Further to this office letter of even number dated 20.02.15, Competent

Authority has accorded approval for permitting to allot Rail Kalarang (A/C), Bhoiguda,

Secunderabad for outsiders also to perform marriage and other family functions. The

booking of Rail Kalarang, Bhoiguda will be processed at General Manager's Office/SC

like other categories.

A copy of the terms and conditions of allotment is enclosed as Annexure-A for

information and it is also available on SCR Website @ Rly.Personnel in About Us

I. Rent Charges and Security Deposit

1. Rental and Security charges are to be paid at the time of booking.

2. AIC charges and electrical charges are collected based on actual.

3. Security deposit will be refunded on deductions of due charges and on

handing over the premises in good and clean condition, failing which a sum

as decided by SSE/W/CKL shall be deducted from the security deposit.

4. Appropriate charges, as decided by the Sr.DEN/Co/HYB for any structure or

any equipments fittings damages, Sr.DEE/M/HYB for electrical equipments,

fittings damages, Sr.DSTE/HYB for Public address system, and

components damages will have to be paid by Allottee. Cleanliness in the

premises of Rail Kalarang will be taken care of by CHI/CKL.

II. PROCEDURE FOR BOOKING OF RAIL KALARANG

1. Rail Kalarang can be booked by the applicant in person on any working day

of during 10 hours to 17 hours.

2. Maximum period of allotment is 1 day. The timing is reckoned from 8AM to

8AM or 8 PM to 8 PM of next day for 24 hours.

III. The booking period for Outsiders will be One Month in advance

IV. MODE OF PAYMENT:

The amount of rent and security charges shall be paid in advance at the time of

booking on allotment letter from GM office. The payment shall be made to the

Divisional Cashier (pay) Hyderabad division at Secunderabad.

V. REFUND OF SECURITY DEPOSIT:

The security deposit shall be refunded to the allottee through pay order after

deduction of the AIC, electricity charges and loss I damage assessed if any.

The allottee shall pay to the Divisional Cashier ( Pay) Hyderabad division at

Secunderabad the balance amount if any that exceeds the security deposit in

respect of due charges. The allottee shall produce a letter of clearance from the

care taker of the premises for claiming the refund of security deposit. The

balance of security amount shall be claimed within 15 days after the function

otherwise the amount will be forfeited. Contd ... 2/-

VII. CANCELLATION OF BOOKING:

The allottee shall indemnify the Railways by giving undertaking to pay

back against any loss or damage caused to the equipments or any

components of premises. The decision of the Railway Administration is

final as regards the assessment of the value of the loss or damage. If, the

extent of damage is not limited to the security deposit, the excess will be

recovered from the allottee.

VI. OTHER INSTRUCTIONS:

1. For in-service I Retired Employees - 3 Months in advance (in Hqrs area only)

3. For Unions I Associations - 1 Month in advance.

4. For Railway PSU staff I Outsiders- 1 Month in advance

E. PRIORITY OF ALLOTMENT as follows:

I. CANCELLATION OF BOOKING:

1. The allottee shall indemnify the Railways against any loss or damage

caused to the equipments or any components of premises. The decision

of the Railway Administration is final as regards the assessment of the

value of the loss or damage. If the extent of damage is not limited to the

security deposit and can be recovered from the salary of the allottee

where so decided by the Secretary to GM South central railway.

2. For railway staff kit and kin any supported document shall be submitted

along with application for booking.

3. In case it is found at any stage that the allottee has obtained the

allotment of the hall by producing false information during or after the

function he /she is liable to pay the prescribed rent for the outsiders in

addition to a penalty of Rs 10000, besides disciplinary action will also be

initiated.

1. Cancellation of booking by the Railway applicant:

Initially the rental charges will be hold, if the allotment has been done for

that day/time subsequently rent in full including security deposit will be

refunded.

2. If no booking has been done on that day/time subsequently rent will be

forfeited and security deposit will be refunded.
