INTRODUCTION

The Attendance module in SIMON electronically register the location of students in class and tracks their

movements during a school day in real time. The module will cater for students who are:

• Absent from class

• Late to class

• Leaving class early

• Going to sickbay

• Leaving school and who may, or may not return

• Absent with Parent Notification (PNA)

• Absent and require Parental Contact or follow-up

• Arriving late at school

• Attending a school activity outside normal classes (Excursions, Sporting etc.) This can also be used for

extended homerooms, assemblies etc. and reflect appropriately in the daily attendance records. (SRA

– School Related Activities and SAA – School Acknowledged Activities).

• Class Passes

The attendance module is designed to cater for a school that requires teachers to complete an electronic roll

mark for specific periods, or ideally, for each class. However, the system is also designed so a school can

complete an administrative roll mark through traditional methods by teachers completing a paper roll and the

collation of data by secretarial staff to meet the requirements of the Registered Schools Board.

When setting up for electronic attendance the school can configure which periods are required to be marked

and which of these periods will be targeted for official follow-up. Those periods marked for follow-up will tell

the SIMON attendance system to pay attention to these periods and invoke formal follow-up procedures that

will require staff at an administrative and pastoral level to act to investigate data relating to absent students.

Through this process efficient follow-up of student attendance can be completed and accurate reports

produced for any given day, period, student or class.

The next section gives an overview of the SIMON Attendance system. This will show users how the various sub

modules fit together to produce the final student attendance data. These modules are:

• Parent Notified Absences (PNA)

• Sick Passes, Leave/Return Passes and Late to School Passes

• School Acknowledged Absences (SAA) *

• School Related Absences (SRA) *

*School activities such as Camps, Excursions and Sporting Events are registered and students are selected to be

part of them. This data is merged into the attendance system to give an accurate account of student

attendance and provide valuable feedback to staff marking rolls and track the location of a student on a day.

This is particularly useful when a year level or series of classes are out of normal classes and involved in an

activity for a whole or part day. Creating an activity and assigning students to it may save time in marking

students as absent in their normal classes and provide accurate information as to their location.

IMPORTANT DATA INFORMATION

As an Attendance Officer, you must be very mindful that that the data entered by you affects every class roll

for each student on every day that any PNA, Pass, SAA and SRA events are added. This data updates any

teacher roll affected by the event you enter so the teacher is kept up-to-date with every child in their classes.

If incorrect data is added and the event is removed SIMON will set the student back to unmarked for affected

rolls so the correct status of the student can be updated. This signals the teacher that they now may have an

unmarked roll and need to verify the information.

SIMON has been designed to allow very careful tracking of student attendance information as this data has

often been used in Courts of Law.

Below is a sample class roll mark screen. This illustrates how student data relating to attendance is displayed

in the roll mark, such as Parent Notified Absences, School Passes and School Activities. Teachers also have a

real-time information related to the percentage of attendance down to the minute for each class for each

student.

SAA OR SRA

NOTE: The decision of whether to use an SRA or SAA for an event is purely up to the school and how they wish

to affect CLASS based attendance. SRA will count against student class attendance percentages and SAA will

not. It is important to note that an SRA or SAA does not reduce the overall school attendance because they

are at a school recognised event. It is possible to have students with 95% class attendance but 100% school

attendance because they have been put in SRA events that take them away from normal running classes.

CLASS PASSES

Teachers and office staff can also issue a class pass for a student. By default, a class pass does not affect the

class percentage of attendance unless the user indicates it should. These are not to be used for passes where

the student is leaving the school.

These can be issued from the main attendance system;

Or from within a teacher class roll mark that automatically defaults to period times;

SETTING UP STUDENT ATTENDANCE

This section describes the relationship between the information entered in Timetable Definition and Subjects

in the School Administration Section and the Year Level Configuration in the Student Attendance Section.

TIMETABLE DEFINITION

In the Timetable Definition area of the Timetable Maintenance Module the Timetabler or SIMON

Administrator must specify the following for each teaching period of each day:

Is this period an Admin Roll Mark?

This means that only administrative staff can enter attendance data.

Is this period a Teacher Roll Mark?

This means that teachers can enter their own class data.

NOTE: Schools can have BOTH Admin Roll Mark and Teacher Roll Mark checked for each period. This would

allow teachers to mark their own rolls, but also allow for administrative staff to enter any paper rolls which are

brought to the office.

Is this period an Official Roll Mark?

This is a global setting and will activate across the WHOLE SCHOOL. Official Roll Mark periods are those

required to satisfy the Registered Schools Board requirements for roll marking. Generally, this is a morning and

an afternoon period. The use of an Official Roll Mark will allow SIMON to produce reports on student

attendance based on these periods only. SIMON will also populate the attendance follow up screens for key

users to produce reports for students who were absent without reason from Official Roll Marks and

electronically record reasons. Users will also be able to produce reports of students absent without reason or

late from class from any period configured for Roll Mark.

NOTE: Official School Roll Marks will only activate if an Admin or Teacher Roll Mark is set for that period.

Does this period require follow up for unexplained absences?

This is a Global setting and will active across the WHOLE SCHOOL. Setting follow-up on a period causes SIMON

to request data on students who are absent without reason from normal classes. Follow up can be completed

by admin staff and either Year Level Coordinators or House Leaders as decided by individual schools. Staff who

are authorised to complete follow up will be required to enter reasons as to why a student was absent from a

class. At this point, SIMON will remove the student from the follow up screen and update the attendance

data. The system is set for follow up to expire after a set number of days. If no reason for unexplained

absences has been entered before the nominated follow up expiry time the student will be removed from the

follow up screen and remain as absent without reason on the system.

NOTE: Follow up can only be activated if an Admin or Teacher Roll Mark is also set for that period.

SUBJECT CONFIGURATIONS

The second thing which must be considered when setting up SIMON for attendance is which subjects should

be included in the attendance system. This information should ideally be included in the Subject Import data

(See SubjectImport.txt). However, subjects can be manually excluded from attendance by checking the

appropriate box in the Subject Maintenance section of the Subjects module in School Admin.

YEAR LEVEL CONFIGURATION

Finally, the school must determine which year levels and which periods will be marked by entering this data

into the Year Level Configuration area of the Student Attendance Maintenance Module.

NOTE 1: When a Year Level is activated for roll marking, Official Roll Mark periods will be automatically

included based on the Timetable Definition configuration. The Official Roll Mark Periods are global and cannot

be altered from this module.

NOTE 2: Follow up is also a global setting based on the Timetable Definition. If a year level has a roll mark

activated for a period which also has follow up activated, then any student absent from that period will require

follow up. Official Roll Marks will automatically require follow up.

In the above example, Homeroom and Period 4 have been flagged as Official Roll Marks and it is not possible

to turn off roll marking for these periods.

However, Periods 1 to 3 are not Official Roll Marks, therefore the school can elect to not mark these rolls by

unchecking the appropriate boxes or, if no rolls are required at all, the year level can be disabled;

Notice that these periods do have follow-up flagged, so if the school elects to mark these rolls, then follow up

can also occur for these periods. It is best practice to have all roll mark periods flagged for follow up.

The links available on this page will vary slightly depending on the role of the staff member in SIMON,

however, main panels will be the same, only the panel content may be different

ATTENDANCE TRENDS

This panel gives the user a summary of absence trends over a given Trend Period.

CONFIGURING ABSENCE TRENDS

This information displayed in this panel can be fully customised by the individual user so that the student

information which appears is relevant to that user.

To customise the Attendance Trends panel, the user will click on the module icon.

Once in this module, the user will be shown a summary of the students they are tracking. This can be altered

by clicking on the appropriate tab.

For example, if the user is a Head of Campus then they could select that campus and therefore will receive all

data for that campus. However, if a teacher is homeroom teacher, then they could select to track their entire

Homeroom or just individual students of concern and only data relating to these students will be shown.

NOTE: Once an alteration has been made under any of the Absence Trends tabs, the user must return to the

Summary tab and click on the UPDATE button.

USING ATTENDANCE TRENDS

Each of the sub-headings on the Attendance Trends panel are links to further information.

NOTE:

Irregular Absent without Permission refers to students who were marked present in most periods for the day,

but were marked as absent for one of those periods without an appropriate pass being completed. It will also

flag the opposite, where a student may be marked as absent for much of the day, but then appears as present

in one period during that day.

Continuous Absent without Permission flags students who are marked absent for two or more consecutive

classes, but have not been entered in the system as having a PNA, SRA, SAA or pass.

Attendance Alerts occur when there is an inconsistency in the attendance data. For example, a student is on a

PNA, SRA or SAA for the day, but is in class. Attendance Alerts are entered by the class teacher when they

mark the roll.

By clicking on these links, the user will be able to access more detailed information, such as which students are

involved and for which periods.

Once in the Attendance Trends page, other categories can be selected using the drop-down list, or the user

could return to the Student Attendance Home Page by selecting the link from the top menu bar and then

selecting a new link from the Attendance Trends panel.

GENERAL LINKS

The General Links panel will give the user links to the Roll Mark options - Mark roll by teacher or mark roll by

class.

UNMARKED ROLLS

Class teachers will be able to see any unmarked rolls they have for classes that they teach. To mark these rolls,

simply click on the day in question and this will open the Teacher Roll Mark page.

The red-cross indicates rolls which still require marking. By clicking on classes marked in such a manner, the

Class Roll Mark page will be opened and the roll can be marked and updated.

ATTENDANCE ALERTS

By clicking on the Attendance Alerts link in the Attendance Tasks panel, the user will be taken to the Student

Attendance Alerts page.

Each of the alerts listed are linked to the student, and the data should be fixed in the system to remove the

alert. In this page example, we have a reminder from a teacher that the student is present, so we would need

to explore what the issue is. Teachers create these alerts by using the “Report Issue” button in their class roll

mark.

In the teacher roll mark the Alert will be visible at the top of the page until the alert is dealt with. This class

will remain as incomplete.

We also have a student on two different events (SRA and SAA), we need to find which the correct event is and

remove the student from the incorrectly assigned activity. This will recalculate the data and remove the alert.

This is important as these events in SRA/SAA can be configured to be listed automatically on an End of

Semester Report.

FOLLOW UP ABSENCES FROM OFFICIAL ROLLS

Users will have access to this link if they are configured as being involved with follow-up in the attendance

system.

Clicking on this link will take the user to the Official Roll Mark Follow-Up page.

The user then clicks the “Update Follow-up” button to begin the process.

The Display Contact Info button can be used if parent/guardian contact is needed. The information here is

taken from the school administration package.

Once all data has been entered, click on Update. Once all affected periods are accounted for, the student will

be removed from the follow-up list. The next student can be selected using the student drop down list without

going back to the previous page.

INCOMPLETE LEAVE PASSES

Users will have access to this link if they are configured as being involved with Passes in the attendance

system.

Clicking on this link will take the user to the Incomplete Leave Passes page. Here all students who have been

issued a leave pass will be listed until the leave pass has been completed.

To complete the leave pass, the user must click on the “Complete Pass” button.

The time the student returns to school must be entered or, if the student is not expected to return to school

on that day, the check box should be selected.

NOTE: It is important that the correct times are entered. To change between AM and PM, enter the time and

then hit either A or P as appropriate.

The system will not accept times entered in an incorrect format. If this occurs, the user will be prompted to

check the time entered.

Once the pass has been completed, the student will be removed from the Incomplete Leave Passes list.

INCOMPLETE SICK PASSES

Users will have access to this link if they are configured as being involved with Passes in the attendance

system.

Clicking on this link will take the user to the Incomplete Sick Passes page. Here all students who have been

issued a sick pass will be listed until the sick pass has been completed.

To complete the sick pass, the user must click on the “Complete Pass” button.

The time the student leaves sick bay to return to class must be entered or, if the student is not expected to

return to class on that day, the check box should be selected.

NOTE: It is important that the correct times are entered. To change between AM and PM, enter the time and

then hit either A or P as appropriate.

The system will not accept times entered in an incorrect format. If this occurs, the user will be prompted to

check the time entered.

Once the pass has been completed, the student will be removed from the Incomplete Sick Passes list.

UNPROCESSED SAA EVENTS

In the system, any teacher or office staff member can create a School Acknowledged Activity. However, the

activity will not process unless you have access to approve them. Any Unprocessed activities allows the

maintainer to then edit, review the data, and then click on save to process the data into class rolls.

UNPROCESSED SRA EVENTS

In the system, any teacher or office staff member can create a School Related Activity. However, the activity

The Display Contact Info button can be used if parent/guardian contact is needed. The information here is

taken from the school administration package.

Once all data has been entered, click on Update. Once all affected periods are accounted for, the student will

be removed from the follow-up list. The next student can be selected using the student drop down list without

going back to the previous page.

PASTORAL/CLASS TEACHER FOLLOW-UP

Pastoral Staff and Class teachers will have access to unexplained absence data related to their own pastoral

students and classes through this link if the system is set up to allow class teachers to complete follow up.

CREATING A PARENT NOTIFIED ABSENCE (PNA)

A PNA is used to document when the school has been notified by parents that a student will be absent.

CREATING A PNA

To create a PNA event the user selects the appropriate menu option, or from one of the panel options.

Step 1: Select the date of the absence, the student, the absence reason and, if necessary, alter the Absence

Period.

Step 2: Once all details are accurately entered, select Save. A confirmation message will appear at the top of

the page and the next PNA can be entered without having to navigate away from that page by simply selecting

the name of the next student.

CLASS ENROLMENTS

This page is designed to adjust historical roll mark class enrolments where the class was incorrectly assigned at

the time of roll initialisation. It will also allow you to populate class enrolment data based on the current

timetable data for a student into the past where data should have existed. This data can be fixed for any

student for any day in which student attendance data was collected:

Step 1: Choose “Single” day option and then choose date and click the load button.

Once the load button is pressed the user will be presented with the following screen to select the relevant

student;

FIXING A MAJOR MISTAKE

Ideally any major mistakes need to be fixed and this can take time. But what options do you have?

OPTION: Each night a backup of SIMON is run at 2:00 am. The SIMON database can be restored to this point

however any data entered from 2am that day would be lost and need to be re-entered.

OPTION: If a recurring event has a student removed who was not meant to be on the list but was overlooked

and then removed six weeks later, the effect will be many unmarked rolls and many unhappy teachers. The

attendance can be “patched” by using an SAA event titled something like “SAA attendance fix” for the period

affecting these rolls.

OR

If the student was marked as absent from the event, the follow up screen could then be used to update the

student’s rolls for each day, with their correct data.

This type of incident should not occur as attendance data should be the responsibility of the whole school and

teachers should inform attendance officer ASAP if data in the rolls are not correct.

SIMON KIOSK

SIMON includes a free attendance kiosk system to allow students to manage;

• * Late to School

• * Leaving School and Returning/Not Returning

• * Check-in/Check-out (where students are not time penalised)

given access to this menu and may need to be done in consultation with your SIMON Administrator)

These options determine the logon options for the student kiosk;

The options for students can be restricted by year level. The option for booklist generation has not been

implemented in the student kiosk at this stage (see next page).

When setting up the kiosk the school must select which Late Pass and Leave Reasons they will allow the

students to select when accessing the kiosk. This is done by editing the “Leave Pass Reasons” and “Late to

School Pass Reasons” in the maintenance menu of student assessment and ticking to include the reason in the

kiosk.

CHECK-IN AND CHECK-OUT

The reasons in Late and Leave Passes also allow a special option called “Use for Check out”. When ticked, this

option forces the system to not penalise a student’s school or class percentages.

Check-in must be setup in the Kiosk Configuration for the year levels required;

This could be used for situations where year 12 students can arrive at school late because their classes do not

start until mid-morning and the school has this special arrangement in place. The advantage of this check-in

feature, is that when the student arrives late to school, they will not have their attendance penalised. The

same occurs for afternoon check-out. The real advantage occurs when a student is timetabled into morning or

afternoon homeroom, they are initially marked absent without reason, and the kiosk check-in when applied

will register the late check-in and update the student attendance percentages appropriately.

When students are leaving school, or arriving late the check-in out options should not be used by a student.

To help keep track of this the attendance trends have “Check In/Out” as a special category.
