The Senior High School curriculum is made up of core, applied, and specialized subjects. These subjects are grouped according to needed teacher specialization/preparation, such that all the subjects in any track/strand offered by the school can be taught by qualified teachers.
The SHS Subject Groups (SubG) shall be the basis for preparing the SHS Registry of Qualified Applicants. SHS teacher applicants should also indicate the SubG they intend to teach in their application letter. Ideally, SHS teachers should be able to teach most, if not all, of the subjects in the same group. SHS teachers may also teach subjects from different groups provided that he/she is qualified to do so*.
1) Determining the number and type (according to subject groups) of teachers to hire
2) Ensuring that there are competent and qualified teachers for all SHS subjects
3) Ensuring that all teachers to be hired are sufficiently loaded; that is, full-time teachers must be able to teach 6 hours a day (6.5 - 7 classes) while part-time teachers must be able to teach 3 hours a day (3 classes).
Given these challanges and the finite number of teacher items that can be allocated for all SDOs, teacher hiring for SHS becomes a rather complex process. This electronic tool has been developed to aid School Heads in addressing the challenges above according to the following general procedures:

Instructions
1) Review the current teaching loads of all JHS teachers. Determine who among the JHS teachers are underloaded and can still teach SHS subjects
2) Plot the class program/schedule of classes for every incoming SHS section3) Assign SHS subjects to underloaded JHS teachers4) Review the SHS subjects that do not yet have assigned teachers. This will be the basis for determining the number and type (according to subject groups) of teachers to hire
Opening the e-tool file takes the user to the MAIN MENU sheet. Each button in the MAIN MENU corresponds to a particular sheet. Clicking on a button takes you to the corresponding sheet, the same way clicking on the INSTRUCTIONS button took you to this sheet.

An example of the PROGRAM OFFERINGS sheet is shown below:
Step 1. Input your school's SHS program offerings. Use the PROGRAM OFFERINGS sheet for this. Clicking on the appropriate button
takes you to the sheet.
As a general rule, non-colored cells are INPUT cells. Input the required data on these cells. Colored cells are locked/protected cells. They require no data input. Instead, they automatically generate results based on the data you supplied.
Enter the name of your school, School ID, school address, Division and the type of community where the school is located (whether Urban, Rural and Remote). These information will automatically be copied to all sheets. Enter the number of students who will enroll in each of your school's program offering. Your program offerings must be consistent with what was indicated in your Template X1. The same information is also in the official DepEd website.
For TVL Track, for each Combination (Combination 1-10), click from the drop-down list the strand of your specializations. In cases where the specializations in a combination belong to two or more different TVL strands, choose TVL COMBI.
The system computes for the number of sections you need to organize and the number of class programs you need to prepare. The system allows for a maximum of 55 students in a class. Except for SHSs in REMOTE areas, a minimum of 40 students is required for any program offering.
Identify all your underloaded Junor High School teachers. Write their names under the appropriate column. For each teacher, indicate:
a) the SHS subject group (SubG) he/she is most qualified to teach (SubG Category Most Qualified);
b) other SubGs he/she is also qualified to teach (SubG Category Also Qualified).
c) SubG he/she is capable of teaching but lacking the required certification, (SubG Category Capable but without qualifications).
d) the actual number of teaching minutes per day based on SF 7.
For a), b), and c) above, you only need to click on the desired SubG from a drop-down list of options.
Once you've accomplished the PROGRAM OFFERINGS sheet, click the HOME button on the upper left corner of the sheet. Doing so will bring you back to the MAIN MENU. Do this every time you complete a sheet.
Step 2. Prepare your teacher profile. Use the TEACHER PROFILE sheet for this. Clicking on the appropriate button takes you to the
sheet.
The system automatically computes for the number of hours a teacher can devote to teaching SHS subjects. The system also classifies teachers according to the subject groups they can teach. The sheet "Report on Teacher Availability for SHS Subjects" shows this information. Later on, when you do your class programming, the system will recommend available and qualified teachers, if any, for each subject you input.

a) the teacher's name need to be inputted again, this time with a simple suffix to differentiate it from the previous entry.
Example: First name entry : Ronil Manayon;
Second name entry : Ronil Manayon2.
This e-tool, however, is programmed to recommend teachers based only the SubG they are most qualified to teach. In cases where a particular teacher is also being considered to teach a subject in SubG he/she is also qualified to teach (b) above):
b) the "SubG Category Also Qualified" of a teacher's first-name-entry should be the same as the "SubG Category Most Qualified" of the teacher's second-name-entry
c) the second-name-entry should have more "Actual Number of Teaching Minutes per Day" than that of first-name-entry. One SHS subject is 4 hrs a week, roughly computed that's 48 mins per day. Say, if first-name-entry already has a total of 240 "Actual Number of Teaching Minutes per Day", and he/she is already assigned one SHS subject, then the second-name-entry should have 288 (240+48) "Actual Number of Teaching Minutes per Day"
If the same teacher is being considered to teach a subject in "SubG Category Capable but without qualifications", his/her name need to be inputted a third time. Repeat a,b,c above.
Note: If you are the School Head of a standalone SHS, you may create your class programs first to be able to determine how many teachers you need for each SubG.
For each CLASS PROGRAM sheet:
Step 3. Prepare your class programs. Use the CLASS PROGRAM sheetS for this. Clicking on the appropriate button takes you to the
sheet. You will need to accomplish a sheet for each class program
a) On the upper left corner, you will find a drop down list of the different tracks/strand. Select your track/strand offering. If you have more than one offering, choose which one you want to work on. This will automatically generate the required subjects of your offering in all of the drop-down fields.
b) Go to the Specialized Subjects field. For each row, click on the subjects from the drop-down list. Make sure that all specialized subjects, including Work Immersion, appear under this field. This will automatically generate the number of hours, SubG, and pre-requisites.
c) For GA Strand and TVL Track, considering the length of the drop-down list, this tool is also designed to search immediately the specialized subjects by TYPING or ENCODING few characters at the selection field for Track/Strand. (For example, you are offering GAS and the two electives are Business Math and Business Finance, so, on the selection field encode BUSI then click the drop-down list. It will display only specializations with characters BUSI, then you can now choose the specialization you are looking for.
d) Due to the complexity of General Academic Strand specialized subjects, a sample listing of subjects are shown. To input the specialized subjects under GA Strand, first, on the selection field Select GAS from the drop-down list. The three (3) regular specialized subjects will be displayed on the drop-down list under specialized subjects. For the three cosecutive rows, chose and click the respective subjects in the drop-down list

e) Go back to the Selection field and choose and click HUMSS, and the subjects option for Humanaities 1, Humanities 2 and Social Science 1 will be displyed. There will be eight (8) HUMSS subjects which will be reflected in the drop-down list. The fist four (4) subjects (1-4 in the drop-down list) will be the choices for Humanities 1 and Humanities 2 and the remaining four (4) subjects (5-8 in the list) will be the choices for Social Science 1.
f) You have now entered six (6) specialized subjects, so the remaining three (3) subjects (Elective 1, Elective 2 and Work Immersion) can selected from different specialized subjects under different Track or Strand. To easily locate and to display only the desired specialized subject, Go Back to the selection field, and input first few characters of the specialized elective subject/s you are looking for then from the drop-down list click on the subject. Repeat the step for the second elective.
g) For TVL specializations chosen as the Elective 1 and Elective 2 subjects, please choose the specialized subjects from TVL with a (GAS) word before the name of TVL subjects (ex. (GAS) Cookery (NCII) 320 hours). The total hours displyed will be 160 instead of 320. This just enough for the 2 electives in GAS.
h) Once all the specialized subjects are entered for your GAS specialization, Go Back to the selection field and choose GAS from the drop-down list to display the title of the track or strand offering

d) Indicate the room numbers where your classes will be held to complete the class porgram.
e) Repeat the whole process for the other semesters until Grade 12.
Scroll down to prepare the Class Program. a) Decide on the Class Period. Choose whether you want to use: i) one-hour; ii) 48-minute; or iii) 40-minute ranges. For 80-hours subjects, if you choose one (1) hour per period, you should plot 4 class meetings per subject per week. If you choose 48 minutes per period, you should plot 5 class meetings per subject per week and if you choose 40 minutes per period, you should plot six (6) class meetings per subject per week.
Be guided by the following to determine the number of plottings in the Class Program if the number of hours is more than 80: No. of Plottings= Hours Allotment/20 (ex. No. of Plottings= 640/20 = 32 plots, so with 640 hours allotment the number of plottings to be made in the Class Program is 32. This formula can be used with other time allotment such as; 480, 320 and 160 if one-hour class period is being used. If class period is set to 48 minutes, multiply the results by 5/4 or (1.25) and if set to 40 minutes, multiply by 6/4 or (1.5) ex. (EIM (640 hrs), set at 48 minutes period, so, 640÷20= 32, then 32 x 5 ÷ 4 = 40, therefore, there should be forty (40) plots in the Class Program.
b) For each time slot, choose the subjects that you will offer from the drop-down list. The SubG will be automatically displayed. Take note that some subjects require pre-requisite subjects. This tool also identifies the subjects with pre-requisites by displaying it in red. Make sure that the indicated pre-requisite subject has been offered in the previous semester.
c) For each plotted subject, choose the teacher/s from the drop-down list. The tool will automatically indicate the name of teacher/s who are qualified to teach the subject. If the drop-down list is blank, this means that there are no qualified teachers under that particular SubG. In plotting the teachers available in the drop-down list, please consider first the number of classes which can be handled by that particular teacher in the Teacher Profile Sheet.( ex. Teacher A can handle only 1 class because the SF-7 reflected total teaching minutes of 300. This means that he/she can be given 1 class in the First semester and 1 class for the Second semester. For newly-hired full-time SHS teachers, they can handle 7 classes in the First semester and another 7 classes in the Second semester or a total of 28 teaching hours per week per semester. (Note: If you have new teachers, update the teacher profile and they will be added to the drop down list in the class program).

f)This Tool is also provided with Progress Meter. It will give you an instant report of your progress in plotting the subjects and the teachers to handle the subjects. If you have plotted correctly the subjects and the teachers, the meter will display the actual percentage of success. And if mistakenly entered subjects and teachers it will subtract from the percentage of success the equivalent error. For the percentage of success for teachers plotted, automatically it will display "0" when there are teachers who are "Overloaded".
While filling out the required fields, please check from time to time the CURRICULUM and SUBJECT Checklist. Address all items with an "X" on the left side. This might mean that a subject did not fulfill the required number of hours or had an excess number of hours.
