Let’s celebrate…

Thank you for considering Roodevalley Faircity Hotel, your event is important, and we are committed to

helping you create lasting memories.

Nestled on the banks with the Pienaar’s River in the Roodeplaat estuary, surrounded by a nature reserve and

part of the bird sanctuary. Roodevalley is an idyllic venue set north of Tshwane on a 11 hectar plot with

landscaped gardens boasting both indoor and outdoor venues, providing you a natural setting.

The Cormorant Terrace is an indoor venue which boasts extensive windows, overflowing onto a large

extended balcony, offering spectacular views of the river. It is ideal for any style of celebration you want to

create and seat up to 180 guests.

The Kingfisher Terrace is suitable for up to 80 guests. This is the perfect semi-outdoor venue that offers a

natural and airy feel, with exposed wood beams and thatched roofs, overflowing onto a large extended deck,

ultimately flowing out onto our lush lawn and views of our River.

The Woodpecker Boma is a covered thatched roof that can easily seat 80 guests, the venue spills out onto a

lawn area for pre-drinks or dance under the stars, complete with fire pits, braai and buffet area for that true

African Themed feel.

Our unique Loerie Amphitheatre has breath-taking views of the River and is the perfect setting for a

romantic outdoor event.

The Private Dining areas inside The Country Kitchen Restaurant, these two small indoor venues are perfect

for a small private function and get together, seating up to 15 and 30 guests.

Our Co-ordinator will from initial stage provide you with organized and attentive service to ensure your

event remains the talk of the town for years to come.

Our Executive Chef and Kitchen Brigade have crafted the perfect dishes for you to choose from to craft your

own style of menu. Roodeevalley’s kitchen is legendary for its generous country style buffet with traditional

and international cuisine. Guests with dietary restrictions or food allergies are easily catered for with prior

arrangements.

INFORMATION

The following can be arranged by the hotel with

outside suppliers:

• Tiffany, Phoenix or Wimbledon chairs

• Stationary & seating plan, menus and individual

name card, etc,

• DJ, Band, Music or any Sound and AV equipment

• Flowers

• Decorations and casual labour for décor setup

• Overlays and runners

• Chair covers

• Additional venues for storage and children’s

playroom and more.

TIMING LIMITS

• Morning: your venue will be available from 09h00

to 13h00.

• Afternoon: your venue will be available from 11h00

to 15h00.

• Late Afternoon: your venue will be available from

14h00 to 17h00.

• If you do run overtime with your event an overtime

charge of R550.00 per hour will be charged.

or Chef.

Timing Is Everything…

MUSIC

• Musicians, Bands or DJ’s must always be adhere to

reasonable noise levels as we have other guest at the

hotel enjoying facilities. As Roodevalley Hotel is

surrounded by a nature reserve and in a bird

sanctuary, we only allow our inhouse supplier who

has state of the art equipment at affordable rates to

ensure your party remains a hit. Please ensure that

they are made aware of this when you book them.

BAR SERVICE

• Please let us know if you will have a cash bar or

require an open bar and what you would like us to

stock with the open bar.

• Your wine list must be finalised 14 days prior to the

event day for us to finalise the orders and bill.

• No outside beverages may be brought into the hotel

• Upon arrangement, a corkage fee of R150.00 per

750ml bottle of wine or champagne will be charged

if we are not able to source your specific wine or

champagne.

• A set bar account must be settled prior to the event

when an open bar is required.

• All prices quoted are vat inclusive and are subject to

change without prior notification.

SERVICE PROVIDERS

• All decorations must be removed the same day as

the event, unless arranged otherwise.

• Roodevalley Hotel cannot be held accountable for

items stored at our venue.

• Please inform the florists, disco, band, entertainers,

etc. That we do not supply extension cords, nor

accept responsibility for any loss or damage to their

equipment.

• The service provider is responsible for cleaning the

area used during setup.

RISK, LOSS OR

DAMAGES

• Roodevalley Hotel, its employees or

any persons employed at any

function will not be held liable for

any loss or injury to persons, due to

negligence or any other cause

whatsoever

• Roodevalley Hotel will not be liable

for loss or damage to any property

whatsoever

• Décor must be removed by 09h00

the following morning. Roodevalley

Hotel does not accept liability for

loss or damage of any item

CANCELLATION: • Final number of guests must be confirmed in writing to our

offices in writing 14 days prior to the function date, after which

the numbers booked for will be charged.

• Full payment of invoice must be settled 14 days prior to the

function date.

• If the function is cancelled 4 months prior to the function date,

the client will be liable for the venue hire deposit amount.

• Confirmations and cancellations must reach our offices, in

writing, as per above.

• Please note that all outstanding accounts must be settled on the

evening after the function.

TERMS & CONDITIONS

CONFIRMATION • The company offers a service, venue or equipment to the client who hires the service, venue or equipment

in accordance with the terms and conditions set out in this document and the document headed schedule

of requirements which all form part of this contract.

• This contract must be signed and returned to our offices within 48 hours as we cannot guarantee that the

venue will remain available should this not be done.

• We regret that we cannot refund or carry forward any pre-paid deposits for any bookings cancelled after

confirmation of reservation.

• The client is liable for the bills signed by the client’s authorised guests / agents and bills incurred by the

the client’s guests / agents who are given signatory power by the standard issue of a room key card, unless

full pre-paid deposits are received from individual guests.

• Any client that contract with Roodevalley Faircity Hotel understands that the final payment of all

outstanding accounts vests with themselves.

• Any alteration to this contract is only valid if reduced in writing and agreed to by both parties.

• Strictly only environmentally friendly confetti products like flowers petals, bird seed or bubbles can be

used.

• No nails, glue or staples are to be used in the venues.

• Candle burns or wax damages to carpets or linen will be charged to the final invoice. Candleholders must be

wide enough to ensure no wax damages to any service.

• Sparkles, sky lanterns and fireworks are not permitted due to Roodevalley Hotel being a bird sanctuary.

• Roodevalley is a full-service hotel and no outside food or drinks are allowed at the hotel, note that

R 1500,00 penalty will be in-forced.
