1. General Information
1.1. HR Strategy Management System
The HR strategy team has developed a systematic way to monitor and handle strategy of the
organization through a web based portal. It has incorporated all the strategic objectives of the officers in
the organization which are aligned with functional strategic items.
It is divided in to three levels i.e.
a) Corporate level; This is where the corporate perspective themes and strategic items would be
given. All of this aspects would be interlinked with each other
b) Functional HR Level; This is where themes and strategic items are given. They are linked with the
corporate level functions
c) Individual Level; This is where the individual objectives, assigned objectives, progress and
changes to profiles can be seen
It is an extensive and needful effort done by the HR strategy team and would not only help to
monitor the strategy of the individuals but also of the whole corporate level

1.2. Getting started
This manual will give step by step instructions as how to use this software. The step by step
instructions with relevant screen shots are as follows.
1.3. Log In
Log in to http://hrsms.ptcl.net and the following screen will appear
Log in with the following details
Log in: Employee Number
Password: The password which is sent through email

2. Corporate Scorecard
Navigate through the options given on the top column.
2.1. Perspectives
Click on Perspective and the following screen will appear
This screen will show the perspectives on the corporate level
The perspectives are linked with Themes and Themes are linked with Strategic Items
One can add, edit or delete perspectives

Click on this and the following will appear
Add a new perspective as needed
Click on to view the details of any particular perspective
Click on to edit any perspective
Click on to delete any perspective

Click on Themes and the following screen will appear
All the corporate themes are linked with corporate perspectives
Click on this and the following will appear
Add a new themes as needed and link it with the desired perspective
Click on Perspective to link it with the particular perspective

Click on to edit any theme
Click on to delete any theme
2.3. Corporate Strategic Items
Click on Strategic Items and the following screen will appear
All the strategic items are linked with strategic themes
Click on this and the following will appear

Add a strategic item as needed
Click on Themes and link it with the particular theme
Click on responsibility and link it with the particular department
Click on to view the details of any particular strategic item
Click on to edit any strategic item
Click on to delete any strategic item

3. Functional Scorecard
The following screen will appear when you log in
The HR level of this software is linked with the corporate level.
3.1. Functional Themes
Click on Themes and the following screen will appear
All the functional Themes are linked with the corporate perspective and corporate themes at
the corporate level

Click on this and the following will appear
Add the Functional theme as needed
Click on Perspective and link the particular functional theme with the corporate perspective
Click on corporate theme to link the functional theme with the corporate theme
Click on to view the details of any particular functional theme
Click on to edit any functional theme
Click on to delete any functional theme

3.2. Functional Strategic Items
Click on Strategic Item and the following screen will appear
All the Functional strategic items are linked with functional themes and corporate strategic
Items

Click on this and the following will appear
Add the functional strategic item as needed
Click on Themes to link it with the functional themes
Click on Corporate strategic item to link it with the corporate level of strategic items
Click on to view the details of any particular functional theme
Click on to edit any functional theme
Click on to delete any functional theme

4. Individual Scorecard
The following screen will appear when you log in
4.1. My Objectives
Click on My objective and the following screen will appear

For every change press the refresh button
Remaining weight age suggests the percentage of objectives which can be added more
The sum of self weight age of all objectives should be less than 100%
4.1.1. Add Objective
Click on this and the following will appear

A brief description as how to add a new objective is shown below in the tabular form
Title Add the title of objective
Description A brief description of the objective
Functional Strategic Item Select a functional strategic item from the drop down list to link the objective with the functional strategic items
Manager`s objectives Select the objective of your boss assigned to you with which you want to link this objective
Measurement Measurement is the outcome of this objective when this objective will be achieved
Deadline Choose completion date of this objective from calendar
Unit Select the relevant unit from the drop down list
Contributory weight In this field you will enter the weight which will be contributed to the objective by the boss. It should be equal to assigned weight. In case if your one objective is linked completely with boss objective but in case if your boss objectives are contributing to the single objective of boss then this contributory weight will be divided into two weights
Self weight Enter numeric value only. This is the weight of your own objective. The total weights of all your objectives should be equal to 100%
Target Assign the target as appropriate
Click on Submit to continue

4.1.2. View Objective
Click on to view the details of any objective. The following screen will appear which will
show the details of the added objective
4.1.3. Edit Objective
Click on to edit any objective. The following screen will appear

Edit the details following the same pattern while adding any objective
Click on Submit to continue
4.1.4. Delete Objective
Click on to delete any objective. The following screen will appear
Click on Yes to continue
4.1.5. Assign Responsibilities
Click on to assign responsibilities and the following screen will appear

A brief description as to how assign responsibilities is shown below in the tabular form
Objective Shows the objective to be assigned
Search employee Search the employee with his/her employee number, name and/or designation. Enter few key words and a drop down list will appear from which select the relevant employee
Assign weight Assign the relevant weight in terms of percentage out of your Self Weight
Click on Assign to continue
4.1.6. Update Progress
Click on to update the progress of the objective. The following screen will appear
Update the progress by adding number and/or digits only.
You only need to update the progress of your own weight. The progress of assigned weight will
be calculated automatically.
Click on Update to continue

4.2. Assigned Objectives
Click on Assigned objectives and the following screen will appear
Here one can see the objectives which have been assigned to you along with the assigned
weights. The calculation of the contributory weight tells you that how much you have
contributed to the assigned objective

4.3. Strategic Clarity
Click on strategic clarity and the following page will open
This page will show the Hierarchy of the organization along with their roles and their job titles
Click on the profile box and the reporting officers will be displayed
The officer whose hierarchy is displayed would be shown in red color, for example in case of
above screen shot, Mr Amjad Iqbal has been selected
In order to view the personal scorecard of any employee click on the link of “read more”

4.4. My progress
Click on My progress and the following screen will appear
This page will show the progress of the particular objectives in the form of a pie chart making it
easier to make reports accordingly
Pie chart shows the distribution of weights in objectives
Objective titles are given in the table form in the left side

Progress Graph
The bar chart shows the updated individual progress
If one clicks on the relevant bar one can view the percentage of individual and assigned
objectives
If you have not updated the progress of any objective then the graph will show you the default
percentage of 1%

4.5. Profile
Click on Profile and the following screen will appear
Here one can make changes to their profile

4.5.1. Edit Personal Information
Click on next to personal information and the following screen will appear
Change the Personal Information as needed
A brief description as how to edit personal information is shown below in the tabular form
Name Enter Full name
Description Enter the designation with department
Reporting officer Enter the officer you are reporting to
Click on Submit to continue

Click on next to contact information and the following screen will appear
Change contact information as needed
A brief description as how to edit contact information is shown below in the tabular form
Email Enter your official email address
Contact Number Enter your contact number (mobile or landline)
Address Enter your address
Click on Submit to continue

Click on to change the password. The following screen will appear
Change the password as needed
A brief description as how to change password is shown below in the tabular form
Old password The password which would be given through email
New password The password you want to keep
Confirm password Enter the confirm new password
Click on Submit to continue
