SPG Registration Guide

1. Before beginning a. The URL for the SPG Festival website is https://festivals-recitals.bcrmta.org/node/1 b. You will need to create an account, go to “Register” in the top right corner to begin

the process or cut and paste the link https://festivals-recitals.bcrmta.org/user/register

c. If at any time the registration form is not responding properly, try another search engine (Google Chrome, FireFox) or try using a different device (computer, phone, ipad). d. For the Rules and Regulations, click or cut and paste the link https://festivals-recitals.bcrmta.org/rules_regulations_spg

e. Once on the SPG landing page, click the “Register Now” button to be directed to the registration window.

2. Student Information a. Fill in the information as requested. Do not select “yes ensemble” unless the

student is registering for an Ensemble Class.

3. Student Information for Ensemble Entry

a. Select “Yes Ensemble”. b. The registration window will open text fields for three students (student 1, student

2, student 3). c. The phone number and email will be collected for student 1; only the names of

student 2 and student 3 are required. d. Piano duets and piano trios can be in any combination of instruments but only one

piano will be on site.

4. Teacher Information

a. The teacher must be a member of the Vancouver/Burnaby Branch or its Student Teacher Auxiliary Group.

b. Be sure all teacher information is correct as they will be sent a confirmation email once the registration complete.

c. In the case of ensembles, fill in the teacher information for student 1.

5. Class information

a. Division

i. Select the division according to the level of the student 1. Preparatory 2. Elementary 1, 2, 3 3. Junior 4, 5, 6 4. Intermediate 7, 8, 9 5. Senior 10, 11, 12 6. Adult 19 or older

b. Class Category i. Select the Class category according to the style of the piece.

c. Class Level

i. Select the level according to the RCM syllabus. ii. If the piece is part of another examination system, RCM will be used as the

grading guide. If you are unsure as to the level, contact your teacher for confirmation.

d. Payment Category

i. Select the appropriate level for payment. ii. CHECK that you have selected the correct option as it will otherwise default

to “Classical: Senior (Level 10) - $50 iii. For Classical Senior Level – check that you have selected “complete” or

“incomplete sonata” as appropriate 1. Sonatas should be performed as listed in the current RCM Syllabus;

should fewer than the required number of movements be played, the performance will not be eligible for a rank or award

iv. Refunds distributed before the deadline: As the Festival is charged for each online transaction, a fee of $5 or 3% of the total to be refunded (whichever is greater) will be subtracted from each request.

6. Piece Information

a. Fill in the information as required. b. Title Abbreviations

i. opus use op. ii. movement use movt.

iii. number or # use no. c. Composers

i. NO first names. ii. Include initials only in the case of composers with multiple options to avoid

confusion iii. i.e. use Bach for J.S. Bach, but use initials for the sons CPE Bach and JCF Bach

d. Piece Timing i. round up to the nearest minute, please be as accurate as possible.

e. Youtube link i. ONLY Youtube links will be accepted.

ii. Student must state their full name, the title of the piece and the composer BEFORE their performance begins.

iii. Appropriate attire and deportment are expected as the video will be posted on the website should the student rank 1st in their class.

f. PDF of the score i. If the repertoire is NOT found in the 2015 RCM Syllabus, students are

required to scan and upload a pdf of the scores https://files.rcmusic.com//sites/default/files/files/RCM-Piano-Syllabus-2015.pdf

ii. All Ensemble Classes are required to scan and upload a PDF for their repertoire

iii. PDF’s MUST be labelled with the Class, Level, and full title of the piece. 1. Ex. CL5 Sonata No. 17 in D minor

7. Concert Group

a. When this option is selected, the registration window will open text boxes for three pieces.

b. Fill in the information for all three pieces as noted above in #6.

8. To complete the registration

a. Click “I have read and agree with the Rules and Regulations” i. Please be sure your teacher has reviewed the Rules and Regulations;

mistakes or omissions could result in the student being disqualified from scholarships or awards.

b. Click “save” to move to the next window.

9. Information Review ADD new screen shot

a. Review the entry information for correct spelling, emails, phone numbers etc. b. If everything is correct:

i. Select “add another registration” if you have another student to enter ii. Select “go to cart” if you are ready to pay for the registration(s)

c. For corrections OTHER THAN “Payment Category”, select the “edit” button at the

top of the window and repeat the process.

a. For corrections in “Payment Category” i. Before payment is made:

1. if you want to change the level and it’s in the same Division, the fee will be the same and the system will allow you to make the edits.

2. If you want to change the level but it’s in a DIFFERENT division, the fee will change and you will need to DELETE the entry and start fresh.

ii. After registration is complete and payment is made 1. if you want to change the level and it’s in the same Division, contact

SPG@bcrmta.org before the January 31 deadline to make the correction.

2. If you want to change the level but it’s in DIFFERENT division contact the committee SPG@bcrmta.org before the January 31 deadline to add to the payment or get a refund. As the Festival is charged for each online transaction, a fee of $5 or 3% of the total to be refunded (whichever is greater) will be subtracted from each request.

iii. IMPORTANT: After the deadline, NO fees changes will be accepted. Mistakes

may result in the student being disqualified from receiving marks, scholarships or awards. Please the Rules and Regulations for details.

10. Shopping Cart

a. Complete the payment instructions as per the Shopping Cart window. b. DO NOT change the quantity

i. This option could not be deleted from the program, we apologize for any confusion.

11. Completion of the process

a. Once the transaction is complete, confirmation emails will be sent to: i. the account holder,

ii. the teacher listed on the registration. b. The program

i. A pdf will be available online after February 8. ii. No changes to the performance times will be considered.

iii. Spelling corrections will be accepted until February 15.
