We have an exciting opportunity to join our team as a Service Coordinator/Dispatcher. This position is responsible for ensuring outstanding delivery of Auburn Mechanical services to external and internal customers by communicating effectively, paying attention to details, juggling competing priorities and being an excellent team player. Main Responsibilities: Participates in the on-call rotation schedule. Supports and develops a positive team environment which promotes our culture and delivers value to external and internal customers. Sets up new customers. Dispatch: o Coordinates dispatch responses to customer service calls. o Books service calls into the system. o Manages service calls and maintenance contracts. o Evaluates and coordinates resources for service calls. o Clocks technicians work time in the system. o Coordinates field resources on call schedule. o Works with Project Managers to coordinate labor, materials and tools for small projects. This Service Coordinator’s primary role is dispatch but they will also cross function with contracts/billing and sales/purchasing/project support. Additional Responsibilities: Billing and Contracts: o Creates and maintains service contracts. o Reviews financial performance of service contracts. o Administers maintenance billing process. o Reviews, prices and bills service work orders. o Prepares renewal packages and work with account managers to renew contracts with existing customers o Maintains and updates Price Books in system. Project Support o Creates and provides purchase orders to vendors. o Coordinates parts purchases and materials for maintenance service orders. o Prepares and submits quotes to customers. o Administers backflow accounts. Other duties may be assigned. Qualifications: High School diploma/GED. 6 months to1 years of previous service support and dispatch experience. Proficiency with Microsoft Word, Excel, and Outlook required. Team player, with the ability to interface with customers, office staff and field technicians. Must have a strong work ethic and be highly organized with a demonstrated ability to manage multiple tasks simultaneously.
