led the First Fifteen discussion.

II. Approval of Minutes: Minutes were approved as written.

III. Highlighted Commission Report: Dawn Schepers, Youth Minister, reported on the accomplishments and goals of the Youth Ministry Commission.

IV. Additions to Agenda: Discussion of St. Joe Rectory. Francis Conroy reported that the Finance Committee recommended demolishing the rectory, based on costs to maintain and the fact that the building was no longer used. Discussion followed. This will be an ongoing discussion.

V. Business Manager Report– report submitted.

VI. Finance Report – report submitted.

VII. Commission Reports

VII. Old Business A. Youth Ministry Fundraiser request – This request was approved by the Council. B. Weekend Mass Schedule – Fr. Tom talked about the possibility of reducing the number of Saturday evening masses from two to one. The mass would be held at the St.

Paul campus to accommodate the combined number of attendees. He proposed surveying the parishioners to see what time would be preferred.

VIII. New Business

a. Election Committee – Gordon Strom and Janelle Lewis have prepared a form to be available for those parishioners interested in running for parish council positions. This would be a self-nomination. Council members will speak on Sunday explaining why they have decided to serve. Fr. Tom will remind everyone in the announcements the next week. Elections will be held the weekend of June 3 and 4.

IX. Fr. Tom’s Comments - Fr. Tom reminded the members that the Parish Council retreat will be Saturday, August 19. He asked all not to lose sight of the fact that this is God’s parish. A new church will be build when God chooses and we should be at peace with that.

1. Open with prayer 2. Approved April 20, 2017 minutes. 3. April Balance Sheet: Balance decreased $14,449; decreased School $52,062, increase

Church $26,387 and Day Care $13,596, all per budget. 4. April All Financial: Ordinary Income YTD is +7.4%; Ordinary Expense -4.6%; YTD net

is +$87,966. 5. April Ministry Financials:

Church: Collections for YTD 5.2% over budget and 9.5% above last year. Net YTD is +$43,180. April had a yearly contribution of $5000, So far in May a yearly contribution of $5300. Continuing education is under $6916 for year. Total Expenses +$15,000 over; Maintenance is +$13,700 School: Karen covered per minutes of 5/17 meeting, attached. YTD net is +$75,500, forecast for year is -$17,800; April-June budget is -$95,000. Day Care: Net YTD is now at budget. Enrollment is above budget; summer care is projected 81 vs budget 70 Gaming: Net is $-12,000 over budget which is due to using balance; it will improve with Raffle results.

6. Parish Security Report. Fr. Tom ask to put on hold and review later. There is concern that

there are some issues that should be done. Vince well list with cost and work with John.

7. Parish Raffle. To date 107 tickets have been sold. There will be table for sales during the brunch.

8. 2017-18 Operating Budget Review: Updated budgets had been provided for review, We reviewed memos that covered final input for budgets, attached Budgets as proposed were approved and will be submitted to Parish Council.

9. 2017-18 Capital Budget:

The list as previously provided the cost for the SJ School was reduced to $50,000. Total is $208,600.

Capital campaign and new church are not included. If decision is made to proceed, funding will be made. The proposed capital budget was approved and will be submitted to the Parish Council.

10. SJ Rectory. Finance recommendation for removal was submitted to the Parish Council. The Council will have on agenda until decision is made.

11. Meeting Rooms SJ School. Work is proceeding as approved by Fr. Tom. Due to difference I have with some Parish visions, I have been asked to resign as Finance Chair. I have decided to resign at the closing of this meeting. Mike Waiz has agreed to Chair Finance until June 2018 when Jonathan Cooper will Chair Finance. Francis Conroy

1. Financials • 5028.705: Substitute Teacher Salaries—Again,3 babies in 3 months! • 5025.705: Instructional Salaries—Under Budget due to maternity leaves

2. Fundraising

• Fundrasing complete and over budget.

3. Collections • All tuition is current. No cafeteria collections issues.

4. Cafeteria

• Cafeteria has a positive balance that remains under the 3 month operating expenses threshold that we are allowed to have.

• Lisa Combs and Joe Krause are looking at service for the stove and pricing a replacement. Ron Arrington, form Vulcan, has been contacted.

5. Tuition Assistance • Information has been sent to families that are currently receiving a

Choice Scholarships, and Tax Credit Scholarships, New Families and Kindergarten Families. Each family is aksed to review the income limits and answer “Yes” or “No” as to whether they would qualify.

• HOPE Fund Application availability will be published in the next two school emewsletters.

• JPII’s Tax Credit Scholarship balance is $22,849.56. The 2016-17 and 2015-16 school year s disbursements were $13,500 each year.

6. HOPE Fund • Looking for a solution to up parishioner attendance. Table hosts needed,

possibility of entertainment vs. a speaker.

7. Facility Walk-Through with Koetter • Koetter sent preliminary drawings. Discussion of where additional

school space could be located. Additional floor on AC, out to AC Parking Lot, Where Current Daycare Building 1 is now, etc.

• Ruth reports that she cold have added another class this year. Father Tom said the possibility of the Daycare expansion would be a question for the Parish Council. Does it fit our Mission?

8. Enrollment • Enrollment is at 238 versus 235 Budget. • 18 Seventh Graders Registered • 34 Kindergarteners Registered. (27 of 59 eligible from JPII Preschool) • Loss of 12 fifth graders not returning to Grade 6. This is the trend that

we would like to see reversed with the addition of our middle school. • 8 Non-Kindergarten New Students • Pleased to report that only 1 student that is not in 5th or 6th grade is not

returning to JPII for the 2017-18 school year.

: Classes ended April 30 and will restart the beginning of August. 2

Catechist spots need to be filled for next year, 3-4 class and 7-8 class until their usual catechist

recovers from surgery. Kristina would appreciate any catechist suggestions.

RCIA

: Will begin early August. Kristina will reach out to Angie Hazen about returning to the

team. We already have three people interested in attending RCIA in the fall. See below for

further discussion.

Adult Faith Formation

Marriage Enrichment

: They couples team wants to do another Enrichment Day, and Kristina is

going to see if any of them are interested in leading the 5 Love Languages again in the fall.

Nursery/CLOW

b. First Eucharist/Confirmation – Children received their sacraments on April 29-30. Three adults are

participating in the Deanery’s formation program and will be confirmed June 4 at the Cathedral.

: Nursery currently has enough volunteers. CLOW has some new volunteers.

c. Family Faith Formation – After discussion, we would like to offer an adult program during religious ed.,

following what the children are learning in the “Finding God” textbooks, which uses a spiral curriculum.

d. Adult Faith Formation Task Force –Update

1. The Mission Beyond kick-off event is July 29 with the Hush Harbor band and guest speaker Gary

Montgomery. This program became something bigger than expected; Kristina is confident that

we will be able to wrap up planning and not put too much work on anyone.

e. Lent activities -Feedback/reflection – we love having the reading racks at both locations.

f. VBS – June 6-8 at St Joe Hill Campus – Playing on God’s Team ….updates – Everything is almost ready to

go for VBS, minus food purchases to be made that Monday. The volunteer meeting is Monday, June 5.

We already have lots of children and youth/adult volunteers signed up. Looking forward to a great VBS!

3. Other

H. We discussed that this is a problem in RCIA as well as an issue with adult education as a whole. We need to better build community and fellowship in small groups. We need to work on our marketing of these problems. We need to have adult programs already going that RCIA folks can plug into after they become Catholic.

I. We should be welcoming of people and provide hospitality at gatherings. We can’t just expect people to show up when they don’t know what they’re missing out on. We need to work in tandem with the Spiritual Life commission since there is so much crossover.

J. David Hoffman talked about what he has observed and is lacking: Catholic teaching, Catholic identity and a lack of reverence.

a. In discussion, we believe that those who come to mass sometimes are those that need to be targeted. Again, we need some marketing help.

b. Faith Formation Members – We need more males on our commission. Kristina will ask Fr. Tom for some

suggestions.

c. Parish Council Report – when the May report is requested, Kristina and Vicki will get together.

d. Upcoming Parish Activities – VBS is just around the corner and the July 29 Mission Beyond Kick-Off.

After next week’s meeting, Kristina will contact the Commission if help is needed with Mission Beyond.

e. Any other remarks – Lynell plans to attend the John Bosco Conference again this summer.

Minutes Parish Life Commission Meeting

A Parish Life C ommission meeting was he ld a t 7: 00 P M on T uesday, May 2, 2017 , i n t he Upstairs C onference R oom of t he P arish Office B uilding a t the S t. J oe H ill Campus i n Sellersburg, Indiana.

May 2, 2017

The f ollowing members of t he P arish Life C ommission were presen t: Bridget Meye r, Steve Yost, R osie Y ost, Geri L yle, Rosella K lein, Cathy T homas, Betty J . P opp and L inda H unter. Also present w as T aylor B uckner. Taylor B uckner i s working with t he S t. J ohn P aul I I Facebook, and she agreed to become a member of the Parish Life Commission.

Bridget Meyer led the meeting. Linda Hunter recorded the minutes. Bridget Meyer distributed an agenda, a copy of the First Fifteen for Sunday, May 7, 2017, and a copy of the April 4, 2017 minutes of the Parish Life Commission.

The “First F ifteen” gospel r eading for S unday, M ay 7, 2017 (John 10: 1-10) c oncerned the parable of the gatekeeper. Steve Yost did the reading and led the discussion that followed. The discussion involved our first recognizable voice, who taught us about Jesus and the meaning of abundant life. After the discussion, those present prayed the Glory Be prayer.

Bridget asked all present to review the April 4, 2017 minutes. T here were no c hanges, and the minutes were approved.

The first item of discussion was the upcoming Parish Brunch/Raffle scheduled for Sunday, June 4, from 10:30 until 1:30 PM. Chris Cakes, pancake caterer for this event, will need access to the Activity Center at 9:00 AM. Several people volunteered to be there at that time and volunteered to br ing extra e xtension c ords i n the e vent they a re ne eded. Bridget reminded all tha t a f lyer concerning the Parish Brunch/Raffle was emailed to parishioners. She also reminded all that no child care will be provided at this event.

The Greeting Card Ministry was discussed. Preparation and delivery of birthday and anniversary cards is done monthly by 12 volunteers. Bridget Meyer is in charge of mailing sympathy cards. Sympathy cards are signed by parish staff.

Cathy Thomas reported that the Parish Pool Party will be held on Saturday, July 8, 2017, at the Clarksville Pool immediately following the 5:30 PM Mass. T he pool party is expected to last two hours. Pizza and drinks will be provided.

Parish Life Commission Minutes May 2, 2017 Page 2 Center and is scheduled to begin at 6:45 PM. Food will be available and there will be a speaker, a Christian rock band, and other activities.

The Babysitting Ministry was discussed. Bridget reported there is a Red Cross basic babysitting course online at a cost of $29. There is an advanced course at the cost of $36. Bridget hopes the parish will cover these costs. All volunteers need to complete the Archdiocese’s Safe and Sacred Program. Donations for child care will be accepted but no fee will be charged. Sitters should be paid. A l engthy di scussion e nsued c oncerning how t o ge t vol unteers f or t his p rogram. A question was asked ifanyone presentwould agree to recruit babysitters. No one responded.

Taylor B uckner ha s b een i nvestigating ba bysitting m inistries. T aylor r eported t hat on e supervisor over the age of 18 is needed for each 10 c hildren. N o sitter can be younger than 14 years of age. Taylor agreed to head the Babysitting Ministry. Suggestions for recruiting sitters included the Parish bulletin and the Parish Facebook page.

The next item of discussion was the St. John Paul II Feast Day activities scheduled for Saturday and S unday, O ctober 21 a nd 22. Taylor is working on this event. Some activities discussed were a movie of t he l ife of S t. J ohn P aul I I (Saturday), a d inner/dance(Saturday), a hayride/cookout/bonfire (Parish Life event on Sunday), a testimonial (Saturday), the Paul Boggs Band, and a balloon rosary lift-off. Attendees may be asked for donations of canned goods for the Speed Food Pantry, socks for Exit Zero or cash donations. Games for adults and children on Sunday were dis cussed. Attendees w ill be a sked t o br ing lawn chairs for ou tdoor e vents. Contingency plans need to be in place in the event of rain.

Community-wide pa rticipation at t he S t. John Paul I I F east D ay activities was discussed. A special invitation to parishioners of St. Francis and St. Michael was suggested.

Bridget reported that new pa rishioner packets have not been completed because of Mass time reschedule. Visitor packets are in the back of each chapel.

MAY 2017 Karen Haas

• Grade 6 Service Learning: All grade 6 students met their requirement for their “Page” level service award. In grades 7 and 8 they will strive to earn the “Squire” and “Knight” levels.

CURRICULUM/PROFESSIONAL DEVELOPMENT

• Grades 6 & 7: The latest information from the Middle School Planning Team was sent home to rising 6th and 7th grade parents. This included naming the subject area teachers, elective choices and facility upgrades including a STEM (Science) Lab.

• Grade 6 CYO Camp: Our 6th graders just spent a fun-filled, faith-filled three days at Camp Rancho Framasa. They participated in many activities that covered not only religion, but math, science, and social studies standards too. They were blessed with good weather, and had a great time!

• May Family Friday: Mrs. Howell’s fourth grade gave us a recap of the 2016-17 school year.

EVENTS

• Outreach Challenge: Mrs. Kist’s class participated in the Rainbow Project. They painted rainbows on rocks and left them in various places in the community.

• Derby Activities: The study of local history and current events surrounding the Kentucky Derby culminated in fun events for each grade level.

• Important People: The third grade students researched an important person, wrote a biography of that person. They each dressed as that person and presented speeches to the third grade parents.

• Facebook: Don’t forget to “Like” the St. John Paul II Catholic School’s Facebook page. (facebook.com/StJohnPaulSchool) It is a great way to keep up with the many fun and educational things going on in our school!

FUNDRAISING/MARKETING

• State Vouchers and Tax Credit Scholarships: Incoming families, families currently receiving Tac Credit Scholarships, and Vouchers have all received information about Vouchers for the 2017-18 school year. St. John Paul II Parish Council Ruth Morrison–Lile Preschool & Child Care Report May 23, 2017 Enrollment Numbers

• The 2016 - 2017 school year enrollments: The daycare/preschool is closing the year with one opening in preschool. The After School Care Program has a total of 33 full time and 9 part time children using the program.

Staffing • The day care staff will be adjusted to meet the needs of the summer

care enrollment.

Accomplishments • We have 59 children graduating from preschool on Sunday, May 21st.

We have 26 of those children registered for kindergarten at St. John Paul II. Good luck to all those graduating.

• We have a total of 81 children registered for the summer program. • We passed our semi-annual state inspection in all three buildings with

no non-compliances.

Activities/Events • May 21 Preschool Graduation • May 22 Preschool Olympics • May 24 Snow Make up day for M/W/F classes • May 30 Summer Program begins

Facility Issues • The two front exterior doors were replaced on Child Care Bldg. #1.

Spiritual Life and Evangelization Commission Minutes of Meeting

April 20, 2017 Dinah opened the meeting with " The First Fifteen". Members present were Kathie and Bob Eberley, Linda Helms, Mary and Terry Wright, Joan Dilger, Taylor Buckner, Dinah Tichey, Bunky and Tex Very, and Father Tom. Fall Retreat--Tex reported that he and Bunky will meet with Father Jim before the next meeting. At that time they will find out the subjects of the talks and the schedule for the day. Technology--Dinah said that the pictures her husband Bob took at the Easter weeks events were very good. She and Mary said that they were posted on Facebookand the feedback was very positive. Adoration--Linda reported that everything is about the same. There are 4 slots open still. Father would like to eventually have perpetual adoration but we probably have to unite with other parishes. Also some type of security at night would have to be implemented. Joan offered to look into that matter. Sunday Rosary--Mary said that they will have the rosary on Sunday April 23rd. The divine Mercy Sunday is Sunday April 23rd. beginning with the procession at 2:30 at the St. Joe Hill Chapel at 3:P.M. Prayer Partners--Father Tom said that he will begin this soon. It will be in the bulletin for each of the masses. Father also mentioned that he plans to change the weekend Mass schedule beginning this July. Family Retreat--The family retreat is planned for Oct. 14th and 15th. Marlene Stammerman is not available to help that weekend but Father said that if all the activities are divided up, that there is not a need for a facilitator. Feast of St. John Parish ll--Taylor said that the plans are still being discussed and she will have more information at the next meeting. Some of the suggestions from our committee on the activities are- handing out holy cards, a witness talk, hayrides, bonfires, and a dinner. Our Lady Of Fatima—The 100th Anniversary will take place on May 13th of this year. To honor that, the parish will make prayers for Novena available to be said the 9 days after the anniversary. Father will encourage everyone to do the novena. Budget--Dinah presented e a proposed budget for each category of our commission to get their input on the amount allocated for their events or activities. This amount can be adjusted if necessary. The meeting closed with prayer. Our next meeting will be May 18th at 6:30 in the activities building at St. Joe hill Campus.

St. John Paul II Stewardship Commission Meeting Minutes

May 3, 2017 @ 6:45 PM – St Joe Hill Chapel

I. First Fifteen Model. Read the early Gospel for 4th Sunday of Easter, followed by quiet minutes of reflection and then discussion within the group.

II. STEWARDSHIP EDUCATION PROGRAM FOR SCHOOL AGE PARISHIONERS: • Fr. Tom will look to conduct classes in the Fall. Fr Tom to lead program as opportunity to

be in the school. Fr Tom will get the information from Donna (Steve’s wife). Will look to senior luncheons to get volunteers.

III. Stewardship of Treasure – renamed to Possibility • April 22/23 & 29/30 Homily, May 6/7 Intention cards (Derby weekend) • Mike Landers will continue to gather information regarding where contributions go.

IV. Stewardship of Passion (Talent) • Begin week of September 9-10, 16-17, collect commitments • Will follow last year’s protocols • Need to begin to get ministry booklet together. Connie will help put together.

V. FPU • Yvonne will contact Rita Riggs and Kristina Vogt to see if they would be interested in

hosting. Fr. Tom will also announce in home availability.

VI. Yearend Report • Need to start collecting input from the Commission leaders • Parish Council representation – Don Day will fill in as the Stewardship rep for the rest of

this year. A new rep may be defined in July.

Parish Council Report – Youth Ministry May 2017

Athletics

• Track and Soccer will both have wrapped up by the time Parish Council is held in May and those are the last sports for the 2016/2017 school year.

• As Athletics prepares for the 2017/2018 school year, open gyms will be held during the summer for volleyball and some basketball formation. The Athletic Committee is hosting a week long basketball camp as well that is open to all youth from grade school through high school.

• Volleyball sign ups have already started because that is the first sport as we start the school year.

Youth Ministry Programming Faith Fill-Up Fridays- our last morninng program for the school year started with dessert first (yes, for breakfast) to end the year on a sweet note!

NCYC (National Catholic Youth Conference) update – registration for youth of our parish is now open. I hosted an open house/drop-in on May 16th for those wanting more info or if they had questions.

Confirmation Mass was held at the end of April. We had 31 youth confirmed. We had the first parent/youth session for the upcoming Confirmation class. This session went over guidelines/expectations and the calendar. We believe that the upcoming class will have between 25 and 30 youth in it.

Study bags were delivered to approximately 140 high school youth.

The new driver blessing at masses is the weekend of May 20/21 and for those graduating there will be a blessing the weekend of June 3/4.

The YM e-newsletter had info about upcoming summer programs – Secret Service, Faith Fill-Up Fridays, Belle Cruise, Kings Island and Holiday World.

Since the last Parish Council meeting and the discussion held that night about the YM Commission, we have added 3 new members! Thank you for your help in that area!
