Rotary Club of Box Hill Central Rotary Club of Box Hill Central Annual Report 2008 Annual Report 2008 - 2009 2009 President - Greg Cooper In my introductory speech as President, I promised to be brief and to maintain that tone for the year. I will do my best to balance the undertaking whilst briefly reviewing the year behind us. This year, was deliberately a year of review of the Club structure and procedures. Whilst my approach to this was somewhat businesslike, the projects and humanitarian existence for which we exist continued on. I don’t propose to go into too much detail in attempting to summarize the extensive list of projects undertaken and sponsored by our Club. They are spelt out in full by the responsible Directors in our Annual Report. Nevertheless, some highlights should be given attention. Under the stewardship of PP Lesley Bell, the club Fellowship Committee firmly placed “fun” back on the agenda with numerous social activities culminating in two opportunities to visit the Bell’s retreat in Bendigo to view the Archibald Prize finalists and sample pizza from their very own newly constructed oven. Lin Martin demonstrated the truth of the adage “if you want a job done (well), give it to a busy person”. In spite of her hectic schedule, Lin kept serving up speakers of the highest caliber. Her resignation, due to relocation, is a great loss to the Club, as with long term members Murray Baird and Kerry Barrett. In all eight members resigned over the course of the year, including Colin Macfarlane, who relocated overseas. Paul Evans, Kath Ronan and Ross Mitchell have joined over the course of the year and we have finished on 30 members. Well done to the members that achieved 100% attendance. This Whitehorse Cluster project is a spectacular success and consistently generates funds for the six Whitehorse Clubs and Rotaract.

In my introductory speech as President, I promised to be brief and to maintain that tone

for the year. I will do my best to balance the undertaking whilst briefly reviewing the year

behind us. This year, was deliberately a year of review of the Club structure and procedures.

Whilst my approach to this was somewhat businesslike, the projects and humanitarian existence for which we exist continued on.

I don’t propose to go into too much detail in attempting to summarize the extensive list of

projects undertaken and sponsored by our Club. They are spelt out in full by the responsible

Directors in our Annual Report.

Nevertheless, some highlights should be given attention.

Under the stewardship of PP Lesley Bell, the club Fellowship Committee firmly placed “fun”

back on the agenda with numerous social activities culminating in two opportunities to visit the Bell’s retreat in Bendigo to view the

Archibald Prize finalists and sample pizza from their very own newly constructed oven.

Lin Martin demonstrated the truth of the adage “if you want a job done (well), give it to a busy

person”. In spite of her hectic schedule, Lin kept serving up speakers of the highest caliber.

Her resignation, due to relocation, is a great loss to the Club, as with long term members Murray

Baird and Kerry Barrett. In all eight members resigned over the course of the year, including

Colin Macfarlane, who relocated overseas.

Paul Evans, Kath Ronan and Ross Mitchell have joined over the course of the year and we have

finished on 30 members.

Well done to the members that achieved 100% attendance. These were Lesley Bell, Malcolm Chiverton, Geoff Limmer, Brian Martin, Tony Stokes, Ralston Wood and myself.

Major beneficiaries this year from just our Club, include Bushfire Relief, Eastern

Emergency Relief, Mitcham Community House, Box Hill TAFE, Roberts McCubbin

Primary and Whitehorse Men’s Shed.

Maurice Benington and his committee organized the sponsorship of students for

MUNA, RYLA, NYSF, Box Hill TAFE scholarship and the School Leadership

Program.

PP Ken Clark, as International Service Director, participated in the selection panel

for our third Medical Travelling Bursary awardee, Partricia Car. Whilst this is our

single largest expenditure internationally, Operation Cleft continues to be our largest

project in time and effort. Most members of this Committee also work for Operation Cleft

Australia Foundation, now a separate legal entity. Chaired by PP Brian Martin, this

project, which has raised over $300,000 this financial year and is now approaching 4500 operations since its inception, continues to

attract strong representation from our members both in the administration and on

its board.

Thank you to Bruce McEwen for his reliable and timely production of our weekly email

bulletin. This stressful job has been done without fuss.

I am extraordinarily grateful to Club Secretary President Nominee Lindsay

Mackay for his quiet efficiency and his counsel.

Don Sweeney, as Treasurer, battled ably to transform our accounts from the barely comprehensible to the transparency of MYOB, which the Club purchased for ongoing use. In his absence for the end of year, Bruce McEwen did a magnificent job of balancing and reconciling the accounts.

PP Andrew Forgas continued his role as Chair of the Shire On Awards and the Club nominated two entrants this year. His experience will be invaluable as we participate in hosting the awards for the District this coming year.

President Elect Geoff Limmer has been extraordinarily busy in preparing for the new year. It has been a revelation to me working with him this year as I’ve observed his boundless energy and ideas. I’m confident the Club is in safe hands.

A HEARTY CONGRATULATIONS to our Paul Harris Fellow recipients; Don Sweeney, Craig Hoath, Raeleen Hoath, Suzanne Clark and NaankiPasricha. You are all richly deserving of your awards for your generous and selfless giving.

Thank you to the Board and to the quiet heroes of the Club. May I also thank all of those supporting partners behind the scenes who so regularly chip in to assist and patiently tolerate our absence on this or that project, Committee or Board.

It has been a pleasure being President and I thank you for the opportunity.

Club Fellowship Report 2008 Club Fellowship Report 2008 -- 20092009

Although small in size, the Club Fellowship Committee, with the

grateful assistance of Bernie Millaneand John Bell, managed to provide a wide-ranging program of social get-

togethers, as well as several community-based excursions.

Theatre activities included opportunities to visit two Peridot

Theatre productions: Calamity JaneMusical (7 participants) and Fiddler

on the Roof (small group), in addition to the amazing professional

production of Billy Elliott Musical (24 participants).

A special highlight prior to Christmas 2008 was a full day excursion on

Puffing Billy, which included a delightful train journey through the hills, culminating in a fantastic fun-

filled picnic, with our assorted youngsters and those still young-at-heart, who joined in various types of races and hunts, as well as the visit

of Santa. It was a wonderful day enjoyed by all of the 49 happy, but

weary Club members and their family members. By popular demand, there will be a repeat performance of this

event later in 2009!

In early 2009, a number of interested Club members (23 participants) enjoyed an extremely interesting half-day tour of the Glen Waverley Police Academy, where we were able to see first-hand the thorough training rigors of the new police recruits. Needless to mention, the opportunity to join the hundreds of recruits and staff for a hot lunch added to the enjoyment! On another occasion, a visit and tour of the Carlton & United Brewery in Abbottsford provided another interesting experience for the 21participants, who learned much about beer production, followed by the opportunity to sample the range of beers brewed by CUB!

Of special interest was a visit to the Victorian County Court (11 participants), organised by Bernie Millane, whose sister, Judge Francis Millane, provided our Club group with the opportunity to learn more about the County Court and its responsibility within the state legal framework.

The final fellowship activity for the year has been two separate opportunities to be involved in Portraits & Pizzas (21 participants), which included a visit to the Bendigo Art Gallery to view the finalists and winners of 2009 Archibald Portrait Prize, followed by a make-your-own pizza in John Bell’s recently completed pizza oven at Lesley and John’s Mandurang South retreat in semi-rural Bendigo.

Following the Canberra Conference on Membership and Retention a Club Procedures Review Committee was established to explore those areas of the club that could be reviewed to make the club more attractive.

The committee made several recommendations to the board which were subsequently adopted. These included:1. Eliminated the practice of singing the National Anthem2. Eliminated the Club Invocation.3. Revision of Meeting Procedures in respect to the position of Meeting Chairman.

Operation Cleft Australia FoundationOperation Cleft continues to be our major international project. Whilst it now operates as a separate legal entity, it is controlled and supported by members of the Rotary Club of Box Hill Central. As of May 2009, 4250 disadvantaged children in Bangladesh have had their lives changed forever with reconstructive cleft surgery, speech therapy and associated services that have been funded through Operation Cleft by Rotary clubs, Rotarians and individuals throughout Australia. PP Brian Martin, Chairman of the Operation Cleft committee, has worked untiringly to implement the new structure over the past year and to ensure a more sustainable organisation for the years ahead. Special thanks also to NaankiPasricha (Project Manager) who established the project structure and procedures over the past year. Whilst Naanki’s role has now been completed, she has made a magnificent contribution to ensuring the long term viability of the project. Thanks also to Julie Stein (Administration Manager), who manages the myriad of day to day issues that arise in Australia and is the liaison contact with our associates in Bangladesh. A special mention also to committee members who carry out a range of roles to ensure the functioning and development of Operation Cleft continues. In addition, thanks to the volunteers who each week give their time to process donations. Their contribution is significant to the success of the project.Finally, thanks to Craig and Raeleen Hoath, who have provided office space for Operation Cleft free of charge above Hoath’s Print in Box Hill South, and John Maddock and Box Hill Institute of TAFE for providing some flat screen computer monitors.

Rotary Club of Box Hill Central Medical Travelling BursaryFor a third successive year, our club awarded a bursary of $2,000 to a final year medical student from Monash University, to assist with the cost of their elective placement in a third world country or remote area. This year’s awardee was Patricia Car, who plans to spend two months working in Tonga, firstly at Viola Hospital on the main island, and then on the outer island of VaVa’u. In addition, she plans to spend her annual leave at an Aboriginal Health Clinic in Katherine, gaining an insight into remote area medicine.

Polio Plus The club donated US$1,000 to the Polio Plus campaign by allocating the US$800 received from the District Designated Funds, and adding an extra US$200 from club funds.

PLAN InternationalOur club has continued to sponsor a child through PLAN International over the past year, through collections made at weekly meetings.

Other ProgramsThe club has also supported other international Rotary programs by donating funds to Rotary Foundation ($3,680), Shelter Box Australia ($1,500), Interplast($500), ROMAC ($500), & Wheel Chairs for Kids ($750). A donation of $750 was also made to Operation Cleft, in lieu of providing gifts to guest speakers at club meetings.

Eastern Emergency ReliefEastern Emergency ReliefA well supported Roster system resulted in regular collection of household goods and furniture for distribution to the many needy families in the Eastern Suburbs. Thank you to Box Hill TAFE for the informative DVD presentation it has put together for EER which is now being used in informing and educating the Whitehorse community about this wonderful service. Once again we recognise the tremendous efforts of our Honorary Member Keith Rooney in ensuring the continued success of this operation.

MenMen’’s Sheds ShedThis Community facility continues to grow under the leadership of Barry Phillips, with the support of the City of Whitehorse and our own Don Sweeney. We are supporting two of the volunteers to attend a “Sheds” conference in Hobart in August this year.

ANZAC ServiceANZAC ServiceThe 5th Whitehorse Schools Anzac Service was conducted at the new Memorial Venue in Nelson Road, Box Hill ably supported by the City of Whitehorse and the Box Hill R.S.L. (Sub -Branch.)Over 245 attendees comprising students, teachers, representatives of local government (including the Mayor), Federal and State Politicians, and Rotarians celebrated this important occasion.The Anzac address was delivered by Major Deane Limmer Officer Commanding of the 138 Signal Squadron. It was an exceptionally moving and a wonderful tribute to all servicemen and women who have passed. The event concluded with the generous hospitality courtesy of the R.S.L. which was greatly appreciated and finished off a most memorable day. My special thanks to all my committee for their invaluable assistance in organising the schools and dignitaries in attendance. Thankyou also to MC Michael Kirk and other club members for their contribution on the day.

Whitehorse Farmers MarketWhitehorse Farmers MarketA truly great success story of co-operation between the 6 Whitehorse Clubs creating a Fund of some $100,000 for distribution to deserving organisations in the City of Whitehorse.

Drought ReliefDrought ReliefAgain our club members put together Christmas hampers for those in need in the drought affected areas of Benalla. A total of 69 hampers where delivered to families in the Swanpool, Baddaginnie, Strathbogie and Violet Town communities in Central Victoria. This project was also supported by the Rotary clubs of Mitcham and Benalla.Thank you to club member Geoff Limmer who provided a bus and trailer through his business Eastside Bus & Coach Services to transport the hampers from Melbourne to the schools. Also to Tony Stokes and Ralston Wood who accompanied us to Benalla to distribute these to schools.

The Vocational Committee have supported many programs this year especially for the education of young adults.

The purpose of MUNA is to encourage young people to learn about other nations and to understand and appreciate the workings of the United Nations while they develop debating skills and gain self confidence in public speaking. The club sponsored two students from Our Lady of Sion College to attend MUNA on 2-3 May 2009.

This is a leadership day held with many other schools in Victoria. Inspirational Speakers motivate these young people to strive to achieve their best. The club assisted with the cost of sending student leaders from Roberts McCubbin to this event in February 2009.

RYLA RYLA Rotary Youth Leadership Award. Rotary Youth Leadership Award.

Is an intensive training program for community youth leaders. Note, the young adult whom the club sponsored in 2008 will be one of the speakers at the 2009 camp. After the Club’s proposed applicant did not proceed, we sponsored a substitute submitted by District at a cost of $560.

Several schools were approached to nominate students for this excellent program, and it was disappointing for the club, that no schools took up the offer this year, strong association with the program.

NYSF NYSF National Youth Science Forum. National Youth Science Forum.

The program’s objective is to introduce the scientists of the future to Australia's most distinguished scientists of the present and provide opportunities for participation in open and group discussions and forum sessions. Disappointedly Our Lady of Sion (a school were the club has previously sponsored students), did not provide any students this year to the club for sponsorship. Comments:1.The Fundraising budget and this report exclude all activities relating to Operation Cleft, which are included in the International Report.

2.The Club’s Fundraising Registration was renewed in November 2008, and is effective until 5th November 2009.

3.Highlights for 2008/09 were:a. Two successful Bunnings BBQs were held in September and October 2008 which raised $1508 and $1436 respectively. Thanks to Michael Kirk for arranging these events.

b. Another successful Grand Final Breakfast was held featuring Phil Maylin as guest speaker.

c. The highlight of the year was the most successful Whitehorse Charity Golf Day yet conducted by the club, which was held on Monday 23rd March 2009. 20 teams participated, 6 more than last year, and over $20,000 was raised which saw Blackburn English Language School, Louise Multicultural Community Centre, Karinya and NADRASCA receive significant funds from the event. Again, the day was supported by the City of Whitehorse, as well as sponsors, players, prize donors, and club members. Thank you to Matthew Etty-Leal for his invaluable assistance again this year. Thank you also to the Committee: Craig Hoath, Malcolm Chiverton and Michael Kirk for their support, and a particular thank you to Ken Rice for “volunteering” his services and experience.

d. The annual Police Band Concert took place on 3rd April at the Whitehorse Centre and was attended by approximately 350 people. $3571 was raised for each of Eastern Emergency Relief Network and club projects. Thank you to Garry Randall and Keith Rooney for again organizing the concert.

The Whitehorse Farmers Market continued to be an excellent source of income for the club, generating approximately $7,200 for club projects in the Whitehorse area. RCBHC, along with the other Whitehorse clubs, contributed $857 from its share of the proceeds to Bushfire Relief. Michael Kirk and Malcolm Chivertonagain led the club’s involvement in this most successful enterprise.

The proposed Business Breakfast was held over to the new Rotary Year and will then be principally a Membership Interest Breakfast.

Other annual fundraising activities included a wine sale, which supported club funds, Christmas Cakes & Puddings, Christmas Cards (for ARHRF), Entertainment Books and Football Tipping. PLAN was again supported through the donation box circulated at club meetings.

Based on advice from Michelle Hart, the club approached This N That Community Shop in Brentford Square, Forest Hill for a grant from their proceeds. While this approach proved unsuccessful, through this approach the club was directed to the Brentford Square Traders Association who did provide a grant of $251 to the club in January 2009.

The club had 15 Centurions in 2009.

In 2008/09, the club’s fundraising continued to be heavily dependant on activities that generated funds that could only be expended within the City of Whitehorse (Farmers Market, Charity Golf Day, Police Band Concert 50%).

In seeking other fundraising projects that would deliver funds to support club projects outside Whitehorse, the Board agreed in February 2009 to pursue an investigation into the feasibility and establishment of an Op Shop, and in April, a sub-committee was convened, comprising President Greg Cooper, Treasurer Don Sweeney, President Elect Geoff Limmer and Vocational Director Maurice Benington (because of his prior experience with Op Shops). The search for a suitable premises and store manager was on-going at the time of this report.

5. Overall another satisfactory year. Thank you to the Fundraising Committee for their contributions and to all club members who supported the club’s fundraising activities throughout the year.
