Security Setup> Setting TabOn the System Administrator side of Penelope you will find the Security Setup.

Intake Books “i” Times for Other Workers: allows Intake-Mgmt User Group workers to book Intake times for Other workers. Applies to ALL staff in the Intake-Mgmt User group regardless of Security Class Restrictions.

Lock All Notes on Closing of Service: Penelope will automatically lock all Event and Service File Notes when the service file is closed. This will be permanent, even if the service file is reopened. Once locked, notes can NOT be unlocked.Admin Exec. Can View Event Notes: allows all Admin Exec User Group Workers to view Event Notes, regardless of Security Class settings (by default, Admin-Exec workers cannot see session notes).Restrict Edit Event Notes: (a)To Assigned Workers - will restrict the ability to edit Event Notes to only workers assigned to the service file. Will apply to ALL service files and workers, regardless of Security Class Restrictions.(b)No Restrictions- will not apply any restrictions. Security Class restrictions WILL still applyClient Timeout: How much time of inactivity do you want staff to have before Penelope automatically logs them out? (NOTE: this should be double your Server timeout)

Security Setup> Class Setup TabOn the Class Setup Tab you will see two types of classes -- Security Classes and Report

Security Classes.

Security Class: these affect which screens, features and functionality staff will have access to in Penelope. These are customizable and an unlimited number can be created.

Report Security Class: affects which reports staff will have access to in Penelope. The default report security classes (corresponding to User Groups) can NOT be modified. However an unlimited number of custom Report Security Classes can be created.

Security Classes

To view an existing Security Class, click on the name of the Security Class in the Security Class box.

Allow: will give the worker access to a screen or function that otherwise may not have been available to them.

Hide, Deny, Restrict: will take away access for the worker to a screen or function that otherwise may have been available to them.

In the Security Class setup you will see two types of Settings, ones that give access and ones that take access away.

If you roll your mouse over the different security settings you will see a description of how that security setting will affect the workers added to this security class.

If you click on the Members tab at the top of the Security Class, you will be taken to the Security Class Members screen. Here you can see which staff are currently part of this Security Class.

To add another worker to this group, click “add user” in the Security Class Members box. Start typing the worker’s name in the “Add User to Security Class” box. Select their name from the drop-down list that appears and click “save”.

To edit an existing Security Class, click “edit” at the top of the screen.

To create a new Security Class, click “add” in the Security Class box.

Class Name: give the Security Class an identifying name.

Notes: enter any notes about this Security Class.

Now go through each of the security settings and check each of the boxes next to the settings you want to activate for users in this security class.

Click “save” to create/save the changes you made to the Security Class.

Report Security ClassesTo view an existing Report Security Class setup, click on the name of the Report Security Class in the Report Security Class box.

Any report with a green circle is switched on. This means any worker who belongs to this Report Security Class will have access to run that report.

In the Report Security Class setup you a list of all the reports that can be switched on or off in Penelope.

If you roll your mouse over the different report names you will see a summary of the information provided in the report.

If you click on the Members tab at the top of the Report Security Class, you will be taken to the Report Security Class Members screen. Here you can see which staff are currently part of this Report Security Class.

To add another worker to this group, click “add user” in the Security Class Members box. Start typing the worker’s name in the “Add User to Security Class” box. Select their name from the drop-down list that appears and click “save”.

Security Class ReportOn the right hand side of the Class Setup screen you will see the Reports Sidebar, which contains the Security Class Report.

The Security class report displays a list of settings or reports that are currently turned on for a Security class or Report Security Class.

In the report options, you can choose to run this report for a Security Class (User) or a Report Security Class (Report).You can also choose to include a list of all members currently part of that Security Class/ Report Security Class.Next, choose the Security Class or Report Security Class you wish to run the report for.

Here is a sample of the Security Class report run for our ‘All Access’ Security Class.

You will notice the “Activated Security Settings” contains a list of all settings that are switched on (checked).

The “Active User(s) assigned to Security Class” will list out all workers who are currently part of this Security Class. Their access to various screens and features in Penelope will be affected by the above security settings.

Here is a sample of the Report Security Class report run for our Case Worker Report Security Class.

You will notice the “Activated Security Settings” contains a list of all reports that are activated (checked).

Security Settings in PenelopeSecurity Setup > Password Tab

Application Security Settings: here you can set some requirements for how staff set up their passwords. Examples include how often staff should change their password, min. length, min. # of Digits needed, min. # of Letters needed, min. # of non-alphanumerics(e.g. symbols like !, @, $).

Delete Passwords: Penelope gives you the ability to require staff to enter a password to delete records. These include deleting individuals, cases, service files, etc.

Other Passwords: A password can also be required to Revert Deposits to ‘Outstanding’ status.

Only staff with a System Administrator login can view or change these passwords.
