Chapter 1

Working with Swurl as an Administrator

In this chapter:

• Accessing Swurl for the first time

• Managing users, lists and swurls as a Swurl administrator

• Allowing and blocking content as a Swurl user.

About SwurlSwurl enables users within your organization to allow or block access to content on the Internet by making it possible for them to manage the Uniform Resource Locators (URLs) to the content.

Accessing Swurl for the First TimeThe first time you access Swurl, you use a link emailed to you by Smoothwall.

To access Swurl:

1 Open the email from Smoothwall.

2 Click on the web link in the body of the email. Your browser opens and displays the Swurl Change password page.

3 Configure the following settings:

4 Click Save changes. Swurl confirms that your password has been changed.

5 Click the Click here to log in link. The login page opens.

Setting Description

New password Enter a password. The password should be at least 6 characters long and contain both letters and numbers.

Repeat new password

Confirm the password by re-entering it.

6 Enter the following information:

7 Click Log in. Swurl displays the admin home page.

About the Home PageThe admin home page gives you access to:

Information Description

Username Enter your email address.

Password Enter your password.

Area Description

Manage users This is where you create, edit and delete Swurl user accounts. For more information, see Managing Users on page 5.

Manage swurls

This is where you create, edit and delete collections of user accounts and lists of URLs. For more information, see Managing Swurls on page 11.

Manage lists This is where you create, edit and delete lists of URLs to content that is allowed or blocked for users. For more information, see Editing Lists on page 9.

View account This is where you can review your organization’s account information and access information required to configure the organization account on your Smoothwall System. For more information, see Configuring Organization Accounts on page 4.

Configuring Organization Accounts

Before your organization can deploy Swurl, the organization account must be configured on your Smoothwall System.

To configure the organization’s account:

1 On the Swurl home page, click View account. The Organization account screen opens.

2 Make a note of the information displayed.

3 On your Smoothwall System, browse to Guardian > Swurl > Settings page.

4 Select Enable and enter the information displayed in the Organization account screen.

5 Click Save. Your Smoothwall System saves the information and enables Swurl.

Managing UsersSwurl users are users who can allow or block access to web content.

Swurl administrators manage Swurl users by creating, editing and deleting user accounts.

Creating User AccountsThe following section explains how to create user accounts and invite users to use Swurl.

To create a user account:

1 Click Manage users, the Manage users page opens.

2 Click Create New User, the Create new user page opens.

3 Configure the following settings:

4 Click Save Changes. Swurl creates the user account and displays the Manage users page again.

5 Locate the user and click Invite. Swurl sends an email to the user inviting them to join Swurl.

When the user clicks on the link in the email, their browser will open, display the Change password page and prompt them as to what to do. For more information, see Chapter 2, Working with Swurl as a User on page 19.

Editing User AccountsIt is possible to change a user’s account details and/or Swurl role.

To edit a user’s account:

1 On the home page, click Manage users. Swurl displays the Manage users page.

2 Locate and click on the user account you want to edit.

Setting Description

First name Enter the user’s first name.

Last name Enter the user’s last name.

Email Enter the user’s email address.

Description Enter a brief description of this user account.

Add to swurl From the drop-down list, select the swurl the account will be part of. For more information on swurls, see Managing Swurls on page 11.

Role From the drop-down list, select one of the following options:

admin – A Swurl administrator can manage user accounts, swurls and lists. A Swurl administrator can also allow or block access to web content.

user – A Swurl user can allow or block access to web content.

Swurl displays the account details.

3 Make the changes required and click Save changes. Swurl saves the changes and updates the account. For information on the settings available, see Creating User Accounts on page 5.

Deleting User AccountsYou can delete a user account when it is no longer needed.

To delete an account:

1 On the home page, click Manage users. Swurl displays the Manage users page.

2 Locate the user account and click Delete. Swurl deletes the account.

Managing ListsA Swurl list contains a list of web content that your organization allows or blocks access to. Swurl enables you to create, edit and delete these lists.

Creating a ListThe following section explains how to create a list of web content.

To create a list:

1 On home page, click Manage Lists. Swurl displays the Manage lists page.

2 Click Create new list, the Create new list page opens.

3 Configure the following settings:

4 Click Save Changes. Swurl creates the list and displays it on the Manage lists page.

Viewing a ListTo view a list:

1 On home page, click Manage Lists. Swurl displays the Manage lists page.

2 Locate and click on the list you want to edit. Swurl displays the list’s details.

Deleting ListsIt is possible to delete lists that you no longer require.

To delete a list:

1 On home page, click Manage Lists. Swurl displays the Manage lists page.

2 Locate the list and click Delete. When prompted, confirm that you want to delete the list. Swurl deletes the list.

Editing ListsYou can edit lists by adding or removing URLs from them.

Adding URLs to a ListTo add a URL to a list:

1 On home page, click Manage Lists. Swurl displays the Manage lists page.

Setting Description

Name Enter a name for the list, for example, if you are creating a list which will contain URLs to web sites which users in your organization’s London office are allowed to access, name it: Allowed sites in the London office.

Description Enter a description of the list.

Add to swurl From the drop-down list, select the swurl to which the list belongs.

2 Locate and click on the list you want to edit. Swurl displays the list’s details.

3 Click View list. Swurl displays the contents of the list.

4 Click Add URLs. Swurl displays the Add a URL page.

5 Enter the URL of the web site you want to allow or block. To add another URL, press Enter to go to a new line and then enter the URL.

6 Repeat the step above for all the URLs you want to add to the list.

Tip: If you have a list of URLs in text format, you can copy and paste them into the Add a URL page. The URLs must be on separate lines.

7 When you have added the URL(s), click Add to list. Swurl adds the URL(s) to the list.

Removing URLs from a ListTo remove a URL from a list:

1 On home page, click Manage Lists. Swurl displays the Manage lists page.

2 Locate and click on the list you want to edit. Swurl displays the list’s details.

3 Click View list. Swurl displays the contents of the list.

4 Locate the URL and click Delete. Swurl deletes it from the list.

Managing SwurlsA swurl is a collection of users and the lists that those users are allowed to edit. Managing swurls entails creating them and adding users and lists. You can also delete swurls you no longer require.

Creating SwurlsThe following section explains how to create a swurl.

To create a swurl:

1 On the home page, click Manage swurls, the Manage swurls page opens.

Adding Users and Lists to SwurlsA swurl consists of a one or more users and one or more lists. The following sections explain how to add users and lists to swurls.

Setting Description

Name Enter a name for the swurl. Be as descriptive as possible; for example: Allow PR office access to social networking sites.

Description Enter any other descriptive information about the swurl that your organization might require.

Adding Users to SwurlsTo add a user to a swurl:

1 On the Manage swurls page, click on the swurl you want to add the user to. The Manage swurl page opens.

2 In the Add a user to this swurl area, use one of the following methods to add a user:

Method Description

Name Enter the user’s name and click Add.

Tip: If you enter the first letter of the user’s name, Swurl will display all the users whose names start with that letter.

Browse all users

Click Browse all users. Swurl displays a list of the users available to add to the swurl.

Select the user(s) you want to add and click the arrow to add them to the swurl.

Click Save changes.

Adding Lists to SwurlsTo add a list to a swurl:

1 On the Manage swurls page, click on the swurl you want to add the list to. The Manage swurl page opens.

2 In the Add a list to this swurl area, use one of the following methods to add a user:

Name Enter the list’s name and click Add.

Tip: If you enter the first letter of the list’s name, Swurl will display all the lists whose names start with that letter.

Deleting Users and/or Lists from SwurlsThe following section describes how to delete a user or list from a swurl.

To delete a user/list from a swurl:

1 On the Manage swurls page, click on the swurl from which you want to delete the user(s) and/or list(s).

2 Locate the user(s) and/or list(s) and click the adjacent Remove buttons. Swurl deletes the user(s) and/or list(s).

Editing SwurlsYou can edit a swurl’s name and description.

To edit a swurl:

1 On the Manage swurls page, locate the swurl you want to edit. Click its Edit button. Swurl displays the swurl’s details.

2 Make the changes you require and click Save changes. Swurl updates the information.

Deleting SwurlsYou can delete a swurl that you no longer require.

To delete a swurl:

1 On the Manage swurls page, locate the swurl you want to delete.

Note: The swurl must be empty before you can delete it. See Deleting Users and/or Lists from Swurls on page 16 for information on how to empty a swurl.

2 Click the swurl’s Delete button. The swurl is deleted.

Browse all lists

Click Browse all lists. Swurl displays a list of the lists available to add to the swurl.

Select the list(s) you want to add and click the arrow to add them to the swurl.

Click Save changes.

About Swurls On Your Smoothwall SystemWhen you have configured your organizations’ Swurl account on your Smoothwall System, see Configuring Organization Accounts on page 4, lists are automatically placed on the Smoothwall System ready for use in web filtering policies.

To view the Swurl lists on your Smoothwall System:

1 On your Smoothwall System, browse to the guardian > policy objects > categories page. The lists are displayed in the Content categories area.

For information on using lists in web filtering policies, see your Smoothwall System Administrator’s Guide.

Working with Swurl as a User

In this chapter:

• Accessing Swurl for the first time as a user

• Working as a Swurl user.

Accessing Swurl for the First Time as a UserThe following section explains how to access Swurl for the first time by clicking on a link that your Swurl administrator emails to you.

To access Swurl for the first time:

1 Open the email from your Swurl administrator and click on the web link in the body of the email. Your browser opens and displays the Change password page.

2 Configure the following settings:

3 Click Save changes. Swurl confirms that your password has been changed.

4 Click the Click here to log in link. The login page opens.

5 Enter the following information:

6 Click Log in. Swurl displays your home page and the lists that you can manage in order to allow or block access to web content.

For more information, see Managing Lists on page 20.

Note: For information on working with lists as a Swurl administrator, see Chapter 1, Managing Lists on page 8.

Setting Description

New password Enter a password. The password should be at least 8 characters long and contain both letters and numbers.

Repeat new password

Confirm the password by re-entering it.

Username Enter your email address.

Managing ListsA list contains Uniform Resource Locators (URLs) which are addresses to content on the Internet. By adding and removing URLs to lists, you can allow or block access to that content. The following sections explain how to add and remove URLs from lists.

Viewing ListsYou can review which URLs are included in a list.

To view URLs in a list:

1 On your home page, locate and click on the list you want to view. Swurl displays the list.

Adding URLs to a ListThis section explains how to add a URL to a list.

To add a URL to a list:

1 On your home page, locate and click on the list you want to edit. Swurl displays the list.

2 Click Add URLs. Swurl displays the Add a URL page.

3 Enter the URL of the web site you want to allow or block. To add another URL, press Enter to go to a new line and then enter the URL.

4 Repeat the step above for all the URLs you want to add to the list.

Tip: If you have a list of URLs in text format, you can copy and paste them into the Add a URL page. The URLs must be on separate lines.

5 When you have added the URL(s), click Add to list. Swurl adds the URL(s) to the list.

Removing URLs from a ListTo remove a URL from a list:

1 On your home page, locate and click on the list you want to edit. Swurl displays the list’s details.

2 Click View list. Swurl displays the URLs in the list.

3 Locate the URL and click Delete. Swurl deletes it from the list.

4 Repeat the step above for any other URLs you no longer require.

Managing Passwords In this chapter:

• Recovering and changing passwords.

Recovering/changing Your PasswordIf you have forgotten your password or you want to change your password, you can receive a new one from Swurl.

To get a new or change a password:

1 Browse to the Swurl login page.

2 Enter your email address and click Forgotten your password. Swurl displays the Password recovery page.

3 Enter your email address and click Send email.

4 When you receive the email, click on the web link it contains. Your browser opens and displays the Swurl Change password page.

5 Configure the following settings:

6 Click Save changes. Swurl confirms that your password has been changed.

7 Click the Click here to log in link. The login page opens.

8 Enter the following information:

9 Click Log in. Swurl displays the your home page.

Setting Description
