Set up your Institutional Profile, Appointment Preferences, & Email Notifications

1. Click on your Name in the Top Navigation bar.

Institutional Profile

2. Click the Institutional Profile Tab

3. Edit your Contact Information (if applicable)

4. Upload/change your photo (if applicable)

Click the Upload Photo link.

Click Browse to search for a photo (JPG, GIF, or PNG).

Once you have selected your picture, click the Upload Now button.

5. Complete General Overview and My Biography. This information will appear to students who can make appointments with you.

6. Click the Submit button to save your updates.

Appointment Preferences

Click on your name in the Top Navigation bar if you have not already done so.

1. Click the Appointment Preferences Tab

2. Edit the information under Basics

Minimum Appointment Length

Scheduling Deadline (e.g., appointments must be scheduled by a specific time)

Note: If you check the box to allow walk-ins after the deadline has passed, students will see this noted in your calendar.

3. Add/Edit the information under My Locations

Click Add Location

Enter the location Type

Enter your location Name and Location (building/room)

Enter any Instructions you want the students to know when they sign in to your kiosk

Click Save

Note: You can Edit or Delete a location if needed

4. Add/Edit the information under Calendar Managers

Click Add Calendar Manager

Enter the name of the person you want to be your calendar manager (can make edits and/or delete).

When finished, click Submit

Email Notifications

Click on your name in the Top Navigation bar if you have not already done so.

1. Click the Email Notifications Tab

2. Edit the information under Appointments Notifications

Remember: select the time you would like the reminders to be sent

3. When finished scroll to the bottom and click Submit

Adding Office Hours & Appointments (setting your availability) Click Home on the Top Navigation bar if you have not already done so.

Add Office Hours – use this function to plan recurring appointments

1. Click Add Office Hours

2. Add in your appointment availability (e.g., Add Office Hour)

3. When finished, click Submit

Add in a Title for your availability (the title should be the same across your department)

Select the day(s) of your availability. How often do you want your availability to recur?

(What time?) Specify a Start and End time for your availability

Where? Make sure your Location is checked

Select your Office Hour Type (type of availability you have i.e., scheduled appointments, walk-ins, walk-ins and appointments…)

Select the Appointment Type - either Advising or Teaching

Enter any special Instructions for students when they make an appointment

Enter the Start/End Date of your recurring availability

Scheduling Wizard – use this function to plan appointments by specific days/times per week

1. Click Scheduling Wizard

2. Add in your appointment availability

Title (of the appointment) Where? (location of the appointment) How Long? (duration of the appointment) Appointment Types Instructions (if applicable)

3. When finished, click Next

4. Enter the start and end time for your availability for the selected week.

Click the arrows here to change the week

5. When you are done entering your availability, click Finish

Add Student Appointments 1. Click Add Appointment

2. Enter the following information to schedule an appointment for a student.

3. When finished, click Submit

Note: As the calendar owner, you can add appointments at any date and time, regardless of whether they occur within available blocks.

Search for a student using the With field.

Select the date (When)

Select the Start time and End time of the appointment

Select the Location

Select the Reason for the appointment

Searching for Students

Search for a Student

1. Click Students on the Top Navigation bar

2. Click the My Students tab

3. Search for students by their name, username, or Z number. Click Go when ready to search.

You can also narrow your search for students by using the Connection field

View a student’s folder (view history & view/enter notes)

1. From the students tab on the top navigation bar, click My Students, then, Search for students by their name, username, or Z number. Click Go when ready to search.

2. Click the hyperlink of the student’s name.

Note: you can also click on the magnifying glass to access the note function

3. To view a student’s existing notes (in any), click NOTES

4. To create a note for a student click the Note button

5. Enter the following information: Date Note Type (from drop down menu) Subject (if applicable) Note Note Sharing: Shared should be checked Send a note to your student or yourself (if applicable)

6. When finished, click Submit
