State of Kansas – Pre-Bid Meeting Agenda Department of Administration, OFPM-DCC

General Agenda for Pre-Bid Meeting July 21, 2020, 10 AM, Via Zoom meeting Project: A-013861 Kansas Department of Transportation KDOT Gage Subarea Mods Topeka, Kansas This meeting was run by the project architect- Angie Haden. Introductions of all personnel associated with the project (agency, OFPM-DCC, project architect/engineers). Attendance List -- Each participant will add their name & contact to the chat part of zoom for attendance – verbal attendance was also taken by architect. Architect/Engineer reviewed the following: 1. Bid opening date is August 20, 2020 2. Bids are opened by Procurement and Contracts. 3. Questions concerning bid bonds, performance bonds, public works bonds insurance, etc. are directed to

Purchases at 785-296-0408. 4. Bid Form: Described and listed out the Add Alternates; sub-contractors required to be listed and

completion days/date. 5. Substitutions: All requests to approve equivalent products must be submitted to the architect/engineer no

later than 10 days before the bid date, as stated in the specifications. All approvals will be released via addendum.

6. Tax Clearance requirements for general and subcontractors listed on Form of Bid. 7. Last addendum will be out one week before bid date, August 13, unless bid date is postponed. 8. Review sales tax. 9. The Clark Enersen Partners gave general description of site & building scope. 10. Opened the meeting up for discussion and questions- No questions. 11. KDOT stated that the existing facility and surrounding areas will be in operation during construction. 12. Email architect with name and contact of person(s) who will be going to the site walks as listed below.

Limit of 10 people per site walk. Please wear mask and keep social distancing rules—the building will be occupied by staff at time of walk through.
