelled at hirer’s expense prior to return to Council. Should Council be required to fill fuel tank at the conclusion of a hire period, fuel price will be determined by the highest local commercial fuel price on that say PLUS a surcharge of $0.10 per litre. This figure shall be invoiced in accordance with procedures and recovery will be subject to Council’s Debtor’s Policy.
(e) Damage to bus will be charged at cost to hirer.
