General Meeting Minutes, Wednesday October 5, 2011 Present Nick Jones, Mike Bowerman, Richard Baldwin, Robin Parker, Damien Reynolds, Steve Goodheart, Paula Tongue, Terry Chapman. Apologies Stewart Nicol, Damon Parkinson, Trevor Lidle, Mel Skinner, Robbie Cameron, Jane Sterk, Terry Chapman, Christian Murray, Tracey Bake FAB Felpham and Bognor Schools United. Further to last weeks information, it has been noted that Paula is familiar with this organisation. Steve Hill is to meet with meet with Felpham and Bognor headmasters today. RP to check for status update. Thank-you / Sponsor's party It was requested by Steve that every member of ROX should bring a guest. Steve has been meeting with Damon and Micheal (owner of Smuggler's Paradise) to plan the evening. There will be three key times during the evening: 6.00 – 6.30 doors open, 6.30 – 7.30 VIP reception including food and drinks for VIPs and presentations, 7.30 onwards is to be a general access party for festival volunteers, crew, artists, traders and anyone who has been involved. A projector and screen has been obtained from a local school. Steve and Christian have been investigating the usability of this equipment. Christian has a collection of footage from previous ROX events and is working on visuals for the ROX party. Christian and Nick Ren are to meet up with a view to sharing material. Nick Ren was responsible for the Blockheads Promo of this year's festival. Nick Ren has expressed as wish to see this promo on the ROX official youtube account the ROX website. IT committee to action this ASAP. A crew is needed to dress Smuggler's Paradise before the party. This will involve a visit to the ROX store at 3pm on the day. Paula can help out at 4pm. Everyone is to bring CDs to the party for background noise. Mike Bowerman, artist and composer, has offered to create an original soundtrack for the ROX promo that currently uses the Rolling Stones

songs, violating copyright laws.

It was requested that Robbie Cameron sends everything (audio track and visuals) to Mike Bowerman (whose email address can be found as a recipient of these minutes).

Nick Jones is to create a poster which details all ROX activities, this will be used to promote ROX events during the Smuggler's Party.

ROX Events:Comedy

Stewart Nicol is on holiday in Spain.

Steve and Christian have removed the banners from the POW, these are to be put up at the Waverley.

Robbie Cameron and Stewart Nicol are to Cancel 'Laugh at George' on Oct 22. Another gig at the George is booked for 26th Nov, it is hoped this will maintain the relationship with Kevin at the George.

The waverly gig needs to be listed on the ROX website. Nick Jones will ask Robbie Cameron for a Jpg for the website.

Nick will also talk to Robbie to seek confirmation of the cancellation of Laugh at George (Oct22).

After the Waverley gig work will start on the George gig (26 nov).ROX Events:Chilled Shake

Need posters to to promote forthcoming gigs. Full scale promotion of Chilled Shake to begin, including posters in public places, Libraries, taxi offices, Wilkinsons, etc...

New posters to include all forthcoming events.

It was commented that we should have some good photos of Chilled Shake. RB to speak to CM with regard to staging a few photos, possibly in the Smuggler's Paradise.

RB to prepare a 5 minute cameo performance to promote Chilled shake at the upcoming ROX party.

ROX Festival:General

SG has been in contact with Steve Hill regarding fund raising.

Grant applications will be submitted to town council at the end of the week.

Paula Tongue raised the possibility of requesting a £1 donation on entry to the Rox festival. If the attendance of the festival is as high as listed on marketing literature, then we stand to raise over £35000 on the gate alone.

Garden/Fringe area The difficulties of bringing traders to the Garden area was raised.

Resolved: to set up a proper Fringe/garden area committee, to be chaired by Paula Tongue, suggested members are Trevor Liddel, Mell Skinner, Richard Baldwin (confirmed).

Arts/Community No development, meeting planned for later in the week to present business

Centre Development. plan.Website Development on new site is progressing slowly due to the need for art

work and branding from Tony Ladd.

Old site has been updated, links and posters to be removed.

Resolved: to remove the landing page since many visitors do not get past that area.

Branding Awaiting update from Tony Ladd. RP offered the assistance of Kirstin, who works on the Audience magazine.

Chi Uni: Event Mentoring Project

Money has been paid for their festival

A.O.B. Chi College Music Awards

ROX could sponsor a Music award at a cost of £75. This would be one of 2 available awards.This would help to forge a relationship with the Student Union events manager.

A.O.B – West Dean Music Festival

Event management opportunity.

Terry Chapman has developed links with the Buildings manager at West Dean, Alan Chapman.

West Dean music festival has lost money and the management could be looking to outsource the event to a more experienced organisation like the ROX.

A.O.B – Hobbs/Coombes Farm, Foresite Festival

Last year's festival was poorly attended and some of those that did attend requested a refund.

Next festival could have ROX team working on production to help them improve the event.
