Welcome Letter
Dear Dance Candidate & Parent/Guardian, Thank you for your interest in trying out for a 2016-2017 Sandite Dance Team at Sand Springs Schools. We appreciate your enthusiasm and interest in our program and are so excited to see what the new school year holds. Included in this packet you will find information that will explain the tryout process, membership guidelines, and general information that all members (and parents/guardians) will need to be aware of before trying out. We take pride in our program and want the very best for all members of each team. The purpose of the Sandite Dance Team is to promote school spirit, support various organized activities, represent the school, and provide positive leadership in all aspects of life. These teams will promote and encourage student body involvement and will exemplify loyalty, cooperation, and positive attitudes. This can be a truly rewarding experience for each of you, but it also requires a tremendous time commitment. Dance truly is a year round sport. A team member must be willing to practice on her own time to perfect skills. Additionally, a team member must be able to work well with others; as dance is a team sport!! Please be aware of this as you prepare to take on the challenges and responsibilities of becoming a member on one of the Sandite Dance Teams. Parent/guardians, please also understand that when your child makes a team there are some responsibilities on your part as well. Not only do the girls have to work together as a team, so do the parents/guardians. This is an all-around team sport and it takes the trust, commitment, and communication of all members, coaches, and administrators to be successful. Once selected for a team you will be financially obligated to pay for all expenses that come your way. It’s definitely not a cheap sport, but as parents/guardians you have to make the commitment to either pay for the items or be willing to organize and participate in fundraisers to offset cost to participate. Candidates wishing to try out for a position on any Sandite Dance Team and her parent/guardian must read through the Sandite Dance Membership Guidelines attached, as well as the Sandite Dance Spirit Contract that all team members follow prior to trying out. After reading and being in full agreement, both candidate and parent/guardian signatures are required indicating that, if selected, both agree to abide by the rules and regulations governing the extracurricular activities of dance at Sand Springs Schools. The items listed inside of this packet MUST be turned into the Varsity Dance Coach by the first day of the dance clinic, 8

8th & 9th Tryout Guidelines and Dates
8th & 9th Grade Dance Clinic
*MONDAY, MARCH 8TH -WEDNESDAY, MARCH 9TH , 2016
~Clinic Information:
Tryout Clinic will be held from 5:30-7:00pm in the Dance Room, located at 4th & Roosevelt.
Open Gym will be held from 7:00-8:00pm in the Dance Room. This will be open to the public and anyone trying out.
o Open gym is for anyone trying out to practice their dance and skills on their own.
o Open gym can also be used for private instruction for a fee of $10.00.
If you are interested in private instruction from a current senior dancer please contact
[email protected] with your name and phone number. We will have one of the seniors contact
you.
Tryout Clinic is closed to the public: only coaches, administrators, and current senior dance members may attend and watch.
Required attire for clinic is shorts, tank/ t-shirt, socks and shoes. Hair must be secured away from the face and no jewelry is to
be worn. Gum chewing will not be allowed.

Tryouts are closed to the public.
Tryout results: Candidates will receive an envelope with their tryout number on it, inside will be a letter stating if the dancer has
made the team or not.
o These are to be opened away from school grounds. (NOT IN PARKING LOT OR LOBBY AREA)
o Judges decisions are final, and no discussion will be permitted on the day of tryouts.
o Only candidates that do not make a team will be permitted to view their scores through the athletic office the
following week. You will need to call and make an appointment.
Tryout attire: candidates should wear any solid color t-shirt/ tank-top, solid color shorts, and athletic shoes or dance shoes. Hair should be secured back out of the face in ponytail or messy-bun. No jewelry is to be worn. Gum chewing will not be allowed.
8TH & 9TH GRADE TRYOUT GUIDELINES
All candidates and parent/guardian must attend the mandatory tryout meeting.

Each team member will be responsible for ALL costs associated with being a member of the dance team at Sand Springs.
Being a team member can get pricey, so we want everyone to be fully aware of all expenses that are associated with dance.
We never want the cost to effect if a participant decides not to tryout, but we do want each member aware of the cost
involved. If you need financial help, the coach and parents may decide to offset costs by organizing and participating in
fundraisers. Only those members who participate in the fundraisers will benefit from the profit.

Team Member Expectations
The primary objectives of the Sandite Dance Team are:
1. To promote school spirit and unity, support and encourage student body involvement at sporting events and various school
activities.
2. To provide half time entertainment at selected sporting events.
3. To be a competitive team member, while exemplifying respect to all team members and coaches, and being a teammate by
always thinking of your team before yourself.
4. To increase self-esteem in its members.
5. To set an example for the rest of the student body by exemplifying loyalty, cooperation and positive attitudes.
6. To represent Sand Springs Schools by acting as positive role models and demonstrating good leadership qualities at all
times.
7. To sign and follow the guidelines of the social media, drug, alcohol, and concussion contracts
Parent/Guardian Expectations
Parents/Guardians need to understand the following prior to your child trying out for Sandite Dance Program:
1. In order for our program to be successful, it takes the cooperation of the parents/guardians, dancers, coaches,
coordinators and administrators.
2. Parents/guardians are responsible for all financial obligations for camps, clinics, and other expenses involved in this
activity during the school year. These expenses can be offset by fundraisers, but it will be the responsibility of the
parents/guardians to organize and help run the fundraisers, not the coaches.
3. Parents/guardians need to be aware of the time commitment involved in the dance program and need to support
your child and coach in these activities to see that he/she fulfills all responsibilities.
4. Understand by the very nature of the activity, dancing can carry a risk of physical injury. No matter how careful the
participant and the coach are, or what landing surface is used, the risk cannot be eliminated. The risk of injury
includes minor injuries such as muscle pulls, dislocation, and broken bones. As a parent/guardian you understand
these risks and will not hold Sand Springs Schools or any of its personnel responsible in the case of accident or injury
at any time. You also understand that Sand Springs Schools will do everything possible to prevent these risks.
5. Parents/guardians and dancers need to trust and support the decisions and appreciate the time made by the
coaches and administrators to always do what’s best for the team.
6. Please keep in mind that coaches have other responsibilities and commitments outside of dance and it is asked that
parents/guardians and dancers respect their personal and professional time. Any questions or problems concerning
the team should be directed to the coach during appropriate hours. The coach will return phone calls and/or emails
at their earliest convenience. Issues should not be addressed during practices, games, or other school events. The
coaches need to fully supervise their team while at these events.
7. There is a proper chain of command, starting with the coach, coordinator, and Athletic Director, and finally school
board. In fairness to all parties involved, please follow the chain of command.
8. Understand that any violations to the Spirit Contract may lead to loss of merits, and/or temporary or permanent
suspension from the team.

Coaches
1. Coaches make all final decisions about anything and everything.
2. The coaches will always have the best interest of the team. All coaches, coordinators, and athletic directors want
the best for the program and each individual dancer.
3. Coaches make all final decisions. Discipline, as well as demerits, grades, choreographers, practice times, events, etc.
are the responsibility of the coaches.
4. Members experiencing problems should talk with the coach and work with them in finding suitable solutions at the
appropriate time.
5. Members should treat the coaches with respect. The coaches are giving up valuable personal and professional time
for the team.
Staying Connected through Technology
Technology has become a necessity in today’s society, and to help stay connected with our dancers and parents/guardians,
we will be incorporating it through different mediums in our program. Below is a list of forms of communication we will use
throughout the school year. Each dancer (and parent/guardian) will need to take the following steps in order to receive
important information about your Sandite Dance Team. Please make sure to use all avenues available to always have the up
to date news! It is our hope that these resources will help strengthen the program.
o Email- Please check your email daily. We send the majority of our information to the parents/guardians through
email. It is the dancer’s and parents/guardians responsibility to check email frequently.
o Dance Website- www.sanditedance.weebly.com Most information you need to know will be located here. We
have our up to date calendar for each team, as well as all team forms, music and pictures.
o Remind 101- Remind 101 is a test reminder application that will allow the coach to periodically send out dance and
school reminders via text message. This is a one way communication test so only the coach will be able to send out
reminders. To participate in receiving text message reminders. Rest assured that you will not receive advertisement
texts and your phone number will remain private.
o Calendar- Syncing your calendar with the dance calendar. Once a participant has made a team, the coach will
email or text out instructions on how to sync your Smartphone calendar with the dance Google calendar. All
dancers and parents/guardians need to do this in order to always have up to date information on events, uniform
schedules, parent meetings, etc. on their phones. If you do not have a Smartphone it will be the dancer and
parents/guardians responsibility to check the calendar on the website for this information.

Sand Springs Public School Sandite Dance
Spirit Group Guidelines and Contract 2016-2017
Purpose:
The purpose of this contract is to inform the prospective participant and his/her parent/guardian of the
duties and responsibilities obligated to the title of Sandite Dance Team Member. The prospective dance team
member may not try-out unless this contract has been read completely and signed by the parent or guardian
and prospective dance team member.
Oklahoma recognizes the Sandite Dance Team as an official sport. However, its main obligation is to
promote school spirit and pride. Our main goal in Sand Springs is to develop scholarly, responsible, respectful,
athletic dance team members who take pride in who they are and what they represent. A Sand Springs dance
team member will influence many people and will always represent the school whether in uniform or not. The
dance team member is expected to be a positive role model and to conduct him/herself in accordance to all
rules of the contract.
The dance team will attend, participate and perform at scheduled school sporting events as directed by
the coach and sponsor. This includes practicing, planning for pep assemblies, making signs, decorating before
selected events, etc. They will also represent Sand Springs at approved athletic competitions, summer camp,
and selected competitions.
Team rules:
1) Membership:
1. Varsity, Junior Varsity, ninth grade, and eighth grade squads will be selected to dance for all football and all
assigned basketball games and wrestling matches.
2. Varsity will consist of sophomores, juniors and seniors.
3. Junior Varsity will consist of sophomores, juniors and seniors.
4. A ninth grade squad member may be on the varsity squad for any competition at the discretion of the coach. The
parents and the squad member would meet with the coach before doing so. That squad member would be
responsible for both squad practice schedules during this time.
5. A junior varsity squad member may be on the varsity squad for any competition at the discretion of the coach. The
parents and the squad member would meet with the coach before doing so. That squad member would be
responsible for both squad practice schedules during this time.
6. Varsity, Junior Varsity, ninth grade and eighth grade squads will perform halftimes at all football games.
7. Varsity will perform routines at ALL pep assemblies.
8. Junior Varsity will NOT perform at any pep assemblies.
9. Eighth and ninth grade will perform routines at SELECTED pep assemblies.

2) Eligibility:
1. A dancer who has quit or has been dismissed the previous year from a Sand Springs dance squad will not be able to
try-out for any dance team for the following year.
2. The school is responsible for providing the coach eligibility reports on a weekly basis.
3. Students who try out for dance must be currently enrolled in Sand Springs Public Schools. Students in the process of
moving into the Sand Springs School district may tryout but must show proof of residency.
4. All dancers will have a physical examination certificate signed by a licensed physician and a parent or legal
guardian on file with the Sand Springs Athletic Department.
5. If a dancer has been recognized as a member of the Sand Springs dance team, she will not be eligible to try out for
the Sand Springs cheer team in the same year. If cheer tryouts occur before dance tryouts, the agreement will be
reciprocal.
3) Grade Eligibility:
1. In order to try out for the team, prospective members must have a 2.0 or higher grade point average during the last
semester of the current school year. A candidate must have semester grades of a D or better for the fall semester.
2. Members of the team must fulfill weekly eligibility requirements as dictated for athletes by the Oklahoma
Secondary Schools Activities Association.
3. If a member is not passing (D or better) all subjects at the end of a week, they will be placed on probation for the
following one-week period. If they are still failing one or more classes at the end of their probationary week, they
will be ineligible to participate during the next one-week period. If the member is not passing by the third eligibility
check, dismissal can be considered.
4. Varsity dance is recognized as a 7th hour 1st semester & 2nd
semester accredited class.
5. For Varsity grades will be given 1st
& 2nd semester.
6. If a parent has a concern with their child’s grade, they are to contact the coach.
4) Practice/Game/Event Attendance:
1. Each member is responsible for notifying the coach prior to an absence or tardy (in person or phone). Notification
given by another member is not sufficient.
a. The member must also bring a copy of receipt or note from where the appointment was taken place. If
there is no hard copy of the appointment member will receive an unexcused absence.
2. Attendance at practice, games or any scheduled event is mandatory. There are no excused absences other than
illness w/ dr. note, family bereavement or a Sand Springs Public School-related activity.
3. Any team member who is not prepared for practice or an event will receive demerits at the discretion of the coach.
4. Choreography practices for camp, state or national routines, with a choreographer are MANDATORY. These
practices will be scheduled ahead of time. Also, if a member misses these practices for any reason, they may not be
allowed to perform that choreography and may be subject to dismissal.
5. Team members may not hold a job that will interfere with any practices, sporting events, fund raisers, or any other
event the team is required to attend throughout the year (including summer). No exceptions will be made. Work,
under any circumstances, is not a reason to miss a practice or event.
6. Members will be expected to be on time and prepared for all team functions, if not this will result in demerits at the
coaches’ discretion.
7. Ninth graders and up may not be excused from any team practice or event in order to participate in a conflicting
sport or activity.
8. Dancers must be dressed in the proper attire for practices/games, if not they may be subject to sit out and receive a
demerit.
9. All summer practices are MANDATORY leading up to camp. These practices will consist of perfecting their routine
to compete.

10. Camp attendance and participation is MANDATORY for all members. No absences will be allowed. Any dancer not
attending camp with the squad will be dismissed from the squad.
11. July summer practices will consist of conditioning and learning of football game material. These practices will be
MANDATORY unless out of town and the coaches are notified prior.
12. Any injured dancer is expected to attend but not participate in the dance practice/game. A doctor’s note may be
required.
13. If an athletic event is cancelled or postponed, the dancer is to attend the rescheduled event as if it were a planned
event.
14. Dancers must attend a half-day of school to dance at a game, competition or match. (4 classes)
15. If at any time a dancer acquires a personal health problem that could be harmful to her and/or squad members, the
coach has the authority to place the dancer on medical leave for whatever length of time is deemed necessary.
5) Transportation:
1. All members of the team are REQUIRED to ride with the team on a bus to and from all sporting events.
2. The Sand Springs Public Schools will provide transportation for the dance squad to and from all football games and
selected wrestling duels.
3. Varsity members may be required to drive themselves to selected wrestling tournaments.
4. The squad will be accompanied by the coach, or designated parent whose sole responsibility is the supervision of
the squad.
6) Appropriate Behavior at ALL TIMES:
1. All members will show tolerance of other’s opinions, respect others, be responsible, be cooperative, and be
democratic. They will show the utmost respect for their team leaders and their authority. Any questions,
suggestions, or comments should be discussed in an appropriate manner outside of practice.
2. There will be no profanity used by a member at any time.
3. There will be no smoking or any other kind of tobacco, or vapor use by a member at any time.
4. There will be no drinking of alcoholic beverages or use of illegal narcotics by a member at any time.
5. There will be no fighting inside or outside of school by any member at any time.
6. Bullying of any kind will not be tolerated.
7. Inappropriate Pictures and/or posts, put on any social network (twitter, snapchat, facebook, instagram, tumblr,
myspace, etc.) will not be tolerated.
**These rules apply at ALL times! You are representing our school and our teams in uniform and out of uniform.
Breaking any of the #6 rules WILL result in immediate dismissal from the team. Members are also subject to discipline
according to school policy.
7) Game/ Event Conduct:
1. How the squad presents itself at games is important and a big part of how students, parents, and patrons perceive
the squad. Therefore, while cheering/dancing at games, dancers are to stay in formation at all times and pay
attention to the direction of the squad captains and coaches.
2. Gum chewing, slouchy appearance, wearing jewelry, incorrectly wearing any part of the uniform, being out of
formation, dancing or practicing motions will not be allowed.
3. If a dancer is out of uniform or in a wrong uniform they will not be allowed to dance. They will sit with the coach
and may receive a demerit.
4. An injured dancer will be required to attend the game and must sit with the coach.
5. The coach will choose game attire. Members are expected to dress in the uniform chosen including all accessories.
6. Hair and face should be appropriately fixed up for all games, as decided by the coach.

7. Member must arrive on time to the game/event.
8. Ineligible dancers must attend game and sit out with coach.
8) Competition:
1. Eighth & Ninth grades will attend conference and local competitions and can attend a state competition.
2. Junior Varsity will attend conference, local, and state-wide competitions.
3. Varsity will attend conference, local, state-wide and national competitions.
4. Varsity national competitions are designed to be a festival of accomplishment, and all members of the squad will
participate in approved national competitions at the discretion of the coach and athletic director.
5. If it is not in the best interest of the squad to attend a national competition, the squad will not compete. This
decision is at the discretion of the coach and athletic director.
6. National Competitions is an event that is to be attended as a team. This is not a family vacation; this is a team trip
where the dancers will attend and stay together the whole time.
7. National Competitions are MANDATORY for all members, if not attended the member may be dismissed.
8. All Competitions will be MANDATORY for all members. No absences will be allowed.
9) Fundraisers/Monthly Payments/ Monthly Dues:
1. Monthly Quotas are to be met; these quotas can be met by fundraising, if the quota is not met by fundraising, it will
need to be met by a parent payment.
2. Fundraisers will be scheduled/organized by the parent’s but will ultimately be confirmed by the coach.
3. Any payment that has been returned as insufficient funds will require a full payment in CASH or your dancer will
have to sit out until account is brought current.
4. Any items that are ordered but have not been paid for will lead to the member not receiving and sitting out until
the amount owed is brought current.
5. All monies owed will be sent through a team email. Please understand the coach has a full-time job and does not
have the extra time to send one email per person. Please note if you do not want your name on the list, please
keep your account current.
10) Supervision:
1. The coach, assistant coach or sponsor will accompany the team to all sporting events and on out-of-town or
overnight trips.
2. In such cases where the coach, assistant coach or sponsor is not available, a parent or another coach may be
appointed as a substitute.
11) Guests:
1. There will be cases in which a guest(s) will be brought in to offer expertise or choreography.
2. Any guest(s) should be treated with as much, if not more, respect as the regular coach.
3. The team should abide by any rules or decisions made by the guest(s). Severe disciplinary action will be taken in the
event that this rule is broken.
12) Booster Clubs: (Varsity Only)
1. Booster Clubs are important to the success of Sand Springs Dance Team. Without their support, the tradition of
excellence with Sandite dance would never have been achieved. In order to continue and to build upon that
tradition, it is vital that parent booster club stay informed and involved.
2. The responsibility of the booster club will include: supporting each individual member of the squad and the efforts
of the squad as a whole, supporting the coach and his/her efforts in planning, fundraising, and organizing for squad
activities.

3. The booster club will work under the direction of the coach and assist as called upon. The booster club is not
intended to be a replacement for or addition to the decision-making role of the squad coach.
4. The squad coach will ALWAYS make the final decisions.
5. The squad coach will cover information regarding practice, performances, and other squad information. While the
booster club may assist in distribution of that information, all questions should be directed to the squad coach. It is
not the role of the booster club to make coaching decisions.
6. Booster clubs will meet regularly at a time designated by the president of the booster club. Items covered will
include fundraisers and any assistance/motivation that the booster club is planning for the current or upcoming
months. Attendance of parents at booster club meetings is encouraged, but not mandatory.
7. Required booster club positions are President and Treasurer. Both these positions involve communicating with the
squad coach on a regular basis.
8. Fundraisers will be scheduled to pay for these and other expenses incurred during the school year.
9. If the dance team member is dismissed from the squad or quits, he/she forfeits all monies paid to the squad. Any
costs owed will still be the responsibility of the team member to be paid or there will be hold placed on the
members school account.
10. Dance team members will also be responsible for the cost of replacing damaged, lost, or stolen property of the
school.
13) Communication:
1. Parents are expected to contact the squad coach in the event of a question or concern. Doing so prevents confusion
and misinformation. Anonymous letters of complaint will not be considered.
2. Proper order of communication is: coach, Director of dance program, then administrators.
3. Parents are expected (through both their comments and their actions) to contribute positively to the self-esteem of
both their child and other children on the team.
4. Parents are expected to call before coming to a practice being held on school premises. The coach reserves the
right to schedule uninterrupted practice time at his/her discretion.
5. Parents are expected to provide a support network for all activities and events for the dancers. Coaches make the
determination as to what these activities will be, and it is up to the parents to assist in the coach’s efforts. Should
the parents or dancers have conflict with any scheduled event, they are expected to contact the coach.
6. Parents are expected to support coaches and cheer & dance staff at all times.
7. Parents and coaches will maintain positive speech and attitudes to each other, the cheerleaders, dancers, and our
competitors.
8. The Board of Education believes extracurricular activities are necessary to supplement the curriculum of the school
and to provide meaningful and educational experiences for each student. Since participation in athletics/activities
is voluntary and all groups or organizations must exist within a framework of certain policies, rules, and
regulations, the Athletic Department has developed these guidelines.
9. Since a team effort is required in most practices, games, competitions, (team) rules are needed. The individual
athlete, therefore, becomes responsible to the (team), and a key to teaching that responsibility is to teach
discipline. Our discipline will not be intimidation or anger. Discipline simply suggests the standards by which the
team is going to operate. Consider for a moment the coach who trains five athletes and the coach who trains fifty.
Both will have different responsibilities for their athletes and different rules.
14) Suspension, Voluntary Withdrawal, Dismissal
1. A member who has quit or has been dismissed the previous year from a Sand Springs spirit squad may not tryout for any
team the following year.
2. The following actions will result in immediate dismissal from the squad:

i. Violation of the School Drugs & Alcohol Policy: the use of drugs, drinking of alcoholic beverages or smoking
on/off campus or school event.
1. A Drug & Alcohol Policy will be needed to be signed by a parent or guardian in order for the member
to be eligible to participate.
2. In the event the member tests positive, the coach makes the final decision on what the member may or
may not participate in.
ii. Violation of school rules.
iii. Violation by fighting inside or outside school.
iv. Excessive grade ineligibility: after 1 week of probation and 2 weeks of ineligibility, a dancer will be given a
warning. If she is still ineligible week 3, they will be referred to a review committee for future planning
considerations.
v. School suspension
vi. Insubordination
18) Discipline:
1. The basic disciplinary actions used will be: extra running outside of practice, demerits or sitting out of designated
functions.
2. In the event that more severe disciplinary action needs to be taken, the coach will resort to temporary suspension
or dismissal from the team.
3. In the latter, the coach, sponsor, and/or athletic director will make the final decision.
19) Merit System:
A merit system (explained below) to deal with infractions (i.e. tardiness, missing uniform items, missing
practice/games/events, attitude problems, misconduct, etc.) will be established. To remain a member of a Sand Springs
dance team, the team member must have at least 1 merit remaining at the end of the year. Merits are taken away for
choosing to disobey the rule of this contract.
The Merit/ Point System
1. Each member will begin with 9 merits (36 points) immediately after tryouts.
2. The coach when earned by the member will give demerits. The member will be notified of demerits, and he/she will sign the log
sheet to indicate notification.
3. If the member reaches “0,” he/she can be dismissed from the squad at any time unless there is a catastrophic incident. It, then,
will be up the discretion of the coach.
4. Merits may be earned as dictated by coach for duties performed by the member. There will be no “catch up “on merits to
prevent the dismissal of a member.
5. Dance team members will participate in ALL spirit activities/ designated performances unless they are ill or injured. Parents
must notify the coach in advance if their child will be absent. This is courteous and necessary in order to prepare the rest of the
squad for performances and dancing without that member. If member does not participate in an activity or designated
performance and they are not ill or injured, then that might result to the member not going to competition (coach’s discretion).
6. All dance team members are expected to have all of their dance equipment with them at all games and performances. (I.e.
uniforms, warm-ups, bows, shoes, poms, socks, etc.)
7. The coach will make the final decision when it comes to the amount of demerits and discipline a member receives for each
situation.
Example: 1 demerit = 4 points
1 absence = 3 demerits = 12 points
