BACKGROUND / DISCUSSION Over the past three year AAC has reviewed the options available for adopting the Student Success Collaborative (SSC) available through the Education Advisory Board (EAB). South Dakota State University has been a member of the collaborative since 2012, and USD joined in 2015. A presentation related to the SSC was made by EAB staff during a webinar in May 2015 involving a majority of campus personnel. Following the presentation, EAB representatives provided the fee structure below for the Regental institutions if any were interested in pursuing SSC membership. At the time, the provosts from the four institutions opted to continue using Starfish as the primary early alert solution. The contract was then renewed in 2017. System Interest in SSC August 28-29, 2018 Page 2 of 2 IMPACT AND RECOMMENDATION

Representatives from EAB have once again inquired about system level interest in adopting the SSC package. Attachment I & II provide additional details related to the updated pricing options if a system adoption were to be supported. Council members should review the materials and be prepared to discuss campus level interest in exploring this option further.

EAB is pleased to offer schools within the South Dakota Board of Regents membership in the Student Success Collaborative. In offering this partnership, EAB is extending a highly preferred fee structure in recognition of the robust partnerships at University of South Dakota and South Dakota State University and acknowledges the financial hardships faced by individual campuses. The parameters for this proposal are outlined below.

Partnership Overview

Preferred Pricing for each campus is based on the following:

The preferred fees include access to the Strategic Care and

Intelligence modules. The Smart Guidance and Academic Planning

modules would need to be purchased for an additional fee.

At least three schools must join by December 15th, 2018. After these

dates, fees are subject to change.

All historical and current data will be provided through Colleague

Student Information System for each campus; once Banner is fully

implemented there will be a $10,000 system conversion fee per

campus for each campus under 5k students; $20K system conversion

per campus for SDSU and USD if done in conjunction with additional

three campuses.

Preferred pricing is contingent on the continued participation in the

Student Success Collaborative by University of South Dakota and

South Dakota State university. If either of those memberships are

discontinued, the preferred annual membership fees noted below will

increase.

EAB will be named the sole provider of Student Success Management

system for all South Dakota Board of Regents institutions.

EAB will provide Basic Service level of consulting support; can upgrade

to Standard level of support for an additional $15,000 per campus

(Note: SDSU and USD both receive the Standard level of support).

Details about Basic vs. Standard level of support included in separate

document).

Pricing assumes a commitment to a five year partnership for each

campus.

Hidden Barriers Can Disrupt the Implementation and Adoption of Technology

Source Karp, M. M., & Fletcher, J. (2014). Adopting new technologies for student success: A readiness framework. New York, NY: Columbia University, Teachers College, Community College Research Center.

Is Your Campus Ready for Transformational Change?

Across 500+ implementations we have learned and identified crucial questions leaders must ask to assess their colleges’ level of readiness. A sample of those questions are below. Once you have determined from discussion and conversations the the level of support you need, pair it up against our service offerings to ensure outcomes maximization.

Does your college have the hardware, software, networks and human resources to support the technology?

What are the current patterns of IT use? Will adoption be a challenge?

What levels of experience exist with IT implementation among staff?

Do current administrative and technical resources exist to support the project?

Is there staff capacity to continue providing training to end-users after launch?

What are the incentives to encourage participation in this project?

Is there clarity of mission which articulates the clear outcomes desired?

Is there a clear communication channel to discuss practices, plans, and challenges?

Do multidisciplinary teams exist to implement technology throughout the campus?

Why is there a need for reform?

What is the perceived vision of benefits from technology?

What is the level of functionality needed?

An incorrect assessment can lead to:

Longer implementation timelines, low student adoption and usage, and limited adoption with faculty, advisors, and campus staff.

Examples of Common Accelerator Efforts

Appendix: Student Success Accelerators

Advising Redesign

3

EAB will identify areas of improvement and provide data, process, technology and training recommendations to help shape your student success efforts. Areas of assessment include:

• Onboarding & technologies

• Resources & career engagement

• Financial aid

• Academic advising

• Program selection & course registration

• Graduation management

• Student success management

Accountability

2

Are you struggling to put the right people and resources in the right places? EAB can uncover the administrative, organizational, and technological barriers to student success at your institution, and employ the best practices that will transform your organizational structure to mitigate these barriers. We will assess what data is being tracked, to whom it is shared, and whether it is being optimally leveraged. Finally, we will ensure there is an appropriate owner for student success, and all stakeholders are aware of their distinct roles in the mission.

Faculty Engagement

4

Faculty spend more time with students than any other stakeholder on campus. Six key roles include:

• Removing curricular barriers to completion

• Redesigning academic policies

• Supporting evolving advising models

• Enhancing learning experience

• Flagging signs of student risk

• Mentoring rising-risk student groups

EAB can assess your faculty culture and provide resources so you know what to expect of units, committees, and governance bodies; individual faculty; and help you create a foundation to hardwire a student success culture.

Student Communications

5

Redesign your student communications platform so every student gets the right message at the right time across their college journey. Imagine no more flooded inboxes or questions about university processes or policies, and staff know who is sending critical communications to which students. EAB can help you design a strategy and build content that will transform how students receive and act on critical information.

Institutional Student Success Diagnostic

Academic advising is a critical resource to help students stay on path.

Does your advising program align with best practices in these areas?

• Mission & Goals

• Organizational Structure

• Technology

• Training & Development

• Policies/Processes

• Accountability

EAB can recommend areas of improvement that might include standardization of processes, enhanced training, strategically assigned caseloads, and aligning performance to institutional student success goals.

1

An Accelerator Consultant will partner with your EAB team around one of the specific focus areas for a 3 month intensive effort including:

• Current state diagnostic report summarizing strengths and weaknesses, as well as, recommendations for improvement categorized by data, process, technology, and training

• Development of project plans (both to accelerate the technology gains as well as outside the technology) to execute recommendations

• Partnership with key stakeholders to share research and best practice presentation diagnostic

• 3 project management onsites for accelerating technology impact on the focus areas, process improvement sessions, team launches, etc.
