SAP Performance Management Tool 10 Step Series

“My Team” Maintenance

10 Steps

1. Log into Duke @ Work, Click on My Info.

2. Click on My Team and then select Performance Reviews.

3. Review the ‘Appraisal Status’ to ensure all of the employees listed are in the ‘mid-year’ status. If not please contact Brian Anderson (681.7883) or Bernie Rice (668.2377)

4. Review your team list to ensure that all of your employees are listed. Those that have recently been hired within 90 days, may not appear as they are not due for an evaluation.

5. For those not listed in your team view, email Brian Anderson (681.7883) or Bernie Rice (668.2377) with the team members first and last name and DUID

6. Please remember that your team members may not show up in your my team view, but do show up in your Employee EJR view. This may occur because you have not yet assigned EJR’s.

7. To assign EJR’s Change the ‘select view’ at the top and change to EJR Assignment. You will notice that your EJR’s are now under each specific BSQ.

8. Select the EJR that you would like to assign, and two things will occur: 1. it will be highlighted in orange and 2. your team list will appear.

9. Select the employee that you would like to assign the specific EJR that you have selected on the left (that is still highlighted in orange) and their name will become highlighted in orange. Also notice that the ‘Assign’ button on the right is also now available to be selected.

10. Click the ‘Assign’ button and you will notice that the employee’s name is moved from the ‘Unassigned Employee’s’ list to the ‘Assigned Employee’s’ list.

Expected Job Results (EJR) Maintenance

10 Steps for Creating & Assigning New EJR’s

1. Log into Duke @ Work, Click on My Info, Click on My Team and then Manage Expected Job Results

2. Select the drop down for EJR Maintenance from the top.

3. Select the first Balanced Scorecard Quadrant; Customer Service, by clicking on Customer Service on the left column. It will change to an orange color once selected.

4. Click ‘Add’ so that you will be able to enter the EJR information.

5. Make sure to create an EJR title. By doing this, you will be able to easily identify a particular EJR within your overall list of EJR’s in the catalog. A suggestion for the title should include: Job Title, Year and EJR Identifier. For example, “PSA, FY 14, Response Rate”

6. Copy and paste the information from a Word document or type directly into the areas designated for ‘Achieves Expectations’ and ‘Exceeds Expectations.’ Complete this process for all of the Balanced Scorecard Quadrants. Make sure to select ‘save’ after you have finished entering the EJR information into each quadrant.

Continue this process for all the employees that need to be assigned EJR’s from each of the specific BSQ’s.

* To review the EJR’s assigned to employees, from the ‘Select View,’ select Employee EJRs. You will notice that your employee’s names are in the left hand column. Once you select one of the employees by clicking on the box to the left of their name, the EJR’s assigned to them will show up in the column to the right.

10 Steps for Un-assigning EJR’s

1. Log into Duke @ Work, Click on My Info, Click on My Team and then Manage Expected Job Results

2. Select the drop down for EJR Assignment from the ‘select view’ at the top .

3. Select the EJR that you would like to un-assign, and two things will occur: 1. it will be highlighted in orange and 2. your team list will appear.

4. Notice the two columns; one for un-assigned employees and for assigned employees

5. Select the employee that you would like to un-assign the specific EJR that you have selected on the left (that is still highlighted in orange) and their name will become highlighted in orange. Also notice that the ‘Un-assign’ button on the right is also now available to be selected.

6. Click the ‘un-assign’ button and you will notice that the employee’s name is moved from the ‘Assigned Employee’s’ list to the ‘Un-assigned Employee’s’ list.

7. Make sure to click ‘save’ and you will receive a message at the top left hand of the screen that indicates that the information has been saved.

8. Continue this process for all the employees that need to be un-assigned EJR’s from each of the specific BSQ’s.

9. Review the EJR’s assigned to employees, from the ‘Select View,’ select Employee EJRs.

10. You will notice that your employee’s names are in the left hand column. Once you select one of the employees by clicking on the box to the left of their name, the EJR’s assigned to them will show up in the column to the right.

Please contact Brian Anderson (681.7883) or Bernie Rice (668.2377) if you have employees that you can not un-assign their EJR’s because the EJR is no longer valid.

10 Steps for Editing EJR’s

1. Log into Duke @ Work, Click on My Info, Click on My Team and then Manage Expected Job Results

2. Select the drop down for EJR Maintenance from the top.

3. Select the first Balanced Scorecard Quadrant; Customer Service, by clicking on Customer Service on the left column. It will change to an orange color once selected.

4. Click ‘Edit’ so that you will be able to alter the EJR information.

5. Make sure to change the EJR title. By doing this, you will be able to easily identify a particular EJR within your overall list of EJR’s in the catalog. A suggestion for the title should include: Job Title, Year and EJR Identifier. For example, “PSA, FY 14, Response Rate” (This will permanently change the old EJR in your catalogue)

6. Copy and paste the information from a Word document or type directly into the areas designated for ‘Achieves Expectations’ and ‘Exceeds Expectations.’

7. Complete the above step for all of the Balanced Scorecard Quadrants for which you want to make edits.

8. Make sure to select ‘save’ after you have finished entering the EJR information into each quadrant.

9. Once the EJR has been edited, there is no need to re-assign them to your team members who already had them assigned. This will happen automatically.

10. Review the EJR’s assigned to employees, from the ‘Select View,’ select Employee EJRs. You will notice that your employee’s names are in the left hand column. Once you select one of the employees by clicking on the box to the left of their name, the EJR’s assigned to them will show up in the column to the right.
