1. Welcome

WELCOME TO KARNAK CREATIVE CHILD CARE CENTER, INC.

This Parent Handbook (“handbook”) contains the policies and procedures of KarnakCreative Child Center, Inc. in outline form. Please take the time to read the handbookand keep it in a convenient location for reference. The handbook is meant to serve as areference guide. It is not meant to cover every aspect of the childcare program or everysituation, which may arise. Parents should feel free to contact the program director withquestions concerning the contents of the handbook.

Throughout the handbook, the term “parent” will be used to refer to the parent(s) orguardian(s) of the child in care. The term “provider” will be used to refer to KarnakCreative Child Center, Inc.

Karnak Creative Child Care Curriculum

Karnak has implemented the use of the Creative Curriculum as well as the GOLD onlineassessment tool throughout the center. The Creative Curriculum is a research-basedcurriculum that focuses on the individual child’s interests and development. What thismeans is that we will be aligning our weekly lessons to match the way the childrendevelop and learn in order to promote optimal development and learning.

There are five foundational principles of Creative Curriculum:1. Positive Interactions and relationships with adults provide a critical foundation for

successful learning.2. Social-emotional competence is a critical factor in school success.3. Constructive, purposeful play supports essential learning.4. The classroom environment affects the type of quality of learning interactions.5. Teacher-family partnerships promote development and learning.

For Infants, Toddlers, and Twos, The Creative Curriculum enforces aspects of a routinelike “hellos” and “goodbyes”, diapering and toileting, eating and mealtimes, sleeping,and naptime. These routines are an important part of your child’s day, as they ensureconsistency and nurture to help your child build trust and form a positive relationshipwith their teachers, which is the foundation for learning. In addition to daily routines, theCreative Curriculum engages your infant or toddler in daily indoor and outdoorexperiences, such as playing with toys, enjoying books, creating art, and exploring theplayground. Experiences help your child’s teacher observe what your child does andselect materials that match your child’s growing abilities and interests.

The Creative Curriculum for Preschool focuses on eleven interest areas: blocks,dramatic play, toys and games, art, sand and water, library, discovery, music and

movement, cooking, technology, and outdoors. These interest areas help teachersunderstand how to work with children at different developmental levels to promotelearning, and it also guides them in adapting classroom environment to make it morechallenging for the children.

2. Changes to Handbook

The provider reserves the unilateral right to add, delete, modify or amend the policiesand procedures described in the handbook. Changes will be communicated to parentsin a reasonable time frame.

Changes to policies and/or procedures contained in the handbook are effective only ifset forth in writing signed by the provider.

3. Non-Discrimination Policy

The provider will maintain and conduct all practices relating to enrollment, discipline,and all other terms and benefits of childcare services provided in a manner that doesnot discriminate against any child, parent or family based on race, color, religion,national origin, sex, or handicap.

Cultural Competence Plan

The purpose of the cultural competence plan is to ensure that Karnak Creative ChildCare shows every individual child, family, and member of staff has worth; that they needto be respected, and each individual’s dignity is preserved. This is important to children,families, and staff because it is creating a respect-based communication, “affirmativeaction”, “equal opportunity”, and “sensitivity training” that will allow Karnak CreativeChild Care to create a more well-known cultural competency.

Tools/Resources Being UsedKarnak Creative Child Care employs the use of culturally inclusive tools and resourceswith infants through 5 years of age. Our dramatic play areas display things like multi-ethnic foods, multicultural dress-up clothes, and dolls that represent people of differentgenders and ethnicities. We encourage the use of books and blocks in our library, andblock areas that represent similarities and differences in the world. You might also seethings like pictures in the classrooms that represent the different ages, abilities,genders, ethnicities, or non-traditional roles of the families in our center.

Karnak Creative Child Care utilizes this plan to meet the needs of children, families, andstaff through the following:

Addressing any cultural, linguistic, or economic barriers to care. Providing a staff that reflects the composition of the community being served.

Being aware that families might hold different beliefs about the causes andtreatment of diseases or discipline.

Realizing that culture is critical to each person’s understanding of food, nutrition,and physical activity.

Increasing the ability of children and families being able to relate to each other aswell as others.

Enhancing the sense of dignity and self-worth within the child and family. Knowing that every individual is rooted in their culture. The cultures reflected within Karnak Creative Child Care Center families are the

basis of any cultural plan. Culturally relevant programming requires learning accurate information about

various cultures and disregarding stereotypes. Addressing that cultural relevance in curriculum choices is necessary. Every individual has the right to maintain their own identity while acquiring skills

to function in a culturally diverse society. Multicultural programming for children enables children to develop an awareness

and respect for individual cultural differences.

All of this information will be shared with the children through the use of culturallyinclusive materials, activities, discussions, and/or books that are read to the class. Thefamilies will receive handouts of information regarding these policies and also may beasked to participate in making various cultural foods throughout the year as part of thecooking interest area in our curriculum. Parents/guardians may request to hold ameeting with the Program Director at any time to discuss these policies as well. Karnakstaff will receive 3 hours of training annually that is focused on cultural competence orinclusive practices.

4. Admission Requirements/Care Schedule

Children may attend on a full-time or part-time basis. Full time is considered five days aweek, and part time is considered three or four days a week. Any child that is comingthree or four days a week must have a set weekly schedule. Each week the schedulewill remain the same, unless you need to add a day. If you need to add a day onto yourschedule, there will be a $5 add fee per day added plus the tuition cost of the extra day.Karnak Creative Childcare will do their best to accommodate additional days, but thereis no guarantee that there will be availability for that day. If you need to add a dayschedule change must be made Thursday by 12:00pm the week before. Schedulechanges must be submitted by emailing [email protected] or writing iton the clipboard. Verbal schedules will not be accepted.

You are required to pay the tuition for your child’s scheduled attendance each week.Additional fees for extra hours, late pick-up and extra days will be added to youraccount balance. Submitting your child’s schedule on time will ensure elimination of anyunnecessary charges. Families with siblings will receive a 10% discount on the lowestrate child.

It is mandatory that all Infant-Toddler (six weeks-two years old) students are attendingat least three set days per week. All Early Preschool and Preschool (three-five yearsold) students must attend at least four mornings. Karnak families have the option ofattending four half days in the morning, three full days and one half day morning, twohalf day mornings and two full days, four full days, or full time enrollment. All EarlyPreschool and Preschool students must arrive at school before 8:30am to ensure fullbenefit of the curriculum. Any child dropped off after 8:30am must wait in lobby to beescorted to class by a staff member.

5. Infants/Toddlers

Parents will receive a written daily record that will include food intake, sleeping patterns,elimination patterns, developmental milestones, and unusual changes in the child’sbehaviors.

The infants (12 mos. and younger) must be placed on their backs to rest in our cribs. Ifthe child must sleep differently, a letter from the child’s physician will be required on filestating why they must sleep differently and for how long. Swaddling and attachmentswill be allowed up until 2 months of age. If the parent would like the child to be swaddledlonger, a letter from the child’s physician will be required in file stating why it is neededand for how long.

The infants will engage in supervised “tummy time” daily until they are 12 months ofage. Parents/guardians may exempt from tummy time in writing and it must be given tothe front desk to be kept on file.

Feeding:

Infant bottles MUST be labeled with child’s first and last name, and the date and timethat it was prepared. Multi-day supply of breast milk that is labeled with the child’s firstand last name and the date and time it was prepared can be stored up to 4 days in ourrefrigerator or no more than 2 weeks in the freezer.

6. Transition Policy

Karnak follows a consistent, 12-month age range in classrooms for the children. Ourclassroom ages are as follows: 0-12 months, 12-24 months, 2 to 3 years, 3 to 4 yearsand 4 to 5 years.

We do annual transitions to the next age range in both June (for our summer program)and September (for the school year). Transitions are as follows:

Children aged 0-12 months will transition to our 12-24-month room upon meetingthe following requirements and pending room availability: the child is at least 12

months old and is considered developmentally ready (child can feed themselvesand is walking).

Children aged 12-24 months will transition to the 2 to 3-year-old room bySeptember of the year the child turns 2, however, the child must be 2 byDecember 1st of that year in order to transition.

Children aged 2 to 3 years will transition to the 3 to 4-year-old room bySeptember of the year the child turns 3, however, the child must be 3 byDecember 1st of that year in order to transition. Per licensing requirements,children that are born between September and December 1st, making them atleast 33 months of age, will be asked to sign a waiver to be enrolled in our 3 to 4-year-old room.

Children aged 3 to 4 years will transition to the 4 to 5-year-old room inSeptember of the year the child turns 4, however, the child must be 4 byDecember 1st of that year in order to transition.

As we find your child is ready to transition from one classroom to the next, the followingsteps take place:

Parent/family is notified for approval Team meetings between previous teachers and prospective teachers to discuss

the child’s readiness and expectations. Welcome letter is provided to families outlining the expectations of the new room

as well as a copy of the new room’s schedule Families are introduced to new staff

Karnak also has in place a plan for transitioning our 4 to 5-year-olds to Kindergarten:

September-October: Ask parents to identify the school they think their child will attend for kindergarten

November-February: Karnak will provide families with copies of the “Transition to Kindergarten Guides”

that can be found on the Michigan Department of Education website. Karnak will provide families with copies of GOLD report cards to be shared with

the prospective kindergarten class.February-April Karnak will inform and remind families of the dates and locations of kindergarten

orientations and open houses in the Woodhaven-Brownstown district as theyapproach.

Preschool teachers and/or administrators will prepare and release the child’spast GOLD reports, ASQ screenings, and other documentation upon exitingKarnak.

May Ask parents to clarify where their child will be going to Kindergarten in case this

has changed. Be sure that each parent has all pertinent information from Karnak for registering

their child at their school of choice.

7. Hours of Operation

The facilities operate Monday-Friday, 6:30 a.m. to 6:30 p.m., subject to the holidayschedule listed below. No child may arrive before 6:30 a.m. or stay after 6:30 p.m.

There is a charge for late pick-up. See Section 15.

Holidays

The Programs are closed on the following holidays and dates:Memorial DayIndependence DayLabor DayThanksgivingDay after ThanksgivingChristmas Eve – New Year’s DayWhen a holiday falls on a Saturday or Sunday, the program reserves the right to closeto observe the holiday either the preceding Friday or the following Monday. The centeralso reserves the right to close for holidays that fall in the middle of the week at theirdiscretion and will give parents a month notice of such closure.

8. Confidential Information

Each child has a right to confidentiality. All information pertaining to the children in theprogram, including all reports, records, and data are confidential and used for internalpurposes only. Information pertaining to children enrolled in the program will not bereleased to third parties without the express written permission of parent, unlessrequired by statute, court order or licensing mandate.

Information pertaining to a child and his/her family is kept confidential by the staff at alltimes. Occasionally, records may be reviewed by regulatory agencies for informationthat may be pertinent to a child’s well-being or requested by a legal subpoena. Personshaving access to these records include the Director and staff. These staff members usethese records when assessing children, interpreting the assessment data, and makingdecisions about the children’s development. The file cabinet will only be accessible toKarnak staff members.

9. Parent Participation and Communication

Parents are welcome at the program any time to observe or spend time with their child.Parents who wish to volunteer at the day care, must first provide documentation fromthe Department of Human Services that he or she has not been named in a central

registry case as the perpetrator of child abuse or child neglect, and that they do nothave a felony involving harm or threatened harm to an individual within the 10 yearsimmediately preceding the date of offering to volunteer at the child care center.

We encourage ongoing communication between the staff and parents. Parents shouldfeel free to ask questions about the program or their child’s care. We provide daily logsheets for children of all ages that are not yet fully potty trained. These daily log sheetsprovide information regarding the child’s diapering/toileting, snack/lunch, and smallgroup activity that occurred that day. Important notes and notices will be placed in eachchild’s cubby box or family mailbox, and emails may be sent out to communicate withparents as well. Karnak also posts newsletters and center event calendars on ourwebsite that provide important dates and information regarding things happening in thecenter. We encourage parents to routinely check our website as it is updated monthly.

Separated Communication Policy

Karnak Creative Child Care Center encourages parents experiencing separation tospeak confidentially with the program director and/or lead teachers. It is our goal tohandle such matters with sensitivity and compassion. Ultimately our primary concern isfor the well-being and overall development of the child. Karnak Creative Child CareCenter will also operate on the assumption, unless there is evidence to the contrary,that both parents are equally committed to the child’s welfare and education. Parentstherefore are equally entitled to be informed directly about significant issues relating tothe child.

In order to ensure that the center can support a child whose parents are separated, thefollowing procedures which involve active cooperation between the parents affected andthe center are required:

1. Parents are asked to inform the center if they are separated. In particular,the center needs to know which parent the child normally resides with.

2. If a separation/custody order is in place which limits contact by eitherparent with the center, Karnak Creative Child Care should be informed inwriting. This can be done be either a letter from a solicitor or by providingthe program director with a copy of the relevant part of the court order.The center commits to ensuring that such information will be held in thestrictest confidence and will be used on a “need to know” basis only.

3. In the absence of clear evidence to the contrary, the center will treat bothparents as equal partners in terms of parenting responsibilities and rights.

4. The center cannot be asked to withhold a child from either parent in theabsence of a custody arrangement to that effect. The same applies tosignificant information relating to the child.

5. When a child spends time in two homes, it is requested that KarnakCreative Child Care is provided with both sets of contact/emergencydetails.

6. The center will offer separate parent/teacher conferences to both parents,if desired.

7. Communication in regards to academic reports, significant disciplinaryissues, and health and safety issues will be communicated by the centerto both parents separately, unless there is a compelling reason not to doso. Such reasons must be given in writing to the school (see point 4above).

8. Karnak Creative Child Care will deal sensitively and caringly with childrenexperiencing parental separation and with both parents.

Assessment & Parent-Teacher Conference Policy

Children at the center are assessed biannually to according to Creative Curriculum’sthirty-eight learning objectives. The purpose of this assessment is to support andimprove the children’s learning by measuring and tracking their progress. Assessmentsare scored according to the anecdotal notes that the teachers make on each individualchild and recorded online using Creative Curriculum’s GOLD assessment tool. Theassessments help aid us in curriculum planning as well as identifying the individualneeds, strengths, and learning styles of each child. These GOLD assessments arecompleted on all children (Infant-Preschool) in the center and are reviewed at the parentteacher conferences scheduled twice a year in November and February. During theNovember conference, your child’s teacher will go over their GOLD report card with you.The report card provides information regarding the child’s skills, knowledge, and abilitieswith families, including a comparison of the child’s current abilities to widely heldexpectations. During the February conference, your child’s teacher will go over theirGOLD report card, as well as the GOLD individual child report with you. The individualchild report shows how the child performed during both assessment periods and tracksyour child’s progress throughout the year. Parents may also request assessment resultsat any time and to address concerns.

Screening Policy

Karnak completes annual developmental screening at the beginning of each schoolyear on all children using the Ages and Stages’ screening tool. Screening gives us aquick check of your child’s current developmental skills and helps accurately identifychildren who may be at risk for screeners in the Ages and Stages family: ASQ-3, whichlooks at key areas of early development, and ASQ: SE-2, which focuses on social-emotional development.

There are twenty-one ASQ-3 questionnaires for use with children from one month to five½ years old.There are five important areas of development that each questionnaire looks at:

1. Communication: Your child’s language skills, both what your childunderstands and what he or she can say.

2. Gross Motor: How your child uses their arms, legs, and other largemuscles for sitting, crawling, walking, running, and other activities.

3. Fine Motor: Your child’s hand and finger movement and coordination.4. Problem Solving: How your child plays with toys and solves problems.

5. Personal-Social: Your child’s self-help skills and interactions with others.

There are nine ASQ: SE-2 questionnaires for use with children from one to six yearsold.There are seven important areas of development that each questionnaire looks at:

1. Autonomy: Your child’s ability or willingness to self-initiate or respondwithout guidance (moving to independence).

2. Compliance: Your child’s ability or willingness to confirm to the direction ofothers and follow the rules.

3. Adaptive Functioning: Your child’s ability success or ability to cope withbodily needs (sleeping, eating, toileting, safety).

4. Self-Regulation: Your child’s ability or willingness to calm or settle down oradjust to physiological or environmental conditions or stimulations.

5. Affect: Your child’s ability or willingness to demonstrate their own feelingsand empathy for others.

6. Interaction: Your child’s ability or willingness to respond to or initiate socialresponses with parents, other adults, and peers.

7. Social-Communications: Your child’s ability or willingness to interact withothers by responding or initiating verbal or nonverbal signals to indicateinterests, needs, or feelings.

Upon completion, Karnak Creative Child Care Center will score the questionnaire, sharethe results with you, and discuss any follow-up steps. If your child is developing withoutany concerns, there will not be specific follow-up steps, just keep playing and interactingwith your child as they grow and reach new milestones. If your child has trouble withsome skills, your program will help you with the next steps, including a possible referralfor more assessment. Whether or not there are concerns, Karnak Creative Child Carestaff might also give you some fun and easy ASQ learning activities to try with your childbefore the next annual screening.

10. Parent Notification of the Licensing Notebook

All child care centers must maintain a licensing notebook which includes all licensinginspection reports, special investigation reports and all related corrective action plans(CAP). The notebook must include all reports issued and CAPs developed on and afteruntil the license is closed.

This center maintains a licensing notebook of all licensing inspection reports, specialinvestigation reports and all related corrective action plans. The notebook will beavailable to parents for review during regular business hours.

11. Required Forms

The forms listed below must be fully completed before the child can be enrolled in theprogram. Parent is solely responsible for ensuring the accuracy of the informationcontained within those forms and for keeping all such information current. Providerassumes no responsibility for keeping forms updated. Parent will be required to reviewthe forms to ensure accuracy in January and August of each year.

12. Fees

Registration FeeUpon enrollment, parent is required to submit a nonrefundable registration fee of$50. This registration fee may not be used to offset childcare fees.

Supply FeeParents will be required to submit a nonrefundable supplies fee of $100, which will becharged to your child’s account annually. This fee will be used for classroom materialsand supplies that are purchased throughout the year, as well as for professionaldevelopment for our teachers.

Fee ChangesProvider expressly reserves the right to change the childcare fee schedule or other fees(i.e. late pick up fee) upon reasonable notice to parents.

No Fee Adjustment for AbsencesThe full fixed rate as listed above is due regardless of absences, including sick daysand personal days, with the exception of vacation time that is scheduled off ahead oftime. Each child is allowed one week of vacation (5 days) before risking the chance oflosing their spot at Karnak Creative Childcare, this includes holidays and summer.

Due Dates for FeesChildcare fees must be paid in full on the Friday of attendance for that week. A latepayment of 10% will be applied Monday morning on any tuition that late. If tuition ismore than two weeks delinquent, Karnak Creative Childcare Center reserves the right torestrict a child from coming back until tuition is paid in full.

13. Types of Payment Accepted

Parents may pay childcare fees with a check, credit card ($4.00 fee), cash or directbank withdrawal. Bank Withdrawal will require a voided check and automaticwithdrawals will occur Friday every week that tuition is due.

When a check is returned to the provider for any reason, the provider will issue a writtendemand to the parent for immediate payment of the check, plus the applicableprocessing fee, civil damages and costs, allowed by Michigan law, as outlined below:

Parent in addition to possible criminal prosecution, will be responsible for the following,as provided by Michigan law:

If the full amount of the check is paid within seven days (excluding weekends andholidays) after the date the demand for payment was mailed, the parent will pay the fullamount of the check plus a processing fee of $25.00.

If the full amount of the check is paid more than seven days but less than thirty days(excluding weekends and holidays) after the date the demand was mailed, the parentwill pay the full amount of the check plus a processing fee of $50.00.

Following a dishonored check, all payments must be made by a certified check, moneyorder, or in cash.

14. Billing Procedures

Tuition and extra hours/late pick-up tuition for week prior are billed every week. Parentsare to pay the bill on a weekly basis to avoid a 10% late fee and possible disenrollmentafter two weeks of delinquency.

15. Late Payment Procedures

A 10% fee will be charged for any payments not received by the designated time. Ifpayment is not received on the day of care for two weeks of daycare, admission will bedenied until full payment, including the late payment fee, is made. The child’s space inthe program will not be held and may be given to another family during this time.

16. Late Drop-Off, Late Pick-Up & Over 10 hours

Parent is expected to abide by the care schedule.

If the parent will be late in dropping the child off, we request that the parent notifythe provider as soon as it becomes apparent that the child will be dropped off late. If theparent does not drop the child off within two hours of scheduled drop off time without

notifying the provider, the provider will assume the child is not attending and could denya late arrival.

A late pick-up fee of $15 for the first 15 minutes, and $15 thereafter for any portion of 15minute interval, will be assessed for all late pick-ups. The late pick-up fee will becharged the following week.

No child may remain at Karnak Creative Child Care after 6:30 p.m. If a child remains atthe daycare past 6:30p.m. and the parent has not called to notify the provider that he orshe will be late, the provider will attempt to contact persons listed on the childinformation card to pick up the child. If the provider is not able to arrange for anauthorized person to pick the child up by 7:00 p.m., the provider will contact the policedepartment for further instructions.

Provider reserves the right to terminate the agreement where parent is excessively latein picking up the child.

Childcare fees for full day are for up to ten hours. There will be a charge of $4 per hour($0.07/minute) for any attendance over ten hours.16. Department of Human Services Assistance

Parents who receive assistance from the Department of Human Services is responsiblefor payment of all fees not paid by the DHS. In addition, parents will be required torecord in and out times daily as required by the Department of Human Services.

17. Child’s Vacation

Families enrolled in our program for full-time year-round care are allowed a maximum ofone week (5 days) of “free” vacation time per year, meaning that no childcare fees willbe assessed during that week.

The one-week vacation time may be taken all at once or may be broken into individualdays. If the vacation time is used all at once, the child risks losing their spot if they takemore than one consecutive week off. The program needs to receive one week of writtennotice of vacation time being used and how many days you plan to use.Vacation time may be taken at any time during the year, provided the parent gives theprovider one week written notice of such vacation. The allotted vacation time does notcarry over from year to year. Thus, any vacation time not used by December 31 of anyparticular year is lost.

18. Business Interruption

The childcare program may also be closed due to loss of electricity, fire damage,communicable disease outbreaks, other unforeseen events, etc. Parent agrees to

arrange alternate emergency childcare for these situations. In the event the childcareprogram is closed for more than two consecutive business days, the parent is relievedof any financial obligation to pay for those days in excess of two business days. Parentfurther agrees to resume use of the childcare program as soon as it resumes operation.Nothing in this provision alters the contractual provision relating to the required length ofnotice for termination of the childcare contract.

19. Health Care Policy and Procedures

The following health care policies and procedures are put in place to help keep ourenvironment, children and staff healthy and safe.

Procedure for Hand-washing:Step one: WET – Wet hands first.Step two: SOAP – Use soap, preferably anti-bacterial.Step three: SOAP/LATHER – Lather well beyond the wrist ... make lots of bubbles!Step four: WASH – Work all surfaces thoroughly including wrists, palms, back of thehands, fingers and under the fingernails. Rub hands together for at least 15-20seconds.

TIP: Sing the ABC song once or twice ©.

When should hands be washed? Prior to starting the workday at the center. Prior to care of children. Before preparing and serving food and feeding children. Before giving medication. After each diapering. After using the toilet or helping a child use the toilet. After handling bodily fluids. After handling animals and pets and cleaning cages. After handling garbage. Staff and volunteers shall assure that children wash their hands at all of the followingtimes: Before meals, snacks, or food preparation experiences. After toileting or diapering. When soiled.

Cleaning and Sanitizing Equipment:1) Scrub all surfaces to remove any soil.

2) Wash the surface with soapy water and a single service towel then rinse with waterand a separate single service towel. Finally, wipe with a bleach/water solution.3) Equipment should also be cleaned with a bleach/water solution. .4) All toys and equipment are cleaned in a bleach/water solution monthly and also whenthe equipment has come in contact with body fluids.

Handling Bodily Fluids:HIV has been found in significant concentrations of blood, semen, vaginal secretionsand breast milk. Other body fluids, such as feces, urine, vomit, nasal secretions, tears,sputum, sweat, and saliva DO NOT transmit HIV UNLESS they contain visible blood.However, these body fluids do contain potentially infectious germs from diseases otherthan AIDS. If you have contact with any of these body fluids, you are at risk of infection fromthese germs.

Here are some guidelines for dealing with situations where contact with body fluids mayoccur. Following these suggestions should also help prevent the spread of the flu, coldsor other communicable diseases.

Treat all bodily fluids as if they are infected with a life threatening disease.Always use disposable rubber or latex gloves.When the job is complete, take the gloves off by pulling the cuff over the fingers thenturn inside out.Dispose of the gloves by sealing in a plastic bag before placing in a trash can.Encourage anyone with a bleeding wound or nose bleed to apply pressure to their ownwound or nose and cover their own wound with bandaging.A first aid kit is available at all times. In the first aid kit you will find rubber gloves, aplastic bag, a diaper for serious bleeding, and bandaging.Thoroughly wash your hands and other parts of your body that came in contact withbody fluids with hot water and soap even if gloves were used.Disinfect the area where body fluids have been with a 1:10 bleach solution

Controlling InfectionSick Children - Please do not send a sick child to the program. Not only is it better forthe child’s emotional and physical well-being to remain at home but a contagious childcan affect the health of everyone in the program. If a child becomes ill while in theprogram, he/she will be isolated from the other children. A family member or designatedadult will be contacted to pick up the child.The following should be helpful in deciding when it is appropriate for your child to attendthe program before, during and after an illness. Please notify us as soon as possible when your child contracts a communicabledisease. Parents and other children will be informed of exposure to the disease. Yourprivacy is assured.

Your child should stay home if he/she does not feel well enough to participate in allgroup activities both inside and outside. Any time a child has been crying more thanusual or complaining about discomfort for over ½ hour you may be called to pick upyour child.

Karnak Creative Child Care Center, Inc. will report any accidents/incidents or changesin the child’s health to the parents. If the child becomes ill while at daycare, he/she willbe comfortably cared for separately from other children until the parent can arrive totake them home. After leaving that child must be free of symptoms, eating a regular

diet, and fever free for 24 hours before returning. It is important that your child be wellenough to participate in activities and also not be contagious. If an antibiotic isprescribed, your child may return after taking the medication for 24 hours, if they arefeeling better and no fever is present. We know this may be an inconvenience, but wealso know that efforts such as these to contain illnesses benefit all of us. All parentsmust have plans established to care for ill children.

20. Parent Notification Plan (accidents, injuries, incidents, illnesses)

Parents will be notified when the center observes changes in the child’s health, childexperiences accidents, injuries, incidents, or when a child becomes ill. Each of thefollowing notifications will occur;

Accident, injury, or incident – parents will receive a written report that includes the time,date, nature of the incident/accident, and first aid or action taken. Staff will discuss withthe parent at pick up and parents along with staff will sign the report.

Accident, injury, or incident (serious) – parents will receive a phone call as well as thewritten report discussing the accident, injury, or incident.

Parents will automatically receive a phone call if the injury occurs above the shouldersin addition to the written report.

Illness – parents will receive a phone call if a child becomes ill. The parent will berequired to pick up the child within one hour of the notification.

21. When a Child/Staff Member Becomes Sick at the Program

Provider will report to parent any accidents, suspected illnesses, or other changesobserved in the health of a child. Provider will notify parent where the child is exposedto a communicable disease while in care, so that the parent may monitor the child forsymptoms. Where a child becomes ill while at the program, the provider and/or staff willcomfortably isolate the child in an area where the child can be supervised and willimmediately contact the parent, who will be required to pick the child up within one hourof notification. If a staff member becomes sick he or she will be immediately sent home.

Bedding, toys, utensils, toilet, and lavatory used by an ill individual shall beappropriately cleaned before being used by another child.

Emergency Medical CareThe parent gives permission to the provider to call 911 in the event of a seriousemergency. Any costs or charges incurred for 911 emergencies are the soleresponsibility of the parent. The parent will be notified immediately in case of anemergency.

Health Plan- Immunization Records/Health AppraisalsThe purpose of our health plan is to help keep the children, our environment, and thestaff healthy and safe. This health plan is important to the children, families, and staff,as it ensures that Karnak has a policy in place that will help us maintain a safe andhealthy learning environment for all.

Karnak Creative Child Care Center uses the EZ care system to update and trackimmunization records and health appraisals we have on file for each individual child. Weuse EZ care to pull up these reports at least twice a month to track any outdated orneeded information for these records.

The State of Michigan requires us to utilize the MCIR system to log all immunizations.The immunizations are updated by your child’s pediatrician.

We encourage families to stay up to date on your child’s well-checks andimmunizations. We make regular reminders twice a month to parents to notify us if thereare any changes to your child’s health or allergies. If parents choose not to vaccinatetheir child, a state waiver is required for enrollment.

Karnak provides referrals to local free health fairs or places that offer low-costimmunizations for any families for their child’s health appraisal or immunizations. Weprovide milestone fact sheets and display any pediatrician business cards that we mayreceive. Karnak has also partnered with Help Me Grow to complete annualdevelopmental screening on the children, see our Screening Policy beginning on page 8for more information.

23. Medication Policy

Karnak Creative Child Care agrees to the administration of oral medications only. In theevent that the child requires a medication that cannot be administered orally, the child’sparent/guardian or an authorized emergency contact (with written consent from theparent/guardian) will be required to administer the child’s medication as needed.

When a parent requests that the center administer medication, the following provisionsshall apply:

a. Medication, including prescription drugs or individual special medical procedures, willbe given or applied only with prior written permission from parent. Prescriptionmedication must have the original pharmacy label indicating the physician’s name,child’s name, instructions, and name and strength of the medication and shall be givenin accordance with those instructions. Provider will not honor any instruction from aparent which contradicts the instructions of the physician (for prescription drugs) or theinstructions on the label (for over the counter drugs).

b. Provider/caregiver will maintain a record as to the time and the amount of anymedication given or applied.

c. The medication shall be in the original container, stored according to the instructions,and clearly labeled for the specific child. The provider/caregiver will keep themedication out of the reach of children, and will return the medication to the parent ordestroy it when no longer needed.

d. The provider will not administer any over-the-counter medicines that, in the solediscretion of the provider, may mask symptoms of illness.

24. Toilet Training

It is best to have consistency between the home and center to allow the child to besuccessful. The staff will discuss this issue with parents as their child approachesreadiness for toilet learning.

A Child May Begin Toilet Learning When: The child shows some interest at home and/or at the center. The child is able to retain bowel movements and urination for short periods. The child is willing to sit on the toilet. The child understands what is expected of him/her.

Toilet Learning Procedure: Put child on the toilet at routine times-cues taken from the child and/or center’s

schedule. Put child on the toilet at the child’s request. No toys in the bathroom while the child is on the toilet. Rewards are immediate and may be hugs, cheers, or praise. Be CONSISTENT. Present a relaxed attitude. Remember, learning to use the toilet is the child’s job, not

yours. He/She is, after all, the only one who can. If the child is showing signs of resistance stop for a few days and try again later. We

view toilet learning as a developmental process and take its successes andfailures in stride.

25. Sunscreen/Insect Repellent/Diaper Cream

Sunscreen, insect repellent and diaper cream may be applied with prior writtenpermission from a parent or guardian. The permission form will be signed annually.Sunscreen, insect repellent and diaper cream must be labeled with your child’s name.

26. Child Care Abuse Reporting

As a licensed childcare provider, provider and its employees are required by law toreport any instances of the child abuse or neglect to the appropriate authorities. Theymust also report any instances in which there is a “reasonable suspicion” that abuseor neglect may have occurred. Provider takes these responsibilities seriously and willreport any actual or reasonable suspicions of abuse.

27. Discipline

It is our policy at Karnak Creative Child Care Center, Inc. to correct inappropriatebehavior with love and respect. Under no circumstances should discipline occur withshame, humiliation, sarcasm, or physical punishment. If your child’s behavior becomesunmanageable, you will be notified to come pick him/her up. In addition, we willdocument all behavioral problems, as well as any conversations with parents orguardians.

Guidance for InfantsWe use language, gestures, eye contact, redirection and touching to help infants whenfrustrations arise. We also use role modeling such as; “I know you want Tony’s truck.He has it right now---here is another one for you.”

Guidance for ToddlersAt this age we generally redirect to encourage their curiosity and exploration of theirnew world and playmates. Consistency in scheduling and planning appropriate andadequate activities helps to reduce a toddler’s frustrations.

Guidance for Preschoolers and OlderTeachers listen to children having difficulties to determine if they can work it out on theirown and then encourage them to do so. If this can’t be done the teacher will interveneand help mediate the problem with suggestions (taking turns, use words to describehow you feel, diversion to another activity, etc.) If necessary, the involved parties will behelped to make another choice until they can regain self-control.

1. First incident – Parents will receive a written “incident report” describing theinappropriate behavior, in addition to oral communication. Guardians are expected tosign this form upon receipt. One copy goes home and one will be filed in the child’s file.

2. Second Incident – Upon receiving a second written “incident report” form, aconference with the student, staff, guardians and director or assistant director isarranged to discuss an appropriate behavior plan.

3. Third Incident – After three incidences of extreme behavior resulting in the thirdwritten “incident report” form the child may be dismissed from the program or asuspension with a clear action plan may occur. Any disenrollment will be approvedthrough the director.

Karnak Creative Childcare Code of ConductWe are implementing a discipline program in order to:

Model- to demonstrate the behavior desired.

Prevent- to get involved and/or stop undesired behaviors before they happen.

Coach- to help the child identify their feelings and redirect them.

Repair- to all the child to speak to the other child, encourage the child to take a positiveaction, demonstrate responsibility for feelings of others or the situation. Thechild should not be encouraged to make insincere apologies.

Everyone wants to be respected, this includes all the children at Karnak Creative ChildCare. We will never use physical punishment and humiliating or belittling language. Wewill support the child’s positive self-image, their capacity to self-control, their ability touse their own voice, to problem solve, and to treat each other with kindness andcompassion. However, some children may exhibit behaviors that put the other childrenand staff members safety and security at risk. These behaviors include aggression toother children and staff members, which includes: biting, hitting, and kicking.

28. Disruptive Behavior

When a child’s behavior is disruptive, (i.e. biting, hitting, throwing objects or using “bad”language), parents will be notified. If the child continues a disruptive behavior, a parentconference will be held to discuss reasonable solutions to the situation. The discussionwill include a consideration of any disability, which affects the child’s behavior and areasonable accommodation to meet the child’s needs and ameliorate the disruptivebehavior.

If a reasonable solution and/or accommodation cannot be reached, the child may bedisenrolled from the program with two weeks’ notice to allow parents an opportunity tofind alternate childcare. The child will be disenrolled without notice if the child’scontinued participation in the program creates a direct threat to the safety of the child,other children or the provider’s staff.

29. Special Needs Plan

The purpose of this plan is to meet the needs of all children, regardless of their specialhealthcare needs and/or disabilities. This plan is important to children, families, and staffbecause it ensures that Karnak Creative Child Care is committed to working with everychild in a positive manner, regardless of circumstances.

Karnak Creative Child Care employs the use of the following tools and resources:Parents/Guardians will complete annual developmental screening at the beginning ofeach school year on all children using the Ages & Stages’ ASQ screening tool.Screening is a quick check of your child’s current developmental skills and helpsaccurately identify children who may be at risk for delays. Each screening questionnaireis to be completed by a parent/guardian. There are two screeners in the Ages & Stagesfamily: ASQ-3, which looks at key areas of early development, and ASQ: SE-2, whichfocuses on social-emotional development. For more information, please review ourscreening policy on page 8 of the parent handbook. If your child is developing withoutconcerns, there is nothing more you will need to do. You may try the next ASQ-3 agelevel as your child grows and learns new skills. If your child has trouble with some skills,your program will help you with next steps and may refer you to your child’s physician oran early intervention/early childhood special education agency. Karnak may makereferrals to either Early On or Build Up Michigan agencies to provide developmentalsupport according to the child’s age. This plan is intended to meet the needs of children, families, and staff through thefollowing:

1. Children with special needs will be accepted into our program under theguidelines of the Americans with Disabilities Act.

2. All children and families will be treated with respect and dignity.3. Karnak will ensure that confidentiality about special needs will be maintained for

all families and staff.4. After a child with a special need is identified, a meeting will be held between

family and staff to identify the child’s needs.5. Opportunities for children with special needs will be made if there is no

fundamental alteration to our program.6. Staff will receive training on the special accommodations that the child needs if

there is no undue hardship such as requiring time-consuming or expensivetraining of staff.

7. Each child with special needs will have a plan of care for emergencies.

All of this information will be shared with children, families, and staff through our parentand employee handbooks. Parent meetings may also be held with the Program Directorto discuss a plan for the individual child as well as to review the policies and proceduresstated above.

We believe healthy eating is important for children. We have a nutrition plan in placethat follows the guidelines of the Federal Child Development Food Program. There is acopy of our menu in the lobby and on our website www.karnakcccc.com

If your child has any kind of food allergies, please make us aware at the time ofenrollment. The cost of food is included in the childcare fees. When a parent elects tosupply food from home, no fee adjustment will be made. Karnak Creative ChildcareCenter will provide the parent with a full menu used at the center. Karnak CreativeChildcare Center reserves the right to substitute snacks on a given day if they run lowon a certain snack item. Any chosen snacks will adhere to the healthy menu conceptdetermined by the center.

Lunch and snack times are planned so that no child will go more than four hours withoutbeing offered food. Meal times are as follows:

Breakfast 7:30am – 8:00 am Lunch 11:30 am – 12:00 pm PM Snack 2:30 – 3:00 pm

Nutrition Plan

Policy StatementThe purpose of our nutrition plan is to provide the best possible nutrition environment forthe children in our facility in order to promote the children’s overall development andwell-being. It is important to the children, families, and staff that our nutrition plan is inplace so that Karnak Creative Child Care can encourage the development of goodeating habits that will last a lifetime.

Child Care NutritionKarnak Creative Child Care uses the child care nutrition guidelines recommended bythe USDA CACFP (Child and Adult Care Food Program) as a tool for all the foods weserve. The CACFP nutrition standards for meals and snacks are based on the DietaryGuidelines for Americans, science-based recommendations made by the NationalAcademy of Medicine, cost and practical considerations, and stakeholder’s input. Wealso encourage healthy eating habits within our curriculum. The Early Pre andPreschool classes do cooking activities with the children as part of the CreativeCurriculum interest areas. Every cooking activity follows the CACFP guidelines that arelisted below. Our nutrition plan meets the needs of the children, families, and staff byproviding a healthy and balanced diet that includes fruits, vegetables, and whole grainsand limits foods and beverages that are high in sugar, and/or fat. Weekly MenusAll of this information will be shared with the children, families, and staff through ourweekly menus that are carefully planned to follow the child care nutrition guidelines atevery meal. Menus are rotated on a three-week basis to provide the children with abalance of variety and familiarity. Copies of our menu are posted in the lobby and onour website www.karnakcccc.com

Holidays/CelebrationsFrom birthday parties to holidays there are many opportunities for celebrations in ourchild care center. If you would like to recognize your child’s actual birthday, pleasedouble check with your child’s teacher for any allergies within the classroom. Forholiday celebrations, a sign-up sheet with specific foods and beverages will be placedon the classroom door.

31. Employee/Family Professional Conduct

Personal relationships between employees and program families may create an actualor perceived conflict of interest, and/or create the risk of sexual harassment/hostile workenvironment related claims. Thus, employees may not engage in personal relationshipswith any program family members. If a personal relationship develops between anemployee and a program family member, they must notify the director immediately.

A personal relationship includes, but is not limited to the following activities: dating,sharing the same household or other activities that may give rise to an inherentsubjectivity or conflict of interest.

Karnak Creative Child Center, Inc. reserves the right to use its sole discretion in hiring,assigning, transferring or terminating employees who have personal relationships withprogram family members.

32. Personal Items from Home

Provider discourages the parents from allowing children to bring personal items fromhome to the program, with the exception of a small naptime blanket and cuddle toy, ifnecessary.When a child does bring personal items from home, the provider is not responsible forloss or any damage to that item.

33. Clothing and Supplies

ClothingDue to the nature of some of the activities the program offers for children, the parentmust recognize that children’s clothing may become soiled or damaged, although theprovider takes all appropriate steps to prevent this from occurring. The parents shouldtherefore bring children to the program dressed in “play” clothes. The provider assumesno responsibility for damage to a child’s clothing.

The program is required by licensing to take the children outdoors daily. As such,parents must be certain that the child is dressed appropriately according to the weatherconditions. This may include, but is not limited to rain gear, jacket, sweater, long pants,hats, mittens, boots, snow pants, etc. If a child arrives at the program and does nothave the appropriate outerwear for outdoor activity, the provider reserves the right tocall the parent and ask that the appropriate clothing be brought. When a child isinappropriately dressed, the child cannot go outdoors. Unfortunately, the program doesnot have extra staff that can stay inside with the child. If a child is too sick to go outside,the child is too sick to be at school.

34. Termination

Either the parent or provider may terminate the child care agreement upon two weekswritten notice to the other party. When the parent does not provide two weeks writtennotice, the parent is still required to pay for the final two weeks of care, following thenotice of termination, whether or not the child attends that program.

Provider reserves the right to terminate this agreement immediately, without notice tothe parent, if:

1) Child care fees and/or other fees are not paid when due;2) The child’s continued participation in the program creates a direct threat of harm tothe child, other children, or the provider’s staff; or3) Parent engages in inappropriate parent conduct as defined below.

35. Inappropriate Parent Conduct

Parents must be aware that adults serve as role models for children. Additionally,the provider is responsible for protecting the children in the provider’s care, and forproviding a safe workplace for staff members. Therefore, it is critical that, while onprogram property, each parent conducts himself or herself in a professional and rationalbehavior at all times. The provider reserves the right to immediately terminate the childcare agreement if the parent behaves inappropriately.

The following actions are grounds for immediate dismissal (please note, however, thatthis is not an exhaustive list of inappropriate behaviors):

Acts of violence, including assault and battery; Harassment of or threats against the staff, other parents or children; Possession of illegal substances or firearms; Verbal or physical abuse of any child; Profanity; or Indecent exposure.

36. Arrivals and Departure Procedure

All children must be brought into the building by a Parent (or other authorized person)and taken to the child’s classroom. Teacher will sign the child in when child arrives inhis/her care daily. Children must never be left unattended. At pick-up, a Parent (or otherauthorized person) must enter the building, and pick up the child from his/her classroomand the teacher will sign him/her out daily.

We have found that our day begins the best when parents can make their drop off timeroutine and consistent. A staff member will greet your child in the morning and helphim/her to enter the room smoothly. Please help your child put their personal itemsinto their cubby or hook. Please leave any special toys in the car since this tends tocause problems during the day. Please talk to your child’s teacher for suggestions andhelp if the drop off time is especially difficult for you and/or your child. We want to makethese pleasant times for you.Karnak Creative Child Care Center, Inc. assumes responsibility for enrolled childrenfrom the time between sign-in and sign-out by parents. Parents are responsible for thesafety of their children at all other times. Please remember signing your child in/out dailyis extremely important!

37. Child Release Policy

As a condition of providing childcare services, the parent must supply the names of atleast three individuals to whom the provider may release the child in the event of anemergency.

The provider will not release the child to any individual whose name is not on the list.Before the provider releases the child, if the individual is unknown to the provider or anyone of the provider’s staff, the provider/staff will require that the individual show positiveidentification in the form of a valid Michigan Driver’s License. Other forms ofidentification are not acceptable.

Parents must be aware that the provider and staff are not properly trained to makeassessments relating to intoxication or other impairment and therefore assume noresponsibility to assess the competency or condition of any individual appearing to pickup the child.

Should the parents wish to have a one-time special exception to allow an individual notlisted on the card to pick the child up, the parent must leave a signed, dated, writtennote with the director, the morning of the release. The parents are not encouraged tochange any release instructions orally. In the case of an emergency, releaseinstructions may be changed, at the discretion of the director.

Provider assumes no responsibility for any injury or harm to the child who has beenreleased to a person on the child release card or identified in the written/verbalexception request process.

Provider’s and staff respect the family’s privacy. However, where other questionablechild release situations occur, the provider has a duty to maintain its role as the child’sadvocate.

With respect to child custody disputes, until custody has been established by a courtorder, neither parent may limit the other parent from picking up the child, and theprovider will release the child to a known identifiable parent.

38. Emergency Policy

Provider has developed an Emergency Action Plan to be implemented in the event ofan emergency situation. In developing this plan, we have worked with American RedCross and Wayne County Child Care Network. The plan has been designed to providea plan of action in the event of natural or man-made disaster.

If an emergency should occur, the provider will follow the instructions of the localauthorities. The instructions may be to stay at the facility and shelter-in-place, or toevacuate. If we are instructed by authorities to evacuate to a specific location, thechildren will be taken to the location identified by the authorities. If we are instructed byauthorities to evacuate but not directed to a specific location, the parent will be notifiedwhere the children will be taken to, depending on the circumstances.

We understand that parents and family members will be concerned about the safety oftheir children and will want to pick them up as soon as possible. If we are sheltering inplace, we ask that you wait until the authorities issue an all clear before coming to pickup your children. This request is made for the safety of all of the children. If we evacuatethe facility, children will be released to parents or authorized persons as they arrive. Ifthe authorities designate an evacuation shelter, the location will be disseminatedthrough local radio and television stations. If the authorities do not designate anevacuation shelter, the children will be taken to one of the locations described above.We will take emergency contact information with us to the shelter sites.

As part of our emergency plan, we ask that you update the information on your childemergency card and child release forms, anytime changes occur, to ensure that wehave current telephone numbers (home, work and cellular), addresses, etc… for allemergency contact persons.

39. Photographs

From time to time, the provider will take photographs of the children participating inprogram activities. The photographs will be posted in the child’s classroom or on ourwebsite for parents and visitors to enjoy. If a parent wishes that photographs not betaken of their child, a written notice must be delivered to the director.
