Operational Guideline
General:Shin Shin Group has adopted Inclusive Business Policy 2016 as one of its policy documents to ensure a non-discriminatory work environment for all – disability ascentral focus. With the support from ILO Center of Excellence Project, this policy has come into force from 1st of December 2016. To operationalize the policy thisguide lines has been developed.
Purpose:The main purpose of this guideline is to ensure access of persons with disability with equal rights of living and working with a disability as well as the CompanyManagement obligations towards employees living and working with a disability in the workplace. *
Scope:This guideline is to support application of policy to all units and departments across the organization such as; Human Resource, Administration& Compliance,Engineering & Maintenance, Transport and Logistics.
Committees:The Director & CEO of Shin Shin Group and the group of people who represents the interests of the “owners” also, to protect company’s interest to ensure thatfunds are used responsibly and as effectively as possible. To achieve this stewardship, the board has formed committees. The duties, powers, policies andprocedures of those committees will be detailed in a policy manual.
Operational Guidelines are developed to help staff and management teams run the organization. In best use situations, policies play a strategic role in anorganization. They are developed in light of the mission and objectives of the Operational Guidelines and procedures would ensure consistent use andinterpretation of policies, in an evenhanded and fair manner, reduces management's concern about legal issues. Policy and operational manuals and employeehandbook are an important part of the operation. Those documents should be given to a new employee (either in hard copy of an electronic version). It isextremely important that an organization’s policies and manuals be a “living document” will be prepared and saved in Microsoft Word and easily exported intoportable versions (like PDF) and made available over the company network.It is important to understand that a policy lays out what management wants employees to do, and a procedure describes how it should be done. Proceduresdescribe exactly how to carry out the policy and contain much more detail.

GUIDELINES FOR VARIOUS DEPARTMENT
Human Resources• Human Resources department will conduct recruitment and selection process.• Prepare communication materials to facilitate recruitment and selection process.• The recruitment should be 7% - 10% of total recruited manning/employee which will be filled in split of whole year.• Human Resources department will ensure fair interviews without any discrimination.• During recruitment Doctor/Nurse will involve with the recruitment process.• Develop tools for monitoring progress and efficiency managers, supervisors and workers.• Conduct pre-assessment to understand the gaps and requirements in the existing operational procedures and physical facilities.• Evaluate their work & other performance as per company policy in comparing with other employees.• The activities of above, HR & Admin Head will be responsible to ensure. *
Administration & Compliance• Administration & Compliance department will perform for general awareness, conducting pre-assessment and oversee internal compliance issues for disable
employees.• Training &Education will be provided to managers or supervisors who have responsibility for disable employees.• The training will focus on the rights of disable employees and the obligation of the Company Management with respect to disabilities in the workplace as well as
policy implementation.• Provide training on different skills which are needed to perform their tasks.• All employees and any new employees working at Shin Shin Group will be introduced to this policy with specific emphasis on making a request for workplace support
that is available.• Conduct Pre-assessment to evaluate present status of disability friendly environment and practice.• Look after the health and safety of the employee. There-should be specific medical equipment/medicine that can be accessed by person with disability.• Implement an abled person for every 5 persons with disabilities as caretaker. **• Ensure all other benefits as per company policy.• Manager - Admin & Welfare officer will be responsible to ensure the above activities. *

GUIDELINES FOR VARIOUS DEPARTMENT
Civil Engineering• Civil Engineering department will ensure construction activities of ramp, parking space, washroom, lift etc. as per universal design standard.• Modification of stairs, toilets, movement and customize workplace that ensure barrier free accessibility for people with disabilities following
Universal Design standards.• Civil Engineer will be responsible to ensure building & re-constructing all the required changes and new build.• MOU with CDD to ensure procedures are as per the ILO.
Mechanical Engineering• Mechanical Engineering department will create special tools for machine & work place that can be used by person with disability.• Maintenance Manager/In-charge will be responsible for ensuring special tools for machine and workplace.
Evaluation• HR department will plan and ensure preparing training calendar and KPI analysis of disabilities.• Weekly & monthly progress & other related report will be monitored & analyzed by HR department and kept a copy of records for further
reference.
Overall responsibilities to monitor & follow-up by CEO/Director time to time/New improvements. **
